There is no single cloud-storage allowance that fits every family. The right capacity is the storage your household already uses in the accounts it will keep, plus room for planned photos, videos, documents and device backups. Add those amounts, decide whether you want one shared pool or separate per-person allowances, and then choose the smallest plan that covers the total without forcing anyone to delete files.

Provider quotas are not interchangeable. Google counts Drive, Gmail and Google Photos in one family pool; Apple offers iCloud+ tiers that can be shared through Family Sharing; Microsoft is changing its family-storage rules in 2026 and its own pages currently disagree about the resulting capacity. Check the live terms for your country and account before paying.

Start with your household’s actual storage, not a universal quota

Cloud plans are capacity limits, not recommendations for a “typical” family. The providers do not publish a reliable average household usage figure, and a family that mainly stores documents has a very different requirement from one that records frequent video. Your answer should come from an inventory of the accounts and devices you intend to include.

Write down the current usage shown in each person’s relevant cloud account. Include only the services that will be covered by the subscription you are considering. For example, Google’s family quota spans Google Drive, Gmail and Google Photos; an unrelated account or a separate backup service should not be added unless you plan to consolidate it. Check for duplicate copies before adding numbers, because the same exported photos or documents may exist in two services.

A simple sizing formula

Required capacity = current included data + planned new data during your planning period + a safety margin. The safety margin is a household decision rather than a provider statistic. Make it larger if your family is adding phones, tablets or cameras, or if members routinely keep several versions of large files. Do not apply a generic annual-growth percentage unless you have measured your own usage.

How to calculate the amount your family needs

1. Audit every account that will join

  1. Open each person’s storage dashboard and record the used space, not the advertised allowance.
  2. Break the figure into photos and videos, documents, email or attachments, and device backups where the service provides those categories.
  3. Identify old accounts, shared folders and duplicated exports. Decide which copy is authoritative before totaling the figures.
  4. Note devices that are not yet backing up but will be added after you purchase a family plan.

This produces a starting total. Keep the figures by person as well as the household sum; a shared pool can be used unevenly, and one person’s rapidly growing library may determine when the whole group reaches its limit.

2. Decide what the plan must cover

Families often mix several needs:

  • Photos and video: camera-roll uploads and edited exports can become the largest category.
  • Documents: schoolwork, scans, tax records and shared household files.
  • Email: messages and attachments count toward some providers’ storage quotas.
  • Phone and tablet backups: operating-system backups may use the same family allowance as photos or files.

Confirm that the provider you are considering counts each category. A plan that looks large enough for photos may not cover a separate backup service, and moving files between ecosystems can create temporary duplicate copies.

3. Add a household-specific growth allowance

Estimate what your family expects to add before the next time you are willing to review the plan. Use your own upload history, upcoming devices and travel or video plans. There is no defensible fixed growth rate for all households. If your estimate is uncertain, choose a tier that leaves a clear buffer rather than relying on the limit being reached exactly at renewal.

4. Match the total to the sharing model

A shared pool lets any member use available space, but one heavy user can consume capacity needed by everyone else. A per-person allocation is easier to budget but can strand unused space with one member while another hits a limit. Compare the allocation rules, not just the headline terabytes.

Google One: one family quota for Drive, Gmail and Photos

Each Google Account includes 15 GB for Google Drive, Gmail and Google Photos. A Google One family plan adds paid capacity to a family group, but it does not give every member a separate allowance. Google’s official guidance states: “Members of the Google family group do not have their own storage, they share the family group’s storage quota.” (Google One family-sharing help)

That structure suits households comfortable with one account-level pool and members whose usage varies. Review each account’s Drive, Gmail and Photos totals before selecting a tier. Google’s US plan page currently lists 100 GB for $1.99 per month and 2 TB for $9.99 per month, with either plan shareable with up to five other people. Prices and availability can differ by country and can change, so treat those figures as US listings rather than a global price promise. (Google One plans and pricing)

Google’s quota is consumed across all three services. A Gmail account with large attachments can therefore reduce the space available for Photos even when the photo library itself has not grown. Include mail and Drive when you perform the audit.

Apple iCloud+: family sharing for Apple photos, files and backups

Apple’s Family Sharing model lets a group share an iCloud+ plan. Apple describes it this way: “With Family Sharing, everyone in your Family Sharing group can share an iCloud+ plan, including premium features and all the storage you need with a single subscription.” (Apple’s iCloud+ family guide)

The cited Apple guide lists these storage capacities:

iCloud+ tier Can be shared through Family Sharing? Uses identified by Apple
50 GB Yes Family photos, documents and iOS/iPadOS backups
200 GB Yes Family photos, documents and iOS/iPadOS backups
2 TB Yes Family photos, documents and iOS/iPadOS backups
6 TB Yes Family photos, documents and iOS/iPadOS backups
12 TB Yes Family photos, documents and iOS/iPadOS backups

These are capacities, not a claim that a particular household needs any one tier. The source is an Apple support guide for the UK; this information does not establish Apple pricing in other regions. If everyone uses iPhone, iPad or Mac devices, include device backups and the photo library in the same calculation rather than treating iCloud+ as photo-only storage.

