There is no universal “GST-compliant” invoice setting. Requirements depend on the country, tax authority, transaction type and any electronic-reporting mandate. A sensible shortlist therefore starts with jurisdiction-specific invoice fields and tax calculations, then checks network submission, returns, reconciliation, payments, inventory and accountant controls. This guide compares the evidence available for Singapore and India and shows how to test software without treating a vendor’s marketing claim as legal proof.
Choose the jurisdiction before you compare software
GST is a family of national tax systems, not one worldwide invoice standard. Singapore’s Inland Revenue Authority (IRAS) defines its own tax-invoice content, record-retention period and InvoiceNow obligations. India’s GST system uses different identifiers, return processes and, for eligible transactions, an Invoice Registration Portal (IRP) workflow. A package that produces a correct Singapore tax invoice is not automatically suitable for an Indian business, and an India-focused feature page is not authority for Singapore rules.
Write down the market, registrations and transaction types the business actually handles before opening a product comparison. Include whether customers are GST-registered, whether supplies are zero-rated or exempt, whether goods move between states in India, and whether the business has one entity or several. Ask the vendor to demonstrate those scenarios in the correct country edition rather than showing a generic template.
Singapore: the invoice and reporting checks
Required tax-invoice data
For a Singapore GST-registered supplier, IRAS says a tax invoice must contain the words “Tax Invoice”, the supplier’s name and address, GST registration number, invoice date and identifying number, customer name and address, a description of the goods or services, the GST rate, amounts before GST, the GST total and the amount including GST. When relevant, the document must also show separate gross amounts for exempt, zero-rated or other supplies. The software should make these fields mandatory or provide a validation warning before issuing the invoice.
#1 Best Overall
- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
Timing and retention
IRAS generally requires a tax invoice to be issued within 30 days of the time of supply when the customer is GST-registered. Issued and received tax invoices must be kept for at least five years. Check that the application records the issue date, preserves the original document and keeps credit notes or cancellations linked to the source invoice for the entire retention period. A PDF download alone is not enough if the underlying audit trail can be overwritten.
InvoiceNow and phased obligations
InvoiceNow is Singapore’s nationwide e-invoicing network, based on Peppol. GST-registered businesses that fall within the mandate must submit invoice data through an InvoiceNow-Ready Solution. IRAS is implementing participation in phases, so a business should confirm its current phase, effective date and any exemptions directly with IRAS. IRAS’s 2026 Committee of Supply material says the requirement is intended to extend to all GST-registered businesses by April 2031; treat that as a policy timeline to verify against later IRAS updates, not as a reason to assume every business is already required to connect.

IRP, IRN and QR-code handling
India-focused software should be tested against the business’s actual GST registrations and invoice scenarios. Zoho Books’ India help documentation describes a workflow that creates an invoice with mandatory e-invoice schema fields, sends it to the Invoice Registration Portal and records the returned Invoice Reference Number (IRN) and QR code. That is useful product evidence, but it is vendor documentation rather than independent legal advice. The user remains responsible for correct registration data, tax treatment and configuration.

Related GST operations
Product documentation for India also describes e-invoices, e-way bills, GST returns, tax calculations and reconciliation. Treat these as checklist items to verify in the current edition and plan. Ask whether the feature covers every required state registration, whether e-way bills can be created for the relevant movement types, how failed submissions are retried, and how return data is reconciled to the sales ledger and purchase records.
Do not rely on an old turnover threshold
Older software pages may quote an India e-invoice turnover threshold. The material reviewed here does not establish a current threshold, so do not publish or configure a business around an unverified number. Confirm present applicability and exemptions with official GST or CBIC guidance, then obtain written confirmation from the vendor that the account’s turnover, registration type and transaction categories are supported.

| Decision area | Singapore questions | India questions |
|---|---|---|
| Jurisdiction and tax logic | Does the Singapore edition enforce IRAS tax-invoice fields, GST rates and exempt or zero-rated treatments? | Does the India edition support each GST registration, applicable tax components and the business’s supply scenarios? |
| Electronic transmission | Is the solution InvoiceNow-Ready for the business’s current phase, with acknowledgements, errors and an audit trail? | Does it connect to the IRP, return IRN and QR data to the invoice, and manage rejection, cancellation and retry states? |
| Returns and reconciliation | Can the system produce GST summaries and reconcile tax collected to the ledger and bank receipts? | Can it prepare or export GST returns, reconcile input-tax-credit records and identify differences before filing? |
| Movement and inventory | Are stock quantities, service items and taxable treatments consistent across invoices and reports? | Can it manage inventory and create e-way bills when the business’s goods movements require them? |
| People and controls | Are accountant access, roles, approvals, multiple entities and tax registrations supported? | Can users separate registrations, assign roles and preserve an approval and amendment history? |
| Payments and collections | Are estimates, recurring invoices, reminders, payment links and bank reconciliation available? | Can the workflow collect payments, match receipts and expose overdue invoices without altering tax records? |
| Limits and portability | What are the user, entity, invoice, integration and export limits on the selected plan? | What are the plan limits for registrations, IRP or e-way-bill transactions, users and historical data exports? |
Features beyond the tax template that affect compliance
Estimates, recurring billing and changes
Recurring invoices and estimates reduce manual entry, but they can also repeat an obsolete tax rate or customer address. Require a review step before a recurring document is issued and ensure every amendment creates a traceable credit note or replacement invoice. The system should distinguish a draft, issued invoice, paid invoice, credit note and cancelled document.

