Moving companies estimate space from the belongings that will actually travel, not from your home’s bedroom count or floor area alone. A surveyor or inventory specialist walks through every room and storage area, records furniture and appliances, estimates the cartons needed for smaller possessions, and flags oversized or difficult items. Those details are converted into an approximate packed volume, then matched to a vehicle, trailer, or container and to services such as packing, dismantling, and specialty handling.

The number is never perfectly precise: household objects have irregular shapes, some can be nested or dismantled, and fragile items need protective space. Treat a volume figure as a planning estimate. The most reliable quote uses a complete, shared inventory and clearly states what services and equipment are included.

What a mover is measuring

The calculation is an estimate of packed, transportable volume. It includes large belongings, the cartons those belongings require, and the space created by packing materials and handling constraints. A sofa, bed, wardrobe, refrigerator, desk, bookcase, table, and similar items are normally listed individually. Smaller possessions—books, cookware, clothing, toys, documents, bedding, and decorations—are represented by an expected number of cartons even if they are still loose.

Bedroom count is useful context, but it is not a measurement. Two homes with the same number of bedrooms can contain very different amounts of furniture, books, sports equipment, tools, or stored possessions. A garage, loft, basement, shed, garden, attic, or rented storage unit can materially change the shipment while being invisible in a quick room-based estimate.

The room-by-room estimation process

  1. Survey every space. The estimator should inspect bedrooms, living and dining rooms, kitchens, utility rooms, hallways, lofts or attics, basements, garages, sheds, gardens, and storage units. A live video survey can work when it clearly shows each item; an in-person visit provides another way to verify the inventory.
  2. Record furniture and appliances. List sofas, beds, wardrobes, dressers, tables, chairs, desks, bookcases, white goods, televisions, outdoor furniture, and other large pieces. Standard items may receive a working volume based on typical dimensions. Oversized, bespoke, unusually deep, or irregular pieces deserve an individual assessment.
  3. Estimate cartons for small possessions. Count the boxes likely to be needed for books, kitchenware, clothes, paperwork, toys, bedding, and miscellaneous storage. Loose contents do not occupy zero space; once packed, they occupy the cartons and protective material required to carry them safely.
  4. Identify specialty and awkward items. Pianos, safes, antiques, exercise machines, large artwork, heavy workshops, oversized cabinets, and fragile collections may need separate dimensions, extra protection, specialist equipment, or additional crew time.
  5. Account for preparation and access. Note whether beds, tables, wardrobes, or other items will be dismantled; whether components can be nested; and whether stairs, narrow doors, lifts, long carries, parking restrictions, or difficult approaches affect handling. Dismantling can make an item easier to pack, but every component still travels.
  6. Total the working volume and check capacity. The company converts its item counts or dimensions into the unit used on the quote, usually cubic feet in the United States or cubic metres in many UK and international removal contexts. It then checks the usable capacity of the proposed equipment and the services being priced.

Central Moves describes this as a manual calculation shaped by the surveyor’s skill and experience. Bournes likewise notes that different surveyors can produce different totals. A video or in-person inventory generally exposes more of the shipment than a bedroom count or short telephone list, but it remains an estimate rather than a laboratory measurement.

Cubic feet, cubic metres, and carton volume

A cubic foot is the volume of a cube measuring 12 inches on each side. A cubic metre is a cube measuring one metre on each side. Always label the unit and geography on a quote: a number in cubic feet is not interchangeable with a number in cubic metres, and a provider’s “space” figure may describe a particular loading configuration rather than a universal truck size.

Reference Figure How to use it
Standard medium moving carton About 3 cubic feet The U.S. Moving Protection Organization’s August 2026 guide calls this an approximate visualization aid, not a guarantee for every carton or packing method.
Studio 250–400 cubic feet A rough 2026 planning range; actual contents can fall outside it.
One-bedroom apartment 400–600 cubic feet Use as a question prompt, not as a fixed allowance.
Two-bedroom apartment 700–1,000 cubic feet Storage and furnishing density can move the total substantially.
Two-bedroom house 1,000–1,300 cubic feet A broad guide, not a replacement for an inventory.
Three-bedroom house 1,300–1,800 cubic feet Outdoor areas, lofts, and heavy furniture may require more.
Four-bedroom house 1,800–2,500 cubic feet Still only a rough household-size range.
U-Pack moving trailer Approximately 1,944 cubic feet of loading space A provider-specific capacity; usable room depends on the exact trailer and loading arrangement.
U-Pack ReloCube Approximately 308 cubic feet A provider-specific container capacity, not a general container standard.

