Choose Gemini Scheduled Actions when you want Gemini to prepare information or a response at a chosen time. Choose Google Assistant Routines when you want a trigger to launch supported actions such as changing lights, switching a plug, playing media, or reading commute information. The phrase “Gemini tasks” is ambiguous: Google also documents Gemini Spark, a separate task-and-workflow feature with schedules and event monitors. Spark is not the same thing as Scheduled Actions in Gemini chat.

Gemini Scheduled Actions and Assistant Routines are different automation models

The most important distinction is what the automation produces. A Gemini Scheduled Action prepares a Gemini response in advance and delivers it at the time you specify. An Assistant Routine starts a sequence of supported Assistant actions after a trigger. That difference determines which feature fits a briefing, a smart-home command, a media action, or an event-driven workflow.

Question Gemini Scheduled Actions Google Assistant Routines Gemini Spark

Common triggers A one-time or recurring time Voice phrase, time, sunrise or sunset, alarm dismissal, or supported device event Time schedule, Gmail monitor, or topic monitor
Best fit Prepared information and responses Connected-home and multi-action Assistant control More structured workflows and monitored events, where available
Key limitation Information is prepared before delivery and can be stale Only supported actions and devices are available; it is not a safety control Eligibility, availability, and monitor freshness vary

What “Gemini Tasks” can mean

Gemini Scheduled Actions in Gemini chat

Scheduled Actions let you describe what Gemini should prepare and when it should do so. Examples in Google’s documentation include news or topic digests, preparation based on calendar, email, or to-do information, practice quizzes, creative prompts, and summaries. The action prepares the response ahead of the delivery time rather than guaranteeing a live lookup at that exact moment.

Google says Scheduled Actions “work best for daily summaries and wrap-ups.” That is an important boundary: a morning briefing or end-of-day recap is a reasonable use, while a rapidly changing value such as a stock price may be out of date by the time you receive it.

  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Gemini Spark

Google’s current documentation describes Spark as a distinct task and workflow surface. In Spark, a task is the goal, a schedule determines when or in response to what event it runs, and a skill supplies reusable instructions or context. Spark schedules can run at a time, monitor Gmail, or monitor a topic.

Do not treat a Spark schedule as another name for a Scheduled Action in Gemini chat. They are separate features with different eligibility and behavior. If an instruction or screen specifically says Spark, use Spark’s requirements and controls rather than assuming the limits of chat Scheduled Actions apply.

How the automation models differ

Prepared content versus executed actions

Gemini Scheduled Actions are content-first. You ask Gemini to prepare an answer, and the result is the automation’s main output. A prompt such as “Prepare a weekday morning briefing from my calendar and connected email” asks for information to be assembled and presented.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assistant Routines are action-first. A Routine has at least one starter and one action. The starter starts the Routine; the actions then run in sequence. A sunset starter can turn on a porch light, for example, while a time starter can play media and provide a commute update.

Different trigger sets

Scheduled Actions use a one-time or recurring schedule. Routines support more kinds of starters: a spoken phrase, a time, sunrise or sunset, dismissal of an alarm, and supported device events. Spark adds Gmail and topic monitors to its documented schedule types.

Freshness and urgency

A Scheduled Action is prepared before its delivery time. This makes it useful for a digest but unsuitable as a promise of an immediate update about information that changes quickly. Spark’s topic monitors are likewise not ideal for fast-moving or time-critical tracking.

A Routine can react to a supported device event, but that does not make it a guaranteed emergency system. Device connectivity, account state, power, settings, and service availability can all affect execution.

What Gemini Scheduled Actions can automate

Briefings and summaries

Use a recurring action for a daily news or topic digest, a morning overview, or an end-of-day wrap-up. State the topic, the desired level of detail, and the delivery time. Because the response is prepared in advance, frame the request around context and synthesis rather than a second-by-second alert.

Calendar, email, and to-do preparation

Gemini can prepare information that depends on connected services, such as a calendar and email review. The relevant connected app must be enabled when the prompt depends on it. Without that connection, Gemini cannot use the requested Workspace context for the action.

Describe the boundary you want: for example, a weekday briefing that lists the day’s calendar commitments and highlights messages requiring attention. Treat the output as preparation for your decisions, not as an automatic change to every item in those services unless the feature explicitly offers that action.

