Yes. A small business can accept in-person UPI payments without a card machine by onboarding with an acquiring bank or payment provider and displaying the merchant QR it issues. For a simple counter, a static merchant QR is often the most straightforward setup; a soundbox or QR stand is optional. Before you start, confirm your merchant category, applicable charges, settlement destination and timing, and the provider’s current document requirements.

Can I accept UPI without a card machine?

Yes. A card terminal is not required for QR-based UPI acceptance. Your business does need to be onboarded with a provider that enables merchant payments and issues or configures your merchant QR. NPCI describes the acquiring bank as the route through which a merchant gets UPI infrastructure, and lists QR, intent, app-based and collect payment modes. For a customer paying face to face at a shop counter, QR is the direct fit. NPCI’s UPI FAQ explains the acquiring-bank and merchant setup.

In practical terms, the customer opens any supported UPI app, scans the QR displayed at your counter, checks the payee details, enters the amount and confirms payment. Your business then verifies the transaction through its own merchant records or the provider’s confirmation process. The physical device used to display the QR is separate from the payment acceptance service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the QR provided through that merchant onboarding. A personal UPI QR is not a substitute: merchant details, including the merchant category code (MCC), are configured during onboarding. Ask what payee name customers will see and which account or merchant pool will receive the funds. A personal QR can create confusion about who was paid, how the transaction is classified and where the money should settle.

What do I need, and what do I not need?

You need a business relationship with an acquiring bank, payment provider, payee PSP or payment aggregator that onboards merchants for UPI, along with the merchant QR issued through that relationship. You need a place where customers can scan the code and a way to check whether each payment appears in your merchant records.

You do not need a card machine merely to accept QR payments. You also do not need a soundbox, acrylic stand or other counter hardware to create eligibility. A stand can make a printed QR easier to see, and a soundbox can provide an alert depending on the service, but neither one replaces merchant onboarding or generates a valid merchant QR.

The provider may offer a static QR, a dynamic QR, or both. The appropriate choice depends on how your checkout works. A small walk-in counter that collects the amount verbally will often find a static QR sufficient. A business that wants a generated QR as part of its checkout should ask whether the provider supports a dynamic flow.

How do I get a UPI QR code for my shop?

  1. Contact your bank or a merchant payment provider. Ask specifically for merchant UPI QR acceptance without a POS or card terminal. Check that the provider onboards businesses like yours and supports in-person QR payments. NPCI identifies the acquiring bank as the merchant’s route into UPI acceptance.
  2. Complete its business onboarding and KYC. The provider will tell you what information and documents it needs. The NPCI FAQ describes merchant due diligence and configuration at the bank level, but there is no single document checklist established for every provider or business type. Request the provider’s current requirements directly instead of relying on a list prepared for another business.
  3. Confirm your merchant details. Ask which MCC has been assigned, what name appears to a customer before payment, and where the funds will settle. Correct errors before displaying the QR. The MCC can affect how the transaction is treated, so it is worth confirming rather than assuming the provider selected the category you intended.
  4. Get the provider-issued merchant QR. For a counter, position a static QR where customers can scan it easily. Follow the provider’s instructions and do not alter the QR code or its branding in a way that conflicts with its requirements.
  5. Test the complete payment flow. Make a small payment, check the customer-facing merchant name, confirm the payment in your own merchant records, and verify the settlement destination and reported fee treatment. A test should cover the whole path, not just whether a phone can read the printed code.
  6. Train whoever works at the counter. Staff should know where the official QR is displayed, how to check the merchant record and what to do if a customer presents only a screenshot. This is an operating procedure based on your provider’s records, not a replacement for the provider’s support process.
  7. Keep a backup payment option available. UPI may not complete at a particular moment; cash or another payment method can help you continue serving a customer if that happens.

NPCI’s June 2026 BHIM UPI guidelines show static QR, soundbox/static QR and dynamic QR designs. They specify design elements such as the instruction “Scan & Pay with any UPI app,” QR sizing and design rules. Use the QR supplied through onboarding rather than creating or modifying one yourself.

Where should I put the QR?

Place the QR at the point where payment is requested, with enough visibility for the customer to scan it without asking an employee to hold a phone over it. A counter stand can keep a printed or provider-supplied QR upright, but it remains a display accessory. The stand does not register your business, configure the MCC, route funds or confirm a transaction.

Follow the provider’s QR design and branding instructions. NPCI’s June 2026 guidelines include design requirements for static QR and soundbox/static QR arrangements as well as dynamic QR. Do not crop, redraw or replace the code with a design that makes the provider-issued code unreadable or conflicts with those requirements. If you buy a holder, insert the supplied QR as issued.

