If a font is missing from a Mac app, start in Font Book, not in the app’s font menu. Confirm that the file is installed in the intended User or Computer library, activate it, validate the file, resolve duplicates, and then fully quit and reopen the affected app. If Font Book is empty, use Font Book > Settings > Advanced > Reset Fonts and reinstall your personal fonts. Clear or rebuild caches only after those checks, especially when the problem affects several apps.
Find the failure point before changing anything
A missing typeface can be caused by a bad file, an inactive face, duplicate copies, an overloaded application, a damaged Font Book library, or stale font data that an app has cached. The quickest diagnosis is to determine where the font disappears.

Work from the narrowest, least destructive fix to the broadest one. Restarting an app or deactivating a duplicate is reversible. Resetting Fonts moves installed files out of active font folders and requires reinstalling them, so it belongs near the end of the process.
Check installation and activation in Font Book
Apple’s guidance is explicit: “To use fonts in your apps, you need to install the fonts using Font Book.” A file downloaded to Finder, copied to a project folder, or attached to an email is not automatically available to macOS applications.

Open the correct Font Book library
- Open Font Book from the Applications folder or with Spotlight.
- In the sidebar, inspect All Fonts, the User collection, and the Computer collection. A font installed for one user may not appear in another user account, and a font in the Computer library has a different scope from one in your User library.
- Search by the family name and then expand the family to see individual styles such as Regular, Medium, Italic, or Bold. An app may list a style separately even when the family is present.
If the family is not listed at all, return to the original file and install it through Font Book. You can add a font from Font Book’s installation command or drag the font file into the Font Book window. Install the actual file you intend to use rather than a shortcut to a network or removable drive.
Confirm that the face is active
Font Book can show an installed face that is not currently active. An inactive face is unavailable to applications even though its name remains visible in the library. Select the family or style and use the activation command in Font Book. If macOS asks whether to activate a family, activate the styles required by your document.
After activation, look again at the individual styles. A family can contain an active Regular face but an inactive Italic or Bold face. If only one style is missing from an app’s menu, activate that style rather than reinstalling the whole family.

Current Font Book documentation lists these supported formats:
- TrueType (
.ttf) - Variable TrueType (
.ttf) - TrueType Collection (
.ttc) - OpenType (

The extension alone does not prove that a file is healthy. A damaged or incorrectly packaged file can have a supported extension and still fail validation. If the file came from an archive, extract it first and install the font file itself; do not try to install the archive as though it were a font.

Validate the font file and remove duplicates
Run Font Book validation
- In Font Book, select the installed family or style.
- Choose File > Validate Selection. To test a file before installing it, choose File > Validate File and select the font file.
- Read the result for each face. A green result passes validation, yellow indicates a warning, and red indicates a failure.
A red result is a strong reason not to keep using that copy. Remove the failed font from Font Book and obtain a clean copy from the original foundry or distributor. Reinstalling the same damaged file will not repair its internal tables.
A yellow warning does not automatically mean the font is unusable. Keep a backup of the original, test the font in the application where you need it, and replace it if the warning is accompanied by missing styles, crashes, incorrect spacing, or garbled characters. Do not ignore a red failure simply because the family name appears in an app menu.

Resolve duplicate families
Multiple copies of one family can come from a previous macOS installation, a design application, a project folder, or both the User and Computer libraries. Duplicates can make an app load one copy while Font Book displays another, so changes appear not to take effect.
- Select the duplicate family in Font Book.
- Choose File > Resolve Duplicates.
- When Font Book offers a choice, keep the copy it marks Active. The other copy is disabled or moved out of service.
- Quit and reopen applications that use the family.
If you intentionally need two licensed versions of a typeface, keep only the version required by the current project active. Record which version you retained before deactivating the other one; this makes it possible to switch back without deleting files.
Restart the app that is missing the font
Most applications build their font menu when they launch. Installing or activating a font while Word, a graphics editor, a layout application, or Pages is open does not guarantee that the running process will rescan it.

