Context management is how an application decides which instructions, conversation turns, documents and tool results a large language model (LLM) receives for one request. The model can use only the tokens inside that request’s context window, so useful applications trim, summarize, retrieve, split or cache information instead of sending everything forever.
What an LLM context window actually is
A context window is a finite, request-time token budget. It is the working area available to the model while it produces one response, not the model’s total learned knowledge and not a permanent memory database. A model may have broad information encoded in its parameters, but it can directly attend to the instructions and material supplied in the current request only within its context limit.
The budget is shared by the parts of a request. Depending on the model and API, that can include system instructions, developer instructions, the user’s message, earlier conversation turns, tool definitions, tool results, retrieved documents, the generated answer and, for some models, internal reasoning tokens. OpenAI’s API documentation defines a context window as the total tokens available for input and output, with reasoning tokens included for some models. Therefore, reserving the entire limit for input can leave too little room for an answer.
Capacity is model-specific. OpenAI documents 128,000 tokens for the gpt-4o-2024-08-06 model as an example; that figure is not a universal limit for LLMs or for every version of that model. Check the selected model’s current input and output limits before designing a prompt.

Tokens are not words
A token is a unit produced by a model’s tokenizer. A token may represent a whole short word, part of a longer word, punctuation, whitespace or a character sequence. Token counts change with the model’s encoding and with the language and formatting of the text. A page containing 2,000 words therefore does not have a fixed token count across models.
Use the tokenizer or token-counting method documented for the exact model when enforcing limits. Treat a word-count estimate as a rough planning aid only. Code, tables, markup, long identifiers and text in some languages can consume tokens faster than ordinary prose.
What enters the context in a multi-turn application
A chat interface may look like it has one continuous memory, but the application normally constructs a new request for every turn. It may resend some or all of the previous messages, along with stable instructions and any tools the model can call. Each carried message occupies space again unless the provider offers a mechanism that reuses processing internally.
A typical request can contain:
- Behavior and safety instructions: system or developer messages that define the assistant’s role, output format and boundaries.
- Conversation state: recent user and assistant messages, corrections, decisions and unresolved questions.
- Tool material: function schemas, arguments, tool results, files or structured records.
- External evidence: passages selected from a knowledge base, search index or uploaded files.
- Generation allowance: the maximum answer length and, where applicable, reasoning-token budget.
These categories compete for the same model-specific capacity. A long system prompt and many tool definitions can reduce the room available for conversation and output before the user has written a long message.
What happens when the request is too large
There is no single universal “forget the oldest message” behavior. The outcome is controlled by the product or API. Some systems truncate content, while others return an explicit overlength error. A provider can also limit the generated answer when little capacity remains, producing a response that ends abruptly. Documentation for conversation-state APIs warns that large prompts can lead to truncated outputs.

Automatic truncation is especially risky when it removes a system instruction, a constraint at the start of a task or a decision that later turns rely on. Even when an application deliberately keeps the newest turns, the model may lose definitions, exact figures or earlier promises that still matter. Design the application so it knows what was removed and can recover it rather than assuming silent trimming is harmless.
Recognize the symptoms
- An API response reports that the input exceeds the model’s context limit.
- The assistant asks for information that was present earlier in the chat.
- A response stops mid-sentence or omits requested sections because output room was exhausted.
- The model follows a recent instruction but violates an older constraint that was truncated.
- Tool calls fail because a large schema, result set or document consumed the available budget.
Leave explicit headroom for the answer and any reasoning tokens. A request that fits only when the model generates zero tokens is not a usable request.
Five ways applications manage context
1. Trim or shorten the active prompt
Trimming is the simplest approach: remove irrelevant history, duplicate instructions, old tool results and passages that do not affect the current question. For a focused task, send only the requirements and evidence needed for that task instead of the entire conversation.
Shortening can include replacing verbose instructions with a precise policy, removing repeated examples, reducing a tool schema to the operations actually available, or asking the user to split a large job into smaller requests. The trade-off is information loss. Do not remove exact values, acceptance criteria, legal wording or other details that determine the result.
2. Summarize or compact history
Compaction replaces older turns with a shorter state representation. A useful summary records the user’s goal, decisions already made, unresolved questions, constraints, exact values and links or identifiers needed later. It should not merely describe the general topic.