Microsoft 365 Family: verify the 2026 storage transition

Microsoft’s storage rules require special caution. Microsoft support documentation says new Microsoft 365 Family and Premium subscriptions beginning October 8, 2026 receive 2 TB of shared storage. However, the public US plan page still displays up to six people with 1 TB per person (up to 6 TB total), and lists Microsoft 365 Family at $129.99 per year or $12.99 per month. The displayed allocation conflicts with the newer support policy. (Microsoft storage quotas; Microsoft US plans and pricing)

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

The support pages also disagree about existing subscriptions. One says the shared 2 TB allowance begins at renewal on April 1, 2027; the Microsoft storage FAQ says May 2, 2027. Those dates may reflect a rollout or page-refresh difference, but Microsoft has not confirmed that explanation in the cited material. Check the storage shown in your Microsoft account and the checkout terms for your region before purchasing or renewing. (Microsoft storage FAQs)

Microsoft’s current FAQ also says 5 GB of free cloud storage is shared across OneDrive files and photos, Outlook.com attachments and Microsoft 365 apps. That free allowance is separate from the conflicting paid-plan displays and should be included when you audit an existing account.

What happens if Microsoft storage is exceeded or canceled?

Microsoft says that exceeding the applicable storage allowance can stop OneDrive uploads, edits and synchronization. Cancellation can also reduce the allowances available to shared members. Before canceling, download or move enough data to fit the remaining free allowance, and confirm the effective date in your account so that a full quota does not interrupt backups or file syncing.

Shared pool versus per-person storage

Question Shared pool Per-person allocation
Who can use unused space? Any eligible member can consume capacity left by another. Unused capacity generally remains attached to the assigned member.
Risk when one member grows quickly The heavy user can fill the household quota. Only that member reaches a limit, but cannot normally borrow another member’s unused space.
Best fit Families willing to monitor one combined total. Families wanting predictable individual allowances.
What to verify Exactly which services share the quota and who may join. Whether the provider truly permits transfers or only advertises a per-person maximum.

Sharing storage does not mean merging everyone’s account history. The practical issue is how the quota is calculated and enforced. Read the provider’s member limits, service list and over-quota behavior before assuming that a large headline number is available to every person.

Worked examples using your own numbers

Example A: mostly documents and phone backups

Suppose four members currently use 18 GB, 24 GB, 31 GB and 12 GB in the services you will cover. The household total is 85 GB. If you expect another 35 GB before your next review, your working requirement is 120 GB. A 100 GB tier would be too small; the next available tier or a different provider should be evaluated. These figures are illustrative arithmetic, not a claim about typical family usage.

Example B: one large video library

Assume three members together use 420 GB and a fourth member uses 40 GB, with 160 GB of planned additions. The calculation is 620 GB before any safety margin. In a shared-pool service, that total is the relevant threshold. In a per-person model, check whether the member with the video library can actually receive enough individual capacity; a large household total does not guarantee that one account can use all of it.

Checklist before you subscribe

  • Record current usage for every account and remove duplicate copies from your total.
  • List which services must be covered: photos, video, files, mail and device backups.
  • Add planned devices and a growth buffer based on your family’s behavior.
  • Confirm whether the plan is one shared pool or separate allocations.
  • Check member limits and whether all intended accounts meet the provider’s family-group requirements.
  • Verify country, currency, taxes, billing frequency and renewal price; the Google figures above are US-specific, and Apple’s cited capacity guide is UK-based.
  • Read what happens when the allowance is exceeded, especially for uploads, edits, synchronization and backups.
  • Review cancellation and renewal rules before storing irreplaceable files under the plan.
  • For Microsoft subscriptions during the 2026 transition, compare the allowance shown in your account and checkout with both the public plan page and current support wording.

Bottom line

Choose capacity from an inventory, not from a generic family label: total the storage your household uses, add the data you realistically expect to create, and leave room for growth. Google One is a shared Google Drive, Gmail and Photos quota; iCloud+ offers shared 50 GB through 12 TB tiers for Apple families; Microsoft’s 2026 policy is unsettled enough that your live account terms should decide. Recheck the plan whenever you add devices, change ecosystems or approach the limit.