- Save your work.
- Quit the affected application with its normal quit command. Closing the document window is not enough.
- Wait for the application to disappear from the Dock, then launch it again.
- Open the font menu and search for the family and the specific style.
If the font now appears, the original problem was application startup state rather than the font file. Repeat this restart after replacing a font, resolving duplicates, or changing activation.
When only one third-party app is affected
Test the same family in a second application that normally exposes installed fonts. If it appears elsewhere but not in one third-party app, treat the issue as app-specific. Check that app’s own font-management or plug-in settings, confirm that the document is not restricting available fonts, and use the developer’s support path. Apple specifically directs users to the third-party developer when a font is missing only from a third-party application.
Do not reset the entire Mac’s font system just because one application has a stale menu. A system-wide reset changes every application and can create unnecessary reinstallation work.
Reduce the active collection when Office loads only some fonts
Microsoft Support notes that Office for Mac may be unable to load all fonts when a large number are installed. Microsoft does not publish a universal numeric threshold, so there is no reliable “maximum font count” at which the problem always begins.
- In Font Book, identify families you do not need for the current Office document or test.
- Deactivate those families temporarily. Deactivation is reversible and does not delete the original files.
- Use File > Resolve Duplicates to remove competing active copies.
- Quit every Office application, including any that remain open in the background.
- Reopen the Office application and test the missing family.
If the font appears after reducing the active set, keep a smaller working collection and activate additional families only when needed. This is a practical workaround for an overloaded Office font list; it is not evidence of a fixed system-wide font limit.

Repair an empty or damaged Font Book library
When Font Book displays no fonts at all, ordinary activation and app-restart steps cannot work. Apple’s troubleshooting guidance says that restoration may be required.
Back up personal fonts first
Before resetting, copy custom font files to a known folder or external backup. Include fonts installed only for your user account and fonts that came with a project. If you downloaded a licensed family, keep its installer or original archive as well.
Use Reset Fonts
- Open Font Book.
- Choose Font Book > Settings.
- Open the Advanced pane.
- Click Reset Fonts and confirm the operation.
- Restart the Mac if Font Book or macOS requests it.
Reset Fonts is not a harmless cache refresh. It moves installed fonts to /Library/Fonts (Removed) or ~/Library/Fonts (Removed), depending on where they were installed, and those fonts become unavailable until you reinstall them. Reinstall only the fonts you trust and need, then validate them before opening your production applications.
Reinstall in a controlled order
- Install a small set of essential fonts first, such as the family required by the document you are troubleshooting.
- Validate each family in Font Book.
- Activate the required styles.
- Restart the target application and test.
- Add the rest of your collection in batches, testing after each batch.
Adding fonts in batches makes it possible to identify a particular damaged or conflicting family instead of rebuilding the same problem into a newly reset library.
Understand when a font-cache reset is appropriate
Font caches are temporary data used by macOS and applications to avoid rebuilding font information on every launch. A stale cache can preserve an old activation state after many installs, removals, or replacements. However, cache clearing is a later diagnostic, not the first response to a single missing font.

Use the least invasive option first

If several applications show missing or outdated fonts after extensive changes, back up custom fonts and then use the Safe Boot procedure documented for your Mac model, or a reputable, documented font-cache reset utility. Restart normally afterward so macOS and applications rebuild their caches.
Avoid deleting arbitrary files from system folders or running undocumented shell commands copied from a forum. Cache locations and permissions vary by macOS release, and removing the wrong file can create a broader startup or permissions problem. If a utility does not identify exactly what it changes and how to undo it, do not use it on a production Mac.
A complete troubleshooting path
Follow this sequence when you need a repeatable decision process:

- Identify the boundary. Check whether the font is absent from Font Book, absent from one app, or absent from many apps.
- Install through Font Book. Confirm the file is a supported format and is present in the intended User or Computer library.
- Activate the exact style. A family can be present while its Italic, Bold, or variable face remains inactive.
- Validate. Use File > Validate Selection or File > Validate File. Replace red-failing files with a clean copy.
- Resolve duplicates. Use File > Resolve Duplicates and retain the copy marked Active.
- Restart the affected app. Fully quit and relaunch it; test the same family in another app.
- Trim large collections. If Office is missing many fonts, deactivate unnecessary families and restart Office.
- Repair Font Book. If its library is empty or clearly damaged, back up custom fonts and use Settings > Advanced > Reset Fonts.
- Rebuild caches only when symptoms are system-wide. Use Safe Boot or a documented reset method, then restart normally.
Prevent the problem from returning
- Keep one organized archive of original font installers and licensed files.
- Install fonts through Font Book rather than leaving loose copies in project folders.
- Use descriptive folders for project-specific fonts and deactivate them when the project ends.
- Resolve duplicates before beginning a document that depends on precise metrics or line breaks.
- After installing a family, validate it and restart the applications that will use it.
- Record whether a critical family is installed in the User or Computer library so it can be restored to the same scope.
- When testing a questionable file, use a temporary document and a second application before making it part of a large active collection.
The practical rule is simple: repair the smallest layer that explains the symptom. Font Book controls installation, activation, validation, and duplicates; the application controls when it refreshes its menu; caches matter mainly when multiple applications remain wrong after those checks.
