Aerospace traceability is a controlled chain of evidence—often called part genealogy—that connects a material heat, lot, or batch to every operation, inspection, special process, assembly relationship, release record, and delivery. A serial-number label by itself is not enough. The manufacturer must be able to start with either a delivered part or its original material and reconstruct what happened, which revision was used, who accepted each step, and what happened to any nonconforming or scrapped item.
FAA production guidance, defense procurement clauses, and customer quality procedures all expect this chain to remain intact. In practice, production lines create it by recording material identity before fabrication, carrying that identity on a router or electronic traveler, assigning controlled serial numbers, linking objective evidence at every transformation, and retaining records that support recall and audit.
What aerospace traceability proves
Traceability answers two questions in both directions. Backward traceability shows where a part came from: the approved supplier, material certificate, heat or lot number, receiving inspection, and any stock split or kit used in fabrication. Forward traceability shows where that material went: each work order, operation, special process, inspection, assembly, shipment, customer, and—when recorded—installation.
FAA Advisory Circular (AC) 21-43A, issued October 1, 2015, states that traceability should be maintained “throughout the manufacturing process from raw material to completed product or article.” It also calls for an individually unique serial number for each affected product or article so that the item can be identified for recall. AC 20-62E, issued September 14, 2018, addresses quality, eligibility, and traceability of aeronautical parts and materials intended for installation on U.S. type-certificated products. AC 43-213A, issued May 14, 2013, covers marking and remarking during maintenance, alteration, and fabrication.

These documents do not turn every aerospace product into the same record set. The drawing, purchase contract, approved quality procedures, customer specifications, and applicable regulatory authority determine the required detail. A simple nonserialized consumable and a life-limited flight-control component will therefore have different controls.
The end-to-end record chain
1. Supplier approval and receiving
The chain starts before material reaches the shop floor. Purchasing records the purchase order, part or material specification, required revision, and approved source. Receiving personnel capture the supplier’s certificate, heat, lot, or batch identifier, quantity, condition, and any shelf-life or environmental limits. They verify that the certificate describes the material actually delivered and that the source is authorized for the application.
Receiving inspection can include dimensional checks, visual examination, documentation review, and sampling required by the quality plan. A discrepancy is placed on hold and assigned a nonconformance record rather than being silently accepted. The receiving transaction then establishes the enterprise record against which later movements are reconciled.
2. Preserving material identity in stock
Each bar, sheet, casting, forging, fastener package, or controlled container is marked or otherwise identified with the applicable heat or lot number. If stock is cut, split, or kitted, the new pieces inherit the parent identifier through a documented transaction. A cut blank may receive a piece or container ID, but that identifier must still point to the original heat or lot.
Physical tags, labels, travelers, barcode scans, and electronic inventory records must agree. Mixed lots are not combined merely because the material has the same specification. If a process permits a blend, the approved procedure must define how every contributing lot is recorded.
3. Planning and the router or traveler
Before fabrication, the planner creates a work order tied to the part number, drawing revision, bill of material, routing revision, and applicable specifications. The raw-material heat, lot, or batch number is entered on the router or traveler before the first value-adding operation. Qarbon Aerospace’s supplier supplement, revision B effective March 1, 2024, states this control explicitly: the material batch number is documented on the router or traveler to maintain traceability to the fabricated part serial number.

The traveler is the controlled instruction and evidence package for the job. It identifies required operations, inspection points, special-process instructions, signatures or electronic approvals, and the configuration that was actually authorized. A later drawing revision cannot be substituted without a controlled change and an assessment of work already completed.

