Neither option wins for every business. A spreadsheet can be an adequate GST record-keeping system for a small, stable operation when one responsible person can maintain accurate formulas, preserve source documents, reconcile accounts and meet the local tax authority’s reporting rules. Dedicated accounting software becomes the stronger choice when transactions, invoices, payroll, inventory, bank accounts, reporting or digital submissions make manual work difficult, or when the business is growing.

The deciding test is not whether software is automatically “more professional.” It is whether your chosen method can produce complete, reviewable GST records, fit your accountant’s workflow, protect and back up data, and remain manageable as the business changes. GST rules and retention periods differ between Australia, New Zealand and India, so use the section for your country and confirm current requirements with the relevant tax authority.

The short answer

Choose a spreadsheet when your business has few transaction types, one or two accounts, no complicated inventory or payroll process, and a person who will consistently maintain the file. Choose accounting software when recording, coding, invoicing, reconciling or reporting already consumes significant time; when you need several connected workflows; or when a registered tax or BAS agent needs compatible access.

Both methods can fail. A spreadsheet can contain a broken formula or an overwritten row. Software can contain an incorrect tax code, duplicated bank feed or poorly configured chart of accounts. Automation reduces repetitive entry, but it does not decide whether a transaction is taxable, exempt, private or subject to a special rule. Human review and supporting evidence remain essential.

Situation Usually the better starting point Why
Very small, stable operation with few categories Spreadsheet Low complexity makes a controlled ledger practical without a package subscription.
Frequent sales, refunds or purchases Accounting software Transaction capture, tax coding and reconciliation are easier to repeat and review.
Payroll, inventory, jobs or multiple businesses Accounting software These workflows need linked records and reports that are difficult to maintain safely in one file.
Digital tax reporting or agent collaboration Software that supports the local requirement Compatibility and export or submission functions become operational requirements.
Uncertain or changing requirements Whichever method your accountant and tax authority can support Local compliance and recoverable records matter more than convenience.

What your GST records must demonstrate

The format of your records does not change the underlying evidence burden. You need a traceable path from each sale or purchase to its source document, tax treatment, ledger entry and GST calculation. Keep invoices, receipts, bank evidence and adjustment documentation in a way that lets you or an auditor reproduce the reported figures.

Australia: records, software and five-year retention

Australian Government business.gov.au guidance lists accounting software, web-based systems and spreadsheets as digital record-keeping options. It specifically presents a spreadsheet as an option for someone confident with computers who does not have funds for an accounting package. The same guidance says accounting packages can record transactions, calculate GST, update ledgers, prepare financial statements and generate invoices.

Australian GST guidance requires records supporting income and expenses used to calculate GST and claim credits. Examples include sales, tax invoices and other GST transactions, fees, expenses, wages and other business costs. Keep documents that explain GST adjustments, decisions and calculations, not merely the final return.

The Australian Taxation Office says GST records generally must be retained for five years from the later of when they were prepared or obtained, or when the relevant transaction was completed. The period can need to cover the applicable review period, and other record classes may have different rules. The five-year statement is therefore a GST-specific general rule, not permission to discard every business document after a fixed date.

Australian guidance also advises securing records against change or damage and backing up digital files. Cloud services introduce security risks, so review access controls, provider recovery options and your own export or backup process.

New Zealand: paper, software or a combination

Inland Revenue’s “Records of income and expenses” page, last updated 14 May 2026, accepts paper records, bookkeeping software or a combination of paper and electronic records. It says records of cash and electronic sales and purchases must be kept for seven years. Examples include taxable supply information, supply correction information, bank statements, invoices, receipts, card records, point-of-sale records and cashbooks.

India: account structure and electronic audit trails

The Central Board of Indirect Taxes and Customs Accounts and Records Rules reviewed for this guide require a registered person’s accounts to include tax payable, tax collected and paid, input tax and input tax credit claimed. The rules also address registers for invoices, credit notes, debit notes and delivery challans for tax periods.

