To add a separate person to a Chromebook, sign out, select Add person on the sign-in screen, and complete setup with that person’s Google Account. To switch between people who are already signed in, open the time menu and select the account avatar. For a short, temporary session without an account, use Browse as Guest if it is available.

Choose the right way to share a Chromebook

Chromebooks offer three different ways for someone else to use the device. The right choice depends on whether that person needs a lasting, separate profile; a temporary session; or simply another Google Account inside your existing session. These options are not interchangeable.

Option Best for What to know
Separate Chromebook user Someone who regularly uses the Chromebook and needs their own profile. Each person signs in with their own Google Account. Files and synced Chrome data are kept separate.
Simultaneous sign-in Switching between people who have already been added, without signing out of the Chromebook session. Up to five users can be signed in at once. They must all sign out together, and Google Play and downloaded Android apps are available only to the first-signed-in account in that session.
Guest browsing A short loan or temporary use when the person does not need a regular Chromebook profile. No Google Account is required. Guest session data is deleted when the guest exits, but guest browsing is not anonymous and may be disabled by an organization.
Additional Google Account Using another account for websites or apps while remaining in your Chromebook profile. This adds an account within your session; it does not create a separate Chromebook user.

If the other person needs their own files, bookmarks, wallpaper, and synced Chrome data, add them as a Chromebook user. If they only need brief access, guest browsing is usually the more suitable option when enabled. If you just need to change the account used by a website or app, consider adding a Google Account within your session instead.

One useful distinction is whether you want a different person to have a separate Chromebook profile, or whether you need to use a different Google login in an app or website. A separate user starts from the Chromebook sign-in screen and has separate files and synced Chrome data. An additional account is added from inside your existing profile and does not create a separate Chromebook sign-in. Guest mode is different from both: it is a temporary local browsing session, not a saved profile.

Add a separate person to the Chromebook

A regular Chromebook user signs in with their own Google Account. Their synced Chrome data, such as apps, wallpaper, and bookmarks, and their files are kept separate from yours. Adding a person does not mean creating another account within your existing profile.

  1. If you are signed in, sign out of the Chromebook to reach the sign-in screen.
  2. Select Add person at the bottom of the sign-in screen.
  3. Choose the appropriate setup option: For personal use, For a child, or For work or school.
  4. Select Next and follow the on-screen setup with the person’s Google Account. If they do not have an account, Google says they can create one.

Use the work-or-school option where the account and device are managed by an organization. A managed Chromebook may allow sign-in only with an organization account; the options displayed on your device can therefore differ from those on a personal device. Google’s Add a person to your Chromebook help page covers the sign-in-screen process.

The added person signs in with their own Google Account, rather than borrowing your login. That keeps their files and synced Chrome items separate from yours, including bookmarks and wallpaper. The sign-in choices are not guaranteed to look identical on every Chromebook: if the device is managed for work or school, its administrator can restrict which accounts are allowed. If the screen says the person does not have permission, the owner or administrator may need to adjust access; repeatedly trying a different setup option will not override a device policy.

Switch between users who are already signed in

Switching without signing out is available after the other person has been added to the Chromebook and is signed in. The account switcher changes which person is using the Chromebook session; it does not add a new person.

  1. Open the time and power menu.
  2. Select the current account email, then choose Sign in another user.
  3. Read and acknowledge the reminder to use this feature only with people you trust.
  4. Select the person to sign in and enter their password.

Once more than one person is signed in, use the time menu and select the account avatar to move between active users. The keyboard shortcuts are Ctrl + Alt + . for the next account and Ctrl + Alt + , for the previous account. These shortcuts move between people already signed in; they do not add users or replace the sign-in process.

Some settings are shared between active users, including network settings, while profile pictures and bookmarks remain specific to each person. A window can be moved between signed-in users from that window’s context menu. If the purpose is to keep profiles distinct, remember that simultaneous sign-in still shares some device-level settings.

Google documents a limit of up to five users signed in at the same time. This is a simultaneous-session limit, not a statement that only five people can ever use the Chromebook. If a person is not available in the account switcher, first determine whether they have been added and signed in. A shortcut cannot bring in a user who is not part of the current active session.

