A dated cash-in/cash-out log can show what your food stall took in, what it spent, and how much cash or electronic-payment activity should be accounted for at the end of the day. A plain notebook is enough to begin; the important part is recording transactions consistently and keeping business activity distinct from household money.
Start with a simple daily cash book
Choose a record system you can actually use during service and at closing. For a paper system, a ruled exercise book or notebook works: the Food and Agriculture Organization (FAO) describes a standard arithmetic exercise book as a suitable cash book. Divide each page into money received and money paid out. For each entry, write the date, the source or purpose, and the amount.
You can use a single page per day or a dated row for each transaction. A practical page might include these columns:

| 2026-10-13 | 240 | 60 | 300 | 95 | 15 | 10 | 25 | R-01 to R-04 |
Illustrative example only: the amounts are in unspecified currency units, not a local price guide or a required reporting format. The example records 300 in sales across two payment methods, 120 in listed business spending, and a separate 25 withdrawal. A template like this is a practical starting point, not a regulator-mandated form. Add categories that fit your stall, but keep sales, business costs, and personal withdrawals distinguishable.

If the day is busy, you do not need to make the page elaborate. A notebook entry with the date, what the money was for or where it came from, and the amount is better than a complicated form that is left blank. A pocket calculator, phone calculator, or careful hand arithmetic can help total entries; the FAO training materials include calculators as a possible aid, not a requirement.
Record sales close to when they happen
Make a note at the point of sale when practical, especially if you handle many low-priced items. The International Labour Organization’s training guidance for a different small-enterprise context recommends a daily cash record noting the item and amount at each cash sale. That workflow transfers naturally to a food stall: enter the sale or a reliable batch total while the details are still clear, rather than relying on memory at night.
For frequent, low-value sales
Use a consistent method throughout the day. Depending on how you sell, that could mean listing individual sales, recording a batch total at regular intervals, or recording totals from a dependable till or payment record. If you use batch totals, make clear in the notebook what period or batch the number covers and how you derived it. Do not silently combine cash and card or mobile payments into one amount if doing so makes it impossible to check either balance later.

For fewer or larger sales
A receipt book can be more practical when there are fewer, higher-value transactions. The ILO material describes receipt books as another approach. Whether you issue receipts, and what information or numbering is required, depends on local rules and the needs of your customers. Keep the business copy or a suitable record of the transaction if receipts are part of your process.
Whatever method you choose, capture the date, amount, and payment method where relevant. Avoid collecting customer personal details unless you have a clear need and lawful basis to do so. A daily sales total tells you the volume of money received; a breakdown by method lets you compare the record with cash in the till and entries in a mobile-payment or card account.
Write down purchases and other business costs
For every business purchase or expense, note the date, what you bought or paid for, the amount, and how you paid when that detail matters to your records. Useful descriptions are specific enough to make sense later: “tomatoes and onions for stock” is more informative than “shop.” Common categories for a food seller may include ingredients, packaging, cooking fuel, stall fees, and transport, but only include categories that apply to your business.

Keep evidence that supports the entry. The U.S. Internal Revenue Service (IRS) says supporting records should substantiate details such as the payee, amount, payment, date, and business purpose. It gives receipts, invoices, and other transaction records as examples. Depending on the transaction, a sales slip, deposit slip, invoice, or payment record may also help explain the entry. The point is to be able to connect the number in your cash book to a real transaction and its business purpose.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →- Write the purchase in the log promptly, rather than saving a pile of receipts for later reconstruction.
- Keep the receipt, invoice, or other evidence with the page or transaction it supports. A small envelope or dated folder can work for paper records.
- Give each supporting document a short reference, such as “R-01,” and write the same reference in the log.
- If a receipt is unavailable, make a dated note describing the transaction and retain any other supporting record you have. Local rules may specify what evidence is acceptable.
Do not record a household grocery purchase as a food-stall expense simply because it was paid from the same pocket. If a purchase served both household and business purposes, keep the basis for any business portion clear and check local rules for how to treat it. A notebook cannot settle every accounting or tax question; it can preserve the facts needed to answer them.
Keep household money separate in the record
Cash often moves between a stall and its owner, especially in an informal business. The important recordkeeping step is to label that movement instead of disguising it as a sale or an operating cost. If you take money home for household use, write it as an “owner withdrawal” or “household withdrawal,” with date and amount. If you add personal money to cover a business purchase, identify it as money put into the business rather than sales.

