For a science video with narration and background music, create two related but different accessibility resources: synchronized captions that follow the audio, and a transcript published beside the player. Captions include every spoken word plus meaningful sounds; the transcript presents the words in a readable document and adds essential visual information that cannot be heard, such as chart labels, trends, diagram text, or experiment steps. Mix the music quietly enough that speech remains clear, then review scientific terms, units, timing, and visual descriptions by hand.

Captions and transcripts are not the same thing

Captions are timed text displayed while a video plays. They represent dialogue and any non-speech audio that a viewer needs in order to understand the program. A transcript is a text version published with the video. It may omit timestamps for comfortable reading, retain speaker labels, and include descriptions of essential visual information.

Resource What it communicates Best use
Captions Dialogue, speaker changes, and meaningful sounds at the moment they occur Following a video while watching, including when audio is unavailable
Plain transcript The spoken content in a readable text document, usually without timing data Reading, searching, quoting, studying, or accessing the lesson without the player
Descriptive transcript Spoken content plus essential visual facts, such as graph values, labels, equations, and demonstration results Science lessons in which seeing the screen is necessary to understand the explanation
Audio description Spoken descriptions inserted into pauses in the soundtrack to explain important visual information Viewers who cannot see the video and need visual content delivered through audio

A transcript does not automatically replace audio description, and captions do not describe everything visible on screen. Decide which information each format must carry before editing.

Inventory the science video before you edit

Write a short media inventory. It determines the work required and prevents you from treating every soundtrack or image the same way.

  • Visual information: Note chart axes and values, labels, equations, captions inside diagrams, onscreen instructions, specimen names, and steps in a demonstration.
  • Existing text: Collect the script, slide deck, presenter notes, and any terminology list. These are useful starting points, not substitutes for checking the final recording.
  • Audience and delivery: Record the player or learning platform, required file formats, language, and any institutional policy or legal requirement.

For a narrated experiment, for example, the voice may explain the procedure while a diagram silently identifies the apparatus. That diagram belongs in the descriptive transcript, and its essential labels should also be spoken or otherwise made available through audio description.

Make speech and music intelligible before captioning

Captions should not compensate for an unintelligible mix. If you can still edit the master, lower the music under narration, remove distracting effects, avoid speakers talking over one another, and leave short pauses between topics. Speak technical terms at a manageable pace and pronounce names, units, and acronyms clearly.

W3C Web Accessibility Initiative production guidance recommends setting background sound at least 20 decibels below foreground speech, except for occasional sounds lasting only one or two seconds. This is guidance associated with its WCAG AAA production advice, not a universal legal threshold for every publisher. Use it as a mixing target, then listen on headphones and ordinary speakers. The practical test is whether a listener can distinguish every word without excessive volume.

Decorative music by itself does not automatically need a caption. W3C gives background music as an example where captions are unnecessary when it is the only sound and conveys no information. Music or sound that carries meaning does need consistent identification. Examples include a warning tone that signals a safety step, a recorded bird call being analyzed, or a musical phrase that the lesson compares.

Create accurate, synchronized captions

1. Produce a first draft

Use the final audio, a verified script, or an automatic transcription as a starting point. Automatic output is only a draft: scientific names, Greek letters, negative signs, decimal points, chemical formulas, units, and acronyms are frequent failure points. Keep the recording open while correcting the text.

2. Correct the words and speaker identity

Compare every line with the audio. Preserve wording that affects scientific meaning, including qualifiers such as approximately, not, and less than. Identify a new speaker when the change is not obvious from the picture. Use a consistent convention, such as Dr. Rao: or HOST:, throughout the file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not silently “correct” a presenter into a different claim. If the spoken explanation conflicts with a displayed value, fix the source video or script when possible; otherwise, make the discrepancy visible to the responsible editor rather than guessing.

  • 【Plug and play】: This mouse and keyboard pad is powered by USB, plug and play, no driver required. One button control light modes. Press one time to change the lighting mode, press twice to change the brightness, press and hold about 3 seconds turn ON/OFF.