Understand the limits of simultaneous sign-in

Google documents simultaneous sign-in for up to five users. That is a limit on how many people can be signed in at the same time, not a general limit on every account that can ever be used on the Chromebook. See Google’s Sign in multiple people at the same time help page for this feature.

  • Everyone signs out together. When several users are signed in, use Sign out all; you cannot sign out just one account while leaving the others signed in.
  • Google Play follows the first account in the session. Google Play and downloaded Android apps are available only to the account that signed in first in that session. To use those apps with a different account, sign out all accounts and sign back in with the desired account.
  • Some settings are shared. Network settings are an example of a setting that active users share. Bookmarks and profile pictures stay specific to each person.

For a shared device where each user needs Android apps, sign in first with the account that needs access to Google Play. If a different person needs those apps later, the supported route is to sign everyone out and begin a session with that person’s account first.

Simultaneous sign-in is convenient when people need to move between active profiles without closing the session, but it has practical limits. Because sign-out applies to everyone, it is not a way to remove one person from the active group while others continue. Because Play Store and downloaded Android app access follows the first account in that session, decide who needs those apps before signing in multiple people. If a different user needs Play access later, sign out all users and start a new session with that account first.

Use guest browsing for temporary access

Guest browsing is intended for a short-term user who does not need a regular Chromebook account. Sign out of the Chromebook first, then select Browse as Guest on the sign-in screen. To end the session, open the time menu and select Exit guest.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Exiting guest deletes the session’s files, cookies, website data, and browsing activity from the Chromebook. Guest mode does not save Chrome browsing activity on the device, but it does not make the person anonymous. Websites visited, websites the person signs in to, search engines, the internet service provider, and an employer, school, or other network operator may still receive information about activity.

Guest mode does not provide access to Google Play and does not allow app installation. It is suitable for a basic temporary browsing session, not for someone who needs installed apps or a persistent profile. Google explains the feature in Use a Chromebook as a guest.

Guest browsing is therefore a good fit for a quick loan when the person does not need saved files, apps, or a persistent profile. It should not be described as private or anonymous browsing. It clears the local guest session when the user exits, but activity can still be visible to the sites and services involved and to the network operator or internet provider. If the person needs app installation, Google Play, or a profile that persists for future visits, choose a regular Chromebook user instead.

If “Browse as Guest” is missing

An organization can disable guest browsing on a work or school Chromebook. If you do not see the option on a managed device, contact the organization’s administrator rather than trying to change a setting you may not control.

Add another Google Account inside your existing profile

An additional Google Account is useful when you want to use another account with websites or apps without setting up a separate Chromebook user. It does not give that person a separate Chromebook sign-in or a separately maintained Chrome profile.

  1. While signed in to your Chromebook profile, open Settings.
  2. Go to Accounts.
  3. Select + Add Google Account and follow the prompts.

Removing an additional account signs it out of apps and websites on that Chromebook; it does not delete the Google Account or its data. Access also depends on permissions: Android apps may access email and contacts when granted permission, and Chrome extensions and websites handle information according to their permissions and your sign-in choices. Google’s Manage Google Accounts on your Chromebook page provides further information.

If your goal is to switch the whole Chromebook session to another account, sign out from the time and power menu, then choose the account on the sign-in screen and enter its password. Do not treat an additional in-session Google Account as a replacement for a separate Chromebook user.

Before adding an account in Settings, consider what it is for. If you need a second login for a service, this can be useful. If you are handing the whole Chromebook to another person, it is not the same as adding that person as a user: their account is being used inside your profile rather than in a separate profile of their own. Removing the added account later signs it out of apps and sites on the Chromebook, but does not delete the Google Account or its data.

Owner and administrator controls

On a personal Chromebook, the first Google Account used is generally the owner. The owner has additional permissions, including control over certain sign-in settings. Google says owner permissions cannot be transferred to another account. Its Find your Chromebook’s owner account help page explains how to identify the owner account.

Changing the owner requires a factory reset and setting up the Chromebook again with the intended owner account. A reset erases data, files, and accounts, so it is not a routine method for adding another user. Add a person from the sign-in screen instead when the aim is simply to let someone else use the device.

On a managed work or school Chromebook, the organization administrator controls relevant access settings. They may restrict which users can sign in or turn off guest browsing. If a user is told they do not have permission, or an expected option is unavailable, the owner or administrator may need to change access; on a managed device, contact its administrator.

