The safest way to add AI chat to a Dockerized document management system (DMS) is to leave the DMS as the system of record and place a retrieval-augmented generation (RAG) service beside it. An ingestion worker reads authorized document content, splits it into searchable passages, and indexes those passages. For each question, the chat API authenticates the user, retrieves only passages that user may read, and sends those passages—not the entire repository—to a model. The answer returns with links to the original DMS documents.
This design avoids rebuilding repository features while making permissions, updates, model hosting, and failure handling explicit. The exact connector, parsers, vector store, model, and Docker deployment depend on your DMS API, file types, security requirements, traffic, and hosting environment.
What the finished system should do
A document-grounded assistant has five logical stages:
- Repository: Your existing DMS stores files, versions, metadata, and authoritative permissions.
- Ingestion: A worker reads or receives changed documents through the DMS API or an approved export mechanism.
- Index: Extracted text is normalized, divided into chunks, and stored with document IDs, version information, and access metadata. Embeddings may be added for semantic search.
- Retrieval: The chat request is authenticated and filtered against the requesting user’s DMS permissions before any text is selected.
- Generation: A model receives the question and authorized passages, then produces an answer with source links or abstains when the evidence is insufficient.
Docker describes RAG as useful when a collection is too large to place in every prompt or will be queried repeatedly. Its documented approaches include background indexing and semantic, BM25, hybrid, and reranked retrieval strategies (Docker RAG documentation). Headless operation is also documented for automated workflows (Docker headless guidance).

Keep the index as a derived cache, not a second repository. Users should still open, download, version, retain, and delete documents in the DMS. If an indexed copy conflicts with the repository, the repository wins.
Map the existing DMS before writing code
There is no universal DMS connector. Spend the first implementation phase documenting the interfaces and rules your installation actually exposes.
Inventory the repository interfaces
- Record the product and exact version, base URL, API version, and authentication method.
- Identify endpoints or events for listing documents, downloading content, reading metadata, checking permissions, detecting new versions, and detecting deletions.
- Determine whether the API returns extracted text, binary files, renditions, or only metadata.
- Document rate limits, pagination, maximum file sizes, timeout behavior, and whether API calls can be resumed safely.
Map identity and authorization
Decide how the identity in the chat request maps to a DMS user, group, role, or tenant. The retrieval service must be able to evaluate the same effective permissions as the repository, including inherited folder permissions, shared links, legal holds, and revocations. Do not substitute a broad service account for the user’s authorization decision.
List data-handling constraints
Classify the documents and prompts that may reach an inference service. Note residency requirements, encryption expectations, retention limits, regulated data, and whether a hosted model is allowed. These constraints determine whether local inference, a private hosted endpoint, or a different deployment boundary is appropriate.
Define acceptance tests
Choose representative questions before selecting a model. Include exact identifiers, questions requiring several documents, questions whose answer is absent, recently changed files, scanned pages, and documents with conflicting permissions. Measure retrieval and authorization separately from writing quality.
Use a containerized service boundary
A practical Docker deployment separates concerns so each component can be scaled and secured independently.
| Service | Responsibility | Important boundary |
|---|---|---|
| Existing DMS | Canonical files, versions, metadata, permissions, and user-facing repository functions | Do not let the model write directly to its database or storage |
| Ingestion worker | Reads changed items, extracts text, chunks content, computes embeddings, and removes stale index records | Use a narrowly scoped DMS credential and a durable job queue or checkpoint |
| Index service | Stores chunks, document IDs, versions, permissions, and optional vectors | Treat it as rebuildable derived data |
| Chat API | Authenticates users, applies permission filters, retrieves passages, calls the model, and formats citations | Keep provider credentials and authorization logic server-side |
| Model runtime | Local inference or a hosted model API | Receive only the authorized context needed for the request |
| Web UI | Collects questions and displays answers, uncertainty, and source links | Never place model or DMS secrets in browser code |
Run these services in one Compose project or in separate environments according to your network and compliance boundaries. A Docker example of an AI-enhanced repository shows a containerized pattern with a repository and AI services, but it is an illustrative reference rather than a universal production blueprint; current component versions and security settings must be verified for your installation (Docker’s AI-enhanced document management example).