Check the payee name on the customer’s payment screen during setup. A customer should be able to recognize the business name before confirming. If the displayed name is a proprietor’s personal name or an unexpected business name, ask the provider to resolve it rather than assuming customers will understand.

Which QR or counter setup should I choose?

Option What it does What to consider
Static merchant QR Displays a merchant QR for customers to scan and pay at the counter. A simple fit for a small counter. It still requires merchant onboarding and the correct provider-issued QR.
Dynamic QR Uses a generated QR in a provider’s supported payment flow. Ask whether your provider offers it and whether it suits your checkout. NPCI’s guidelines show a dynamic QR design; they do not establish provider availability or prices.
QR soundbox A device/display arrangement that combines a QR with payment alerts, depending on the provider and service. Optional, not a prerequisite for QR acceptance. Confirm device cost, rental or subscription, network needs, support and return terms with the provider. Current prices are not established by the cited official sources.
Acrylic QR stand Holds a printed or provider-supplied QR where customers can see and scan it. Optional display accessory only. It does not generate a valid merchant QR, process payments or replace onboarding.

Choose a static QR if you mainly need a clear way for walk-in customers to pay and your provider’s flow meets your needs. Consider asking about a dynamic QR or soundbox when the additional checkout flow or payment alert would solve a specific operational problem. Do not buy hardware first on the assumption that it creates acceptance; complete onboarding and obtain the official QR first.

Do I need a soundbox to accept UPI?

No. A soundbox is optional. It may combine a QR display with a device that gives a payment alert, depending on the provider and service, but a merchant can accept QR payments without it.

If you are considering one, ask for the total commercial terms: purchase price or rental, any subscription, network requirements, support arrangements and return terms. Also ask what happens if the device is offline or needs replacement. The official material identifies the soundbox/static QR layout but does not establish a universal soundbox price or a standard service package.

A soundbox should solve a specific counter problem, such as making it easier to notice an alert while serving several customers. It should not be treated as proof that a payment settled. Continue to check the provider’s merchant records when a transaction is disputed or unclear.

Will my business pay charges for UPI?

Check the policy category that applies to your business and read the provider agreement; do not assume that every UPI payment or every merchant has identical costs. In a Ministry of Finance announcement posted on 15 September 2026, the stated MDR treatment is:

Transaction/category described in the announcement What the announcement says
P2M payments up to ₹2,000 Remain free of MDR.
Small merchants receiving up to ₹1 lakh per month under the P2PM category through UPI QR Continue to have zero MDR.
Specified P2M transactions above ₹2,000 MDR is stated as 0.4%.
Transactions of ₹75,000 and above The stated MDR is capped at ₹300.

The same Ministry of Finance release says approximately 96% of P2M transactions will remain unaffected and that P2P transfers remain free. These are policy statements in that dated announcement, not a quote for your business or a guarantee that every provider agreement has no other charges.

Ask your provider four specific questions: Does the business qualify as a small merchant under the P2PM category? How will its transactions be classified? Does the provider add any charges separate from MDR? How will fees appear in settlement reports or statements? Get the answers in the agreement or another durable provider record.

The announcement does not provide a universal eligibility checklist for the small-merchant category. The ₹1 lakh figure is a monthly receiving threshold described in that policy statement, not a conclusion that every business under that amount will be treated identically without provider classification.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A March 2025 Ministry release described an incentive scheme for low-value UPI P2M transactions up to ₹2,000 for 1 April 2024 through 31 March 2025. That was a time-limited historical scheme, not a substitute for the later fee statements. For a business decision, use the current official policy and your provider’s written terms.

What does MDR mean for a small counter?

MDR is the merchant discount rate applied under the relevant payment arrangement. The Ministry announcement gives category-level statements, while your provider determines how your onboarded business is configured and reports charges. For example, the announcement states 0.4% for specified P2M transactions above ₹2,000 and a ₹300 cap for transactions of ₹75,000 and above. Those figures should be read alongside the category, threshold and cap language; they are not a universal promise that every transaction will produce the same deduction.

Keep the policy date with your internal records. Fee treatment can change, and the current agreement may contain operational charges or conditions that are not described in a general announcement. Recheck the official Ministry statement and ask the provider to explain any difference between the policy category and the amount shown on your settlement report.

When will UPI payments reach my bank account?

Settlement destination and timing depend on the merchant agreement. NPCI’s FAQ says the merchant receives the money immediately after the customer confirms the payment into the merchant pool bank account or merchant bank account, as provided in the agreement. Confirm with your provider which destination applies to your setup and when funds will be available in the account you rely on.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Immediately” in the NPCI wording is qualified by the agreement and the selected destination. It does not tell every merchant that all providers use the same account structure or reporting schedule. During onboarding, ask whether your money first appears in a merchant pool or directly in the merchant bank account, how you can view the transaction and what settlement reference is supplied.

