WordPress user administration is handled from Users in the dashboard. From there you can create an account with a unique email address, assign the least powerful role that fits the person’s work, search and edit existing accounts, change several users’ roles at once, or delete an account while preserving its posts by reassigning them.
This guide covers the current single-site workflow, the important differences in Multisite, and the WP-CLI commands used for repeatable administration.

A user account identifies a person and supplies the capabilities WordPress checks before allowing an action. The role is a bundle of capabilities: publishing, editing other people’s posts, uploading media, moderating comments, changing settings, and managing accounts. WordPress.org describes the principle directly: “A user’s role determines their capabilities.”
Choose access as an operational decision, not as a job-title label. Give each person the least powerful role that still lets them complete their work. A writer who only submits drafts does not need publishing rights; a site manager may need the broad controls of an Administrator on a single site.

Add a user from the WordPress dashboard
Open the Add New screen
- Sign in with an account allowed to create users.
- In the left menu, open Users > Add New.
- Enter a unique username. WordPress uses it as the account’s login identifier, so choose a stable value rather than a temporary project name.
- Enter the user’s email address. WordPress requires the email to be unique; an address already attached to another account cannot be used for a second user.
- Optionally fill in first name, last name, website, and other profile details shown on the form.
- Set a password or use WordPress’s generated password. Give the password to the user through a secure channel rather than placing it in a public ticket or chat.
- Choose a role from the Role menu.
- Select Add New User.
The role shown by default comes from Settings > General > New User Default Role. That default is applied when a new account is created, including accounts created through a self-registration form, unless another workflow explicitly assigns a different role. Confirm the selected role before submitting instead of relying on the default.
Check the result
After saving, return to Users and search for the new username or email. Verify the role and profile details. If the account should receive an invitation or password notice, check the site’s mail-delivery setup; the user can still be created even when an email message is delayed or not delivered.

Choose the right built-in role
WordPress includes six predefined roles. Their exact reach depends on whether the account is on a single site or a Multisite network, but the following is the practical baseline for the core roles.

The table describes the standard WordPress roles. Plugins can add roles or capabilities, and a site owner can customize them, so inspect the actual permissions when a site no longer uses the defaults. WordPress’s Roles and Capabilities documentation explains that roles exist to control what users can and cannot do.
Administrator is not the same on every installation
On a single-site installation, an Administrator can generally install or update plugins and themes, edit users, and create or delete users. On Multisite, network operations and several user-management capabilities are reserved for the Super Admin. Do not promote someone to Administrator expecting network-wide control unless you have confirmed the site’s network permissions.
Find and edit existing users
Open Users to see the user table. The documentation updated October 23, 2024, identifies these ways to narrow the list:

- Search by username.
- Search by the person’s name.
- Search by email address.
- Search by website address stored in the profile.
- Filter the table by role.
Open the username or choose that row’s Edit link to change profile information, password, email address, or role. Save the changes at the bottom of the profile screen. For a quick role-only change, use the inline edit control when it is available, then confirm that the new role is displayed in the table.
Editing checklist
- Confirm that you have the intended account; similarly named users are easy to confuse.
- Change the email address only after confirming that the new address is unique.
- Review the role after editing. A password reset or profile edit does not automatically make the account safer if the role is too broad.
- Tell the user when a role change affects what they can publish or manage.
Change several users’ roles at once
The Users table supports bulk role changes, which is useful when a project ends, an editorial team changes, or a group of members needs the same access.
- Open Users and search or filter until only the intended accounts are visible.
- Select the checkbox beside each user. Use the table’s top checkbox only when every listed account should be changed.
- Choose Change role to from the bulk actions controls.
- Select the destination role.
- Apply the change.
- Review the resulting list and spot-check a user profile to make sure the role was applied.
Bulk actions do not replace a scope check. A role change can remove publishing or management capabilities immediately, so export or record the affected usernames before applying a large change. On Multisite, verify that you are operating in the intended site and that the selected role has the expected network meaning.
Delete a user without losing their content
Deleting an account is also a content-ownership decision. WordPress offers two outcomes for posts and links owned by that user: delete them, or attribute them to another user. If the author’s work must remain published, choose attribution to a successor account rather than deleting the content.
Dashboard deletion procedure
- Open Users.
- Find the account by searching or filtering, then select its checkbox.
- Choose Delete from the bulk actions menu and apply it, or open the user and use the delete link on the profile screen.
- Read the confirmation page. WordPress asks whether to delete the user’s posts and links or attribute them to another user.
- Select Attribute all content to and choose the replacement account when the work should stay on the site. Select the delete-content option only when removing those posts and links is intentional.
- Confirm the deletion.
The currently logged-in user cannot be deleted from this screen. Sign in with a different authorized account if that account must be removed. Before deleting a staff account, record any ownership, scheduled work, or integrations that depend on it and transfer those responsibilities separately.
When to reassign instead of delete
- Use reassignment when an employee leaves but their articles remain part of the site archive.
- Use reassignment when a temporary author account is being replaced by a permanent editorial account.
- Delete the content only when the site owner has decided that the posts and links should no longer exist.
Single-site and Multisite user management
WordPress Multisite can host many sites in one network. The same role name does not guarantee the same reach as it has on a standalone installation.