For electronic records, the rules address storage, backups and logging of edits or deletions. They also allow an audit trail and connections between source documents and financial accounts to be requested. Because the application of GST rules depends on the business and current law, verify the applicable provisions before choosing a template or configuring software.

When a spreadsheet is a sound choice

A spreadsheet is a plausible fit when all of the following are true:

  • Sales and purchases are relatively few and predictable.
  • You have a limited number of GST treatments and understand which transactions need review.
  • There is no complicated stock, work-in-progress, payroll or job-costing process.
  • One named person owns the file, reconciliations, backups and month-end checks.
  • Your accountant or tax agent can receive the file or an acceptable export.
  • You can preserve invoices, receipts, bank records and adjustment notes outside or alongside the workbook.

This is a practical inference from the official recognition of spreadsheets as a record-keeping option and the stated evidence duties. It is not a finding that every small business can safely use one.

Build a controlled GST workbook

  1. Define the period and owner. Create one workbook per financial year or another period recommended by your accountant. Record who may edit it and who performs the review.
  2. Create a transaction table. Use one row per transaction, with fields for date, document number, supplier or customer, description, account category, gross amount, GST amount, GST treatment, payment account, reconciliation status and a link or file name for the source document.
  3. Keep tax categories explicit. Use a controlled list such as taxable, zero-rated, exempt, out of scope or “review required,” but do not assume these labels match every country’s law. Put the applicable rate or treatment in a clearly identified cell or lookup table rather than scattering hard-coded rates through formulas.
  4. Separate source data from reports. Protect the transaction sheet and build summary sheets that calculate totals by period and tax treatment. Do not type over calculated totals.
  5. Reconcile regularly. Compare the workbook’s bank and card totals with statements. Investigate unmatched, duplicated or reversed entries before preparing a GST return.
  6. Document exceptions. For adjustments, credit notes, mixed-purpose expenses or unusual transactions, record the decision, calculation and supporting document.
  7. Lock and back up. Restrict formula cells, keep dated backups in a separate location and test that an older copy can be opened and restored.
  8. Review before filing. Have another person or your accountant inspect formulas, tax categories, reconciliations, source documents and period totals.

Spreadsheet controls that matter

  • Use data validation for dates, categories and GST treatments.
  • Keep a change log for material edits and corrections.
  • Use a unique transaction or document identifier so an invoice cannot be counted twice.
  • Never delete an incorrect transaction silently; reverse or correct it with a note that preserves the original trail.
  • Keep formulas simple enough that a second person can inspect them.
  • Store the workbook and evidence in a location with access permissions, version history or scheduled backups.

Where spreadsheets start to strain

Warning signs include several people editing copies, repeated manual re-keying from invoices, a growing backlog of unreconciled rows, frequent formula repairs, separate files for each bank account, or uncertainty about which version was filed. If producing a GST summary requires copying and pasting between workbooks, the risk is operational rather than cosmetic. Price the time spent correcting this process before deciding that a subscription is expensive.

When accounting software is worth the change

Software becomes more compelling when you need connected workflows rather than a single ledger. The Australian Taxation Office’s software-selection checklist highlights GST reports, sales and refund tracking, inventory or work in progress, invoices, payroll and Single Touch Payroll, drawings, multiple accounts or businesses, foreign currency, cash-flow forecasts, regular reports, backup and security.

Capabilities to look for

  • GST reporting: transaction-level detail behind tax summaries, reviewable tax codes and an exception report.
  • Invoicing: sequential invoices, credit notes, payment status and exportable copies.
  • Bank and card reconciliation: matching controls, duplicate detection and a way to explain adjustments.
  • Payroll: wage journals and any required digital payroll reporting, such as Single Touch Payroll in Australia.
  • Inventory or work in progress: quantities, costs and adjustments if stock is central to your business.
  • Multiple entities or accounts: clear separation without maintaining unrelated files.
  • Reports: profit and loss, balance sheet, cash flow and period comparisons in formats your adviser can use.
  • Security and recovery: role-based access, backups, export capability and a documented recovery process.

