Use a merchant UPI account and its provider-issued QR code, verify every payment in the merchant app or an approved confirmation device, and reconcile settlements—not just individual customer payments—to credits in your bank statement. That three-part process lets a shop or service counter accept UPI while keeping an auditable record of what was paid, what was refunded, and what actually reached the bank account.
The exact onboarding documents, fees, settlement schedule and device availability depend on the provider and the merchant plan. Provider product pages describe their own services, so confirm the current terms before signing up.
What a merchant UPI setup does differently
A personal UPI QR can receive money, but it is a poor foundation for organized business records. A merchant account links acceptance to the business profile and its nominated bank account, and normally provides a dashboard or app with transaction status, references, refunds and settlement information.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchThe distinction matters because a customer payment and a bank settlement are not always the same event. A customer may pay ₹800 at 11:05, while the provider later sends a combined settlement for several transactions. Your books must retain both records: the original sale and the settlement transfer that ultimately appears in the bank account.

- Settlement: the provider’s transfer to the linked bank account, normally identified by a UTR or another reference.
- Exception: a refund, chargeback, failed payment, duplicate, fee or other adjustment that explains why the two amounts do not match directly.
Use a personal QR only for genuinely personal transfers. If the business needs staff access, daily closing, settlement reports or reliable bookkeeping, open the provider’s merchant service instead.
How can my small business accept UPI payments?
1. Choose a merchant provider and check eligibility
Compare providers on more than the QR artwork. Check whether the service accepts the payment modes your customers use, what business and bank-account details are required, how staff receive payment notifications, and which reports can be exported. Also check support channels and the current total cost of any QR materials, soundbox or POS device.
Do not assume that every business qualifies automatically, that every QR is free, or that onboarding needs no documentation. Eligibility, KYC and account-activation requirements are provider-specific. Support centres for services such as Paytm list separate activation, document and KYC topics, which is a reminder to read the current merchant checklist rather than rely on a generic guide.
2. Complete merchant onboarding and link the settlement account
Follow the provider’s current application flow. Enter the legal or trading name exactly as it should appear to customers, provide the requested business and identity information, and nominate the bank account into which settlements should be paid. Keep the account holder name, branch details and other bank information consistent with the provider’s requirements.
Before displaying anything publicly, confirm in the merchant dashboard that the account is active and that the intended bank account is linked. If the provider asks for additional documents or verification, finish that process before accepting live orders.
3. Generate the provider-linked QR
Download or order the QR from the merchant app or dashboard, not from an unverified image. Paytm’s merchant materials describe generating and downloading an All-in-One QR through its Business app, then printing it or ordering a QR sticker for delivery. PhonePe describes QR stickers and standees as merchant options. Product names and ordering steps can change, so use the labels shown in your current account.

Check the displayed business name and, where shown, the linked account or merchant identifier. Make a small test payment from a separate UPI account, confirm that it appears in the merchant app, and check that the expected bank account is configured for settlement. Refund the test payment through the provider’s documented process if appropriate.

Place the issued QR at the billing point where customers can scan it without reaching across merchandise or handing over a phone. Keep it flat, clean and well lit. Do not cover the code with tape that causes glare, and do not place multiple active QRs so close together that a customer could select the wrong business.
A “UPI QR code stand” is simply a physical display accessory. It does not process a payment by itself. The code printed on the stand must be the one issued for your merchant account. A stand, sticker or tabletop frame is useful when it keeps the code upright and visible, but it cannot replace account activation or payment verification.
How should staff verify a UPI payment?
Use the merchant record, not a screenshot
Release goods or start a service only after the merchant app, dashboard or an approved provider device shows a successful payment for the correct amount. A customer’s screenshot is not a dependable accounting record: it may show a pending, failed or unrelated transaction, and it does not prove that your merchant account received the payment.
Train staff to check the amount, success status, time and transaction reference. If the customer paid a different amount, ask for a fresh payment or follow your correction procedure; do not edit a receipt merely to make the totals appear to agree.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteUse a soundbox when a phone is impractical
At a busy counter, staff may not be able to watch a screen for every scan. A provider-supported soundbox can announce an incoming payment, and PhonePe describes its SmartSpeaker as providing instant payment confirmations. Treat the audible announcement as a counter-control, not as the accounting ledger. Staff should still confirm the transaction in the merchant records and include it in the settlement close.

