You usually cannot tell from an application confirmation or a portal status whether a human recruiter has read your application. Those signals generally confirm that the system received or processed something, not that a person reviewed it. To improve the chance your application can be understood, follow the posting’s instructions, submit a readable file in the requested format, and describe relevant experience truthfully using the role’s requirements. Look for direct recruiter contact, and use the employer’s stated contact route if you need an update.

What proves that a person has seen your application?

A direct message from a recruiter or an interview invitation is evidence of human contact. A generic automated acknowledgement, a “submitted” label, or a status change is not proof of human review unless the employer explicitly says that status reflects a person’s review.

Hiring systems vary. The U.S. Department of Labor describes applicant tracking systems as tools for collecting, tracking, sorting, and identifying applications; features may also include job posting, scheduling, and alerts to recruiters or hiring managers. Some systems use algorithms or AI to screen applications, but that does not mean every system automatically rejects applicants or assigns every application a universal score. The Department of Labor’s Employment Workshop guide (version 6.0, Update 1, March 2026) describes these capabilities.

How to make your application easier to review

  1. Apply through the route in the job posting. Save the confirmation, job title, requisition number, and submission date so you can refer to the correct application if you contact the employer.
  2. Follow the file instructions. Use a text-readable format the employer accepts and requests. The Department of Labor cautions that some automated systems may not index non-text documents and that formatting differences can cause qualified applicants to be overlooked. This is not a claim that all PDFs fail: use the portal’s stated accepted formats.
  3. Connect your experience to the stated requirements. Describe relevant skills and accomplishments accurately, using terms from the job announcement where they fit your experience. Do not stuff in keywords or claim qualifications you do not have.
  4. Complete each requested section. Follow the employer’s instructions for forms, assessments, and supporting materials. A readable résumé cannot substitute for information or steps the posting requires.

These practices reduce avoidable interpretation problems; they cannot guarantee that a human will review a particular application.

How should you interpret application statuses?

Signal What it establishes What it does not establish
Submission confirmation or “submitted” status The system recorded a submission or shows it as submitted. That a recruiter or hiring manager read it.
Generic automated acknowledgement The employer’s system sent an acknowledgement. That a person reviewed the application or that you meet the qualifications.
Status change The application record changed in the system. Human review, unless the employer explicitly defines the status that way.
Direct recruiter response or interview invitation A person has contacted you. That every part of your file has been reviewed or that a hiring decision is final.

Silence is ambiguous: it does not tell you whether the application was read, remains in a queue, or is no longer under consideration.

When and how to follow up

If the posting names a recruiter or hiring contact and permits follow-up, send a brief, professional message through that channel. Include the job title and requisition number, confirm that your application is complete, and ask whether a timeline is available. No universal follow-up interval is established; use any timing the employer provides. A follow-up may get a response, but it cannot force a review or prove one took place.

If no contact route is provided, use the employer’s published application-status process rather than guessing at a recruiter’s email address. Keep a copy of your application and any messages.

What is different about federal applications on USAJOBS?

Federal hiring guidance offers a specific example of mixed review, not a guarantee that applies to private employers. The USAJOBS Help Center says some agencies use an automated review of eligibility and qualifications, and a human resources specialist reviews resumes. Its help answer states: “Real people, human resource specialists, do look at resumes.” Follow the instructions in the individual vacancy announcement and consult the USAJOBS Help Center explanation of automated review; agency practices can differ.

What if an application step is inaccessible?

In the United States, disability-related concerns can arise at several stages: technology may target job advertisements, assess qualifications, conduct video interviews, test skills, or score resumes. The Department of Justice says the Americans with Disabilities Act applies to employers’ selection and testing practices. Employers should assess technology for disability-related screening effects and provide reasonable accommodations when required. Its guidance recommends telling applicants what technology is used and how they will be evaluated, giving enough information to decide whether to request an accommodation, and providing a clear request process.

If a step prevents you from completing the application or participating in an assessment, use the employer’s stated accommodation process and explain what adjustment you need. See the DOJ’s guidance on algorithms, artificial intelligence, and disability discrimination in hiring (May 12, 2022).

U.S. selection procedures can include more than résumé software: application-form review, interviews, education and experience review, tests, and other procedures used in employment decisions. The EEOC’s interpretation of the Uniform Guidelines on Employee Selection Procedures explains that procedures with disproportionate effects on protected groups may require validation or another lawful justification. These are general U.S. guidelines, not a determination about a particular employer or case. If you suspect discrimination, consider the relevant employer accommodation channel and appropriate government resources.