Bank feeds and reconciliation
Bank integration is valuable only when matching does not silently rewrite tax data. Check whether partial payments, fees, refunds and deposits can be matched while retaining the original invoice amount and tax calculation. Run a test month and compare the bank reconciliation, sales ledger and GST report line by line.

- CARBONLESS DESIGN: 50 sets of 2-part carbonless receipt book ensure clear copies for both business and customer records
- STANDARD SIZE: Measures 7.5 x 11 inches , perfectly sized for standard filing systems and document storage
- PRACTICAL FEATURES: Includes perforated lines for easy separation and a sturdy backing board for writing support
- DETAILED SECTIONS: Contains fields for job location, customer information, work description, and itemized pricing calculations
Inventory and e-way bills
A service business may need no inventory module, while a goods seller may need stock valuation, batch or serial tracking and e-way-bill support. Do not pay for a feature that cannot handle the business’s units, locations or movement types. Test a return, a partial shipment and a cancelled delivery before committing.
Accountant access and approvals
Invite the external accountant to a sandbox or trial account. Verify read-only access, period locking, approval roles, segregation between invoice creation and payment approval, and the ability to export a complete ledger. A shared administrator login weakens accountability even when the invoice itself looks correct.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.A practical evaluation procedure
- Document the scope. Record country, GST registrations, customer types, supply categories, currencies, entities, sales channels and expected monthly invoice volume.
- Build a test pack. Include a standard taxable sale, a discount, a credit note, a zero-rated or exempt supply where applicable, a foreign-currency invoice, a recurring invoice and a failed or corrected submission.
- Check mandatory fields. Enter incomplete supplier or customer data and confirm that the application blocks issuance or explains the missing information clearly.
- Verify tax calculations. Recalculate each test invoice independently and compare line rounding, discounts, tax totals and the amount due.
- Run the electronic workflow. For Singapore, test InvoiceNow readiness and responses. For India, test IRP submission, IRN and QR-code return, then simulate rejection, cancellation and retry.
- Trace the records. Follow an invoice from draft to payment, return report, correction and export. Confirm that timestamps, user names and original values remain available.
- Test accountant and support paths. Add the accountant, revoke access, export data and ask support how a failed submission or incorrect tax code is corrected without deleting history.
- Read the plan constraints. Record subscription tiers, user and entity caps, invoice or transaction allowances, integration fees, migration charges and export formats. No current vendor prices are established here, so obtain a written quote for the tested configuration.
Common failure modes and how to prevent them
- Choosing by template appearance: A polished PDF can still omit a required identifier or use the wrong tax treatment. Validate fields and calculations with real transactions.
- Confusing vendor claims with legal compliance: “GST-ready” describes a product position, not a guarantee that every configuration is lawful. Confirm obligations with IRAS, official Indian GST or CBIC guidance, or a qualified adviser.
- Ignoring phased digital mandates: A Singapore business may not yet be in the current InvoiceNow phase, but it should know its likely transition path and whether the plan supports the required network.
- Using stale India thresholds: Thresholds and applicability can change. Verify the current rule before relying on an old help-page number.
- Deleting mistakes: Deletion breaks the audit trail. Use credit notes, cancellations and documented corrections that preserve the original event.
- Underestimating data portability: If exports omit tax detail, attachments or audit history, switching systems can become a compliance project. Test a full export before signing a long contract.
How to make the final decision
Select the product that passes the jurisdiction-specific test pack with the fewest manual workarounds, not the one with the longest feature list. For Singapore, give priority to correct IRAS fields, five-year retention and the ability to activate and evidence InvoiceNow submission when required. For India, prioritize accurate GST configuration, dependable IRP handling of IRN and QR data, and the return, reconciliation and e-way-bill workflows the business actually uses.
