Use a control-first design: give an AI agent a narrowly defined close task, limit its data and actions, preserve a replayable record of every consequential run, and require an accountable review before its output changes an accounting record or drives a material judgment. That approach lets finance teams gain automation without treating an agent’s answer as self-authenticating evidence.
What auditability requires when an AI agent participates in close
Auditable close work must be explainable after the fact. A controller, internal auditor, external auditor, or regulator should be able to determine what information was available, what processing occurred, which decisions were made, who approved them, and when the accounting system changed. Traditional spreadsheets and workflow tools can already make that difficult; an agent adds another layer of prompts, model versions, retrieval sources, tool calls, and generated output.
The risk is not limited to an incorrect model answer. The Committee of Sponsoring Organizations of the Treadway Commission (COSO) identifies prompt-based manipulation, opaque reasoning, model drift, and frequent configuration changes as risks that can affect operations, reporting, and compliance. A sound implementation therefore controls the entire lifecycle: data access, instructions, transformations, actions, review, evidence retention, monitoring, and change management.
There is no single autonomy boundary that fits every close process. Extracting invoice fields is a different control proposition from recommending an accrual, preparing a journal, posting to the ledger, or certifying that close is complete. The appropriate boundary depends on the accounting policy, materiality, process risk, segregation of duties, and the quality of available evidence.

Start with a bounded, checkable use case
Choose a task with defined inputs, a determinable result, and an independent way to check the result. Early deployments should reduce manual effort without allowing the agent to silently alter books or resolve exceptions on its own.
Suitable first tasks
- Extracting invoice, contract, or bank-statement fields into a controlled work queue.
- Comparing invoices with purchase orders and receiving records, then identifying mismatches.
- Checking whether required signatures or approvals appear in supporting documents.
- Comparing subledger totals with the general ledger and listing unreconciled differences.
- Marking up close documentation with missing evidence or inconsistent dates.
- Summarizing completed steps and requesting missing information from business owners.
- Classifying exceptions for a human reviewer without closing or disposing of them.
The Institute of Internal Auditors (IIA) describes these kinds of activities as examples of agentic AI in audit. They illustrate bounded patterns; they are not evidence that every accounting agent performs reliably in every environment.
Tasks that need a higher control bar
- Changing source-master data, account coding, or supplier details.
- Creating or submitting journal entries.
- Posting entries directly to an enterprise resource planning system.
- Making an accounting-policy judgment, such as a reserve or impairment conclusion.
- Resolving an exception without preserving the underlying evidence.
- Certifying a balance, control, or completed close milestone.
These activities may be automatable in a particular organization, but they require explicit authorization, stronger validation, and a documented approval path. Do not infer that COSO prohibits posting or judgment; its capability taxonomy is a way to describe what a system does so that controls can be designed proportionately.
Describe the agent’s capability and authority
COSO’s capability-first taxonomy provides useful language for documenting an agent. Classify each function as ingestion, transformation, posting, orchestration, judgment, monitoring, regulatory intelligence, or human–AI interaction. Then state the exact authority attached to that function.
| Capability | Typical close activity | Authority questions to answer |
|---|---|---|
| Ingestion | Read invoices, statements, contracts, or subledger files | Which repositories may it access? Are sensitive fields masked? Is access read-only? |
| Transformation | Normalize dates, currency, vendor names, or account attributes | Are transformations deterministic and reproducible? Is the original value retained? |
| Orchestration | Assign tasks, request evidence, or route exceptions | Can it change deadlines or ownership? Which workflows may it trigger? |
| Judgment | Recommend an accrual, classification, or exception outcome | Is the output advisory only? What policy and threshold govern acceptance? |
| Posting | Prepare or submit a journal entry | Can it create a draft, submit for approval, or post? Which role must authorize each step? |
| Monitoring | Detect missing reconciliations or unusual changes | What alerts are generated, and who must investigate them? |
Write permissions in plain verbs: “may read,” “may extract,” “may draft,” “may recommend,” “may submit,” “may not edit,” and “may not post.” Also define the data boundary, connected tools, maximum transaction value, permitted entities and periods, and the conditions that force human intervention.

