For a personal Microsoft account, the published cloud-storage allowance is 5 GB on the free tier, 100 GB with Microsoft 365 Basic, and 1 TB with Microsoft 365 Personal. Family, Premium, and Pro allowances depend on when the subscription began and whether it has moved to a shared pool. Your total is broader than the files visible in the OneDrive folder: photos, recycle-bin items, Outlook attachments, Teams content, Loop files, and Designer images can all count. If usage exceeds the allowance, OneDrive stops accepting uploads, edits, and synchronization, while existing files become read-only. Microsoft says a continuing overage can freeze the account after three months and may lead to deletion after six months, so check the account dashboard before deciding whether to delete data or add capacity.
Which OneDrive allowance applies to you?
Microsoft’s consumer figures below were published in its support guidance accessed October 9, 2026. Subscription terms and transition dates can change, so treat the allowance shown in your own Microsoft storage dashboard as authoritative.
| Account or subscription | Published cloud-storage allowance | Important qualification |
|---|---|---|
| Free personal Microsoft account | 5 GB | Includes the cloud content described below, not just files in the OneDrive folder. |
| Microsoft 365 Basic | 100 GB | Consumer plan figure in Microsoft’s current quota table. |
| Microsoft 365 Personal | 1 TB | Consumer plan figure in Microsoft’s current quota table. |
| Family, Premium, or Pro started before October 6, 2026 | 1 TB per person | An individual allocation rather than one household pool, subject to the plan’s terms. |
| New Family or Premium subscriptions starting October 7, 2026 | 2 TB shared | Members draw from one household pool; applicable renewals follow Microsoft’s published schedule. |
| New Pro subscriptions starting October 7, 2026 | 5 TB shared | One pool for the eligible group; existing Pro subscriptions transition on Microsoft’s schedule. |
| Microsoft 365 mailbox | 100 GB mailbox storage | This is a separate Outlook.com mailbox quota. Mail still uses cloud storage when it contains attachments or inline images. |
Microsoft says existing Family and Premium subscribers move to shared storage at renewal from April 1, 2027, while existing Pro subscribers transition from November 1, 2027. Those dates describe the published schedule, not a guarantee that every account will change on the same day. Check whether your account shows a personal allocation or a shared pool, how much each member is using, and the next renewal date.
Work and school accounts are different. An administrator can set an organization-managed quota, so do not apply this consumer table to a business or education account without checking its policy.

What counts toward Microsoft cloud storage?
The storage number Microsoft reports can exceed the size of the files you see in a normal OneDrive folder. Microsoft’s storage-quota guidance identifies these contributors:
- OneDrive documents, folders, photos, and camera-roll uploads.
- Items still in the OneDrive recycle bin.
- Outlook.com attachments and images inserted inline in messages.
- Microsoft Teams message attachments and recordings.
- Loop meeting notes and idea files.
- Images stored in Designer projects.
Outlook.com has its own mailbox accounting for email, attachments, inline images, calendar items, contacts, and deleted messages. An attachment can therefore appear in both the cloud-storage report and the mailbox calculation. Being below the mailbox’s 100 GB limit does not protect you from a cloud-storage overage, and clearing email alone may not reduce the cloud total if copies remain elsewhere.
How to estimate how much storage you actually need
There is no universal “right” number. Estimate from your account’s measured use, your growth rate, and the people who share the allowance rather than from a generic rule about how many photos fit in a terabyte.

- Record the current total. Sign in to the Microsoft storage dashboard and note the used amount and the allowance shown for your exact account. Include any shared-pool members when the plan is shared.
- Measure recent growth. Compare the total with an earlier statement, backup, or dashboard reading. A phone that adds 8 GB of video each month needs roughly 96 GB of annual headroom before existing files are considered.
- List predictable additions. Count camera-roll videos, computer backups, Teams recordings, shared project files, and any family members who will begin using the pool. Do not count only today’s OneDrive folder.
- Reserve operating headroom. Leave room for a busy month, temporary duplicates, and recycle-bin contents. A plan that is technically large enough but remains within a few gigabytes of its ceiling will repeatedly trigger cleanup.
- Compare the projection with the allowance. If current use plus expected additions stays comfortably below the quota, the included storage is likely sufficient. If the projection crosses it, decide whether removable data or a larger eligible plan is the better remedy.
Example: a light personal user
Someone using 2 GB for documents and occasional photos on the free 5 GB tier has about 3 GB of visible headroom, but should still inspect recycle-bin and Outlook content. If annual growth is only a few hundred megabytes, cleanup may be preferable to a recurring subscription.
Example: a phone photographer
A user with 80 GB already stored and 10 GB of new videos each month will outgrow a 100 GB allowance quickly. Deleting duplicates can postpone the problem, but the projection points toward a larger allowance if the videos are meant to remain online.
Example: a shared household
With a 2 TB shared pool, three members using 600 GB, 500 GB, and 400 GB have 1.5 TB in use and only 500 GB left for everyone. The relevant figure is the aggregate total, not each person’s apparent share of a former individual allocation.