Set up software without trusting defaults

  1. Confirm jurisdiction and obligations. Identify your GST registration status, filing frequency, invoice requirements, payroll reporting and retention rules.
  2. Check compatibility first. Ask your accountant or registered tax/BAS agent which systems, exports and access methods they can support. Australian guidance specifically recommends this check.
  3. Design the chart of accounts. Map sales, purchases, wages, assets, liabilities, owner drawings and GST accounts before importing transactions.
  4. Configure tax codes with advice. Do not accept a default code merely because it exists. Test taxable, exempt, zero-rated, private and adjustment cases relevant to your business.
  5. Set permissions and approval rules. Give staff only the access they need and require review for tax-code changes, refunds, journals and deleted transactions.
  6. Import opening balances carefully. Preserve the source trial balance and reconcile opening bank, receivable, payable, inventory and GST balances.
  7. Connect feeds selectively. A bank feed is an input, not proof that a transaction is correctly coded. Match each item to an invoice or receipt and investigate duplicates.
  8. Run a parallel check. For at least one reporting period, compare software totals with a manually verified sample or prior approved records.
  9. Document the monthly close. Set deadlines for invoice capture, bank reconciliation, payroll posting, exception review and report approval.
  10. Test export and recovery. Download a copy of transactions and reports, confirm that attachments or links are retained as required, and document how to restore data if access is lost.

What software does not solve

It does not determine the legal treatment of an unusual purchase, prove that an invoice is genuine, recover a deleted source document or guarantee that an imported opening balance is correct. Automated tax calculations depend on configuration and coding. Review unusual cases, retain evidence, and update settings when obligations change.

Compare the two methods by the decisions that matter

Decision factor Spreadsheet implications Accounting-software implications Question to ask
Transaction complexity and volume Works best with few, stable transaction types and limited accounts. Handles repeatable entry, matching and linked records better as volume grows. How many sales, purchases, refunds, accounts, locations and entities must be processed each period?
GST calculations Formulas and categories must be designed, protected and reviewed by the owner. Reports and tax codes can be centralized, but wrong configuration produces wrong reports. Can you trace every reported total to transactions and evidence?
Invoicing and refunds Possible with templates, but status and numbering need manual controls. Usually links invoices, payments, credit notes and receivables. Do several people issue invoices or process refunds?
Payroll, inventory and jobs Separate sheets become harder to reconcile and maintain. Integrated modules may reduce duplicate entry and provide specialized reports. Are these workflows material to your tax or management reporting?
Time and error control No reliable independent evidence establishes a universal error rate or time saving; results depend on design and discipline. Automation can reduce repetitive entry, but coding and review remain necessary. Where does your current process consume time or create corrections?
Setup and ongoing cost May avoid an accounting-package subscription but still requires labor, controls, backups and training. Has subscription, setup and training effort; no universal break-even price is established. What is the full cost of your current process, including correction time?
Skill and maintainability Someone must understand formulas, categories, versions and recovery. Someone must understand configuration, tax codes, imports, permissions and reports. Who owns the system when the current bookkeeper is unavailable?
Accountant or tax-agent workflow Confirm that the workbook or export is usable and complete. Confirm supported access, file formats and permissions before buying. Can your adviser review source transactions rather than only a total?
Backups, access and security Use controlled storage, versioned backups and recovery tests. Review provider security, user roles, exports and independent backups; cloud systems still carry security risks. How quickly can you restore records after deletion, compromise or device failure?
Growth and portability Plan how to add staff, accounts, currencies, entities and reporting without multiplying files. Check whether the system supports future obligations and lets you export your data. What change is most likely in the next two years?
Jurisdiction Templates must reflect local terminology, filing and evidence rules. Software must support the local tax authority and current reporting method. Which authority’s rules apply to each entity and transaction?