Build ingestion and indexing
Indexing is where most document-specific engineering occurs. Design it to be repeatable: a full rebuild should produce the same logical records as incremental processing.
1. Capture a stable document identity
Store the DMS document identifier, repository location, version or change token, MIME type, title, and last-modified time with every chunk. Include a checksum when available. A chunk key should include the document version so a new version cannot silently reuse old text.
2. Extract and normalize content
For each supported file, extract headings, paragraphs, tables, page numbers, and other locations that can help a user verify an answer. Preserve page or section coordinates where the parser supplies them. Normalize encoding and whitespace, but do not discard meaningful numbers, list structure, or labels.
Validate the formats your DMS actually contains. Text PDFs and office documents may be straightforward, while scanned PDFs and images require OCR and can produce uncertain text. Docker’s code-aware RAG configuration documents fallback to plain-text chunking for unsupported file types; that behavior is not a guarantee that your DMS parser can handle scans, tables, or proprietary formats. Mark extraction failures explicitly and keep the source document available for manual review.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →3. Chunk without destroying meaning
Chunk size and overlap are model- and corpus-dependent. Prefer boundaries such as headings, paragraphs, list items, or page sections. Keep a small overlap when a sentence or definition commonly crosses boundaries. Store the original text and a display excerpt separately so retrieval can use normalized text while citations show faithful source wording.
4. Choose an indexing strategy
| Strategy | Strength | Trade-off to measure |
|---|---|---|
| BM25 or other keyword search | Excellent for exact names, document numbers, and uncommon terms | Misses paraphrases and concepts that share few words |
| Semantic embeddings | Finds passages related by meaning even when wording differs | Docker notes higher retrieval quality can come with slower indexing and additional API costs |
| Hybrid | Combines exact-term and semantic signals | Requires score fusion and tuning on your corpus |
| Reranked retrieval | Uses a second relevance step to improve ordering of a small candidate set | Adds latency and another model or service to operate |
Evaluate these choices on real questions, including identifiers and short queries. Do not treat an embedding dimension, a default chunk size, or a sample configuration as a performance guarantee.
5. Persist permissions with each chunk
Record enough metadata to filter a candidate before its text is assembled into model context. Depending on the DMS, that may be an ACL snapshot, security labels, tenant ID, group IDs, or a reference used to perform a live authorization check. A stale permission snapshot is dangerous; define how permission changes invalidate or refresh indexed records.

6. Process updates and deletions
Support both an initial backfill and incremental jobs. An event-driven worker can reduce freshness delay when the DMS emits reliable events. Scheduled reconciliation is useful for detecting missed events. On deletion, remove or disable every chunk for the document and verify that cached search results cannot return it. On a new version, index the new content and retire the old version according to your retention policy.

