To make a photo fit a 1 MB limit, resize a copy, export it, then check the saved file’s actual size. Pixel dimensions and file size are different: no particular width, height, or setting guarantees a 1 MB result for every image. If the first export is still too large, make a modest further adjustment and check again.
Before you resize: identify the limit and protect the original
- Check whether the destination requires a maximum of 1 MB or merely asks for a file around that size. For a hard maximum, aim a little below it to avoid an upload rejecting a file that is just over the limit.
- Keep the original untouched. Use a duplicate, Save As, or Export so you can start over if the resized result looks poor.
- Note the image’s current format and pixel dimensions. Keep its aspect ratio when reducing dimensions; changing width and height independently can stretch or squash the photo.
File size depends on the image and the way it is saved, so dimensions alone do not determine whether a file will be under 1 MB. The cited Apple and Microsoft instructions do not promise a universal pixel size or setting that produces exactly 1 MB.
Resize a photo on a Mac with Preview
- Open the image in Preview. To preserve the original, work from a duplicate or plan to export a separate copy.
- Choose Tools > Adjust Size.
- Leave Scale proportionally enabled, then enter a smaller width or height. Preview updates the other dimension to preserve the image’s proportions. Apple documents this workflow in Crop, resize, or rotate an image in Preview on Mac.
- If you need to reduce the file further, Apple’s instructions describe selecting Resample image in the Adjust Size window and entering a smaller resolution. Preview shows the new size at the bottom of the window.
- Save or export a separate copy. Check that saved file in Finder or in the destination’s upload interface; if it is still above the limit, repeat with a smaller adjustment.
The cited Preview instructions cover dimensions and resampling; they do not establish an export-quality slider. Do not rely on one unless it is available in the macOS version and workflow you are using.

Resize a photo on Windows with PowerToys
Image Resizer is a PowerToys Windows shell extension, not a feature guaranteed to be installed on every Windows PC. Install PowerToys if needed, then use this workflow:

- In File Explorer, select the image, right-click it, and choose Resize with Image Resizer.
- Choose a proportional Fit preset or enter custom pixel dimensions. Fit preserves the whole image within the chosen size. Fill may crop the image, while Stretch may distort it; Fit is the sensible starting point for an intact photo.
- For JPEG output, PowerToys also documents a command-line quality setting from 1 to 100. If you use that option, lower the quality cautiously and compare the result with the original.
- Save a copy and inspect the resulting file size. PowerToys does not provide a guaranteed 1 MB preset, so adjust and check again if the file remains over the limit.
Microsoft’s PowerToys Image Resizer documentation also lists metadata removal as a command-line option. Treat that as optional: it can affect metadata, and it does not replace checking the saved file’s size.
If the photo is inside an Office document
For a picture inside a desktop Office document, rather than a standalone photo, Microsoft documents Picture Format > Compress Pictures, resolution choices, and an option to apply compression only to the selected picture. The feature applies to the listed desktop Office apps and is not available in Microsoft 365 for the web. It compresses pictures in the document; it is not the primary workflow for preparing a separate image file.

Fix common problems
The exported photo is still over 1 MB
Reduce the dimensions another step, or lower JPEG quality slightly if your tool exposes that control. Export a new copy and check its actual size; do not assume the adjustment produced a particular result.

The photo looks blurry or damaged
Return to the untouched original and try a milder change. Repeatedly recompressing an already-compressed copy can compound visible quality loss; starting from the original gives you a cleaner basis for another export.
The destination requires specific dimensions as well as a file-size maximum
Keep the required pixel dimensions and adjust encoding or compression instead, if your chosen application supports it. If it does not, use an image editor with suitable export controls rather than changing dimensions the destination requires.

The image has transparency
Do not casually convert a transparent graphic to a format that removes transparency. Keep the original format unless you have confirmed the exported file preserves the properties you need.
