Document OCR does more than turn pixels into words when it is paired with layout analysis. It can locate text, describe where it appears, and represent relationships among paragraphs, headings, tables, figures, and other page elements. That structure is what makes a scanned invoice, report, or form useful as machine-readable data—not just a block of recognized text.
The important distinction is that recognizing characters and reconstructing a document’s organization are separate tasks. Even a well-formed table in an OCR result needs checking: a grid can look plausible while a value has been assigned to the wrong row or column.
What layout-aware OCR adds to text recognition
Optical character recognition (OCR) identifies characters in an image or document. On its own, OCR may return a sequence of words or lines. That is useful for searching or copying text, but it can lose the relationships that give a page meaning. For example, a number in a table is not fully useful unless the system also identifies its row, column, and heading.
Layout-aware document analysis adds a structural layer. It detects page regions and their relationships, then associates recognized text with elements such as paragraphs, headings, tables, figures, form marks, and reading order. Microsoft describes its Document Intelligence layout model as combining OCR with deep-learning models to extract text, tables, selection marks, and document structure.

A useful way to picture the result is text plus coordinates plus relationships. A service can return recognized words and lines, locations on the page, confidence values, and references connecting text spans to larger elements. Google Cloud Document AI, for example, describes a structured Document object. Its raw text field contains recognized textual content, while other elements can point to ranges within that text.
This layered result matters because downstream software can use both the words and their context. A search index might need only text. An invoice workflow may need a total, its label, and the page location where both appeared. A reviewer may need the original crop to confirm that a table value was read correctly.
How a document becomes structured output
Although the implementation varies by service and model, layout-aware OCR can be understood as a sequence of related operations. The system receives a file or page image, detects text and page regions, recognizes characters, and then organizes the results into structural elements. The response schema determines how much of that organization an application can use.

- Read the input: The service accepts a digital document or an image of a page, subject to the selected model’s format, size, and page constraints. A digital PDF and a low-quality photograph are not equivalent inputs; the model must still locate and read the page content.
- Detect regions: The system identifies likely text lines, paragraphs, tables, figures, page furniture, and other elements supported by the model.
- Recognize text and marks: OCR produces words or lines. Depending on the service and requested features, the result can also include selection marks or other form-related elements.
- Associate content with structure: The model groups text into larger elements and may record reading order, table cells, headers, spans, captions, and relationships among elements.
- Return text, geometry, and metadata: An application receives a structured response it can process, inspect, or send through validation rules. The exact fields depend on the service and analysis options.
These are conceptual stages, not a promise that every product exposes them as separate operations. The practical point is to select a model and output schema that preserve the information the next step needs. If the application must let a person verify a value on the source page, retain coordinates or other location references instead of keeping only a flattened text string.
How OCR reconstructs tables
Table extraction is both text recognition and structure recognition. The system has to locate the table and infer a grid: which text belongs in which cell, where rows and columns begin, whether cells span multiple rows or columns, and which cells act as headers. Reading every word accurately is not enough if the relationships among those words are wrong.

Microsoft’s documented table output can include row and column counts, cell polygons, row and column spans, header classification, and support for rotated tables. AWS Textract documents cells and merged cells, column headers, table titles and footers, summary cells, and whether a table is structured or semi-structured. These are examples of the kinds of structure a service may expose; they are not a guarantee that every table will be reconstructed correctly.
Cell geometry and text references are useful for checking results. A reviewer or downstream rule can compare an extracted value with the corresponding region on the original page. For consequential data, verify the text, row and column associations, units, and totals against the source. A returned grid is a representation to validate, not proof that the values are semantically correct.

A merged heading may cover several columns, and a value can appear under a multi-level header rather than a single label. If an extraction flattens such a table into a simple sequence, that context can disappear. Look for whether the selected model represents spans and header cells, and inspect how your application will preserve them. In a review workflow, keeping the cell’s page location alongside the extracted value helps a person resolve ambiguous assignments.
What happens when a table continues onto another page
Page boundaries create a separate problem from reading the cells. A model may return the sections of one logical table as separate tables. Microsoft advises checking whether a table spans pages and describes splitting pages and post-processing them into one table as an approach. Google’s Gemini layout parser documentation warns that PDF tables spanning pages might be split into two tables.
If a document contains continuing tables, design for that possibility rather than assuming the service will join them automatically. Compare headings, column structure, and page order, then merge only when the pages support treating the regions as one table. Keep the original page and coordinates available so a reviewer can distinguish a genuine continuation from two separate tables with similar columns.

How mixed-content pages are represented
Many pages interleave prose, headings, lists, figures, tables, page numbers, headers, footers, and checkboxes. Layout analysis tries to identify these different elements and, where supported, preserve their positions and relationships. Microsoft’s layout model describes paragraphs, text, lines and words, selection marks, tables, figures, and sections. Its figure objects can include bounding regions, text spans, related elements, and captions.
AWS documents paragraphs, lists, headers, footers, page numbers, figures, tables, titles, and section headers, with bounding boxes and text in an implied top-to-bottom, left-to-right order. Reading order is useful, but a page with columns, sidebars, or inset callouts can make the intended sequence less obvious than a simple vertical flow. Check whether the returned sequence suits the actual document rather than assuming that a single order works for every page design.
Finding a figure region is not the same as understanding the figure. A model can locate an image or chart and associate nearby text or a caption, while interpretation of the chart’s values or meaning may still require a separate capability or human verification. Treat region detection and content interpretation as different requirements when planning an extraction workflow.
Form marks are another distinct element. A service that exposes selection marks can help identify checked boxes, but applications still need rules for mapping the mark to the right question or option. The coordinates and surrounding labels may be as important as the mark itself.
Comparing three cloud document-analysis options
Microsoft Azure Document Intelligence, Amazon Textract, and Google Cloud Document AI all document ways to analyze document structure. The documentation describes features and constraints; it does not provide a common benchmark testing the three services on the same documents. It therefore does not support a universal accuracy ranking. Compare the particular model, input, output, and review needs for your workload.

