Fit the chair to your body and your workstation as one system. Set seat height first, then verify foot support, seat-depth clearance, lumbar position, armrests and desk reach. If a fixed-height desk forces the chair higher than your feet can tolerate, add an adjustable footrest rather than accepting dangling feet or raised shoulders.

Why chair adjustment is a workstation problem, not just a chair problem

A chair labeled “ergonomic” is not automatically correct for every person. CCOHS explains that fit depends on your body dimensions, the workstation and the task. A setting that works for one user can leave another with unsupported feet, pressure behind the knees or shoulders held up all day.

Chair height, desk height and foot support have to be checked together. Your legs should fit under the desk and move freely, your feet should be supported, and your forearms should reach the work surface without your shoulders lifting. OSHA’s workstation guidance likewise treats the chair, lumbar support, armrests and desk as connected parts of one setup.

How do I adjust a chair for my height?

Make the adjustments in this order. Recheck each setting after you change another one; raising the seat, for example, can change whether your feet are supported and whether the desk is still at a comfortable arm height.

  1. Set an initial seat height

Stand in front of the chair and raise or lower the seat so its highest point is just below your kneecap. Sit down and place both feet on the floor. This is an initial reference, not the final answer: finish by checking your desk reach and relaxed arm posture.

If your feet do not rest flat at a height that lets you work comfortably, do not simply accept the mismatch. Continue to the fixed-height-desk section below and use a footrest or change the workstation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  2. Check space behind the knees and adjust seat depth

Sit with your back supported. Leave about a clenched-fist space—approximately 5 cm (2 inches)—between the front edge of the seat and your lower legs. CCOHS presents this as a practical clearance check. The seat should support most of your thighs without pressing into the area behind your knees.

If the chair has a sliding seat pan or another depth control, move it until you can keep that clearance while maintaining back support. If depth is fixed and the edge touches the backs of your knees, try the chair at several heights and backrest positions; if no combination removes the pressure, the chair’s dimensions may not fit you.

  3. Position the backrest and lumbar support

Adjust the backrest up or down and, where available, forward or backward so the lumbar area fits the hollow of your lower back. Support should feel broad and stable rather than like a hard point pushing into one spot. OSHA identifies height-adjustable lumbar support and a backrest that reclines as useful chair features.

A removable back-support cushion or a rolled towel can provide temporary support when a chair lacks lumbar adjustment. It is a stopgap, not proof that the rest of the chair fits or a cure for every discomfort. Recheck seat depth after adding any cushion because it can move your torso forward.

  4. Set the armrests without lifting your shoulders

Let your upper arms hang naturally at your sides. Bend your elbows to about 90 degrees and raise or lower the armrests until they barely touch the undersides of your elbows. Your shoulders should remain relaxed, not shrugged, and your wrists should be able to reach the keyboard or other input device without leaning on the armrests.

Armrests are optional. Remove them or stop using them if they elevate your elbows, force your shoulders up, or prevent the chair from moving close enough to the desk. A lower armrest is better than a high one, and no armrest is better than one that blocks a neutral working position.

  5. Move the chair into the desk and verify the reach

Roll the chair toward the desk until you can reach the work surface with your upper arms relaxed. Keep your legs under the desk with room to move. If the armrests hit the desk or the desk edge forces you to lean forward, lower, reposition or remove the armrests before changing your seat height again.

Now look at the whole posture: feet supported, thighs supported without knee pressure, lower back contacting the support, shoulders down and elbows near the work surface. If one of these conditions fails, adjust the chair and desk relationship rather than trying to hold your body in place.

What adjustments should I make if the workstation is at a fixed height?

A fixed-height desk can make a correctly fitted chair feel wrong. The desk may be too high for your seated elbow level, or it may leave too little space for your legs. CCOHS advises not using a workstation regularly when your legs cannot fit or move freely underneath it.

When the desk is too high

After fitting the chair to your body, raise the chair only as much as needed for your forearms to reach the desk without elevated shoulders. Your elbows should remain close to your sides and your shoulders relaxed. If raising the chair leaves your feet unsupported, place both feet on an adjustable footrest. CCOHS specifically identifies an adjustable footrest as the relevant solution when a fixed desk requires a higher chair.

Choose a footrest that supports both feet and can be adjusted to the height you actually need. It should let your feet rest securely rather than balancing on a narrow edge. Recheck the seat-to-knee clearance after raising the chair; the footrest solves support for the feet but does not change whether the seat edge is pressing behind your knees.