The owner role matters when a setting is blocked, but it is not the same as adding a person. Google says owner permissions cannot be transferred directly. A factory reset is required to set up a different owner, and it removes the Chromebook’s data, files, and accounts. That makes a reset a consequential ownership change, not a troubleshooting shortcut for ordinary profile setup. If your goal is only to give someone else access, use Add person from the sign-in screen.

Common problems and what to do

The other person cannot sign in

Check whether the device allows that type of account. A work or school Chromebook may permit only organization accounts, and an owner or administrator may restrict sign-in. If the screen reports that the user lacks permission, ask the Chromebook owner or the organization administrator to review access.

You cannot switch to someone who is not listed

The quick account switcher is for users already added and signed in. To add a new regular user, sign out and select Add person on the sign-in screen. To sign in an added person without ending the current session, use Sign in another user from the time and power menu.

Google Play or an Android app is unavailable to another user

In a simultaneous session, Google Play and downloaded Android apps are available only to the account that signed in first. Sign out all accounts, then sign in first with the account that needs those apps.

Guest browsing is not available

Guest mode may have been disabled by a work or school administrator. On an organization-managed Chromebook, ask the administrator whether guest access is permitted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You want to change who owns the device

Owner permissions cannot be transferred to another account. A factory reset is required to set up a different owner, and it erases device data, files, and accounts. If you only need to add another user, do not reset the Chromebook; use Add person instead.

Which option should you use?

  • For a family member or regular user: add them as a separate Chromebook user so their files and synced Chrome data stay separate.
  • For switching between active people: use the account avatar or keyboard shortcut; plan for everyone to sign out together when the session ends.
  • For a short loan without an account: use guest browsing if it is enabled, then choose Exit guest when finished.
  • For another account in your own apps or websites: add a Google Account under Settings > Accounts > + Add Google Account; use a separate Chromebook user if the other person needs their own profile.
  • For access blocked by a policy: ask the Chromebook owner or, on a managed device, the organization administrator.

Frequently Asked Questions

How do I add a person to my Chromebook?

Sign out to reach the sign-in screen, select Add person, choose For personal use, For a child, or For work or school, then select Next and follow the prompts with that person’s Google Account. If they do not have an account, Google says they can create one.

How do I switch between users on a Chromebook?

If both people are already signed in, open the time menu and select the account avatar. You can also use Ctrl + Alt + . for the next account or Ctrl + Alt + , for the previous account. To bring an added person into the active session, use the time and power menu, select the current account email, choose Sign in another user, and follow the prompt.

How many people can be signed in at once?

Google documents up to five users signed in at the same time. This is a simultaneous sign-in limit, not a general limit on all accounts that can ever be used on the Chromebook.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can someone use my Chromebook as a guest?

Yes, if guest browsing is enabled. Sign out, select Browse as Guest, and choose Exit guest from the time menu when finished. Exiting guest deletes the session’s files, cookies, website data, and browsing activity from the Chromebook. Guest mode does not make browsing anonymous, and it does not provide Google Play or app installation.

Why can’t another user access Google Play or downloaded Android apps?

During simultaneous sign-in, Google Play and downloaded Android apps are available only to the account that signed in first in that session. Sign out all accounts, then start a session with the account that needs those apps signed in first.

Is adding a Google Account the same as adding a Chromebook user?

No. Settings > Accounts > + Add Google Account adds an account for apps or websites within your current profile. It does not create a separate Chromebook sign-in or profile. Add a person from the sign-in screen when someone needs their own user profile.

Why is “Browse as Guest” missing?

A work or school administrator can turn guest browsing off. If the Chromebook is managed and the option is missing, ask its administrator whether guest access is permitted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I change the Chromebook owner without resetting it?

Google says owner permissions cannot be transferred to another account. Changing the owner requires a factory reset and setup with the intended owner account; the reset erases data, files, and accounts. Do not reset simply to add another user.

The Bottom Line

Use Add person for someone who needs a separate Chromebook profile, the account avatar or shortcuts for switching between people already signed in, and Browse as Guest for temporary use when available. Remember that simultaneous users sign out together, Play Store access follows the first account in the session, and organization policies can restrict sign-in or guest access.
