AI planners find meeting options by checking the calendar information and constraints they are allowed to use, then offering one or more candidate times. A free slot is not proof that a person is available in the human sense: the system may not know about an unrecorded commitment, someone’s preferences, or circumstances that never reached the calendar. Treat a recommendation as a starting point to review, not a guarantee that the time works for everyone.
How does AI find the best meeting times?
In ordinary language, an AI planner is looking for a time that fits the information it has been given. Microsoft’s product FAQ uses the question “How does AI find the best meeting times?” The answer depends on the particular product, but the basic idea is to find openings that satisfy declared requirements and present possible matches.
Microsoft Graph’s findMeetingTimes documentation describes suggestions based on the organizer’s and attendees’ availability, along with time or location constraints provided in the request. Product scheduling materials also identify working hours, existing commitments, time zones, and user settings as relevant inputs. These are not necessarily all used by every planner: an integration can only act on the calendars, settings, and other data it is authorized and designed to access.
From request to candidate times
- Interpret the request. A person might ask, “Find a 30-minute slot with Sarah tomorrow.” OneCal uses that as an example of a natural-language scheduling request. The planner needs to interpret the duration, participant, date, and any other constraints; products may differ in how they handle ambiguity.
- Check accessible scheduling data. Depending on the tool and permissions, this can include calendar availability, working hours, time zones, settings, or additional authorized context. A planner that has access only to busy/free status has less information than one authorized to use event details or another connected service.
- Identify times that fit the stated conditions. The system can identify candidate openings that appear to satisfy the requirements it received. If the request leaves a condition unspecified—for example, whether an early meeting is acceptable—the planner cannot reliably treat that unstated preference as a rule.
- Present or act on a result. Some tools only recommend times; others can propose an action or modify a calendar, subject to their feature design and permissions. A suggested time is not the same thing as an accepted invitation.
This describes the observable scheduling task, not a universal account of how every model is built internally. Microsoft’s documentation gives inputs for its API, but it does not publish a scoring formula that would justify claiming that a particular time is always ranked highest for a specific reason.

What information can a planner use?
Access varies by product, connected account, and permission. A scheduling assistant may use calendar availability alone, or it may be designed to draw on more context. For example, Calendly says its Callie assistant can review Calendly app data and email threads, suggest meeting times using availability and settings, take requested actions, and reply on a user’s behalf. OneCal documents questions across connected Google, Outlook, and iCloud calendars, as well as calendar-modification features. Those descriptions are product-specific, not a feature list for every AI planner.
One distinction matters when you evaluate what “calendar access” means: seeing availability is not necessarily seeing event contents. OneCal says its team availability assistant can see whether a team member is free or busy, but does not see event titles, details, or attendees. A planner with only this kind of availability signal can identify a conflict; it cannot use hidden event details to determine what the commitment is or how important it might be.
More connected data can help a tool handle a broader request, but it also increases the importance of understanding permissions. A calendar-only assistant and an assistant that can read email threads do not have the same view of your information or the same ability to act on it. Do not infer access from a feature’s name: check the specific account connection and authorization requested by the product.

What a calendar cannot tell the planner about you
A calendar is a record of events and availability, not a complete account of someone’s day or intentions. A time marked free does not prove that the person wants a meeting then, has no offline obligation, can attend, or prefers that hour. If someone has not recorded a commitment—or if the integration cannot see the relevant detail—the planner has no dependable calendar evidence of it.
This is a limit of the available inputs, not evidence that every AI system has the same internal design. The documented distinction between busy/free visibility and event details illustrates why: a system can know that a slot is blocked without knowing what the block means, and an open slot does not encode the reasons a person might decline it. It is reasonable to infer that a planner cannot reliably account for unrecorded personal context from calendar data alone. That does not establish that a particular product is reading motives or inferring sensitive traits.
For a concrete example, suppose a planner finds a 30-minute opening for you and Sarah tomorrow. The result can be a valid match for the duration, date, and calendar availability the tool checked. It cannot, on that basis alone, establish that Sarah has finished a task, that you are not traveling between locations, or that either person is comfortable meeting at that time. Those details matter only if they are represented in accessible data or supplied by a person.

Why a recommendation is not a guarantee
Even when the inputs do not change, a recommendation should not automatically be treated as a permanent result. Microsoft Learn’s findMeetingTimes beta documentation says, “The algorithm used to suggest meeting times and locations undergoes fine-tuning from time to time.” It also says, “In scenarios like test environments where the input parameters and calendar data remain static, expect that the suggested results may differ over time.” This caveat is specific to that beta API documentation; it should not be generalized to every commercial scheduling assistant.