Summaries are lossy. A model-generated summary can omit a negative requirement, alter a number or merge two similar decisions. For high-stakes workflows, keep a structured state object alongside the prose summary. For example, store fields such as deadline, approved_options, excluded_options and open_questions so exact state survives compression.

Whether compaction is automatic, available through an API parameter or something your application must implement depends on the provider. Inspect the resulting conversation state and retain a recovery path to the original messages.
3. Retrieve relevant information (RAG)
Retrieval-augmented generation keeps a large corpus outside the prompt. The application searches that corpus for passages relevant to the current question, then inserts the selected evidence into the request. OpenAI documentation describes vector-database retrieval and built-in file search as examples of this pattern.
- Ingest source files and preserve metadata such as title, section, date and access permissions.
- Split the material into searchable chunks while keeping enough surrounding text to preserve meaning.
- Create an index, commonly with vector representations and sometimes keyword search as well.
- Turn the user’s question into a search query and retrieve candidate passages.
- Filter by permissions, date or document type, then remove duplicates and irrelevant results.
- Place the selected passages in the prompt with clear source labels and tell the model how to handle missing evidence.
RAG reduces the amount of unrelated corpus material sent to the model, but it does not guarantee a correct answer. The system can fail before generation if search misses the relevant passage, ranks a misleading passage first or returns conflicting versions. Log retrieved chunks and evaluate retrieval separately from the model’s writing.
4. Use a model with a larger context
A larger-context model can simplify workflows that genuinely require many related passages in one request, such as comparing a set of contracts or analyzing a long technical specification. It does not remove the need for selection: limits remain model-specific, and more text is not automatically more useful.

Long-context guidance from Google notes that, in many long-context cases, the question works best after the supplied context. Treat that as provider guidance rather than a law that applies to every model. Test where instructions, evidence and the question appear in your own workload, and keep the prompt organized with headings and source boundaries.
Long context and retrieval are compatible. Retrieval can select the relevant evidence, while a larger window can hold more of the selected material. There is no evidence here for a universal accuracy, latency or cost ranking between long-context prompting and RAG; the result depends on the model, corpus and implementation.
5. Cache stable prefixes
Prompt caching reuses processing state for an unchanged leading portion of a prompt across requests. A stable system instruction, tool definition or reference section can therefore avoid repeated processing, potentially reducing latency or input-processing cost where the provider offers caching.
Caching does not enlarge the context window. Cached tokens still count toward the request’s context limit. Put stable material first and changing conversation or retrieved passages afterward when the provider’s caching rules favor a matching prefix. Compaction, truncation or even a small edit near the beginning can change that prefix and prevent reuse. Confirm the provider’s minimum cacheable length, retention period and billing rules before relying on savings.

