Hire a podcast manager when recurring production and coordination work keeps threatening your release schedule or taking time away from higher-value work—and when the fee is justified by the time or reliability you gain. If editing is the only task slowing you down, an editor may be the better fit. The key is to hire for specific, repeatable deliverables, not for the job title alone.
Should I hire a podcast manager?
A podcast manager is most useful when a show has a regular publishing schedule and the work around each episode repeatedly competes with recording, running a business, or developing the audience. The decision is less about how large the show is than whether there is a recurring bottleneck that can be handed off clearly.
Hiring is a good candidate if most of these conditions apply:

- You publish on a recurring schedule, and administrative or production tasks put releases at risk.
- You can name the tasks to delegate and define what “done” means, including deadlines.
- Your time has a meaningful alternative use, or more reliable publishing has enough value to justify the fee.
- The work repeats often enough to brief, review, and improve.
- You can provide source materials and feedback on time while retaining editorial approval.
If the work is occasional or limited to one task, start with that task rather than a broad management engagement. An editor-only arrangement, for example, may solve a narrowly defined audio bottleneck without adding services you do not need.

What does a podcast manager do?
Podcast management usually means coordinating the recurring workflow that takes an episode from recording to release. Depending on the written scope, a manager may receive files, brief or coordinate an editor, prepare show notes and descriptions, schedule and publish episodes, communicate with guests, make social clips, check quality, or report agreed metrics.
Those tasks are not a standard bundle. Guest booking, strategy, video, promotion, and analytics should not be assumed to be included. One provider, for example, explicitly excludes guest booking from its management services. Ask for the exact deliverables, frequency, turnaround, and exclusions in writing before comparing offers.

A useful role description names the steps the manager owns and the handoffs that remain yours. For instance, specify who supplies the recording, who approves the final audio and show notes, who schedules publication, and who handles a missed deadline.

Podcast manager vs. editor: which do you need?
An editor performs a defined production task, such as cleaning up or assembling audio. A manager coordinates a repeatable workflow around the episode; that can include working with an editor rather than editing every file personally.

Which hiring model should you choose?

- Agree on ownership and access. Keep account ownership clear, grant only necessary permissions, and establish confidentiality, backup procedures, approval rights, and a process for removing access when the relationship ends.
- Put the scope and exit terms in writing. Document included volume, add-ons, deadlines, communication expectations, fee, trial terms, and cancellation or transition arrangements.
