Use this checklist to prepare an Indian GST return without missing the records, scheme choice or portal checks that commonly cause errors. For most normal or casual registered taxpayers, GSTR-1 reports outward supplies. It is generally due on the 11th of the following month for monthly filers and on the 13th after a quarter for quarterly filers; a nil period still requires a nil GSTR-1. Government notifications can change those dates, so confirm the live due date for the GSTIN and tax period before submitting.
This is a preparation checklist, not a calculation of your tax liability. It applies to small manufacturers and traders whose transactions fall within the relevant GST categories. Composition taxpayers, input service distributors and other excluded classes do not use GSTR-1 in the same way.
1. Confirm which return and frequency apply
Do not start by copying last period’s spreadsheet. First establish the status of the particular GSTIN, because registrations under one PAN can have different filing frequencies or obligations.

Verify the registration
- Record the GSTIN, legal name, registration type and principal place of business.
- Identify whether the registration is normal/regular, casual taxable person, composition or another category. The GST Portal’s GSTR-1 guidance excludes categories such as composition taxpayers and input service distributors from the standard GSTR-1 requirement.
- Select the correct financial year and tax period in the GST Portal. A return prepared for the wrong month or quarter cannot be fixed by changing the heading on an internal report.
- Check whether this GSTIN is a monthly filer or is enrolled in the Quarterly Return Monthly Payment (QRMP) scheme. Frequency is assessed for the GSTIN, while QRMP eligibility uses PAN-level aggregate turnover.
Check the live deadline
The standard GSTR-1 dates are a starting point, not a guarantee for every period. The general guidance gives the 11th of the next month for monthly filers and the 13th following the quarter for quarterly filers. Look for a government extension, a state-specific instruction or a portal notice for the exact period. Record the deadline in the workpaper before assigning the filing task.

Decide whether QRMP is available
The GST Portal FAQ describes QRMP eligibility where PAN-based aggregate turnover is up to ₹5 crore in the current and preceding financial year, subject to the scheme’s other conditions, including filing the latest due GSTR-3B. Confirm the current turnover and status in the portal rather than relying on an old figure.
| Workflow | Outward-supply return | Tax payment rhythm | Useful when |
|---|---|---|---|
| Monthly filing | GSTR-1 every month | Monthly payment and return work | Transaction volume is high or customers need frequent invoice visibility |
| QRMP | GSTR-1 quarterly | Tax paid monthly through challan; GSTR-3B filed quarterly | Eligible smaller businesses prefer fewer return filings while maintaining monthly cash payments |
| QRMP with IFF | Optional IFF in the first two months, then quarterly GSTR-1 | Monthly challan payments | Eligible businesses want specified B2B documents visible before the quarter-end return |
The table describes filing mechanics, not a recommendation. Compare the customer need for early B2B invoice visibility, monthly cash workload, transaction volume and the quality of your reconciliation process before choosing a workflow.
2. Assemble the records for GSTR-1
Build the period’s outward-supply file from the books, invoice register and source documents. Keep the original transaction population and the final portal upload separate so that a correction can be traced.