Map the workflow before connecting the agent
Create a process map that follows data from source to accounting record. A useful map names the source system, file or document, transformation, output destination, control owner, reviewer, and evidence created at each transition.
- List the inputs. Identify ledgers, subledgers, bank feeds, invoices, contracts, policies, prior-period workpapers, and reference data. Record ownership, retention requirements, and whether each source is authoritative.
- Mark every transformation. Show parsing, normalization, matching, calculations, filtering, and retrieval. Preserve the unmodified source alongside transformed values where feasible.
- Define outputs. Distinguish an informational summary, exception list, recommendation, draft journal, submitted journal, and posted entry. Each output needs its own control treatment.
- Specify permitted actions. Document tools, APIs, folders, queues, and accounting-system functions. Use least privilege and separate read, draft, approve, and post roles.
- Place decision points. Identify where a person validates completeness, accuracy, accounting treatment, policy compliance, and exception resolution.
- Assign ownership. Name the process owner, control owner, technical owner, reviewer, escalation contact, and person accountable for remediation when the agent fails.
COSO’s Internal Control–Integrated Framework, applied to generative AI in its 2026 guidance, supports risk-based governance across the lifecycle. It does not supply an organization-specific approval matrix. Set thresholds and approvals using your accounting policy, materiality, segregation-of-duties design, and applicable requirements.

Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Build an evidence record that can reconstruct a run
Logging that an agent “completed” a task is not enough. For each consequential run, retain records that allow an independent reviewer to reproduce the path from input to outcome, even if the model itself is not perfectly explainable.
| Evidence element | What to retain | Why it matters |
|---|---|---|
| Run identity | Unique run ID, process, entity, accounting period, start and end times | Links events, approvals, and outputs to one close activity |
| Input snapshot | Source-file identifiers, document versions, query scope, retrieval results, and relevant data timestamps | Shows what the agent actually saw |
| Configuration | Model or service version, agent instructions, tools, permissions, retrieval settings, thresholds, and policy version | Captures the operating context and supports change assessment |
| Actions | Tool calls, API requests, files read or written, records changed, and rejected actions | Shows what the agent did rather than only what it said |
| Output | Original response, calculations, recommendations, generated documents, confidence or status fields, and exception list | Preserves the exact item that was reviewed |
| Human review | Reviewer identity, role, timestamp, evidence examined, acceptance or rejection, corrections, and rationale | Demonstrates accountable approval and notional “human in the loop” |
| Accounting event | Journal or master-data ID, approval chain, posting timestamp, and resulting ledger change | Connects the agent run to the consequential record |
Keep source evidence and the reviewer’s basis for accepting, rejecting, or correcting an output. Protect logs from unauthorized alteration, apply retention rules consistently, and make them searchable by run ID, period, entity, and accounting record. The exact schema above is a practical design, not a prescribed standard.
The International Auditing and Assurance Standards Board (IAASB) support material on audit documentation when using automated tools discusses implications under ISA 230 and other relevant ISAs. It is non-authoritative and does not override the standards. Its practical message is important: automation does not remove the need for sufficient documentation.

Put review before accounting use
An agent output that contributes to accounting records should pass a risk-appropriate review before it is used in the books. An IIA-hosted guide on AI in business processes specifically calls for identifying AI systems that can affect financial information and reviewing outputs before accounting use.