Enforce permissions before model context is built
Authorization belongs in application code and the retrieval layer, not in the model’s instructions. At query time:
- Authenticate the user and establish a server-side identity.
- Ask the DMS or an authorization adapter for the user’s effective access, or apply a maintained permission filter with a documented freshness guarantee.
- Run retrieval with that filter so unauthorized chunks are never selected.
- Pass only the resulting text to the model.
- Return source identifiers that the same user can open in the DMS, and recheck access when necessary.
Test at least two accounts with overlapping and disjoint folders, a user whose access was recently revoked, a deleted document, inherited permissions, and a shared link that should not grant repository-wide access. Never rely on the model to conceal a passage that the retrieval service already supplied.
Document text is untrusted input. A file can contain instructions such as “ignore previous rules” that are relevant to a prompt-injection attack, not to the user’s question. OWASP states that “there is no fool-proof prevention within the LLM” and recommends privilege control, human approval for privileged operations, and separating external content from user prompts (OWASP prompt-injection guidance).
Implement the query and answer path
Keep retrieval, authorization, generation, and citation assembly as observable stages rather than one opaque function.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches- Accept a question and conversation context. Limit request size, normalize the user identity from the authenticated session, and avoid accepting an arbitrary user-supplied document scope without validating it.
- Retrieve candidates. Apply the permission filter first, then run the selected keyword, semantic, hybrid, or reranked search. Keep document ID, title, version, page or section location, and a relevance score with each result.
- Trim context deliberately. Remove duplicates, cap the number of passages, and fit the model’s context limit. Prefer the highest-quality passages rather than silently truncating the end of a document.
- Generate a grounded response. Send the question and authorized passages in clearly separated fields. Instruct the model to distinguish quoted evidence from inference, avoid inventing facts, and state that the indexed material is insufficient when it does not answer the question.
- Attach citations in application code. Map citation labels to DMS URLs or document viewers generated by your server. Do not let the model invent links. Ensure each displayed citation resolves to the exact version or location used.
- Record safe diagnostics. Log request IDs, retrieval timing, index version, model version, and error classes. Apply your retention policy to prompts and passages because logs may contain sensitive content.
A minimal server-side flow looks like this conceptually:
user = authenticate(request)
scope = dms_authorization_scope(user)
candidates = index.search(question, permission_filter=scope)
context = select_and_trim(candidates)
answer = model.generate(question=question, context=context, grounding_rules=rules)
return render_with_dms_citations(answer, candidates)
The code is a design sketch, not a drop-in connector: the authorization call, index API, model client, and citation URL format must match your DMS and runtime.

Choose local or hosted model inference
Model hosting is an architectural decision, not a requirement imposed by Docker. Compare the following dimensions:
| Option | Advantages | Costs and risks |
|---|---|---|
| Local model runtime | Documents can remain inside your controlled network; predictable outbound traffic | You operate model files, upgrades, capacity, hardware, monitoring, and patching |
| Hosted model API | Fast access to capable models, elastic capacity, and less inference operations | Provider data controls, network latency, recurring usage charges, residency, and service limits require review |
| Private or managed endpoint | Can combine organizational network controls with managed inference | Availability, pricing, and integration vary by provider and contract |
Docker Compose can declare model dependencies alongside application services from Compose v2.38.0 onward when a supporting platform is available. Docker documents local provisioning through Docker Model Runner and warns that model context size must be considered against hardware constraints (Docker Compose models documentation). This does not establish a universal GPU, server, or memory requirement; select a model and host after measuring your corpus, concurrency, context length, and latency target.
Deploy the services with Compose
A typical project contains the DMS connection, chat API, ingestion worker, index or vector store, UI, and model dependency as separate services. Keep persistent volumes for the index and job checkpoints, but make rebuild and restore procedures explicit. Place the DMS and index on private networks, expose only the UI and authenticated API through a gateway, and use health checks so workers do not process jobs before their dependencies are ready.
Deployment sequence
- Create a non-production Compose environment that points to a sanitized DMS or test repository.
- Configure server-side secrets for DMS authentication, model credentials, encryption keys, and session signing. Do not commit them to the Compose file or image.
- Start the index and ingestion worker, then run a small controlled backfill.
- Inspect extracted text, chunk boundaries, version metadata, and permission fields before enabling chat.
- Start the chat API and UI, then test authorized and unauthorized accounts.
- Enable model declarations or local model provisioning only after confirming your Compose version and runtime support.
- Add backups for index metadata and checkpoints, plus a documented full-reindex procedure. A lost index should affect search availability, not the DMS’s canonical files.
Use the older Docker GenAI Stack article as an architectural illustration only. It demonstrates repository and AI services in containers and REST-based document operations, but current libraries, image tags, authentication defaults, and hardening requirements must be checked independently before production use (example article).
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Secure keys, tools, and logs
- Store provider credentials in server-side environment configuration, an orchestrator secret, or a key-management service. The API documentation explicitly treats API keys as secrets that must not be exposed in browser code (API key guidance).
- Give the ingestion worker read-only repository permissions where possible. Give the chat service only the APIs it needs for authorization and document links.
- Do not expose unrestricted filesystem, database, shell, or administrative tools to the model.
- Keep the first release read-only. If you later add filing, sharing, deletion, or workflow actions, authorize each action in application code and require explicit user confirmation for sensitive operations.
- Separate untrusted document text from system and user instructions, and test prompt-injection payloads in documents.
- Define retention and redaction rules for prompts, retrieved passages, answers, traces, and failures. Provider terms and data-retention settings are not settled by the architecture; verify the selected service’s current controls.
- Encrypt traffic between the browser, gateway, chat API, DMS, index, and model endpoint. Restrict administrative Compose and volume access.
Evaluate quality, freshness, and authorization
A fluent answer can still be wrong if retrieval selected the wrong passage. Build an evaluation set from real, permission-safe questions and score each stage independently.
| Area | What to measure | Example failure signal |
|---|---|---|
| Retrieval relevance | Whether the needed passage appears in the top results; exact-term and paraphrase coverage | Correct document exists but never reaches the model |
| Grounding | Claims supported by returned passages; correct abstention when evidence is missing | Answer sounds certain while citing unrelated text |
| Permission correctness | Zero unauthorized chunks in retrieval, including after revocation | Restricted title or excerpt appears in a response |
| Freshness | Delay from DMS change or deletion to index visibility | Old policy remains searchable after replacement |
| Operations | Indexing throughput, query latency, model latency, error rate, queue depth | Backlog grows or model timeouts cause retries and duplicate work |
| User experience | Citation correctness, understandable uncertainty, and useful excerpts | Source link opens a different version or location |
Run regression tests after changing parsers, chunking, embedding models, rerankers, prompt rules, permissions adapters, or model versions. Keep an audit trail of which index and model produced an answer, subject to your privacy policy.
Common failure modes and fixes
The assistant cannot find an obvious document
Inspect extraction output first. The file may be scanned, encrypted, unsupported, or incorrectly decoded. Then test chunk boundaries and retrieval strategy: BM25 can recover exact identifiers that embeddings miss, while semantic search can recover paraphrases. Confirm that the permission filter did not exclude the user accidentally.