Learning and creative practice

Scheduled Actions can prepare practice quizzes, recurring prompts, or creative exercises. A schedule such as a short quiz on weekdays is a natural fit because the value comes from receiving prepared material regularly, not from controlling another device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Capacity and account requirements

  • Google documents a maximum of 10 active Scheduled Actions.
  • Keep Activity must be on. Turning it off can prevent the feature from working or remove the eligibility needed to create actions.
  • Availability for personal accounts is rolling out gradually, so an account may not show the feature yet.
  • A connected app, such as Google Workspace, must be connected when the prompt relies on that app’s information.

These conditions are separate from Spark’s requirements. Seeing one Gemini feature does not prove that the other is available on the same account.

What Google Assistant Routines can automate

Starters

A Routine needs at least one starter. Google documents these starter types:

  • A voice phrase you say to Assistant
  • A specified time
  • Sunrise or sunset
  • Dismissal of an alarm
  • A supported device event

The exact event choices depend on the Routine type, connected devices, account settings, and the current Google Home and Assistant integration. A documented starter is not a guarantee that every sensor or accessory exposes that event in your setup.

Actions

Routines can combine supported actions such as:

  • Adjusting compatible lights, plugs, switches, or thermostats
  • Playing media
  • Providing weather, commute, calendar, or reminder information
  • Broadcasting, sending, or reading messages where the available action supports it
  • Changing Assistant volume
  • Running an Assistant command

For example, a sunset Routine could turn on a connected porch light. A morning Routine could provide weather and commute information, play media, and adjust the Assistant volume. Whether a particular action appears depends on the Routine type, your devices, and your settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Connected-home control

Assistant is the clearly documented route for home-control automations. Google specifically lists lights, plugs, switches, and thermostats among the device categories Routines can adjust. A Google Home-compatible smart plug can therefore be a practical component for switching a lamp or other connected load on or off, but compatibility must be checked for the exact plug, account, home, and setup.

Household visibility

Household Routines are configured in the Google Home app. Members of the home can see when those Routines run, so do not assume a household automation is private to the person who created it. Review the home’s membership and the Routine’s actions before using it for messages, presence-related behavior, or other information shared around the household.

Safety boundary

Google’s Assistant guidance states: “Routines are for convenience only, not safety- or security-critical use cases.” Do not rely on a Routine as the only control for a lock, alarm, medical need, heater, stove, or any situation in which a missed or delayed action could cause harm. Use dedicated safety systems and verify the result independently where failure matters.

What Gemini Spark adds

Tasks, schedules, and skills

Spark separates a workflow’s goal from when it runs and from the reusable instructions it uses. That model can make a repeated process easier to maintain than putting every instruction into a single scheduled chat prompt. A skill can supply shared context or instructions, while a schedule determines the timing or event condition.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Gmail and topic monitors

Spark’s documented monitors can watch Gmail or a topic and run a task when the monitor condition is met. These monitors are different from a simple clock-based reminder. They are also not a substitute for a real-time alerting or incident-response system: topic information can move faster than the monitor or generated result.

Eligibility

  • A personal Google Account is required.
  • The user must be at least 18 years old.
  • Google documents Google AI Pro or Google AI Ultra as required plans for Spark.
  • Keep Activity must be on.
  • Availability has country and region exclusions, so eligibility depends on where the account is used.

Because Spark is a separate product surface, a user who only needs a scheduled Gemini digest may not need Spark’s subscription or eligibility requirements. Conversely, a user who needs Gmail or topic monitoring should check Spark availability rather than trying to stretch a Scheduled Action into an event-monitoring workflow.

How to choose between them

Your goal Use Why Check first
Receive a weekday news digest Gemini Scheduled Action It prepares and delivers a Gemini response on a recurring schedule. Scheduled Actions availability, Keep Activity, and the time-sensitive nature of the topic
Prepare a morning view of calendar and connected email Gemini Scheduled Action The output is information assembled from connected services. Connect the required Workspace app and remember that preparation happens before delivery
Turn a porch light on at sunset Google Assistant Routine Sunset is a documented starter and a compatible light is a supported action category. Device compatibility, home assignment, permissions, and whether the exact event is offered
Switch a connected plug on or off Google Assistant Routine Google specifically documents plugs among devices a Routine can adjust. Current Google Home compatibility and the plug’s setup
Run a workflow when qualifying Gmail arrives Gemini Spark, if eligible Gmail monitors are part of Spark’s documented schedule model. Personal account, age, AI plan, Keep Activity, and country or region availability
Track a rapidly changing price or breaking event Neither as a guaranteed alert Scheduled content and topic monitors can be stale relative to fast-moving data. Use a purpose-built real-time alerting service instead
Control a safety-critical device Neither as the sole control Assistant Routines are convenience automations and can fail. Use dedicated safety and security controls