- Reviewer: Name the role and ensure it has appropriate accounting knowledge and authority.
- Timing: Require review before a journal is posted, source data is changed, or an exception is marked resolved.
- Evidence: Specify which source documents, calculations, policies, and exception details must be checked.
- Scope: Set a full-review, sampling, threshold, or dual-approval rule based on risk. No universal sample size or threshold is supplied by the cited guidance.
- Decision: Provide accept, reject, return for correction, and escalate outcomes.
- Record: Capture comments, corrections, override reasons, and the final approval timestamp.
Match review intensity to the action
| Agent result | Minimum control expectation |
|---|---|
| Informational summary | Owner checks that the summary is complete and linked to source evidence before relying on it. |
| Exception recommendation | Reviewer validates the underlying transaction and records the disposition under policy. |
| Draft journal | Preparer or reviewer verifies accounts, amounts, dates, support, and reversal treatment; authorized approver releases it. |
| Submitted journal | Enforce system approval and segregation of duties; retain the agent output and approval evidence. |
| Direct posting | Use only where specifically authorized and tested, with preventive limits, independent monitoring, and a documented rollback path. |
Control exceptions, overrides, and failure recovery
Design the “no” path before enabling the “yes” path. An agent should stop or route work when required evidence is missing, a source conflicts with another source, a calculation falls outside an allowed range, a prompt attempts to change its authority, or a connected service is unavailable.
Minimum exception workflow
- Assign a unique exception ID linked to the run and affected accounting records.
- Capture the trigger, source evidence, agent output, and policy or threshold that was not met.
- Route the item to a named owner with a due date and escalation rule.
- Prevent posting or certification until the exception is resolved or formally accepted under policy.
- Record the resolution, supporting evidence, reviewer, and timestamp.
- Analyze recurring exceptions for data-quality, prompt, configuration, or process changes.
Overrides are control events, not informal edits. Record who overrode the recommendation, what changed, why the change was permitted, and whether the agent’s output or configuration needs correction. If an erroneous entry is posted, follow the organization’s normal correction and reversal controls while preserving the original run and approval trail.
Monitor drift, configuration changes, and operating performance
Model behavior can change when the underlying model, retrieval index, prompt, connected data, tool permissions, or software version changes. COSO identifies model drift and frequent configuration changes as risks. Treat those changes as potential control changes, not merely technical releases.
Change-control checklist
- Log the old and new model, agent instructions, tools, permissions, thresholds, and reference-policy versions.
- Classify the change by potential effect on completeness, accuracy, authorization, confidentiality, and audit evidence.
- Run representative positive, negative, boundary, and adversarial test cases before production use.
- Obtain approval from the process and control owners; involve security, privacy, and accounting specialists where relevant.
- Define rollback conditions and preserve the pre-change configuration.
- Review the first production runs and increase oversight when results are unstable.
Useful operating measures
A dashboard should help the owner detect control failure, not reward the agent for producing more output. Track failed and timed-out runs, unsupported or low-quality source data, exception rates, reviewer overrides, correction rates, missing evidence, unauthorized-action attempts, processing latency, and changes in output distributions. Segment metrics by entity, process, period, and configuration so a localized failure is not hidden by an aggregate average.

Coordinate finance, internal audit, and external audit roles
Internal audit can assess governance and control design or provide bounded advisory input during implementation. The IIA’s Artificial Intelligence Auditing Framework (2024) gives auditors a lens covering governance, risk, data, algorithms, cybersecurity, transparency, traceability, and accountability. It also recognizes reasonable assurance in light of AI’s complexity and evolution.
Keep assurance independence clear. Internal audit may advise on control objectives or test a pilot, but management must own decisions, configure the system, operate controls, and remediate findings. Document any advisory role so a later assurance engagement does not evaluate work internal audit performed as management.
External-audit requirements remain governed by applicable standards and jurisdictional rules. The IAASB automated-tools resource is support material, not an amendment to the ISAs. On August 5, 2026, the IAASB published an exposure draft proposing changes to ISA 330, ISA 500, and ISA 520, including a stronger basis for assessing the relevance and reliability of audit evidence. It is a proposal, not an effective requirement; confirm its status and local adoption before relying on it.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →A practical implementation sequence
Phase 1: Select and assess
- Inventory close activities and rank them by volume, repeatability, error risk, materiality, and evidence quality.
- Select one bounded use case with a checkable result and a clear process owner.
- Identify applicable accounting policies, privacy constraints, retention rules, segregation-of-duties requirements, and jurisdictional obligations.
- Define a baseline using the existing process’s cycle time, exception volume, correction rate, and evidence quality. Do not assume an agent will improve these measures until they are tested.
Phase 2: Design the control boundary
- Write the capability description and permitted verbs: read, extract, compare, draft, recommend, submit, or post.
- Map data, tools, transformations, outputs, reviewers, approvals, exception routes, and accounting-system touchpoints.
- Specify the run record, retention, access protection, review evidence, and rollback procedure.
- Set test cases for normal items, missing evidence, conflicting sources, unusual values, prompt manipulation, and unavailable dependencies.
Phase 3: Pilot in a controlled environment
- Use representative historical or parallel-period data with appropriate privacy controls.
- Keep the agent read-only or draft-only while reviewers compare its output with the established process.
- Log every run, correction, override, exception, and configuration change.
- Have control owners and internal audit review evidence quality, not only accuracy of the final answer.
Phase 4: Release with gates
- Approve production access only after test results, control ownership, evidence retention, and incident response are documented.
- Enforce system permissions and approval gates technically where possible; do not rely solely on user instructions.
- Start with conservative thresholds and heightened review, then adjust only through documented change control.
Phase 5: Operate and reassess
- Review dashboard metrics and sampled run records at a defined cadence.
- Investigate drift, repeated exceptions, missing evidence, and unexpected reviewer overrides.
- Reassess the risk boundary whenever the model, prompt, tools, data sources, accounting policy, or process changes.
- Retire or redesign the agent if controls cannot reliably reconstruct its work.
Choosing an autonomy pattern
Rather than asking whether an organization should “use AI,” compare operating patterns against authority, evidence, review, monitoring, and fit with the existing control framework.