A practical decision process

Step 1: List the work, not the features

Write down every recurring task: issuing invoices, recording purchases, collecting receipts, reconciling banks, processing refunds, paying staff, tracking stock, preparing GST reports, answering accountant questions and producing management reports. Mark each task as manual, partly automated or already reliable. This exposes the bottleneck a tool must solve.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 2: Separate “must comply” from “nice to have”

Must-have requirements include complete source evidence, correct GST treatment, required reports, retention, access control and recoverable backups. Forecasting, dashboards and mobile entry may be useful, but they should not displace the compliance controls.

Step 3: Test the hardest transaction

Use a real but non-sensitive example such as a refund, mixed-use expense, foreign-currency purchase, inventory adjustment or credit note. Ask whether the method records the source document, tax decision, calculation and correction trail without a workaround. The hardest ordinary transaction is a better test than a demonstration of a simple sale.

Step 4: Involve the adviser before committing

Send your proposed spreadsheet structure or software shortlist to the accountant or registered agent. Confirm that they can inspect transactions, obtain reports, handle the required filing format and access records when you are unavailable.

Mixed methods and manual ledgers

A mixed approach can be sensible. You might scan and store source documents electronically, use a spreadsheet for a small ledger, and provide reports to an accountant through an agreed format. New Zealand explicitly accepts combinations of paper and electronic records. In Australia, digital images of paper documents can be used when they are true, clear reproductions and meet record-keeping requirements.

Do not assume that typing information into accounting software allows the original evidence to be discarded. Australian GST guidance says the underlying record must be retained in an acceptable form; software entry alone is not a universal substitute. Keep a reliable connection between each summary row and its invoice, receipt, statement or adjustment note.

A paper ledger can support someone who prefers handwritten transaction records. It is not a compliance shortcut: you still need supporting invoices, accurate GST calculations, required digital reporting and the applicable retention period. If you use paper, scan or otherwise protect it against loss and make sure totals can be reconciled to bank and card records.

Retention, backup and recovery checklist

Control Implementation question
Retention schedule Have you recorded the period required by the tax authority for each record type, rather than applying one rule to everything?
Source-document link Can a reviewer move from a GST total to the transaction and then to the invoice, receipt or statement?
Version protection Can you identify which workbook, export or report was used for a filed period?
Independent backup Is at least one backup protected from accidental edits, ransomware or loss of the primary device?
Restore test Have you opened a backup recently and checked that attachments, formulas and reports are usable?
Access review Are former staff removed, privileged actions limited and shared passwords avoided?
Export plan Can you obtain transactions, balances and evidence if a cloud account is suspended or a provider changes its service?

Common failure modes and fixes

One workbook per person

Symptom: several versions circulate by email or messaging app. Fix: use one controlled file with permissions and version history, or move to a system designed for shared access.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Hard-coded GST rates in scattered formulas

Symptom: a rate change or special transaction produces inconsistent totals. Fix: centralize tax settings, label assumptions and have an adviser review the treatment before filing.

Deleted errors

Symptom: a correction removes the original row and no one can explain the change. Fix: reverse or amend with a dated note and retain the original source and calculation.

Subscription without ownership

Symptom: the person who configured tax codes leaves and no one understands the setup. Fix: document the chart of accounts, tax decisions, close procedure, permissions and recovery steps; train a second person.

Discarded paper originals

Symptom: scans are blurry, incomplete or cannot be matched to entries. Fix: use clear, faithful reproductions, retain them in an acceptable form and follow the local authority’s rules before destroying originals.

Final recommendation

Start with a spreadsheet only when the business can demonstrate control: a small and stable transaction set, clear tax categories, preserved evidence, reconciliations, backups and an accountable owner. Move to accounting software when connected workflows, agent collaboration, digital reporting or growth make those controls difficult to maintain manually. Whichever route you choose, validate the method against the tax authority for your country and your accountant’s requirements; the record-keeping system is successful only when it produces complete, reviewable and recoverable GST evidence.