That matters if a developer is building an integration: beta behavior is not a dependable production contract. It is separate from the everyday judgment a meeting organizer needs to apply to a proposed time.
Human review is also a practical way to handle cases that do not fit routine rules. Microsoft Research’s Calendar.help publication describes a historical system that broke common scheduling cases into repeatable workflows and microtasks, automated tasks where possible, and routed unusual cases to a trained human assistant. Its publication page describes “scheduling thousands of meetings during a year of real-world deployments.” That is the publisher’s description of a past deployment, not an independently verified success rate or evidence about how current planners perform.

What to check before connecting an AI planner
Before granting access, compare the product’s actual permissions and controls with the work you expect it to do. A tool that only proposes times has a different risk profile from one that can edit events, send invitations, or reply to email on your behalf.
- Connected services and data: Identify which calendars, email accounts, or app data the assistant will access. Ask whether it needs event contents or only free/busy status to perform the task.
- Account ownership and administration: Determine whether the account is personal, work, or school managed. Organizational administrators may have controls or visibility that do not apply to a personal account.
- Actions and approvals: Check whether the tool can create, edit, or delete events, send invitations, or respond to messages. Find out which actions require confirmation and whether that can be changed.
- Retention and data use: Look for the provider’s current explanation of what information is retained, for how long, and whether it is used to improve or train services. Do not assume one provider’s policy applies to another.
- Sharing and disconnect controls: Check whether you can change event-sharing settings, revoke an integration, or export or delete relevant data. For a work or school account, some controls may be set by an administrator.
- Error handling: Find out how the assistant signals uncertainty, handles missing availability, and gives you a chance to review a proposed change before it affects other people.
Provider statements are specific to their services
Google says Calendar content is processed for functions such as spam and malware protection and searching calendar entries. It also says personal calendar content is private unless shared, while a work or school administrator may be able to view the calendar. Google describes controls for sharing, activity, and data export; an organization’s administrator may restrict downloads. These statements concern Google’s service and account arrangements, not calendar providers as a category.

Its guidance warns that tasks may misunderstand requests, identifies highly sensitive or critical activities as unsuitable, and advises users to review actions. Calendly says its AI providers receive the minimum data needed for a feature and that customer data is not used to train models across customers. Those are provider statements; check current terms and settings for the specific product, plan, and region you use.

OneCal says calendar changes require confirmation and that its assistant can make mistakes. A confirmation step is useful, but it does not replace reviewing the event details, participants, and timing before approving a change.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to evaluate two scheduling assistants
There is no basis here for declaring one planner more accurate than another. Instead, compare the capabilities and safeguards that affect your particular workflow. A tool that fits a simple internal meeting may be inadequate for coordinating external participants or taking action across email and calendars.
| What to compare | Questions to ask | Why it matters |
|---|---|---|
| Calendar support and permissions | Which calendar services can connect? Does the tool need free/busy access, event details, or broader permissions? | The available data sets the limits on which conflicts and constraints the planner can consider. |
| Context used | Does it use calendar availability only, app data, email, or another connected service? | More context can support more kinds of requests, while requiring you to understand what additional information is accessed. |
| Recommendation versus action | Does it suggest a time, create or edit an event, send an invitation, or respond to messages? | Recommendations leave the organizer to act; delegated actions can affect other people and calendars. |
| Confirmation and review | Does the assistant ask before making changes or sending something? Can you inspect details first? | A review step gives you a chance to catch wrong participants, dates, or assumptions before they become an action. |
| Incomplete or unusual cases | What happens when availability is missing, constraints conflict, or a request is ambiguous? | Routine calendar matching does not resolve every exception; the product should make limitations or needed decisions clear. |
| Privacy and administration | What retention, sharing, export, and administrator controls apply to your account? | Controls can differ between personal and organization-managed accounts and between providers. |
A practical way to use recommendations
- State the constraints that matter. Include meeting length, date range, time zone, attendees, and any genuine scheduling boundaries. If a constraint is important but not in your calendar or settings, say it rather than expecting the planner to infer it.
- Check the scope of access. Confirm which calendars or services the assistant can consult and whether it sees event details or only availability. For organization-managed accounts, review any applicable administrator rules.
- Review the proposed slot in context. Verify the date, time zone, participants, event length, and location if relevant. Consider personal or work commitments that are not represented in the calendar.
- Approve only the intended action. Before confirming, distinguish between accepting a suggestion and authorizing the assistant to create an event, send an invitation, or make another change.
- Correct the inputs when the result is wrong. Update calendar availability or settings where appropriate, clarify the request, or choose a time yourself. A planner can only improve its next candidate when the relevant constraint is made available to it.
These steps do not make the planner omniscient; they make the boundary between automated matching and human judgment explicit. The assistant can reduce the work of finding openings, while each participant or organizer remains responsible for deciding whether a candidate is suitable.
