Mavenlink is now Kantata OX, the professional-services project management product. To manage a project, create it from Projects, build and assign the work in Task Tracker, then use the workspace’s collaboration, schedule, staffing, and time-and-expense tools as your account permissions allow.

Is Mavenlink still available?

Mavenlink merged with Kimble Applications to form Kantata. The former Mavenlink product is now Kantata OX; the former Kimble product is Kantata SX. If you are looking for the Mavenlink workspace or help material, use Kantata OX resources and its login rather than treating OX and SX as the same product. Kantata Support

Kantata OX brings project information, conversations, tasks, progress, resourcing, time, expenses, and financial summaries into a project workspace. The exact tabs and controls you see depend on your role, account configuration, subscription plan, and enabled features.

What access do you need to create a project?

Before starting, confirm your project-creation permissions with your account administrator. Project Creator permission is required to create a non-financial project; a financial project requires Project Lead or higher. Access to individual workspace areas and the ability to edit them are also permission-dependent. Kantata’s project-creation guide

How do you create a project?

  1. Open Projects from the left navigation and choose the Add icon, or open the Projects page and select Add Project.

  2. Enter a project name, which is required. Add a description and dates as appropriate, then select the Provider and Client teams.

  3. Review the privacy options and choose whether to start from a template or configure the project directly. If you use a template, review its preferences rather than assuming its settings fit the new project.

  4. If useful, plan unnamed resources, identify team members, and set the financial and approval preferences available to you.

  5. Select Create Project.

Not every field is mandatory. Creation sections and preferences can differ by subscription plan and account settings, so a missing option does not necessarily mean you have overlooked a step.

How do you build and assign the work?

Open the project’s Task Tracker to add tasks, deliverables, milestones, or issues. Assign the appropriate team members, then arrange or nest items to show how the work is organized. A clear task structure makes ownership and progress easier to follow.

Use the tracker’s saved views, filters, and configurable columns to focus on the information your team needs. Editing tasks requires suitable project permissions, and some columns require additional access. Kantata’s Task Tracker guide

Where do you coordinate project delivery?

These areas are part of the project workspace, but their tabs and actions are not universal. Availability varies with permissions, project type, account settings, and enabled features. Kantata’s project-workspace guide

How do you plan people and capacity?

When creating a project, the Resource Plan can help represent demand before specific people are assigned. An unnamed resource can be described by role and label, with a date range, number of days, allocation percentage, and hours. You can also add named people to the Provider Team.

For ongoing resource planning, the Resourcing tab is limited to financial projects. Access requires provider-side project membership, scheduling permissions, and resource-management access. If your project is not financial or you lack the required access, you may not see this tab. Kantata’s project-workspace guide

How do you track time and expenses?

Use Time & Expenses to enter or review project records when the feature is available to you. Time and expenses can be associated with a task only if the task is marked Time Trackable and time tracking is allowed for the project. User permissions control access and approval, so ask your project lead or administrator if you cannot enter or approve a record.

Can you connect Kantata OX to other tools?

Kantata’s M-Bridge documentation lists prebuilt workflow configurations for NetSuite, Slack, Xero, HubSpot, Jira, Concur, Expensify, and Intacct. It also describes API and flat-file options for scheduled import or export of projects, tasks, time, expenses, invoices, and members. Configuration and pricing details are handled through Kantata Customer Success or an Account Executive; confirm what is available for your account before planning around an integration. What can you do from the mobile app?

Kantata’s mobile guide covers accessing projects, posting in Activity, using Task Tracker, tracking time, and recording expenses on iPhone and Android. Whether a project appears and which time or expense features are accessible depend on project privacy, organization settings, plan, and permissions. For full Kantata OX functionality on an iPad, Kantata recommends using the desktop version. Kantata Mobile guide

Which project setup choices should you make first?

  • Estimate-stage or active project: Decide whether you are planning prospective work or coordinating delivery already underway; this affects how you frame the project and its staffing needs.

  • Template or direct setup: Choose a template when its structure and preferences suit the work, or build directly when you need to define the plan yourself.

  • Named people or role-based demand: Add named team members when ownership is known; use unnamed resource roles when you need to plan capacity before assignments are settled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Participation and privacy: Review privacy settings in light of who should be able to participate and communicate in the project.

  • Task schedule or broader staffing view: Use task-level schedule visibility to organize delivery; use Resourcing where available if you need provider-side resource planning across the project.

These are configuration choices, not universal best practices. Feature access and exact settings depend on your Kantata OX account and project permissions.