- 【Reduce Safety Risks】Cable tray under desk keeps all plugs away from your kids, no more worry about tripping. Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.
- Define the current task. Identify the question, required output format, audience and completion criteria. Do not carry unrelated goals into the request.
- Reserve output capacity. Set an answer budget appropriate to the task, and reserve additional room when the model may use reasoning tokens. The remaining capacity is the maximum input budget.
- Count tokens for the exact model. Count system messages, tools, conversation, retrieved text and formatting overhead with the model’s tokenizer or provider utility.
- Protect invariants. Keep safety rules, output schema, permissions, exact figures and user decisions in a protected state that trimming cannot discard.
- Select history. Prefer recent turns that directly bear on the task. Replace older, low-priority turns with a validated summary when continuity matters.
- Retrieve evidence. Search external stores only when the task needs information not already in the protected state. Limit results by relevance and available tokens.
- Assemble in a predictable order. Put stable instructions and tool definitions first, then durable state, selected evidence, the current question and any response-format reminder.
- Check the final count. If the request is over budget, shorten or summarize low-priority material, reduce retrieval, or split the task. Never depend on an undocumented truncation policy.
- Record provenance. Store which messages were summarized, which passages were retrieved and which content was omitted so a user or operator can diagnose a wrong answer.
- Recover after failure. On an overlength error, retry with a smaller evidence set or a compacted history. On a truncated answer, continue with the missing section only after confirming the model still has the necessary state.
A practical priority order
When space is tight, a useful default priority is: non-negotiable safety and format instructions; exact user constraints and decisions; evidence directly supporting the current answer; a concise state summary; recent conversational wording; and finally older, repetitive dialogue. Adapt that order for your domain. A contract-review system may prioritize the full clause text over conversational niceties, while a customer-support system may prioritize the latest account events.
Choosing an approach
| Approach | Where material lives | Preserves exact wording? | Implementation work | Main risk |
|---|---|---|---|---|
| Trim or split | Only the selected material is in the active prompt | Yes for retained text | Low | Discarding a detail the answer needs |
| Summarize or compact | Older state is replaced inside the prompt | No; the summary is lossy | Low to medium | Omitted or altered constraints |
| RAG | Most corpus content remains external | Yes for retrieved passages | Medium to high | Retrieving incomplete or wrong evidence |
| Larger-context model | More material fits in one active prompt | Yes for supplied text | Low application work, model-dependent | Higher usage or latency and still-finite limits |
| Prompt caching | Repeated prefix is processed from cached state | Yes for the matching prefix | Medium; requires stable ordering | Prefix changes invalidate reuse; cached tokens still count |
These choices can be combined. For example, an application can compact a year-long chat into structured state, retrieve two current policy passages, use a larger-context model for a comparison and cache the stable instructions. Select based on whether the information is reusable, whether exact wording matters and how often the same prefix recurs.
Document and chat examples
Long customer conversation
Keep the latest exchange verbatim, store account facts and confirmed decisions in structured fields, and summarize older discussion into unresolved issues and next actions. Retrieve the relevant policy passage for each new question rather than attaching the entire policy manual to every turn.
Large document comparison
For two documents that fit together with adequate output headroom, a long-context request may be simpler. If they do not fit, split them by section, extract structured claims first, then ask a second request to compare those claims. Preserve section identifiers so a reviewer can trace a conclusion back to the source text.
Tool-using agent
Tool schemas and results can dominate the budget. Expose only the tools needed for the current phase, truncate verbose logs after extracting the fields required for the next step, and store large files outside the conversation. A tool result should state its key values and a retrievable identifier instead of repeating an entire database response.
Common mistakes and fixes
- Assuming a token equals a word: count with the selected model’s tokenizer.
- Filling the limit with input: reserve room for output and any reasoning tokens.
- Sending the whole knowledge base: index it and retrieve relevant passages.
- Trusting an automatic summary: preserve exact numbers, decisions and exclusions in structured state.
- Assuming every API truncates identically: read the selected provider’s overlength and truncation behavior and handle errors explicitly.
- Treating caching as extra memory: cached tokens still occupy context capacity.
- Changing the prompt prefix unnecessarily: keep stable instructions and tools in a consistent order when reuse matters.
- Ignoring retrieval quality: inspect what was retrieved, not just the generated answer.
The practical rule
Think of context as a per-request workspace with a hard, model-specific capacity. Keep durable state outside the chat transcript, place only task-relevant evidence in the active prompt, protect exact constraints, count tokens before sending, and leave output headroom. Trim or split simple work, compact long-running state, retrieve large external corpora, choose a larger context when it genuinely helps, and cache only stable prefixes. This turns “the model forgot” from a mystery into an observable budgeting and selection problem.