The household ranges and carton reference come from the U.S. Moving Protection Organization’s 2026 consumer guidance, which expressly describes them as rough. The trailer and container figures are from U-Pack’s current space-estimator information. A home-size chart can understate a shipment when it has unusually heavy furnishings, extensive storage, or outdoor equipment. Compare your estimate with the exact equipment’s stated usable capacity rather than assuming that every “26-foot truck” or container provides the same interior volume.

Why two companies can quote different volumes

Different inventory coverage

One estimator may include a full garage, loft, shed, and storage unit while another records only the principal rooms. If the underlying lists differ, the totals are not measuring the same job. Ask each company to identify excluded areas and items.

Different assumptions about cartons

Small possessions are easy to overlook before packing. A bookcase full of books, a linen cupboard, or kitchen drawers may look compact when loose but require many cartons. Companies also differ in the number and size of cartons they assume.

Different dimensions for generic items

“Sofa,” “wardrobe,” or “desk” describes a category, not a standard size. A sectional, antique cabinet, extra-deep sofa, or commercial freezer can occupy much more room than a typical reference item. Give the surveyor dimensions or photographs for anything unusual.

Different packing and loading judgments

Objects do not stack like perfect cubes. Some can be nested or dismantled; fragile pieces need void fill, blankets, crates, or separation; and irregular shapes can create unusable gaps. A quoted volume therefore reflects packing judgment as well as the objects’ nominal dimensions.

Changes after the survey

Adding furniture, emptying a storage unit, deciding to move items originally excluded, or requesting full packing can change the shipment. Tell the mover promptly. A quote based on an obsolete inventory can lead to insufficient equipment or a revised charge.

No source establishes one universal error percentage or a standard reserve that every mover should add. The practical safeguard is a complete inventory, explicit assumptions, and early notice of changes.

How to make your estimate more accurate

  • Open every cupboard, closet, loft, basement, garage, shed, garden store, and rented unit during the survey.
  • Separate “moving,” “selling,” “donating,” and “discarding” items before the estimator arrives.
  • Count expected cartons by category, including books, kitchenware, clothes, paperwork, toys, bedding, and decorations.
  • Measure or photograph oversized, fragile, valuable, unusually heavy, or irregular items.
  • Tell the mover about pianos, safes, exercise equipment, antiques, large artwork, workshops, and outdoor machinery.
  • Explain what will be dismantled, what requires professional packing, and what must remain assembled.
  • Describe stairs, narrow corridors, lifts, long carries, parking limits, restricted-access streets, and other handling conditions.
  • Request the itemized inventory, estimated volume, measurement unit, included services, excluded areas, and equipment description in writing.
  • Provide every competing mover with the same inventory and access information.

Comparing estimates on an equal basis

A lower cubic-foot figure is not automatically a cheaper or better quote. First check that each company counted the same belongings and is pricing the same work.

Comparison point What to verify
Survey format In-person or qualifying video survey, date, and which rooms and storage areas were visible.
Inventory Itemized furniture, carton assumptions, specialty items, and a written list of exclusions.
Measurement Cubic feet or cubic metres, the total stated volume, and whether it represents packed or usable loading space.
Packing and preparation Full or partial packing, cartons and materials, dismantling, reassembly, crating, and protection.
Access and handling Stairs, lifts, long carries, parking constraints, shuttle vehicles, and other access charges.
Equipment The exact truck, trailer, or container and its provider-stated usable capacity.
Estimate type Whether the written price is binding or non-binding and what events permit a change.

When collecting several quotes, send the same room list, carton count, photographs, dimensions, services, and access details to each provider. Differences then reveal assumptions or service scope instead of merely reflecting different surveys.

