An iPhone can turn paper into searchable words in two built-in ways: Scan Text inserts recognized characters into a note, while Scan Documents saves one or more page images as a PDF that Notes can search. The right choice depends on whether you need editable text or a page-faithful record. Live Text handles text you merely need to copy or act on, and Preview creates PDFs but does not, in the cited Apple instructions, promise Notes-style indexing.
What OCR does in an iPhone scan
Optical character recognition (OCR) is the user-visible step that converts letter shapes in a camera image into characters that software can select, copy, edit, or find. Apple’s support instructions describe the results and controls rather than the internal recognition model. They do not establish whether recognition happens on the iPhone, in the cloud, or through a particular preprocessing or confidence system, so those implementation details should not be assumed.
In the built-in Notes workflow, the camera first captures the page. iPhone then offers either detected text or detected page boundaries. You can insert selected recognition as ordinary note text, or keep the page appearance by saving a scan as a PDF. Notes search can index text in scanned documents, which is what makes a page-preserving scan findable later.

If you need text you can rewrite, choose Scan Text. If preserving the page is important and you still want to search it in Notes, choose Scan Documents. Use Live Text when saving a document is unnecessary. Use Preview when PDF creation and page adjustment are the priority, then verify search behavior in the app where you store the file.
Option 1: insert recognized text directly into a note
This route creates editable characters in the note rather than a page image. It is suitable for extracting a paragraph from a printed handout, copying an address from a sign, or making a typed task list from paper.
- Open Notes and create a note or open the note where the text belongs.
- Tap the attachment control, then choose Scan Text.
- Hold the iPhone so the printed text appears in the camera view. Wait for the detected text selection to appear.
- Use the selection handles to mark the exact words you want.
- Tap Insert. The result becomes text in the note, where you can edit it and search for it like other note content.
Apple describes Scan Text as supporting selected languages, but the cited scan guide does not provide a complete language inventory. Recognition quality can therefore depend on whether the script and language are supported, as well as on the condition of the page and the camera view.

- You need to correct wording, add headings, or combine the result with your own writing.
- You only need a quotation or a few fields rather than a complete visual record.
- You want the characters to behave like normal note text without opening an attachment.
What Scan Text does not preserve
Because you are inserting selected characters, this workflow is not a page-layout archive. It does not aim to retain the original margins, stamps, handwriting position, or visual arrangement. Keep a document scan as well when those details matter.

Option 2: scan pages into a searchable PDF in Notes
Scan Documents is the page-preserving route. Notes stores the captured pages as a PDF inside the note, and Apple says Notes search includes text in scanned documents.
- Open or create a note in Notes.
- Tap the attachment control and choose Scan Documents.
- Hold each page in view. When iPhone detects the page boundaries, it can capture automatically. A manual shutter is available when you want to control the moment of capture.
- Review the captured page. Adjust the corners if the detected boundary is inaccurate, then keep the page.
- Continue capturing additional pages in the same scan session.
- Tap Done. Notes saves the document as a PDF in the note.
The PDF keeps a visual record of the page while still allowing Notes to search recognized text in the scanned document. That combination is useful for receipts, forms, meeting packets, or signed pages where appearance matters as much as words.
Search the scanned PDF from Notes
- Use the Notes search field and enter a distinctive word or phrase from the page.
- When searching within one note, open Find in Note.
- For a PDF or another attachment, enable Include Attachments so the attachment’s recognized text is considered.
- Open the matching note and attachment, then inspect the page to confirm the context of the hit.
Search terms must match what recognition produced closely enough for Notes to find them. Unusual spellings, damaged print, or a word at the edge of a poorly cropped page can make a genuine word difficult to retrieve, so use several distinctive terms when a first search fails.

Locked-note limitation
Apple states that for a locked note, only the note’s title appears in search results. Text inside the locked note and its scanned attachment is therefore not available through ordinary Notes search in the same way as text in an unlocked note. If you need content to be discoverable by search, keep it in an appropriately protected but searchable note, or record an identifying phrase in the title without exposing sensitive details.

