To add sequential serial numbers to PDF pages in a batch, use Bates numbering in Adobe Acrobat Pro. This guide covers visible, page-level Bates identifiers; “serial number” can also mean a fillable-form field or one custom identifier on a single page, which requires a different approach.
What Bates numbering adds to a PDF
Bates numbering places a sequential identifier on each page in a set of documents, helping with indexing and retrieval. The number can include a prefix or suffix to distinguish one collection from another. It is a visible page mark; Adobe’s instructions do not establish that it is an immutable or tamper-proof identifier.

The workflow below is for Acrobat Pro. Adobe’s current help says protected or encrypted PDFs and some form types are unsupported, so confirm the files are compatible before preparing a batch.

- Open the tool: Open a PDF, choose Edit, then select More > Bates numbering > Add.
- Choose the files: Add individual PDFs, a folder, or PDFs that are already open. Arrange the files in the order you want them numbered; the sequence follows that order.
- Set output options: Choose an output folder and file-naming preferences so the numbered copies are easy to identify. These options affect output files, separately from the Bates marks placed on pages.
- Choose placement: Place the insertion point in a suitable header or footer area.
- Insert and configure the number: Select Insert Bates Number, then set the digit count, starting number, prefix, and suffix.
- Apply and check: Complete the dialog to process the files. For an important collection, inspect a sample output and confirm the order and sequence before relying on the full batch.
Adobe’s Bates-numbering help page, updated Nov. 5, 2025, documents this workflow and the compatibility limitations.

Choose the sequence format
Acrobat allows a digit count from 3 to 15; six digits is the default. Adobe advises choosing more digits for large documents and avoiding the # character in prefix or suffix text.
- Starting number: Set the first value for the sequence. This is useful when continuing an existing series.
- Digit count: Choose enough places for the highest number expected. The selected width controls how the sequence is displayed.
- Prefix and suffix: Add identifying text to distinguish a matter, project, or collection. Keep the identifier useful for later searching.
Distinguish page numbers from output filenames
Bates marks and filename changes serve different purposes. Bates numbering puts identifiers on pages; output naming helps identify the resulting files in a folder. Acrobat’s Output Options can add the token %BATES_NUMBER_KEY% before or after the original filename. Use it when you want Bates-related information in filenames as well as on the pages.
Find a Bates-numbered PDF later
Acrobat can search a PDF collection using a complete Bates number to locate a specific document, or a distinctive portion of the number, such as a prefix or suffix, to find matching files across a location. Adobe’s search instructions were updated Sept. 23, 2025.

Quick Recap
When this workflow is not the right fit
- You need a data value in a form: Bates numbering creates page-level identifiers, not a fillable field that stores a user-entered serial number.
- You need one custom mark on a single page: Use a PDF editing method suited to placing that identifier rather than configuring a sequential batch.
- Your PDFs are protected, encrypted, or unsupported forms: Adobe lists these as compatibility limits for Bates numbering. Check file access and compatibility before attempting a batch.
- You want to automate repeated batches: Acrobat Pro’s Action Wizard can apply saved actions to files, but Adobe’s general Action Wizard documentation does not establish that every Bates-numbering setup can be automated. Confirm the specific action configuration first.