What U.S. interstate rules require

For household-goods motor-carrier moves covered by 49 CFR Part 375, the federal rule is specific: the carrier generally must conduct a physical survey and provide a written estimate based on it to a prospective individual shipper. The shipper may waive the survey in writing, signed before loading. A qualifying virtual physical survey uses live or recorded video that clearly identifies the goods to be transported. These requirements do not automatically govern every local, intrastate, international, or non-household move.

HOMESURE Supports 200lbs Heavy Duty Moving Bags - Strong Zipper & Wrap-Around Handles - Water-Resistant Storage Totes, Durable Alternative to Moving Boxes - 8 Pack - Semi-Transparent
  • ULTRA-STRONG 200LB LOAD CAPACITY — Independently tested to support heavy-duty moves. Our signature wrap-around handles encircle the entire bag from bottom to top, creating a structural "cradle" that supports weight from the base. Combined with reinforced stitching, these bags won't snap or tear, even when packed with heavy linens, books, or kitchenware.
  • THE SMARTER BOX ALTERNATIVE — Why buy expensive, bulky moving boxes that end up in the trash? One 24-gallon HOMESURE bag provides the same volume as a large box but is far easier to carry over the shoulder. When empty, all 8 bags fold down into a compact stack, saving you a massive amount of storage space in your closet or car trunk.
  • COLLEGE DORM MOVE-IN READY — Save time and car space on move-in day. One 24-gallon HOMESURE bag is a dorm room lifesaver. To visualize the space: it fits 2 Twin XL comforters and 1 mattress pad, OR 6 standard pillows, OR 30+ sneakers and an entire semester’s worth of sweaters. It’s the ultimate heavy-duty solution for carrying everything from the trunk to the dorm room.
  • INSTANT CONTENT IDENTIFICATION — Stop the "guessing game" on moving day. Each tote features a clear plastic tag pocket. Simply slide in a label to identify "Master Bedroom" or "Garage Toys" in seconds. This small design detail saves hours of unzipping and searching, making your organization system professional and efficient.
  • PRO-GRADE PROTECTION — Crafted from high-density, water-resistant woven fabric with smooth #5 dual zippers. These aren't flimsy one-move bags; they are designed for years of reuse. Whether it's light rain during transit or long-term storage in a dusty attic, your clothes and linens stay pristine and protected.

“You must conduct a physical survey of the household goods to be transported and provide the prospective individual shipper with a written estimate, based on the physical survey, of the charges for the transportation and all related services.”

49 CFR § 375.401(a), Electronic Code of Federal Regulations

The written estimate must state whether it is binding or non-binding. A binding estimate is an advance agreement based on the quantities and services shown. A non-binding estimate is based on estimated weight or volume and requested accessorial services; final charges are based on the actual shipment weight and applicable tariff provisions. Read the current documents for your move type, because the federal rule’s scope and pricing terms do not extend to every relocation.

Using the estimate to choose equipment

Once the inventory produces a volume, compare it with the exact equipment’s usable capacity, not a marketing label or nominal exterior size. A trailer may have a stated loading volume, while a container system may offer several individual units. Heavy furnishings, protective packing, awkward shapes, and loading order can reduce practical flexibility even when the arithmetic appears to fit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If your estimate approaches the equipment limit, ask what happens if the shipment exceeds the available space: an additional container, a larger vehicle, a second trip, or removal of items may have different costs and scheduling consequences. Confirm whether the quoted capacity assumes customer loading or professional loading, and whether access conditions require a smaller vehicle or shuttle.

What to do when the inventory changes

  1. Write down every added, removed, or substituted item as soon as the decision is made.
  2. Send the revised list and dimensions or photographs to the mover before loading day.
  3. Ask for a revised volume, equipment check, services list, and written price or estimate status.
  4. Keep the accepted inventory with your moving documents so the crew and estimator are working from the same version.

This process is especially important when you acquire furniture, empty a storage unit, add a piano or safe, or switch from self-packing to full packing. Small changes may fit within existing capacity; a few large pieces can change the equipment requirement.

How many cubic feet is my move?

There is no dependable answer from bedrooms alone. Begin with a room-by-room list, include cartons and every storage area, measure unusual items, and obtain a survey using the same information you give other movers. A published range can help you spot an obviously incomplete quote, but the itemized inventory and exact equipment capacity are the figures to use for planning.