| Pattern | Agent authority | Evidence and review burden | Best initial fit |
|---|---|---|---|
| Assistive analysis | Reads approved data and produces summaries or exception lists | Retain inputs, output, and reviewer acceptance; no accounting-system write access | High-volume analysis where a person already makes the decision |
| Draft-and-review | Transforms data and prepares a recommendation or draft journal | Preserve calculations and source links; require accounting review and approval before use | Reconciliations, recurring accrual drafts, and documentation preparation |
| Gated submission | Submits an approved item to a workflow but cannot bypass authorization | Link run, approval, submission, and ledger IDs; monitor segregation of duties | Stable, well-tested processes with strong system controls |
| Controlled posting | Posts within strict limits and preventive controls | Highest testing, monitoring, rollback, and independent-review burden | Only processes with mature evidence, low judgment, and explicit authorization |
The safest pattern is not automatically the least useful. A draft-and-review design can remove repetitive work while preserving an accountable accounting decision. Conversely, an apparently simple posting task may carry high risk if source data is incomplete or the treatment requires judgment.
Example: an agent-assisted account reconciliation
Suppose an agent compares a bank statement, cash subledger, and general-ledger balance for one entity and period. The control design could work as follows:
- The agent receives read-only access to the approved statement and ledger extracts for the specified period. It cannot retrieve other entities or periods.
- It records file identifiers, extraction timestamps, opening and closing balances, currency, and configuration version.
- It matches transactions using documented fields and produces a reconciliation, unmatched-item list, and calculation trace. It does not alter the ledger.
- The preparer checks totals against the authoritative sources, investigates unmatched items, and attaches evidence for each resolution.
- A reviewer evaluates completeness, accuracy, cutoff, unusual items, and any proposed adjustment. The reviewer records acceptance, rejection, or escalation.
- If an adjustment is needed, an authorized preparer creates a journal through the normal workflow. The agent’s recommendation remains attached as supporting evidence, and the approver verifies the final entry independently.
- The run record links the source files, agent output, exception resolutions, reviewer decision, journal ID if applicable, and posting time.
If a statement is replaced, the matching logic changes, or the agent begins using a new model, the change is logged and assessed before the next production run. A failed match is an exception to resolve, not permission for the agent to invent a balance.
Common implementation mistakes
- Starting with unrestricted access: Broad access makes it difficult to distinguish authorized work from accidental or malicious changes. Begin read-only and expand permissions deliberately.
- Logging only the final answer: Without inputs, configuration, tool calls, and reviewer evidence, the record cannot reconstruct the work.
- Treating confidence as proof: A model’s confidence indicator does not establish accounting correctness or source support.
- Using a generic approval button: Approval should identify the evidence examined, exceptions considered, and rationale for acceptance.
- Allowing silent prompt or policy changes: Version instructions, retrieval sources, thresholds, and connected tools like application code.
- Measuring speed alone: A faster close with more corrections or weaker evidence is not a control improvement.
- Assuming a framework guarantees auditability: COSO, IIA, and IAASB materials provide lenses and considerations; management still has to design, operate, test, and document controls.
- Confusing advisory guidance with requirements: The IAASB automated-tools document is non-authoritative, and the August 2026 IAASB material is an exposure draft.
- Removing human accountability: Automation can perform work, but an identified person remains responsible for the accounting decision and control operation.
What a defensible close file should contain
For each agent-assisted close activity, assemble a file that a knowledgeable reviewer can understand without asking the agent to rerun itself:
- Approved use-case description, risk assessment, capability classification, and authority matrix.
- Process map showing sources, transformations, outputs, reviewers, approvals, and system changes.
- Current and prior configurations, model or service versions, prompts or instructions, tools, permissions, and change approvals.
- Run records with input references, outputs, calculations, tool actions, exceptions, and timestamps.
- Reviewer evidence showing checks performed, corrections, overrides, escalations, and final disposition.
- Accounting-system records linking approved outputs to journals, master-data changes, or certifications.
- Monitoring results, incidents, remediation, rollback decisions, and periodic control testing.
That file turns an opaque automation event into a traceable control activity. It also gives internal and external auditors a defined population from which to select items and test evidence.