FAO bookkeeping guidance stresses the importance of separating business and household money: without that distinction, an owner cannot work out whether the business is profitable. In practice, even when you cannot keep separate physical cash, clear entries can preserve the distinction in your records. The withdrawal is not a purchase of ingredients or fuel, and it should not inflate the stall’s recorded expenses.
Use a short closing routine to check the day
At closing, total sales and spending separately. Then compare the cash and electronic payment activity you can verify with the entries in the log. This is a practical cash check, not a universal ritual required by a regulator. Regular recording and transaction summaries are supported by IRS small-business guidance; a specific close-out procedure for every informal food stall is not prescribed by the sources cited here.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Finish the entries. Add any sales and purchases not yet written down, using receipts, payment records, or other notes to fill gaps.
- Total sales by payment method. Add cash sales separately from mobile, card, or other receipts. Add those subtotals for total recorded sales.
- Total costs by category. Add purchases and other business expenses separately from household or owner withdrawals.
- Check what should be on hand or in the payment record. Compare the log with the cash you count and the electronic transactions you can see. Account for any cash removed or added, change float, refunds, or timing differences in a dated note rather than forcing the numbers to match.
- Attach or reference the evidence. Keep the day’s supporting documents together and mark any entry that needs follow-up.
If the totals do not agree, look first for a missed cash sale, an expense recorded under the wrong date, an unrecorded withdrawal, a payment that has not yet appeared in an account, or a simple addition error. Correct the record transparently: preserve the original entry where possible, add a dated correction or explanatory note, and do not erase a discrepancy just to make the page balance.

Understand what the daily difference does—and does not—tell you
Subtracting the expenses written in a daily cash log from recorded sales can tell you whether the day’s recorded cash inflows exceeded its recorded outflows. It is useful for tracking cash movement and spotting days when spending was heavier than receipts. It is not automatically net profit. A simple daily log may omit stock used from earlier purchases, bills that are owed but not yet paid, equipment costs, owner withdrawals, or other business costs. Those items affect the wider picture and may need different treatment in proper accounts.
Use the log to notice patterns: which days bring more sales, which costs recur, and whether a particular supply purchase is larger than usual. Treat the record as a basis for questions and decisions, not as proof of profitability unless it captures the costs and accounting treatment relevant to that conclusion. If you need formal accounts or tax figures, ask a qualified local adviser how to handle inventory, unpaid bills, and other items for your jurisdiction.
Choose paper or digital records you can maintain
Paper and electronic systems can both work. IRS guidance recognizes both, while requiring electronic systems to produce complete, accurate, and accessible records. There is no universally best format for every vendor. Compare the options against the realities of selling and record access:
Recommended Free Tools
| Consideration | Notebook or paper cash book | Phone, spreadsheet, or other electronic record |
|---|---|---|
| During a busy service | Can be used without a device, but writing each entry may interrupt service. | May make entries or totals convenient if the device is dependable and easy to use. |
| Finding totals and past dates | Requires manual addition and page-by-page lookup. | Can make totaling and searching easier when the records are organized correctly. |
| Backup and security | Keep the book dry and secure; consider how you would recover information if it were lost. | Plan for secure access and a usable backup; a device or file problem can make records unavailable. |
| Internet or paid software | Neither is needed for a paper log. | A spreadsheet or local record can be used without assuming internet access or a paid subscription is necessary. |
Pick the method you can use consistently, keep readable, and retrieve when needed. A digital tool does not improve records if entries are skipped; a notebook does not work if receipts become detached or pages cannot be found. If you switch methods, preserve access to the old records and make the date of the change clear.
Check local receipt, tax, and retention rules
Recordkeeping and tax requirements vary by jurisdiction. IRS guidance applies to U.S. federal records, not every country. Singapore’s Inland Revenue Authority (IRAS) provides a separate local example of requirements covering records, receipts, and retention, including rules that apply to certain non-GST-registered sellers. That example should not be treated as a requirement elsewhere. Receipt issuance, numbering, required fields, and how long records must be kept can depend on where the stall operates and its legal or tax status.
Before relying on a notebook format for formal compliance, check the current rules from your local tax authority or a qualified local adviser. Ask specifically which sales and expense records are required, what receipts must show, which electronic records are accepted, and how long supporting documents must be retained. Keep records in a form you can retrieve for the applicable period; do not assume that a receipt book or daily total alone satisfies every local obligation.