- Invoice-level details for supplies to registered customers, including supplies to Unique Identification Number (UIN) holders.
- Inter-State supplies to unregistered customers when the invoice value exceeds the applicable reporting threshold in the current portal instructions.
- Credit notes, debit notes and amendments to documents reported in an earlier period. Preserve the original invoice number and date so each adjustment is linked correctly.
- Exports, deemed exports and supplies to or through Special Economic Zones (SEZs), with the relevant document and tax treatment.
- State-level summaries for supplies to unregistered customers.
- Advances received for future supplies and their adjustments where the current form instructions require reporting.
- Nil-rated, exempt and non-GST supplies. Do not leave these out merely because no tax was charged.
- HSN/SAC-wise outward-supply summaries at the level required for the period and taxpayer.
- Supplies made through e-commerce operators where the applicable collection or tax-payment provisions apply.
Minimum fields to reconcile
For every reportable document, compare the invoice number, invoice date, recipient GSTIN, place/state of supply, taxable value, tax rate, tax amount, document type and tax period with the accounting record. The GST Portal guidance says invoice, taxable and tax amounts are declared up to two decimal digits. Apply the same rounding convention in your source report so totals do not diverge during upload.
Customer GSTIN and amendment checks
Validate recipient GSTINs using the official portal validation before filing. An incorrect digit can send an invoice to the wrong recipient or trigger a validation error. Check that a credit or debit note is linked to the correct original document and that an amendment does not duplicate the original entry. Keep a list of rejected or changed documents with the reason and the period in which the correction will be reported.
3. Reconcile the sales register before entering data
A GSTR-1 checklist is only useful when the population is complete. Reconcile the period in layers instead of comparing only the final tax total.
Match books to source documents
- Export the sales register for the selected GSTIN and period.
- Match invoice sequences to issued invoices, cancelled documents and credit or debit notes. Investigate missing numbers rather than deleting them from the register.
- Separate domestic registered, domestic unregistered, export, deemed-export, SEZ, exempt, nil-rated and non-GST transactions.
- Check the state and place-of-supply fields for every inter-State transaction. A wrong state can change both reporting and the recipient’s credit trail.
- Recalculate taxable value and tax by document, then compare the grouped totals with the accounting ledger and the return preparation file.
Resolve common differences
- Invoice in books but absent from the return file: determine whether it is cancelled, outside the tax period, a duplicate or genuinely missing.
- Return-file amount differs from the invoice: check decimal rounding, tax rate, line-item aggregation and whether a note was netted incorrectly.
- Customer GSTIN fails validation: obtain the registration number from the customer’s tax document and revalidate; do not guess a replacement GSTIN.
- Document appears in the wrong period: review the supply date, invoice date, advance adjustment and any amendment rules applicable to the transaction.
- Credit note has no original link: identify the original invoice and preserve the audit trail before uploading the note.
4. Handle QRMP and the optional IFF correctly
QRMP changes the timing of return preparation, but it does not remove the need to account for each month’s sales and tax payment.

QRMP taxpayers file GSTR-1 and GSTR-3B quarterly while paying tax monthly through a challan. Maintain a month-by-month payment worksheet showing the amount paid, challan reference and the transactions included in the quarter. This prevents the monthly cash obligation from disappearing behind a quarterly filing calendar.
IFF for the first two months
The Invoice Furnishing Facility (IFF) is optional for eligible QRMP taxpayers during the first two months of a quarter. It can report specified B2B invoices, credit and debit notes, and amendments. Its general deadline is the 13th of the following month. Use it when customers need earlier invoice visibility for their credit process; it is not an additional mandatory return for every month.
After using IFF, compare the documents filed through it with the quarterly GSTR-1. Remove duplicates from the quarter-end upload and confirm that amendments and notes remain linked to the correct original documents.
Quarterly GSTR-3B date
The QRMP advisory groups quarterly GSTR-3B due dates as generally the 22nd or 24th of the month after the quarter, depending on the principal place of business and its state or Union Territory group. Treat those as general dates only: check the live portal and later notifications for the applicable quarter.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors5. Check e-invoice applicability and IRP data
From 1 April 2025, the Invoice Registration Portal (IRP) advisory requires businesses with annual aggregate turnover of ₹10 crore or more to report e-invoices within 30 days of the invoice date. The IRP rejects an invoice reported after that 30-day window. Confirm whether the business is within scope before the invoice is issued, and monitor turnover across the relevant financial years.
Use auto-population as a control, not a substitute for review
Eligible e-invoice data can flow into specified GSTR-1 tables, including B2B invoices, exports and credit/debit notes. Import or view the populated entries, then compare them with the invoice register. Check for missing invoices, cancellations, duplicate uploads, wrong recipient GSTINs and incorrect tax values. A portal-populated row is still your responsibility to review before filing.
Practical e-invoice controls
- Capture the invoice reference number and signed e-invoice data with the accounting record.
- Track the invoice date separately from the IRP reporting date so the 30-day limit is visible.
- Reconcile IRP output to the sales register before beginning GSTR-1 preparation.
- Investigate an invoice absent from the populated table instead of assuming the portal will add it later.
6. Enter, validate and file on the GST Portal
The GST Portal supports online preparation, the Returns Offline Tool and application-service-provider or GST Suvidha Provider applications. Choose one method for the period and keep the source file used to generate the upload.
- Sign in to the GST Portal and select the correct GSTIN, financial year and return period.
- Open GSTR-1 and confirm that the form type and filing frequency match the registration setup.
- Enter or upload the outward-supply records by the applicable table: registered supplies, unregistered inter-State supplies, exports and SEZ supplies, notes and amendments, advances, exempt or nil-rated supplies, HSN/SAC summaries and other relevant categories.
- Review any e-invoice or other system-populated entries. Compare document counts and values with the reconciled register.
- Run portal validation and read every error or warning. Correct the source data, regenerate the upload where necessary and rerun validation.
- Generate the preview. Check invoice counts, taxable values, tax totals, notes, amendments and the final summary against the signed-off workpaper.
- Submit and file using the authentication method available to the authorised signatory. Save the acknowledgement, filing reference and a PDF or other portal-generated copy.
Do not treat a successful upload as proof that the numbers are correct. Filing evidence should include the final return, validation output, reconciliation, source register and any explanation for manual adjustments.