Live Text: quick recognition without a Notes scan
Live Text is broader than the Notes document workflow. In the Camera app, wait for the detected-text control, tap it, select the words, and choose an action such as Copy, Translate, Share, or Search Web. In Photos, open an image and select detected text; in a video, pause on a frame before selecting it. Apple explains these interactions in Interact with content in a photo or video on iPhone and Use Live Text with your iPhone camera.
Live Text is useful when the destination is an email, translation, web search, or clipboard rather than a retained document. It does not by itself create the Notes PDF-and-index workflow described above. If you want a durable, searchable record, insert the result into a note or use Scan Documents.
Turn on the Camera setting
Apple’s Camera guide places the control at Settings > Camera > Show Detected Text. If the detected-text button does not appear, check that setting first. Apple also warns that Live Text is not available in every region or language, so the feature may be unavailable even when the setting is present.
Scanning in Preview on iPhone
Preview can scan one or more pages into a PDF and provides controls to crop, rotate, or adjust coloring. The instructions are in Scan text and documents in Preview on iPhone.

Preview’s cited guide establishes PDF creation and page adjustment, but it does not state that a PDF made there will be indexed by Notes search. Treat these as separate questions:
- Can the app create a usable PDF? Preview’s instructions say yes, including multi-page capture and adjustments.
- Will a particular destination search inside it? That depends on the destination app’s documented indexing behavior. Notes explicitly documents search for text in scanned documents created in its workflow; the Preview instructions do not make the same promise for every exported PDF.
If search is essential, test the finished file in the app where you will keep it by searching for a distinctive word before discarding the paper original.
How to get more reliable recognition
Apple’s cited pages do not publish an OCR accuracy percentage, benchmark, or confidence score. You should treat recognition as text extraction that needs checking, not as a guaranteed transcription.

Keep the entire line or page inside the frame when possible so boundary detection and character recognition have enough context.
- Correct page corners. In Scan Documents, review the boundary and drag the corners before keeping a page. A wrong crop can remove characters or include surrounding material.
- Use manual capture for difficult pages. Automatic capture is convenient when boundaries are obvious; manual capture lets you choose the instant for glossy, angled, or cluttered pages.
- Search with more than one term. Try a short distinctive word, a number, and a nearby heading rather than relying on one long phrase that may contain a recognition error.
- Keep the original scan when layout matters. Editable text is easier to change, but the PDF remains the visual evidence of what was on the page.
- Check language and regional availability. Scan Text supports selected languages, and Live Text is not offered in every region or language according to Apple.
Troubleshooting: when a scan is not searchable
The scan appears, but a word cannot be found
Confirm that you are searching the note rather than only the note list, and use Find in Note > Include Attachments for a PDF. Try a different distinctive term and inspect the page for a crop or recognition error.

The PDF is in the note, but attachment results are missing
Open the note’s Find in Note controls and turn on Include Attachments. Apple documents that option specifically for searching PDFs and other attachments within a note.
A locked note does not reveal matching page text
This is an expected limitation in Apple’s documentation: only the locked note’s title appears in search results. Unlocking or changing protection is a privacy decision; do not remove a lock merely to make sensitive content searchable.
Live Text controls never appear
Check Settings > Camera > Show Detected Text, then consider whether the current region or language is supported. Live Text recognition in Camera, Photos, and video is a separate feature from Notes’ Scan Text and Scan Documents commands.

The Preview instructions establish scanning and PDF editing, not Notes indexing for every Preview-created file. If Notes search is a requirement, create the scan through Notes’ Scan Documents command or verify the exported file’s behavior in its destination app before relying on it.

For most records you expect to retrieve later, Notes’ Scan Documents flow is the clearest documented path: it preserves pages as a PDF and gives Notes a documented basis for searching their recognized text. Choose Scan Text when editability matters more than visual fidelity, and reserve Live Text for short-lived extraction or actions.
What Apple’s documentation does—and does not—promise
Apple documents the controls, outputs, language or region caveats, and Notes search behavior described here. It does not provide a named OCR engine, exact accuracy rate, confidence threshold, preprocessing specification, or a guarantee that every PDF created in every app will be indexed by Notes. Those unknowns are reasons to proofread important extracted text and to test a destination app’s search behavior before using a scan as the only copy of a record.