The table describes documented behaviors, not an exhaustive feature matrix or a head-to-head test. For any capability that is decisive to your workflow—such as a file type, language, page limit, or a particular form field—check the exact API and model documentation before building around it.
Choose based on input, output, and review needs
A sound comparison starts with the documents you actually need to process, not a broad claim that one service is best. Before selecting an option, answer these questions:
- What are the inputs? Confirm file types, size and page limits, languages, and whether documents are digital or scanned. Support can differ by API and model.
- What structure do you need? Decide whether plain OCR is sufficient or whether the workflow requires reading order, table grids, forms and key-values, signatures, figures, or selection marks.
- How complex are the tables? Check behavior for merged or rotated cells, header representation, structured versus semi-structured tables, and page-spanning tables.
- What mixed content appears? Consider headings, lists, figures, captions, page headers and footers, and the relationships your application must preserve.
- How will someone verify uncertain results? Inspect the response schema for confidence and geometry information, and decide how human review or downstream rules will handle uncertain fields.
- How does the output fit your system? Compare the response schema and API or SDK integration with the data your application stores and the checks it needs to perform.
Microsoft’s general input guidance recommends one clear photo or high-quality scan per document for best results. For paper-first work, a document scanner can provide page images; no particular scanner model is established here, and scanning hardware is unnecessary when the source documents are already digital. Whatever the capture method, check the selected service’s own input requirements rather than assuming that good image quality overrides format or size limits.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Build validation into the extraction workflow
OCR can reduce manual transcription, but an application should not silently treat every extracted field as verified. A practical workflow tests the output on representative documents and checks the fields whose relationships affect decisions. This is especially important for totals, dates, units, and values that can shift meaning if assigned to the wrong row or heading.
- Collect representative pages: Include the document types, scan quality, table shapes, and mixed-content layouts your application will encounter. Do not evaluate only a clean sample if real inputs include rotated tables or multi-page reports.
- Run the intended model and options: Use the API and requested analysis features planned for deployment. A plain text run may not reveal what a layout or table mode returns.
- Inspect the structured result: Check recognized text, element types, cell assignments, spans, reading order, coordinates, and any confidence information the response provides.
- Compare material fields with the page: Verify values and their labels in context. For tables, check headers, row and column membership, units, and calculations such as totals.
- Define review rules: Route ambiguous or consequential values for human inspection or additional validation instead of accepting them solely because they appear in a grid.
- Retain traceability: Preserve references to the source page and relevant regions so a reviewer can locate the evidence behind an extracted value.
This process is a way to manage extraction risk, not a claim that any particular vendor achieves a specific accuracy rate. The official feature descriptions do not establish a shared accuracy result across products, document types, or conditions.

Version and format limits to check
Product support changes over time, so verify current documentation for the API and model you intend to use. Microsoft identifies Document Intelligence API 2024-11-30, v4.0, as generally available and recommends it for new development. Its documentation says the v3.0 API reaches end of support on March 30, 2029. These version details are specific to Microsoft’s documented service, not a general OCR compatibility promise.
Microsoft’s v4.0 documentation also says table analysis is not supported for XLSX input. Do not assume that a model handles every format identically simply because it analyzes PDFs or images; select a pathway appropriate to the source format and required output.
Google’s Gemini layout parser has format-specific behavior: its documentation lists PDF figures, paragraphs, tables, titles, headings, page headers, and page footers; it warns that PDF tables spanning pages might be split. For DOCX, it supports tables across pages but not nested tables. For HTML, parsing relies heavily on tags, so CSS-based formatting might not be captured. A layout that looks clear in a rendered browser view may therefore not map cleanly to the parser’s structural input.
AWS lets callers request analysis features including TABLES, FORMS, QUERIES, SIGNATURES, and LAYOUT. Its optional A2I human-review configuration has a separate availability caveat: the API reference says A2I entered maintenance mode in July 2026 and no longer accepts new customers. That note concerns the optional review configuration; it does not mean the core Textract analysis API is unavailable.
What OCR can—and cannot—tell you about a page
Layout-aware OCR is most useful when the output needs to preserve more than a stream of words. It can represent page regions and relationships that help software find a heading, associate text with a figure, reconstruct table cells, or retain reading order. The amount and form of that structure depend on the service, model, input type, and requested analysis.
Structure is not the same as guaranteed interpretation. A table grid can contain a misplaced value; a detected figure need not be understood; and a page-spanning table may arrive in separate pieces. The reliable approach is to choose a model for the needed output, test it on representative pages, retain page-level traceability, and validate extracted data wherever a structural mistake would change the result.
