Use one dated record for every poker session, a separate ledger for coaching, and an expense file that ties each cost to a receipt and business purpose. Keep winnings and losses as separate source amounts rather than reporting only a net result. That structure gives you evidence for a tax preparer and helps distinguish gambling activity from coaching income under U.S. federal rules.

Build three records instead of one blended poker spreadsheet

Poker creates at least three different kinds of transactions: gambling activity, payments for coaching, and costs connected with earning that income. Put them in separate tabs, accounts, or ledgers even if you use one application. A combined bank account can still be reconciled, but the underlying entries should identify the source.

  • Poker activity log: sessions, tournaments, buy-ins, cash-outs, prizes, fees, and supporting statements.
  • Coaching income ledger: lessons or packages, payer, date, gross receipt, payment fees, refunds, and invoices.
  • Expense register: date paid, amount, payee, business purpose, category, payment method, and receipt location.

The Internal Revenue Service says, “You must keep an accurate diary or similar record of your losses and winnings.” It also allows a paper or electronic system that clearly shows income and expenses. The format is your choice; completeness and retrievability are what matter.

What to record for every poker session

Enter a session or tournament as soon as practical, while the details and documents are still available. Keep the original winning and losing amounts in separate fields. A management column can calculate a net session result, but that calculation must not replace the source figures.

Live poker documentation

Save tournament registration slips, payout paperwork, cage or cashier statements, cash-out receipts, and any W-2G or Form 5754 you receive where applicable. Bank withdrawals and deposits can support the movement of money, but they do not by themselves explain which poker session produced it. Note the related session or document ID in your log.

Online poker documentation

Download account statements, hand or session histories when available, tournament summaries, deposit and withdrawal reports, and payment-processor statements. Keep the original files rather than relying on a dashboard that may later change. Record the download date, account name, covered period, and the folder in which the file is stored.

Track coaching as its own income stream

When coaching may be a business

IRS Schedule C instructions address a business or profession operated as a sole proprietor. They describe business status in terms of a primary purpose of earning income or profit and involvement with continuity and regularity. Those factors can be relevant to coaching, but they do not automatically classify every coaching arrangement or poker activity. Keep enough detail for a tax professional to evaluate your actual facts rather than assuming that a poker-related payment belongs on one particular form.

Capture expenses when they happen

Record an expense on the date it occurs, identify its purpose, and attach proof of payment. A poker-related debit is not automatically a deductible business expense. Your records should allow a preparer to determine whether the cost is connected to an activity that qualifies for the treatment being claimed.

Expense record field Example entry
Date paid 2026-10-04
Payee Named vendor or service provider
Amount and currency Amount shown on receipt
Purpose “Video call platform for paid coaching sessions,” not merely “poker”
Related activity Coaching, poker play, or shared/personal
Payment proof Receipt, invoice, bank or card record
Allocation note Business and personal portions if a cost is shared

Keep receipts, bills, canceled checks, card statements, and electronic confirmations. The IRS describes journals and ledgers as acceptable ways to summarize transactions and says records may be maintained electronically. An accounting ledger book, spreadsheet, or bookkeeping application can all work if the entries are readable, complete, and backed up.

Reconcile the records at least monthly

  1. Collect source files. Download poker-room statements, coaching-platform reports, payment-processor data, bank statements, and receipts for the month.
  2. Match each transaction. Link a deposit or withdrawal to a session, tournament, coaching payment, refund, or expense. Investigate unmatched items instead of creating a guess.
  3. Check separate totals. Compare poker winnings, poker losses, coaching receipts, fees, and expenses independently. A single net total can hide a missing category.
  4. Mark exceptions. Flag cash transactions, duplicate entries, chargebacks, missing receipts, and amounts that differ between a platform statement and your bank record.
  5. Lock the period. Save a copy of the reconciled spreadsheet or export, note who reviewed it, and retain the source files unchanged.

Track each document’s original file name, download date, account or platform, and period covered. Store readable copies in a backed-up location and limit access to sensitive financial information. A paper journal can be scanned; an electronic ledger should have a second backup rather than existing only on one device.

Understand the federal tax separation between winnings and losses

IRS Publication 17 says gambling winnings must be included in income and notes that a person in the trade or business of gambling uses Schedule C. Publication 529 and Tax Topic 419 describe gambling losses as separately recorded, generally limited to gambling income, and subject to itemization requirements. Therefore, do not assume you can report only a net poker result or subtract every loss automatically from winnings.

Your diary and supporting documents should let a preparer see the winning amounts, losing amounts, and dates independently. Whether an individual is treated as a recreational player, a person in the trade or business of gambling, or a separate coaching business depends on the facts and current law. Classification can affect forms, deductions, and other tax consequences, so avoid making a categorical choice from a spreadsheet label alone.

Forms and records that may support the entries

Keep W-2G and Form 5754 documents where applicable, along with wagering records, canceled checks, bank records, and statements or payment slips from the gambling establishment. Online statements and payment-processor records are useful when they document the transaction. A tax form is evidence of a reported payment, not a substitute for a complete activity diary.

Choose a recordkeeping system you will actually maintain

The IRS does not require a particular app or template. Compare systems on separation, speed, document retention, exportability, backup, access, and cost.

Approach Strengths Watch-outs Best fit
Paper journal and ledger book Fast, inexpensive, works offline, easy to start Manual totals, harder searching, must be protected from loss Players with few monthly transactions who prefer handwriting
Spreadsheet Separate tabs, formulas, filters, exports for a preparer Easy to overwrite formulas or omit attachments Players comfortable with structured entry and regular backups
Bookkeeping software Receipt capture, bank matching, permissions, reporting Subscription cost and setup complexity Players with frequent coaching payments or several accounts
Hybrid system Mobile or paper notes during play, monthly spreadsheet or ledger reconciliation Requires a disciplined transfer step Players who need speed away from a desk

Use consistent categories and date formats. Keep poker, coaching, and personal transactions visibly distinct even when they pass through the same bank account. Export a copy that a tax preparer can open without your proprietary software.

Common failure modes and corrections

Recording only the net session result

Problem: A row says “+$800” with no winning and losing source amounts. Correction: Preserve the underlying buy-ins, payouts, losses, fees, and documents; use net only as a management calculation.

Waiting until tax season

Problem: Dates, locations, and cash details are missing months later. Correction: Enter sessions and expenses promptly, then perform a monthly reconciliation.

Prepare a clean package for your tax professional

At year-end, provide separate summaries for poker activity, coaching receipts, and expenses, plus the underlying documents and a list of unresolved items. Include a short explanation of how you classified cash sessions, online play, tournaments, coaching packages, refunds, and shared costs. Tell the preparer about multiple jurisdictions, filing-status changes, and any uncertainty about whether an activity has continuity and regularity.

This article addresses U.S. federal recordkeeping. State, local, and non-U.S. rules can differ, and current-year law or your individual facts may change the result. A qualified tax professional familiar with gambling income and self-employment can apply the applicable rules to your records.