How do I reconcile UPI payments with my bank account?
Use a two-stage close. First reconcile sales-level transactions inside the provider’s records. Then reconcile provider settlements to the bank statement. Doing only the first step can leave money that was delayed, adjusted or sent to the wrong account unexplained; doing only the second can hide a missing sale or duplicate refund.
Stage 1: close the provider transaction report
- Select the period: Choose the business day, shift or other defined date range in the merchant app or dashboard.
- Export or review transactions: Capture the transaction date and time, amount, status, transaction ID and any order, invoice or cashier reference available.
- Match to internal sales: Compare each successful payment with the till, invoice or service record. Mark failed, pending, refunded and cancelled entries separately instead of treating them as sales collected.
- Investigate gaps: Ask the provider for the transaction status when a customer claims to have paid but no successful merchant record exists. Keep the transaction ID and any support case number.
Stage 2: match settlements to bank credits
- Open the settlement view: Review the provider’s settlement date, amount, status, bank-account destination and UTR or reference number.
- Open the linked bank statement: Search the relevant date range for the credit. Bank descriptions can differ, so search by UTR or reference first, then compare amount and date.
- Record the match: In your bookkeeping file, retain the settlement reference, provider settlement amount, bank credit date and the group of customer transactions covered.
- Explain differences: Document fees, refunds, chargebacks, tax adjustments or other deductions rather than forcing the settlement to equal gross sales.
- Escalate unmatched items: Raise a provider ticket for a missing settlement, an unexpected credit, a duplicate, or an amount that cannot be explained. Attach the transaction export, settlement reference and bank statement line.
Paytm’s support guidance says a settlement’s UTR is visible in its app or dashboard and should be matched to the same UTR in the linked bank account. Its settlement view also describes amount, date or time and reference fields. Your provider may label these fields differently, but the principle is the same: identify the provider transfer and match it to the bank credit.
Do settlements arrive one transaction at a time?
No. Many merchant services aggregate several customer payments into one settlement. Therefore, never assume that every scan will create a separate bank-statement credit. Your transaction report may contain dozens of sales while the bank shows one net or gross transfer for the group.
Some products offer transaction-wise settlement. Paytm describes an option in which payments are settled one by one and the downloadable report includes a UTR and settlement timestamp or date for each item. The same product page describes settlement as typically occurring within 90–100 seconds and notes limitations involving refund or chargeback deductions. Those are features and conditions of that described Paytm product, not an industry-wide promise. Confirm present eligibility, timing and deductions for your account before designing your cash-flow process around them.
For an aggregated schedule, define a cut-off rule in your books. A sale near midnight may fall into the next settlement batch, and weekends, bank holidays, risk reviews or a provider exception can change the arrival date. Record the provider’s settlement date and the bank’s actual credit date rather than replacing one with the other.

What to do with unmatched, delayed or disputed payments
Unmatched bank credit
Search the provider settlement report by amount, date and UTR. If the credit is still unexplained, check whether another business account or settlement profile is linked, then contact provider support with the bank statement line. Do not post an unexplained credit as a customer sale.
Missing or delayed settlement
Confirm that the underlying transactions are marked successful, that the account is active, and that the expected settlement window has passed under your plan’s terms. Save a screenshot or export of the transaction and settlement status, then open a support case. Keep the case reference with the period’s reconciliation file.
Refund or chargeback
Link the adjustment to the original transaction ID and record the date, amount and reason shown by the provider. A later settlement can be lower because of that adjustment. Never delete the original sale record; mark its final status and retain the provider’s adjustment evidence.
Duplicate payment
Check both transaction IDs before returning money. If two successful transactions exist, follow the provider’s refund workflow and issue an internal receipt for the refund. If only one is successful, do not refund solely because a customer shows two pending screens.

Build a repeatable daily reconciliation routine
At each shift change
- Confirm that every completed order has a successful merchant transaction.
- Record the cashier, order or invoice reference and any manual exception.
- Check that the soundbox or phone is online and that staff know the fallback verification process.
At day end or on your defined schedule
- Export the provider transaction report for the closed period.
- Review pending, failed, refunded, disputed and duplicate entries.
- Review settlements separately and match available UTRs or references to bank credits.
- List open items with an owner, next action and support-case reference.
At month end
- Retain provider exports, settlement reports, refund evidence and bank statements in the bookkeeping system.
- Check that settlement totals, adjustments and recorded sales explain the period’s bank credits.
- Review whether the current provider plan, devices and charges still suit the business.
The sources describing these services do not establish a universal legal retention period. Keep records according to your accountant’s advice and the record-keeping rules that apply to your business, while ensuring exports remain readable and backed up.
Costs, requirements and claims to verify
Before signing up, ask the provider for the current merchant terms covering onboarding and KYC, QR materials, transaction charges, device rental or purchase, service fees, refunds, chargebacks, settlement timing, account changes and support. Marketing phrases such as “zero fee” or “instant” may apply only to a particular payment mode, plan, promotion or eligibility group.
Obtain a written or downloadable fee schedule where possible. Check whether a fee is taken from the customer transaction, deducted before settlement or billed separately. This distinction affects how you explain gross sales and net bank receipts to your bookkeeper.
Security and staff controls
- Give each staff member only the merchant access needed for their role, and remove access when they leave.
- Protect app passwords, device PINs and one-time passwords; support staff should never request a customer’s UPI PIN.
- Keep the QR in a tamper-evident frame or inspect it regularly for an overlaid replacement code.
- Use the provider’s official app and support channel when investigating a payment; do not trust links sent in unsolicited messages.
- Back up exports and restrict editing of reconciliation files so that corrections leave an audit trail.
With a merchant account, provider-issued QR, trusted confirmation at the counter and a separate settlement-to-bank match, a small business can accept UPI quickly without losing control of its records.
