In Numbers on Mac, select a row by clicking its number or a column by clicking its letter, then use the label’s arrow menu for interior changes. Use the table-edge controls to add rows or columns quickly. To keep data but remove it from view, hide the selected rows or columns rather than deleting them.

Apple’s current Numbers User Guide covers Numbers 15.4; the version installed on your Mac may differ, and interface labels can change between releases.

Select rows or columns first

  1. Open the spreadsheet and click the table you want to edit.
  2. Click a row number along the left edge to select a row, or a column letter along the top to select a column.
  3. To select adjacent rows or columns, drag across their labels. To select nonadjacent ones, hold Command while clicking each label.

Once selected, use the row-number or column-letter arrow menu to add, delete, hide, or unhide items. Apple describes this selection method in its row and column selection instructions.

The edge controls can remove rows or columns when the cells being removed are empty. How do I hide or unhide rows and columns?

Hide selected items

  1. Select the rows or columns using their labels.
  2. Move the pointer over a selected row number or column letter and click its down arrow.
  3. Choose Hide Selected Rows or Hide Selected Columns.

A gray bar indicates the hidden area. Hiding changes visibility rather than deleting the rows or columns, so their data remains in the table and can still be used by formulas.

Unhide items

To reveal a hidden range, select an adjacent row or column, open its arrow menu, and choose the applicable Unhide option. To reveal every hidden row or column in the table, use the menu bar: Table > Unhide All Rows or Table > Unhide All Columns.

Numbers does not let you hide rows or columns in a pivot table; Apple recommends using filters to limit the visible pivot-table data. Merged cells can also prevent particular rows or columns from being hidden. Apple documents these limits in its hide and show rows and columns guide.

How do I move a row or column?

Reorder rows

  1. Select the row or rows by their numbers.
  2. Click and hold one of the selected row numbers until the selection appears to lift off the table.
  3. Drag the selection above or below the destination row, then release.

Reorder columns

  1. Select the column or columns by their letters.
  2. Click and hold one of the selected column letters until the selection appears to lift off the table.
  3. Drag the selection to the left or right of the destination column, then release.

Moving rows between a header or footer area and the table body can change their formatting. Dragging rows or columns outside the existing table creates a new table. Apple’s row and column rearranging instructions describe the drag operation.

Move versus transpose: what is the difference?

Moving selected rows or columns changes their order within a table. Transposing is a separate whole-table operation that swaps rows and columns; it is not the way to reposition one selected row or column. Apple’s transpose instructions note that the command is unavailable when the table supplies a pivot table or the spreadsheet is shared. In some circumstances, transposing can discard sort or filter rules or unlink a form.