At each operation, the record shows completion against the correct work order and revision. Depending on the process, evidence can include operator or work-center identification, machine or equipment ID, tool status, program or recipe revision, measured values, and date and time. Automated capture reduces transcription errors, but a scan is useful only when the underlying identifier is controlled.
When one parent blank becomes several parts, the system records the split and reconciles the quantity. When several components become one assembly, the system records the merge and preserves every child identity. Scrap, rework, and material returned to stock are transactions in the genealogy, not informal notes outside it.
5. Special processes and outside suppliers
Heat treatment, plating, anodizing, coating, welding, bonding, nondestructive testing, and other special processes require linked evidence because the result cannot always be verified completely by later inspection. The record identifies the approved processor, applicable specification and revision, batch or load number, processing parameters or certificate, and acceptance status.
Outsourced work does not break the chain. The purchase order and shipping record connect the internal serial or lot to the processor’s certificate. On return, receiving verifies identity, quantity, condition, and documentation before the part is released to the next operation. A missing or ambiguous certificate places the affected material on hold until quality determines disposition.
6. Inspection, testing, and nonconformance
In-process and final inspection results are linked to the exact part, lot, or assembly tested. Records may include calibrated equipment, inspector identity, characteristic numbers, actual readings, test conditions, and acceptance criteria. Test reports and laboratory certificates are retained with the work order rather than stored as unreferenced attachments.

A nonconformance record identifies the affected quantity and genealogy, describes the discrepancy, and records containment, root-cause or investigation activities where required, and final disposition. Rework instructions are approved before execution and generate new evidence. A concession or use-as-is decision remains linked to the part and customer authorization. If a lot is split after inspection, the system preserves which pieces were covered by the result.
7. Serialization and marking
Where serialization is required, the manufacturer assigns a unique, controlled serial number according to the drawing, contract, or quality procedure. The physical mark, data plate, barcode, two-dimensional code, or approved alternative must remain associated with the part through subsequent operations. Marking methods and locations follow the applicable design and marking instructions.
The serial number is never reused for that part number. Qarbon Aerospace’s procedure requires delivered and scrapped serial numbers to be accounted for in quality records; a serial number on a scrapped or lost part goes out of existence with that part. This prevents a later item from inheriting an apparently valid history and makes recall scope reliable.
8. Assembly, release, and delivery
Assembly records establish parent-child relationships: which serialized components, lots, and consumables were installed in a higher-level assembly. Final acceptance confirms that required operations, inspections, deviations, and certificates are complete. The release package can include a certificate of conformity or authorized release document, final inspection record, configuration identification, and approved customer-specific forms.
Packaging and shipment records retain the shipped serial or lot numbers, quantity, destination, and date. For controlled or shelf-life materials, storage and environmental conditions are also recorded. The result is a forward link from the finished part to the customer, delivered assembly, or installation record.

Controls that make genealogy reliable
- One authoritative identity: Define the system of record for each material lot and serialized part. Do not allow duplicate IDs, informal aliases, or silent re-entry of scrapped numbers.
- Event capture at every handoff: Scan or transcribe identifiers at receiving, stock movement, kitting, transformation, special processing, inspection, assembly, and shipment.
- Quantity reconciliation: Account for every unit after a split, merge, return, rework cycle, or scrap transaction. The consumed quantity should reconcile with remaining stock and finished output.
- Configuration control: Tie the as-built record to the drawing, bill of material, routing, software or machine program, and specification revisions actually in effect.
- Evidence, not status alone: A green workflow status is not a substitute for a certificate, measurement, approval, or other objective evidence required by the procedure.
- Bidirectional retrieval tests: Start with a raw-material heat or lot and list every affected part and shipment; then start with a delivered serial number and walk back to the source material. Investigate gaps before an auditor or customer finds them.
Digital systems and paper travelers
A paper traveler can provide a compliant chain when it is legible, controlled, protected from unauthorized alteration, and indexed for retrieval. Electronic manufacturing-execution and traceability systems add barcode or RFID capture, workflow enforcement, revision control, certificate attachment, and searchable genealogy. They can also expose quantity mismatches as they occur instead of at final review.

