Short answer: an AI app must process your prompt or file to generate a reply, but that immediate processing is only one possible use. Depending on the product, account type and settings, the same data may also be checked for safety, used to improve models, included in feedback analysis, reviewed by people, connected with other services, personalized to your account, or retained for a stated period. Training opt-outs, chat deletion, temporary modes, memory controls and connected-app permissions are separate controls.
What happens when you send a prompt or file?
Your text, image, document or other upload is transmitted to the provider’s systems so the model and supporting services can interpret it and produce a response. The provider may also collect generated content, app and device information, activity records and data from services you connect. Google’s Gemini Apps Privacy Hub, for example, describes prompts and shared files alongside generated content, app and device information, connected-app data and related activity.
That operational step should not be confused with later policy purposes. A provider can process a file to answer your question without automatically using it to train a future model. Conversely, turning off model improvement does not necessarily erase a saved conversation or prevent every safety, legal or service operation. Product policies are account-specific, can change, and may differ by country, plan and workspace.
The distinct ways an AI service may use your data
Generating your requested response
The core use is inference: the service analyzes your prompt and any supplied file, retrieves relevant context from an enabled connector, and returns text, code, images or another output. A file generally has to remain available to the service long enough to scan it, create an answer and apply abuse and security checks. “Used to answer this prompt” therefore does not mean “stored forever,” nor does it mean “used for training.”

Safety, abuse and security checks
Providers can inspect conversations or uploads to detect malware, fraud, self-harm, harassment, policy violations and attacks on the service. These checks may involve automated systems and, in limited cases, trained reviewers. A temporary mode can reduce history or training use while still allowing retention for safety. OpenAI says ChatGPT temporary chats may be retained for up to 30 days for safety; that is a safety-retention period, not a claim that every temporary chat is read by a person.
Model improvement and training
“Training” or “model improvement” means using eligible interactions to adjust or evaluate future models. It is a different purpose from producing the answer, storing your history or maintaining a memory profile. Official policies do not establish a universal percentage of prompts that are used, or the chance that a particular upload enters training. Treat the setting on your product and account as the controlling detail.
Feedback submissions
A thumbs-up, thumbs-down or written report can change eligibility and retention. Feedback often sends the related conversation, not just your rating, to the provider. OpenAI says a conversation associated with feedback may be used to improve models even after you opted out. Anthropic says the whole conversation related to submitted feedback can be stored in its backend for up to five years. Google says feedback can include recent conversation context, uploads and content from Connected Apps.

Some providers use trained reviewers or service providers to assess a subset of data for safety, quality or improvement. Google states: “Human reviewers (including trained reviewers from our service providers) review some of the data we collect for these purposes.” Google also says chats are disconnected from accounts before being sent to service providers. Disconnection reduces direct account association; it is not a promise that the content is never seen or retained.
Personalization, memory and connected services
An app may save preferences or memories so later answers are more relevant. A connected drive, calendar, email account or other integration can supply additional material when you authorize it. Connector permissions are separate from model-training settings. Anthropic distinguishes raw connector content from text you copy into a conversation: raw connector content is not included unless you directly copy it into the chat. Once copied, it becomes part of the conversation you submitted and can be handled under that conversation’s rules.

Retention and deletion
Retention answers “how long can a provider keep this data?” Training answers “may it improve a model?” Deleting a chat from your history answers “can I remove it from my account view?” Those answers can differ. Backups, abuse investigations, legal obligations, feedback records and human-review samples may follow separate schedules stated in the provider’s policy.

These are policy descriptions, not an independent privacy ranking. A setting can apply to new conversations only, and a workspace administrator or regional rule can change what you see.

For an individual Free, Plus or Pro account, open Settings > Data controls and turn off Improve the model for everyone. OpenAI’s help guidance says, “After you opt out, we won’t use your new conversations to improve our models.” The statement concerns new conversations and model improvement; it does not delete chats already saved in your account.
Use chat deletion or the account’s data controls when your goal is to remove saved history. Use Memory controls when your goal is to stop the service from retaining or using remembered preferences. Use Temporary Chat when you want a conversation that does not appear in history or create or update memories. OpenAI says temporary chats are not used to improve models while temporary, but may be kept for up to 30 days for safety.
Do not submit a sensitive conversation to feedback casually. OpenAI says a conversation associated with feedback may be used to improve models even if you previously opted out. Also note that saving a temporary chat changes its status: OpenAI states, “If you save a temporary chat, it becomes a regular chat and follows your account’s personalization and model-improvement settings.”

Business, Enterprise, Edu and API inputs and outputs are not used for model improvement by default according to OpenAI’s documentation, but the exact contract, administrator settings, region and configuration still matter. Confirm the terms for your workspace rather than assuming that an individual-account setting carries over.

