I automated recurring Excel work by recording the steps I already knew, then checking that the recording behaved as intended. That saved me hours in my own routine; it is not a guaranteed result for every spreadsheet or user. The practical lesson is to automate stable, repeatable steps, choose between VBA macros and Office Scripts based on your workflow, and test safely before trusting the result.
Which Excel tasks are worth automating?
Start with work you repeat in nearly the same way: cleaning or formatting a recurring report, applying a familiar sequence of workbook changes, or preparing a sheet for the next step in your process. A task is a better candidate when its steps and the relevant cells stay predictable. If each run requires judgment or the layout changes substantially, a recording may need editing or may replay the wrong actions.
Write down the steps before recording. Microsoft recommends recording a process you know well, because accidental clicks and corrections can become part of the recorded sequence. If the workflow is long, divide it into smaller macros that each perform a relevant piece of the task. Microsoft’s Macro Recorder guidance explains how recorded actions are turned into VBA.
Should you use a VBA macro or Office Scripts?
Both approaches can record and replay actions, but they fit different environments. Microsoft describes VBA as able to automate tasks within and between Office applications. Office Scripts are designed for Excel in Microsoft 365 across the web, Windows, and Mac, and can connect to Power Automate. Access to Office Scripts may depend on your Microsoft 365 license and administrator settings.

For my familiar, repeatable sequence, recording a macro was a straightforward fit. If your work needs to follow the selected cell or run as part of a Power Automate flow, Office Scripts may fit better. Neither option is a universal winner; the workflow and environment decide.
How to record a repeatable task
Record a macro in Excel
- Open the workbook and confirm the steps you intend to repeat. Save a separate copy before testing; macro actions cannot be undone.
- Start the Macro Recorder, perform the sequence carefully, and stop recording when the task is complete. Microsoft’s Quick start: Create a macro provides the Excel steps.
- Run the macro on a copy and inspect the result. If it includes an accidental action or needs adjustment, inspect its generated VBA in the Visual Basic Editor.
- Keep a long workflow manageable by splitting it into smaller, relevant macros rather than recording unrelated work as one sequence.
- Save the workbook as .xlsm or .xlsb to keep the VBA. A standard .xlsx file does not preserve macros.
Record an Office Script
- In Excel, open the Automate tab and select Create from Recording.
- Perform the workbook changes to capture them. Choose absolute references when the recorded cell addresses should remain fixed; choose relative references when the actions should be positioned from the selected starting cell.
- Stop the recording, then run the script against a suitable copy or test workbook and verify the result.
- If the recording needs more control, edit the script in TypeScript. Microsoft Support notes, “You don’t need any coding experience to record and run Office Scripts.”

How to test automation without risking your workbook
Macros cannot be undone, so save first and test on a copy rather than on your original workbook. Compare the output with what you expected, including the cells that changed and any formatting or data that should have stayed untouched. Do not enable macros in a file unless you trust its source and want the functionality; Microsoft’s Macro Recorder guidance covers the security considerations.

How to tell whether it actually saves time
The time saved depends on how often the task recurs, how long it takes manually, and how much checking or correction the automation requires. No general savings figure is established by the Microsoft feature guidance, so treat “hours every week” as a personal result, not a promise for other users.
To measure your own outcome, compare manual and automated runs over a representative period. Include setup, review, and correction time—not just the time it takes to run the macro or script. Keep the automation only if the repeated workflow is reliable and the total time is meaningfully lower.

Keep VBA macros in a compatible file
If the workbook contains VBA, save it as .xlsm or .xlsb. Saving as .xlsx removes the macro content. If you need to move a macro module between workbooks, Microsoft documents the process in Copy a macro module to another workbook. Office Scripts are a separate automation approach and are not VBA macros.