Answers quote stale content
Check whether the DMS emitted a change event, whether the worker acknowledged it, and whether the index still contains the old version. Add scheduled reconciliation, version-aware keys, and deletion handling. Display the indexed version or modified time in the citation so users can spot an outdated result.
A user sees restricted information
Stop generation, preserve the incident record without exposing more content, and inspect retrieval logs and permission snapshots. Fix authorization at the query boundary, invalidate affected caches, rotate overly broad credentials, and retest with revoked and cross-tenant accounts. Never attempt to solve this by adding a stronger model instruction.
Context limits cause truncated or slow responses
Reduce duplicate passages, improve chunk selection, cap retrieved tokens, and summarize only after authorization. A larger context window may increase hardware or hosted-model cost and does not compensate for poor retrieval.

Measure extraction, embedding, storage, and DMS API time separately. Batch work, checkpoint jobs, and use keyword retrieval where semantic search is unnecessary. Docker notes that semantic embeddings can improve retrieval quality while increasing indexing time and API costs; validate that trade-off on your own corpus.
The local model is unreliable under load
Measure concurrent requests, queue depth, context length, and available memory or accelerator capacity. Add backpressure and timeouts, or route selected workloads to a hosted or managed endpoint if policy permits. Do not promise a hardware configuration until the chosen model and workload are known.
Make the design decision explicit
Record these choices in an architecture document that developers and administrators can review:
- Which DMS API and identity claims are authoritative.
- Which file types are supported, how OCR failures are reported, and which metadata is preserved.
- Whether indexing is batch, event-driven, or reconciled by both methods.
- Which retrieval strategies are enabled and what evaluation evidence justified them.
- Where inference runs, what data leaves the network, and how provider retention is configured.
- How permissions, deletions, model changes, and index rebuilds are tested and audited.
- Which operations are read-only and which, if any, require explicit human approval.
With those boundaries in place, adding chat becomes an incremental service integration rather than a risky rewrite of the document repository. The DMS remains authoritative, retrieval supplies only evidence the user may access, and the model is responsible for expressing that evidence—not for deciding what the user is allowed to see.