Claude: consumer settings, Incognito and feedback
Anthropic’s consumer guidance covers Free, Pro, Max and accounts using Claude Code. Chats or coding sessions can be used for model improvement if you allow it, if safety systems flag a conversation, or if you explicitly opt in. Incognito is a narrower protection: Anthropic states, “Your Incognito chats are not used to improve Claude, even if you have enabled Model Improvement in your Privacy Settings.”
Incognito does not make a prompt invisible to the service. The conversation still has to be processed to answer you and may be subject to safety, security and operational handling. If you send feedback, Anthropic says the whole related conversation is stored in its backend for up to five years. That long period applies to the feedback-associated conversation, not to every ordinary chat.
Connector scope is another important boundary. Anthropic says raw connector content is not included in model-improvement data unless you directly copy that content into the conversation. Copying a private document into the prompt therefore gives it the same conversation context as any other submitted text.

Commercial Claude arrangements use a different customer/controller framework. A company’s contract and instructions can determine how data is processed, so do not apply consumer Incognito or consumer training language to a business workspace without checking its terms. Gemini offers several controls that affect different stages of data handling. When Keep Activity is off, future chats do not appear in Gemini Apps Activity and do not train AI models unless you send feedback. Temporary chats are also not used to train models.
Google says both temporary chats and chats made while Keep Activity is off are retained with your account for 72 hours for service response, feedback and protection. That is why turning Activity off is not the same as immediate deletion. Google says the normal Gemini Apps Activity auto-delete default is 18 months; you can change it to 3 months, 36 months or indefinite.
Human review creates a further exception. Google says a subset of chats is reviewed by human reviewers, including trained reviewers from service providers. Reviewer-handled chats and related data may be retained for up to three years, and Google says those records are not deleted when you delete Gemini Apps activity. Google also says chats are disconnected from accounts before being sent to service providers.

Feedback can contain more than the sentence you typed: Google says it may include recent conversation context, uploads and Connected Apps content. Check connected-app permissions before asking Gemini to summarize private mail, files or calendars. Audio and Live features can have separate controls, so review those settings rather than assuming the text-chat choice covers every input type. Questions people often get wrong
Does turning off training delete my chats?
No. Model-improvement opt-out, account-history deletion and memory management address different things. OpenAI explicitly separates its improvement toggle from deleting saved chats. Gemini’s 72-hour service-and-safety retention applies even when Keep Activity is off, and reviewer-retained records can remain for up to three years under Google’s stated exception.
Can a human read my AI chats?
It is possible for a subset to be reviewed under provider safety or quality processes. Google expressly documents human review and service-provider reviewers. Anthropic and OpenAI also describe safety or feedback pathways that can receive conversation content. None of the cited policies provides a probability that your specific chat will be reviewed.

What happens to a file I upload?
The file is processed to answer the request and may be retained, scanned for safety, included in feedback context or handled under connector rules. Whether it can improve a model depends on the product, account, setting and exceptions. Deleting a chat does not automatically revoke a connected service’s permissions; remove the connection separately.
Are business and API accounts automatically private?
No universal guarantee follows from having a business label. OpenAI documents no model-improvement use by default for Business, Enterprise, Edu and API data, while Anthropic describes commercial customers as the controller in their own processing context. Contracts, administrator settings, region and configuration determine the actual behavior.
A safer way to use AI apps
- Classify the material. Before uploading, identify personal identifiers, financial records, health information, confidential work, client data and secrets such as passwords or access tokens.
- Minimize the prompt. Remove names, account numbers and irrelevant pages. Replace a real identifier with a neutral label and upload only the excerpt needed for the task.
- Check the account scope. Confirm whether you are in an individual consumer account, a managed workspace or an API project. Do not assume a setting from one environment applies to another.
- Set the relevant controls. Review model-improvement, history, Memory, Temporary or Incognito, Keep Activity and connected-app settings. They solve different problems.
- Avoid feedback on sensitive material. Ratings and comments can attach the conversation, uploads and connector context to a longer-lived review or improvement record.
- Disconnect services you no longer need. Revoke drive, mail, calendar or other connector access separately from deleting a chat.
- Delete deliberately. Remove saved conversations or activity when appropriate, but read the provider’s retention exceptions for safety, backups, feedback and human review.
- Recheck policy pages. Product labels, defaults and retention periods can change. Use the provider’s current help or privacy page before submitting highly sensitive information.
What the published policies do not establish
The documentation compared here does not provide a cross-provider rate for how many prompts are used in training, how many are reviewed by people, or the likelihood that any particular upload is selected. It also does not establish one rule for every AI app, API configuration, country or business workspace. The reliable conclusion is narrower and more useful: your data must be processed to answer you, and additional uses depend on the named product, account, controls and stated exceptions.