When the desk is too low or blocks your legs

Do not lower the chair so far that your knees are cramped or your arms have to angle awkwardly upward. Check whether the desk has a lower shelf, drawer or crossbar that prevents your legs from moving. CCOHS’s guidance is practical here: if your legs do not fit or move freely, the workstation needs to change rather than your body being forced into the available space.

When a footrest is not enough

If you cannot simultaneously keep your feet supported, your thighs clear of the seat edge, your shoulders relaxed and your legs free under the desk, the chair-and-desk combination is outside your usable adjustment range. Consider a different chair, a desk with adjustable height or a change to the workstation layout. Do not treat a cushion, a footrest or a high seat as permission to ignore the other fit checks.

What should I consider when selecting a chair?

Check the chair while thinking about the actual desk and tasks, not in isolation. CCOHS recommends considering fit and adjustability, and OSHA’s evaluation criteria connect the chair to the rest of the workstation. A product description that only says “ergonomic” does not tell you whether its dimensions suit you.

  • Seat-height range: Confirm that the lowest and highest settings let you reach the work surface with relaxed shoulders. Also check whether your feet can be supported at that working height, either on the floor or on a footrest.
  • Seat-depth range: Look for a sliding or otherwise positionable seat pan. You need enough length to support your thighs while retaining roughly 5 cm (2 inches) of clearance behind the knees. A seat that is fundamentally too long or too short cannot be fixed by raising or lowering it.
  • Lumbar position: Prefer support that moves vertically and, when available, forward and backward. The useful position is the hollow of your lower back, not a hard ridge that misses it.
  • Backrest movement: A backrest that reclines while continuing to support you allows changes in posture during the day. Recline is a useful feature, but it does not excuse poor seat depth or a desk that prevents close approach.
  • Armrest adjustability: Check height and width, and whether the rests can be lowered, moved aside or removed. The chair must still slide close enough to the desk with your shoulders relaxed.
  • Overall dimensions: Compare seat width, pan length, backrest size and the clearance needed for your legs and your particular work. Adjustment controls cannot compensate for a chair that is fundamentally too small or too large.

If several people will use the chair, a wider adjustment range helps, but it still does not guarantee a fit for everyone. Test each user’s foot support, knee clearance, lumbar contact and desk approach separately.

How the task changes the final setting

Set the chair while using the tools and surface you actually use. Keyboard work, writing and other desk tasks can place your hands at different positions, so check the posture with the most demanding or most frequent task. Keep the upper arms near the sides and let the lower arms reach the surface without lifting the shoulders. If an armrest is comfortable while you are sitting back but collides with the desk when you move in, the armrest is not suitable for that task position.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Likewise, do not judge the fit only from the front. Sit fully against the backrest to check seat depth and lumbar support, then move close enough to work while retaining legroom. A chair that feels comfortable away from the desk may fail once the desk edge, drawers or modesty panel limit your movement.

How to tell whether your current chair fits

Use the following comparison points when evaluating a chair or deciding whether to replace one. A single model cannot fit everyone; the important question is whether its ranges match your body and your tasks.

Feature What to check Why it matters
Seat-height range Whether you can reach the desk with relaxed shoulders while keeping your feet on the floor or a footrest Seat height links desk reach, leg support and foot support
Seat-depth adjustment Whether you can maintain about 5 cm (2 inches) of space behind the knees while your thighs remain supported Too little clearance creates pressure; too much leaves the back unsupported
Lumbar support Whether the support moves up/down and, ideally, forward/back to meet your lower back Fixed support may miss the hollow of your back or create a pressure point
Backrest movement Whether the backrest can recline while continuing to support you Reclining allows posture changes instead of holding one rigid position
Armrests Height, width and whether they can be lowered, removed or moved out of the desk’s way Armrests should support relaxed lower arms without raising shoulders or blocking desk approach
Foot support at working height Whether your feet can be supported when the chair is raised for a fixed desk A footrest or another workstation change may be necessary
Overall dimensions Seat width, pan length, backrest size and clearance for your legs and task Adjustment controls cannot compensate for a chair that is fundamentally too small or large

Troubleshooting common adjustment failures

Your feet dangle after you set the desk height

Raise or lower the chair only to the point where your arms can work without shoulder tension. If that height leaves your feet off the floor, use an adjustable footrest supporting both feet. Do not slide forward on the seat to reach the floor; that reduces back support and can place pressure behind the knees.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The seat edge presses behind your knees

Confirm that your back is against the backrest, then measure the gap from the seat edge to your lower legs. Aim for about 5 cm (2 inches), or a clenched fist. Shorten the seat depth if the chair allows it. If depth is fixed, a different chair may be required; lowering the seat alone does not correct an overly long seat pan.