- GSTIN, legal name, registration type, principal place and period are correct.
- Monthly versus QRMP frequency is confirmed in the portal.
- Any QRMP eligibility condition and latest due GSTR-3B status have been checked.
- GSTR-1 due date and any extension or notification have been verified for this period.
- Registered-customer invoices, UIN supplies and reportable unregistered inter-State supplies are included.
- Exports, deemed exports and SEZ supplies are classified and documented.
- Credit/debit notes and amendments are linked to the correct original documents.
- Advances and adjustments are included where the current form instructions require them.
- Nil-rated, exempt and non-GST supplies are separately identified.
- HSN/SAC summaries and e-commerce-operator supplies are included where applicable.
- Recipient GSTINs, invoice numbers, dates, place of supply and tax-period assignments pass validation.
- Invoice, taxable and tax amounts use two-decimal precision as required by the portal guidance.
- IRP reporting is within 30 days for an in-scope business and populated e-invoice rows agree with the books.
- IFF documents, if used, will not be duplicated in quarterly GSTR-1.
- QRMP monthly challans and quarterly return dates are tracked separately.
- The preview, validation messages, filed acknowledgement and reconciliation are saved in the period folder.
8. Frequent failure points and recovery actions
A nil period is left unfiled
No sales does not automatically cancel the return. If GSTR-1 applies to the GSTIN, file the nil return for the period through the portal after confirming that there are no reportable notes, advances, amendments or other outward-supply entries.
Best Value
The business assumes every GSTIN follows the same calendar
Registrations under one PAN can differ in scheme or frequency. Maintain a GSTIN-level calendar and verify the selected period and filing mode each time.
Auto-populated invoices are accepted without comparison
Populate-and-file workflows can conceal a missing or duplicate document. Use the IRP or portal data as a cross-check against the reconciled sales register, not as the accounting source of truth.
A late e-invoice is discovered at return time
For businesses covered by the IRP advisory, reporting after 30 days from the invoice date is rejected. Put a daily or weekly ageing check in the invoicing process so the issue is found before the deadline, rather than during GSTR-1 preparation.
Quarter-end work ignores monthly QRMP payments
Quarterly returns do not turn QRMP into a quarterly cash obligation. Reconcile each month’s challan and retain the payment references before preparing the quarter-end return.
9. Records to retain for a defensible filing
Keep a period folder containing the signed sales register, invoice and note listings, GSTIN validation results, e-invoice or IRP reconciliation, HSN/SAC summary, portal preview, validation messages, filed acknowledgement and explanations for adjustments. For QRMP, add each monthly challan and the IFF reports, if used. The exact statutory retention period and document set can depend on the business and applicable law; this folder is an operational evidence set, not a substitute for checking the current record-retention rules.
10. When software helps
GST accounting software and invoice-and-return preparation tools can reduce re-keying by importing sales data, checking GSTIN formats, mapping HSN/SAC codes and reconciling portal-populated records. They do not decide whether a transaction is correctly classified, whether an exemption applies or whether a filing deadline has been extended. Before adopting a tool, verify that it supports the GSTIN count, QRMP and IFF workflow, e-invoice data, two-decimal values, amendment links, export of a complete audit trail and the current portal process. The authorised signatory should still review the preview and file through the approved channel.
11. A simple monthly or quarterly operating routine
- During invoicing: capture GSTIN, place of supply, tax classification, invoice date and e-invoice reference where applicable.
- Weekly: review cancelled documents, missing invoice numbers, GSTIN validation failures and e-invoice ageing.
- At month-end: close the sales register, classify supplies and reconcile books to source documents.
- Before a monthly deadline: prepare GSTR-1, validate, preview and file; for QRMP, complete the monthly challan and decide whether IFF is useful.
- At quarter-end: combine the three monthly populations, remove IFF duplicates, check notes and amendments, and prepare the quarterly GSTR-1 and GSTR-3B using the live dates.
- After filing: save the acknowledgement and reconciliation, then carry unresolved corrections into the next-period control list.
Recheck the GST Portal and applicable notifications for every tax period because due dates, form instructions and scheme conditions may be amended.