3. Add meaningful non-speech audio

Describe sounds that communicate information, not every sound that occurs. Examples include [alarm sounds], [centrifuge stops], or [audience applauds] when the reaction matters. Identify relevant music with a concise label such as [quiet analytical music] or [birdsong recording]. Do not repeat [music] on every caption while an uninformative music bed continues.

4. Set timing and duration

Each caption should appear when its words are spoken, disappear when they end, and remain on screen long enough to read. Split long sentences at natural grammatical points rather than in the middle of a name, equation, or measurement. Keep a speaker change or meaningful sound aligned with the event that a viewer sees or hears. Check the complete video, not only the first few minutes; drift often becomes obvious near the end of an exported file.

5. Make lines readable

  • Use short, natural lines and avoid covering essential labels or specimens.
  • Keep punctuation and capitalization consistent.
  • Retain units and symbols in a form your player renders correctly; spell out a symbol in the transcript when its visual form could be ambiguous.
  • Use speaker labels only when needed, and apply the same style every time.
  • Do not place a caption so low that player controls hide it.

There is no single error-rate target established by the guidance used here. The required quality is functional: the words must match the soundtrack, the timing must work, important sounds must be represented, and the result must be readable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Review with the picture and sound together

Have a subject-matter reviewer check terminology and a second reviewer watch the captions with audio muted. The first review catches errors such as molar versus moral or nanometers versus millimeters; the second confirms that the captions alone still communicate speaker changes and essential sounds. Correct the caption file, then replay the edited sections.

Turn the caption file into a descriptive transcript

A caption file is an efficient starting point. Export its text, remove timestamps when a plain reading document is more useful, preserve meaningful speaker labels, and divide the result into paragraphs or topic sections. Keep a timestamped version as an internal reference if you need to locate edits quickly.

Add visual facts that the soundtrack does not state

Read the transcript while looking at the video and ask, “Would a reader understand the scientific result without seeing this frame?” Add concise descriptions wherever the answer is no.

  • Charts: State the axes, units, series, and trend. Instead of “As you can see on this chart,” write that the y-axis shows reaction rate in millimoles per minute and that the rate rises from 2 to 8 as temperature increases from 10°C to 40°C.
  • Diagrams: Name the components and the relationships that matter to the explanation. Include essential labels, not decorative artwork.
  • Demonstrations: Describe what the presenter does and what changes, such as a solution turning cloudy after reagent B is added.
  • Equations and data: Transcribe the equation and explain any result that is communicated only by color, position, or animation.
  • Onscreen text: Include warnings, specimen names, slide headings, and instructions when viewers need them to follow the lesson.

When the visual description would make the transcript unwieldy or must be delivered during playback, plan a separate audio-description track. A descriptive transcript is valuable, but it is not evidence that every viewer can access the visual content in real time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Publish both resources where viewers can find them

  1. Upload the caption file to the video player and verify that the player exposes a clear captions control.
  2. Place a visible “Transcript” link, button, or expandable section immediately beside or below the video. Do not hide it several navigation levels away.
  3. Use an accessible page or document structure: real headings, selectable text, logical reading order, sufficient contrast, and keyboard access.
  4. Label the language and version when more than one caption or transcript exists.
  5. Test on desktop and mobile, with captions enabled, audio muted, keyboard navigation, and a screen reader where available.
  6. Update the caption and transcript together whenever the video, slide text, terminology, or soundtrack changes.

Section508.gov guidance places caption and audio-description controls at the same menu level as volume or program selection in its workflow. That is a useful player-design check even when Section 508 does not govern your organization.

“The text and the speech or sound that the text describes must appear at the same time.” — Section508.gov

W3C also describes interactive transcripts in which text phrases highlight as they are spoken. This is optional, but it can help viewers search a long lecture and jump to a particular experiment or chart.