What happens when you exceed the quota?
OneDrive becomes read-only for new changes
When cloud usage is over the limit, OneDrive does not erase existing files immediately. New uploads, file edits, and synchronization stop, including camera-roll uploads. Files already stored remain available to view and download but cannot be changed through OneDrive. Microsoft states: “Your existing files remain, but they’re read-only.”

Microsoft says sending and receiving Outlook.com mail may stop when cloud storage is over quota, even if the mailbox itself is below its separate limit. Incoming messages can be returned to the sender; they must be sent again after you clear the storage problem. This makes an apparently small OneDrive overage an email-delivery issue, not merely a file-upload inconvenience.
Teams messages with attachments may fail
Teams messages that include attachments may not send or be received while the associated Microsoft storage remains over quota. Text-only conversation is not a substitute for clearing the blocked storage if collaborators need files or recordings.

The freeze and deletion clocks
The timer applies when the account remains over its OneDrive limit:
- After three months: Microsoft says, “If you remain over your OneDrive storage limit, your OneDrive account is frozen.”
- After six months: Microsoft says it “might delete your OneDrive and all files in it. Deleted files can’t be recovered.” The word “might” matters: deletion is described as a possible enforcement action, not an automatic event at exactly six months.
These statements come from Microsoft’s current quota guidance. Do not wait for the final month if the files matter; restore headroom as soon as an overage appears.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhat if a Microsoft 365 subscription expires?
Expiration is different from an ordinary overage, but it can create one. Microsoft explains in its subscription-expiration guidance that the account reverts to the free 5 GB cloud-storage allowance. If you are using more than 5 GB, the same upload, edit, and synchronization restrictions follow, and the account can then enter the three-month freeze and six-month possible-deletion sequence if the excess remains.

Before canceling, calculate the post-expiration total, download or delete enough content to fit 5 GB, or arrange another eligible storage option. A cancellation does not instantly remove files, but it can lower the ceiling that determines whether the account is over quota.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to get back under the limit
- Open the storage dashboard first. Identify which service or category is consuming space. This prevents deleting small OneDrive documents while a large collection of videos, recordings, or attachments is the real cause.
- Remove unwanted large files. Review videos, duplicate photos, old device backups, exported archives, and shared project copies. Download anything you must retain offline before deleting it from the cloud.
- Review recycle-bin contents. Deleted OneDrive items can continue counting until the recycle bin is emptied. Empty it only after confirming that no file needs recovery.
- Clean related Microsoft services. Check Outlook attachments and inline images, Teams recordings and message files, Loop material, and Designer project images. Removing a message may not remove a separately saved copy in OneDrive.
- Allow synchronization to settle. After deletions, wait for the account total to update and confirm that the dashboard is below the limit. Files removed on one device may still be pending synchronization on another.
- Recalculate future growth. If the remaining collection will cross the limit again soon, cleanup is only a temporary fix. Choose a sustainable allowance before the account becomes frozen.
Cleanup or more storage: which remedy fits?
| Choice | Best when | Trade-off |
|---|---|---|
| Immediate cleanup | A meaningful portion of the total is obsolete, duplicated, or recoverable elsewhere. | No new subscription, but it reduces the data you keep online and must be repeated if growth continues. |
| Individual allowance | One person consistently needs more space and does not need a household pool. | Capacity follows the eligible account; verify the current plan, region, price, and included Microsoft services before buying. |
| Shared Family, Premium, or Pro pool | Several eligible members need a combined allowance and their total use is predictable. | One member’s growth consumes capacity available to everyone, and the account holder controls eligibility and sharing. |
| Storage add-on, where offered | The existing subscription benefits are useful and only additional capacity is needed. | Availability and limits depend on the account and region; confirm the offer in Microsoft’s account controls. |
Compare the projected total, not just the advertised maximum. Also compare non-storage benefits you would actually use, the number of people sharing the pool, and who controls the subscription. Prices and eligibility are volatile and are not stated in the quota documentation, so verify them at the point of purchase.
An external hard drive can provide another copy of your files, but it does not increase Microsoft’s quota and will not restore blocked OneDrive, Outlook, or Teams functions. Use local storage as a backup or archive only after you have a reliable recovery plan.

Start with the dashboard total and the allowance attached to your account. If you are comfortably below the limit after allowing for expected growth, keep the current plan and monitor it periodically. If you are close, remove unneeded files and empty the recycle bin, then wait for the total to recalculate. If the projected need still exceeds the allowance, select an eligible individual or shared option whose capacity covers the forecast, and confirm whether a plan transition will change how that capacity is allocated. Acting before the account remains over quota protects file changes and reduces the risk of interrupted mail or attachment delivery.
Microsoft’s storage FAQs and quota page contain the current plan, component, cleanup, and purchase guidance. Recheck those pages when your subscription renews or before quoting a capacity, because Microsoft can revise tiers and transition dates.