For routine reconciliation, compare the provider’s transaction records with the amount expected for the day and investigate differences using the transaction reference, date and amount. The official sources do not establish one universal settlement timetable, cut-off, holiday treatment or dispute timeline, so those details must come from your provider.

How can I tell whether a customer’s payment succeeded?

Check the payment in your own provider or merchant records, not only a screenshot shown by the customer. During your initial test, confirm the merchant name, success status and settlement account. If the customer sees a success message but the payment does not appear in your merchant records, use the provider’s support and failed-payment process before treating the transaction as settled.

A practical counter workflow is to ask the customer to complete the payment, wait for the provider’s confirmation available to the merchant, and then record the sale in the normal till or sales system. If there is uncertainty, note the time, amount and transaction reference available in your merchant records. Do not ask staff to rely on memory when several payments have similar amounts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For each payment issue, record the time, amount and transaction reference available in your merchant records, then follow the provider’s instructions for checking status or resolving a dispute. The cited sources do not establish one universal support path, dispute timeline or failed-payment procedure; these vary by provider.

What are the most common setup mistakes?

  • Using a personal QR. It is not a substitute for merchant onboarding and may show the wrong payee or classification.
  • Buying a stand or soundbox before registering. Hardware cannot create a valid merchant QR or provide UPI infrastructure.
  • Skipping the MCC check. Ask the acquiring provider which merchant category code was configured.
  • Assuming every provider has the same fees. Confirm the applicable policy category, MDR treatment and any provider-specific charge.
  • Assuming a screenshot proves settlement. Check your own merchant records and follow the provider’s status process.
  • Altering the supplied QR. Follow provider and NPCI design requirements; do not redraw or modify the code in a way that conflicts with them.
  • Assuming all settlements go directly to the same bank account. Confirm whether the agreement uses a merchant pool or merchant bank account and the timing for availability.
  • Having no fallback. Keep cash or another accepted method for a customer whose UPI payment cannot complete at that moment.

What should I confirm before choosing a provider?

  • Whether it will onboard your business and what current KYC documents it requires.
  • Your MCC and the customer-facing merchant or payee name.
  • Whether the QR is static, dynamic or both, and any design or display requirements.
  • Which MDR category applies to your business under current policy, plus any provider-specific charges.
  • Where payments settle and the timing stated in your agreement.
  • How to verify transactions and get support for failed payments or disputes.
  • If considering a soundbox, its full cost, network requirements, support and return terms.
  • Whether the provider supplies a printable QR, a digital copy, or both, and how a damaged or replaced QR is handled.

Compare providers on onboarding eligibility, current fee treatment, settlement destination and timing, static or dynamic QR availability, optional soundbox terms, failed-payment and dispute support, and the clarity of the customer-facing merchant name. The official sources establish that acquiring-bank onboarding and QR modes exist, but they do not establish a current provider ranking or universal price comparison.

There is no universal soundbox price, provider document checklist or provider-specific settlement schedule established in the cited official sources. Get those details from the provider before committing.

Can I sell something alongside the QR setup?

An acrylic counter QR code stand is a reasonable optional accessory if you need a stable, visible place for the provider-issued QR. Describe it accurately as a holder or display stand. It does not create the QR, process the payment or replace merchant onboarding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Frequently asked questions

Can a sole proprietor accept UPI without a POS terminal?

Yes, if an acquiring bank or payment provider onboards the business and issues or configures a merchant QR. Ask that provider for the current KYC and business requirements.

Can I print the QR myself?

You can print the QR supplied through merchant onboarding for display, subject to the provider’s instructions. Do not create a personal QR as a substitute or alter the supplied code in a way that conflicts with provider or NPCI requirements.

Is a static QR enough for a small shop?

It is often the simplest fit for a walk-in counter. Confirm that the provider’s static QR flow meets your checkout needs and test the customer-facing name and merchant records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a soundbox guarantee that a payment is settled?

No. It is an optional device and alert arrangement. Verify the transaction in your own merchant or provider records and follow the provider’s process when the status is unclear.

Are UPI payments always free for merchants?

No universal assumption is safe. The Ministry of Finance announcement of 15 September 2026 states specific MDR treatment, including free P2M payments up to ₹2,000 and zero MDR for qualifying small merchants up to ₹1 lakh monthly under P2PM through UPI QR. Confirm your category and agreement.

Where does the money go?

NPCI says settlement goes to the merchant pool bank account or merchant bank account according to the agreement. Ask your provider which applies and when funds become available.

What if the customer says the payment succeeded?

Check your own merchant records and the transaction reference. Do not treat a screenshot alone as settlement proof; use the provider’s failed-payment or dispute process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I keep cash available?

Yes. Cash or another accepted method is a practical contingency when UPI does not complete at a particular moment.