Setup approach for each feature

Create a Gemini Scheduled Action

  1. Open Gemini in the account where you want the action to run.
  2. Describe the content to prepare, the schedule, and the desired format in one clear request. Include the days, time, timezone if relevant, topic boundaries, and length.
  3. If the request depends on calendar, email, or another connected service, connect and authorize that app before relying on the result.
  4. Confirm that Keep Activity is enabled and that Scheduled Actions are available for the account.
  5. Review the created action and count it toward the documented limit of 10 active actions.
  6. After the first delivery, refine the prompt if the scope, format, or timing is wrong. Do not use a scheduled digest as proof that rapidly changing information was current at delivery.

A useful prompt states the outcome rather than merely saying “remind me.” For example: “Every weekday at 7:30 a.m., prepare a concise briefing using today’s calendar and connected email, separate meetings from messages requiring a reply, and include a short list of preparation tasks.” The connected data and advance-preparation caveat still apply.

Create a Google Assistant Routine

  1. Open the Google Home app for the home that owns the devices.
  2. Go to the area for Automations or Routines; labels can vary as Google updates the app.
  3. Choose a household or personal Routine according to who should see and use it.
  4. Add at least one starter, such as a voice phrase, time, sunset, alarm dismissal, or supported device event.
  5. Add the actions in the order they should run. Select only devices and action types that appear as available for your account.
  6. Save the Routine and test it under ordinary conditions, including the device’s online state and the account that will trigger it.
  7. Check which home members can see the run history or effects, especially for household Routines.

For a smart-plug automation, verify that the plug is assigned to the correct Google Home, has a stable connection, and exposes on/off control before depending on the Routine. A Routine that appears to save successfully can still fail when a device is offline or a permission changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set up a Spark task

  1. Confirm that the account meets Spark’s personal-account, age, AI-plan, Keep Activity, and regional requirements.
  2. Define the task goal separately from the instructions and context you want reused.
  3. Choose a time schedule, Gmail monitor, or topic monitor that matches the event you care about.
  4. Review the monitor’s freshness limits and avoid using it for urgent or safety-critical decisions.
  5. Run a controlled test and inspect the resulting task output before adding it to an important workflow.

Common failure modes and fixes

The Gemini scheduling option is missing

  • Personal-account rollout is gradual; the feature may not yet be enabled for your account.
  • Keep Activity may be off.
  • You may be looking for Spark while the account only exposes Scheduled Actions, or vice versa.
  • The request may depend on a connected app that has not been authorized.

Check the account, Activity setting, connected-app permissions, and the exact feature name before rewriting the prompt.

The Gemini result is outdated

Scheduled Actions prepare content ahead of delivery. Narrow the request to a daily summary or wrap-up, and do not use it for rapidly changing figures. Spark topic monitors have a similar limitation for fast-moving subjects.

A Routine does not run or a device does not change

  • Confirm that the starter actually occurred: the time, sunrise or sunset condition, alarm dismissal, voice phrase, or device event.
  • Check that the device is online, assigned to the intended home, and still linked to the account.
  • Verify that the exact action is supported for that device category and Routine type.
  • Review household membership, permissions, and any changed settings.
  • Test a simpler Routine with one starter and one action before rebuilding a longer sequence.

A household automation exposes more than expected

Household Routine runs can be visible to members of the home. Use a personal Routine where appropriate, remove unnecessary message or presence actions, and review who has access to the Google Home.

An automation is being used as a safety system

Move the critical function to a dedicated safety or security product. Keep the Gemini or Assistant automation as a convenience layer only, with an independent fallback.

Bottom line: match the automation to the output

Use Gemini Scheduled Actions for prepared knowledge work: recurring digests, summaries, quizzes, creative prompts, and calendar or email preparation. Use Google Assistant Routines for starters that launch supported device, media, information, messaging, or Assistant actions—especially connected-home controls such as lights, plugs, switches, and thermostats. Use Gemini Spark only when you specifically need its task, skill, Gmail-monitor, or topic-monitor model and your account meets its requirements.

For any feature, test the exact trigger and result, account for stale or unavailable data, and keep safety-critical functions outside convenience automations.