Your lower back feels unsupported

Move the lumbar support vertically until it sits in the hollow of your lower back. If it has forward/back adjustment, bring it close enough to support you without a hard pressure point. A removable cushion or rolled towel can be temporary assistance on a chair without lumbar adjustment, but reassess the seat depth and overall fit after adding it.

Your shoulders rise when you use the armrests

Lower the armrests until they barely contact the elbows while your upper arms hang at your sides. If the lowest setting still lifts your shoulders, remove the armrests or leave them unused. Do not lean your weight onto high armrests to compensate for a desk that is too high.

You cannot get close enough to the desk

Check whether the armrests collide with the desk edge. Lower, widen, pivot or remove them if the design allows. Also look for desk drawers, modesty panels or other obstructions that stop the chair. A chair that fits your body but cannot approach the work surface is not a functional fit for that workstation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You keep changing settings because no position feels right

Make one adjustment at a time and walk through the sequence again. If you still cannot obtain foot support, knee clearance, lumbar contact and relaxed arms together, the available ranges may not accommodate you. CCOHS recommends considering an alternate chair or workstation changes instead of forcing an uncomfortable setting.

Allow posture changes during the day

Even a well-fitted chair is not intended to lock you into one position for hours. CCOHS describes frequent changes among body positions as part of a good workstation setup. Use the backrest’s recline when available, shift your sitting position periodically and stand or move when your task permits.

Posture variation does not mean abandoning the fit checks. Keep the seat edge clear of the knees, maintain lower-back support when you lean back, and avoid using a new posture to compensate for a desk that is too high or a chair that cannot approach it.

A five-minute final check

After you finish adjusting the chair, run this checklist at the actual desk with the tools you use every day:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Seat height lets you reach the work surface without raised shoulders.
  • Both feet rest flat on the floor or securely on an adjustable footrest.
  • There is about 5 cm (2 inches) of clearance between the seat edge and your lower legs.
  • Your thighs are supported without pressure behind the knees.
  • The backrest and lumbar support fit the hollow of your lower back.
  • Armrests, if used, barely touch the elbows and do not lift the shoulders.
  • The chair can move close enough to the desk for relaxed arm reach.
  • Your legs fit under the desk and can move freely.
  • You can recline or change position without losing essential support.

If any item fails at the chair’s available settings, change the workstation or choose a chair with a more suitable range. The goal is a coordinated fit for your height, desk and tasks—not a particular setting or a label.

Frequently Asked Questions

How do I adjust a chair for my height?

Start with the seat’s highest point just below your kneecap, then sit and verify flat-foot support. Adjust seat depth for about 5 cm (2 inches) of clearance behind the knees, position lumbar support in the lower-back hollow, and set armrests so relaxed elbows are barely supported. Finish by checking desk reach.

What adjustments should I make if the workstation is at a fixed height?

Fit the chair to your body, then raise it only enough for your forearms to reach the desk without lifted shoulders. If your feet no longer rest flat, use an adjustable footrest supporting both feet. If your legs cannot fit or move freely, change the workstation rather than forcing your posture.

What should I consider when selecting a chair?

Compare the seat-height and seat-depth ranges, lumbar support positionability, backrest recline, armrest height and width, overall dimensions, and whether your feet can be supported at the required working height. The word “ergonomic” alone does not guarantee a personal fit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can a lumbar cushion fix a poorly fitting chair?

A removable cushion or rolled towel can temporarily add support when a chair lacks lumbar adjustment. It is not a cure for incorrect seat depth, poor dimensions or a desk that blocks a neutral position; reassess the whole fit after adding it.

Should I keep using armrests?

Use them only when they support relaxed lower arms without raising your shoulders or preventing the chair from approaching the desk. Lower, reposition or remove armrests that interfere with a comfortable working position.

The Bottom Line

Set seat height, depth, lumbar support and armrests in sequence, then test the complete chair at the desk. Keep about 5 cm (2 inches) behind the knees, support both feet, and change the chair or workstation when its adjustment range cannot provide relaxed arms, free leg movement and lower-back support together.