Software does not create compliance by itself. If operators can bypass a scan, overwrite a lot number, or close an operation without required evidence, the electronic system merely hides the weakness more efficiently. Procedures, training, physical identification, access controls, and periodic retrieval tests remain essential.
What an aerospace audit expects to see
An auditor typically selects a part, serial number, lot, or certificate and follows the chain in both directions. The evidence should show approved source and receiving, material identity, the traveler and applicable revisions, operation completion, special-process certificates, inspection and test results, nonconformances and dispositions, assembly relationships, final release, and delivery. The auditor may also sample a raw-material heat and ask for every affected part, including scrap and work in progress.
Defense contracts can impose a particularly explicit requirement. A DLA procurement requirement effective January 22, 2021, calls for an “unbroken chain of traceability, by lot and batch number or by serial number, from the original FAA-approved manufacturer through all entities that either purchased, received, stored, and/or redistributed the item(s).” That language extends beyond the factory to distributors and other supply-chain entities.
Records of materiel should allow verification, at any point from raw material to final product, of how the material was used and disposed of. Retention periods, formats, access rights, and legal holds come from the contract, regulation, and approved quality system. A manufacturer should be able to produce a readable record without relying on one employee’s memory or an obsolete application.

Common breakdowns and corrective actions
Unmarked or mixed stock
Symptom: A cut piece is found without its heat number, or two lots are stored together. Action: Quarantine the material, reconstruct identity only from objective records, and obtain quality disposition. Do not guess based on location or appearance.

Certificate does not match the part
Symptom: The supplier certificate lists a heat or quantity not present on the traveler. Action: Stop release, reconcile receiving, inventory, and processor records, and correct the controlled record through an approved change. If identity cannot be proven, treat the material as unverified.
Serial number duplicated or reused
Symptom: Two physical items carry the same number, or a scrapped number appears on a later job. Action: Contain both items, preserve the original transaction history, assign a new controlled identity where authorized, and document the disposition. Never overwrite history.
Outside-process record missing
Symptom: A plated, heat-treated, coated, or tested part returns without an acceptable certificate. Action: Place it on hold, verify processor approval and shipment identity, and obtain or reperform the required evidence under an approved procedure.

Configuration changed mid-job
Symptom: The traveler cites one drawing revision while inspection used another. Action: Determine the affected operations and parts, obtain engineering and quality review, and record the authorized disposition. A backdated edit is not configuration control.
Preparing for recall and customer questions
Effective containment begins with a reliable query. Given a failed heat, lot, process batch, or serialized part, the manufacturer should identify all affected work in progress, finished goods, shipments, and assemblies, then distinguish valid product from scrapped, reworked, or already replaced items. The same genealogy should show which other material or process lots are not affected, limiting unnecessary disruption.
Customers may ask for a certificate, inspection result, special-process evidence, or complete as-built history. Provide the record authorized by the contract and protect proprietary or personal information through controlled access. The release package should be consistent with the internal record; unexplained differences undermine confidence even when the hardware is conforming.
Practical implementation checklist
- Define which parts, materials, processes, and assemblies require lot, batch, or serial traceability.
- Document approved suppliers, receiving checks, marking methods, and quarantine rules.
- Create a controlled identifier scheme and prohibit reuse of scrapped or lost serial numbers.
- Require the material identifier on the router or electronic traveler before the first fabrication step.
- Map every split, merge, substitution, return, rework, and scrap event to a quantity and identity.
- Link special-process certificates, inspections, tests, nonconformances, concessions, and release documents to the same genealogy.
- Control drawing, bill-of-material, routing, specification, and machine-program revisions in the as-built record.
- Train operators and inspectors on physical marking, scanning, manual correction, and escalation of mismatches.
- Run scheduled backward and forward retrieval exercises using both a raw-material lot and a delivered serial number.
- Review retention, backup, access, and recovery controls against every applicable contract and regulatory requirement.
The Bottom Line
Reliable aerospace traceability is a maintained chain of evidence, not a label applied at the end. Preserve material identity before fabrication, link every transformation and decision to controlled identifiers, and verify that the complete genealogy can be retrieved from either the original heat or lot or the delivered serial number.