Understand the standards distinctions before claiming compliance

Accessibility obligations depend on the type of media, conformance level, jurisdiction, platform, and institutional policy. The following summary reflects the named guidance, not a legal determination for a particular publisher.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Situation Guidance distinction Editorial implication
Prerecorded video with audio W3C’s transcript resource identifies captions as Level A and transcripts for synchronized media as Level AAA in its WCAG-oriented summary. Provide synchronized captions as a baseline and add a transcript when the target policy or conformance level requires it.
Live synchronized video Live media has different timing and conformance considerations from prerecorded media. Use a live-captioning process and review the applicable current requirement rather than applying the prerecorded workflow unchanged.
Visual information not spoken in prerecorded video W3C planning guidance lists audio description where the visual information is not already in the audio. Speak the key result in the script, provide audio description, or add it to a descriptive transcript as appropriate.
Federal information and communications technology Section508.gov describes captioning and audio description for synchronized video with audio. Check the current Section 508 rule, agency policy, and the player’s controls before asserting compliance.

These categories should not be collapsed into a promise that one workflow satisfies every law. Verify the current WCAG version, local rules, contract terms, and platform capabilities for your publication.

Choose an in-house or outsourced workflow

Both approaches can work. Compare them on the quality risks that matter for science rather than on a generic word-per-minute claim.

Decision factor In-house editing Outside captioning or transcription service
Scientific terminology Subject experts can check names, units, and equations directly, but staff must reserve time for the review. Ask how specialist terms are handled and supply a glossary; never assume general transcription accuracy.
Synchronization and readability Editors can correct timing while watching the lesson, with workload increasing for long courses. Confirm output timing, line formatting, speaker labels, and a revision process.
Meaningful sound and music The production team knows which alarms, recordings, or effects carry instructional meaning. Give the service a sound-description brief and review the result against the final mix.
Visual descriptions The scientist or instructor can describe a chart or demonstration accurately. Confirm that descriptive transcripts or audio description are offered; ordinary captions alone will not add visual facts.
Formats and player compatibility Editors can test the exact platform before publishing. Specify the caption and transcript formats your player accepts and test the delivered files.
Turnaround and ongoing updates Fast for short, frequently changing videos if trained staff are available. May reduce internal workload, but recurring edits, corrections, and terminology updates need a defined process.

W3C notes that transcription can take considerable time without suitable skills and software and that many organizations outsource it. No provider is automatically suitable: retain responsibility for the scientific and accessibility review.

Troubleshoot common failures

Symptom Likely cause Fix
Captions are several seconds ahead or behind The wrong video version was captioned, or timing shifted during export. Match the caption file to the final video, inspect the first and last captions, and retime or regenerate the file.
Technical words are wrong Automatic speech recognition misheard names, units, symbols, or accents. Compare with the audio and source materials, create a terminology list, and perform a subject-matter review.
Viewers cannot tell who is speaking Speaker labels were omitted or used inconsistently. Add labels at each necessary change and apply one style throughout captions and transcript.
Music makes narration difficult to hear The background track is too loud, compressed into the speech range, or competing with sound effects. Lower or duck the music, remove distracting effects, and check the mix on more than one listening device.
The transcript describes only the narration It was exported directly from captions without a visual review. Add chart values, labels, diagram relationships, demonstration actions, and essential onscreen text.
Captions cover a graph or control The player’s caption position conflicts with important visual content. Move the graphic, adjust caption placement if supported, or redesign the slide so both remain readable.
Transcript cannot be found The link is buried or labeled ambiguously. Place a clearly named Transcript control beside the video and test it with keyboard navigation.

Final quality checklist

  • Every spoken word is present and synchronized.
  • Scientific names, units, acronyms, equations, numbers, and negations have been checked against the audio.
  • Speaker changes and meaningful sounds are identified consistently.
  • Decorative music is not captioned repetitively, while informative music or sound is represented.
  • Background music remains clearly below speech; the W3C 20 dB recommendation has been treated as guidance, not a universal legal limit.
  • The transcript is readable without timestamps and includes essential visual information.
  • Visual-only content has been spoken, described in the transcript, or provided through an appropriate audio-description track.
  • The player exposes accessible caption controls, and the transcript is easy to locate.
  • The final caption and transcript versions match the published video.
  • Any compliance statement names the applicable standard, jurisdiction, media type, and conformance level instead of making a blanket claim.