Single-site
An Administrator normally has broad control of that one site, including settings, plugins, themes, and user management. Editors, Authors, Contributors, and Subscribers remain limited to the capabilities associated with their roles.
Multisite
A Super Admin controls network-level settings and operations. Individual site Administrators manage their own site within the limits imposed by the network; several user-management and installation capabilities are intentionally unavailable to them. If a person needs to add users across the network, change network settings, or manage sites, assign or request Super Admin access only after reviewing the risk.
Before changing a role in Multisite, confirm whether you are viewing the network’s users or a particular site’s users. A user can belong to more than one site and can have a different site-specific role on each.
Manage users with WP-CLI
For repeatable work, WP-CLI’s wp user command family can create users, change roles, remove roles, delete accounts, and import users from a CSV file. Run commands from the WordPress installation directory as a system account that is allowed to use WP-CLI.
Create an account
A basic creation command is:
wp user create maya maya@example.com --role=authorYou can add profile fields and request an email notice in the same command, for example:
wp user create maya maya@example.com --role=author --first_name=Maya --last_name=Patel --send-emailUse a unique login and email address. If you omit --role, the site’s configured default role is used, so specify the role in automation when the permission level matters.

Change or remove roles
Assign a role with:
wp user add-role maya editorRemove a role with:
wp user remove-role maya editorTo replace a role rather than accumulate several roles, remove the old role and add the new one, then verify the result:
wp user remove-role maya author
wp user add-role maya editor
wp user list maya --fields=ID,user_login,rolesSome sites intentionally give an account more than one role. Do not remove a role automatically unless your permission model expects one role per user.
Delete while reassigning content
WP-CLI can delete an account and reassign its content to another user:
wp user delete maya --reassign=42Replace 42 with the destination user’s ID. To delete the account and its owned content instead, use the command’s delete-content option only after confirming that removal is intended. Test the command on a staging copy first, especially when a script processes many accounts.
Import users from CSV
The command family includes CSV import:
wp user import-csv users.csvPrepare the file with the fields required by the current WP-CLI command reference, including a unique login and email and, where needed, a role. Validate a small sample before importing a full personnel list. Keep the CSV protected because it may contain personal data or credentials, and remove temporary files after a successful import.
Automation safeguards
- Back up the database before bulk creation, role changes, or deletion.
- Run a dry check with a user list or a small sample before applying a loop to the whole site.
- Log the account IDs, old roles, new roles, and reassignment target.
- Use the current official WP-CLI command reference before scripting; its reference is regenerated at every release.
- Test scripts in a safe environment, then run the production command with an explicit site and role scope.
Control self-registration and the default role
If visitors can register themselves, review Settings > General > Membership and New User Default Role together. The default role should be the least powerful role suitable for an untrusted new registrant, commonly Subscriber on a membership site. Changing this setting affects future registrations; it does not retroactively change existing users.

Whenever the site’s membership policy changes, revisit the default and inspect a newly created test account. A permissive default can grant publishing or management capabilities to every person who registers.
Troubleshoot common user-management problems
“This email is already registered”
Search the Users screen by that email address. WordPress requires uniqueness, so either edit the existing account or use a different address. Do not create a second account simply to work around a forgotten password; reset the existing account instead.
The role I need is not listed
Confirm whether the site uses a custom role supplied by a plugin or theme. On Multisite, check that you are in the correct site or network context. If the required capability is not part of a built-in role, document the needed permissions and use the site’s approved role-management process rather than promoting the user to Administrator by default.
A user cannot publish after a role change
Check the account’s current role and whether the content type is governed by custom capabilities. A Contributor can write and manage their own posts but cannot publish them; an Author can publish and manage their own posts; an Editor can publish and manage other users’ posts.
A user can no longer manage the site
Review whether the account was changed from Administrator or Editor during a bulk operation. On Multisite, also check whether the requested action is network-level and therefore reserved for Super Admin.
Deletion would remove valuable articles
Cancel the deletion and restart it with the attribution option. Select the successor account explicitly, then verify several transferred posts while signed in as an editor or administrator.

A practical user-lifecycle checklist
- Define the person’s required tasks: profile-only access, drafting, publishing, editorial management, or site administration.
- Assign the least powerful matching role and confirm whether the installation is single-site or Multisite.
- Create the account with a unique username and email, then verify the result in Users.
- When responsibilities change, edit the role or use a carefully scoped bulk action.
- Before removing an account, decide whether its posts and links should be deleted or attributed to another user.
- For repeatable operations, use WP-CLI with backups, logs, and a tested command reference.
- Review the self-registration default whenever the membership policy changes.
