To dispatch in Housecall Pro, create or open a job, enter its customer and service details, set its date and time, and assign one or more employees. Then use Schedule to review scheduled and unscheduled work, filter the calendar, and make changes. Your available options can vary with account settings, enabled features, and permissions.
Dispatch a job to an employee
- Create or open the work item. In the Housecall Pro dashboard, select Create > Job, or open an existing job or estimate. Add or select the customer and enter the service details. Job creation also provides areas for scheduling, dispatch, line items, notes, checklists, fields, tags, and attachments. If you open the Schedule page during job creation, Housecall Pro’s help article says you must assign an employee before saving. See Housecall Pro’s job creation guide.
- Set the appointment and assignment. Enter the date and time, then select the employee or employees who will do the work. Existing jobs and estimates can also be scheduled from their work item page or from the calendar. On mobile, documented scheduling controls include start and end date/time, anytime scheduling, recurrence, an arrival window, employee assignment, and whether to notify the customer for that scheduling action. - Review the dispatch calendar. Open Schedule to see jobs, estimates, events, and unscheduled work in calendar views. Use filters and team calendar controls to narrow what appears. Move unscheduled work onto the calendar when it is ready to be scheduled. The Dispatch view shows anytime jobs across business hours. See Housecall Pro’s Schedule guide.
The job’s customer and service details, timing, and employee assignment make up the core dispatch record. Keep those details accurate before relying on the calendar to coordinate the day.
Choose an employee calendar or route-based dispatch
Assign employees directly
Use employee assignment when the dispatcher plans work technician by technician. Housecall Pro’s calendar includes Dispatch and employee-oriented views, as well as schedule, day, week, Monday–Friday, and month views. Filters can narrow the calendar by team member, tag, or unassigned status.

Routes can suit businesses that routinely organize work around stable territories, recurring service patterns, or consistent team coverage. To enable the feature, go to Settings > Schedule and turn on Schedule with routes, if it is available in your account. Create route templates with a name, color, and assigned employees; then assign jobs, estimates, or events to a route from the work item or calendar. Work assigned to a route includes that route’s employees. See Housecall Pro’s route scheduling guide.

A route can be changed for a particular day without changing its template, which can help when staffing differs temporarily. With routes enabled, the Daily Routes view is the primary view. Route-based Day, Week, and Monday–Friday views support up to 15 routes and drag-and-drop between routes. Employee views show up to 15 employees, but do not support drag-and-drop assignment changes.

Routes organize work and employee coverage; the documented feature does not establish that they automatically optimize drive time. You do not need routes just to dispatch jobs directly to technicians.

Reassign employees after scheduling
For a standard job without appointments or recurrence, the scheduling FAQ describes changing dispatched employees in the job’s Line items area. For appointment or recurring-job assignments, use the Appointments section instead. You can also open a work item and edit its employee assignment, or move work between routes in a route-based calendar view where drag-and-drop is supported. See Housecall Pro’s scheduling FAQ.

You can assign multiple employees to a job. The scheduling FAQ says the first team member listed on the Schedule page is treated as the lead in the contexts it describes. The documentation does not describe a formal crew setup; route templates are a separate way to organize recurring coverage, not a substitute for a documented crew-management feature.
