If Float is not giving your agency the staffing visibility it needs, compare alternatives against the decisions your team actually makes: who can take on work, when capacity opens up, and whether planned staffing fits project economics. Runn, Resource Guru, SAVIOM, ClickUp, Smartsheet, monday.com, and Parallax appear in current comparison coverage as candidates to investigate—not as a verified ranking or a guarantee that each fits an agency workflow.

Start by identifying the gap in your current process, then test each candidate with the same projects, availability rules, and staffing questions. Feature lists alone will not tell you whether a tool handles your agency’s workload accurately.

What should an agency look for in a Float alternative?

Resource scheduling and capacity planning are related, but they answer different questions. Scheduling shows who is assigned to which work and when. Capacity planning shows whether people have room for more work after existing allocations and availability constraints are accounted for. For an agency, a useful tool should help connect those views to upcoming demand and, where needed, project budgets or margins.

Float describes its live Schedule as bringing people, projects, availability, allocations, and time off together. It says managers can use that view to assess utilization, remaining capacity, overtime, under-utilization, workload imbalance, future hiring needs, and over-capacity risks. These are Float’s own product descriptions, not an independent evaluation. See Float’s capacity-planning overview and its capacity-planning and resource-scheduling documentation.

Float’s documentation says its displayed available capacity takes standard working hours and days, approved time off, public holidays, and current project allocations into account. That is a useful baseline for evaluating any replacement: a schedule can look tidy while still overstating capacity if part-time patterns, leave, or existing commitments are not reflected correctly.

Which planning problem are you trying to solve?

Choose comparison criteria based on the gap you want to close. A lightweight scheduling need is different from a forecasting problem or a need to manage project economics. Use this matrix to set priorities before requesting demos or trials.

Agency need What to examine Practical test
Assign people across concurrent projects Schedule usability, flexible allocations, availability rules, leave handling, and overbooking warnings Move a person between overlapping projects and check whether the schedule makes the conflict and remaining availability clear.
Plan future workload Demand forecasts, utilization projections, scenario planning, skill matching, and hiring-gap visibility Enter tentative upcoming work and see whether managers can distinguish it from confirmed assignments and identify a future staffing shortfall.
Connect staffing to commercial performance Links between planned work, tracked time, budgets, rates, costs, and project margin Check whether a manager can understand the financial effect of a proposed staffing change without rebuilding the analysis elsewhere.
Improve confidence in capacity numbers Support for working patterns, holidays, approved leave, and current allocations Use a part-time schedule, a holiday, and approved leave in a sample plan; verify that the displayed availability changes as expected.
Fit the agency’s existing setup Integrations, required plan level, and total cost for the team Confirm that the integrations and reporting you need are available on the plan and in the region you intend to use.

The criteria reflect planning questions raised in Float’s documentation and current agency or resource-management comparisons. They do not establish that any alternative has a particular feature; verify capabilities and plan limits directly with each provider.

Which Float alternatives belong on an agency shortlist?

Current comparison material names Runn, Resource Guru, SAVIOM, ClickUp, Smartsheet, and monday.com as Float alternatives. Parallax also appears in an agency resource-planning comparison. These names are a starting shortlist, not a ranking: the cited comparisons are vendor-produced or published by comparison sources, and the material does not verify each product’s current capabilities, pricing, integrations, or geographic availability.

  • Each 160 Pages Per Book: Provide ample space for note taking & planning and with the date section at the top for tracking them. With 160 pages for meeting minutes, the manager notebook will cover more than half a year, even in daily use. Also provides index pages for organizing this office planner.
  • Better Tool Drives Better Meetings: The hassle of organizing the chaotic meeting notes VS this professional meeting notebook. Definitely a step up! Everything is neatly zoned on each page makes it a breeze to fill them out and ensure all you need are accounted for.

Use these sources to generate candidates, then go to each candidate’s current product documentation or sales materials to confirm the details relevant to your team. Do not assume that a product described as project management software will provide the same capacity-planning controls as a dedicated resource tool.

How can you compare tools fairly?

Run the same representative staffing scenario in every candidate. A useful sample includes the kind of concurrent client work your agency handles, realistic part-time schedules, leave, holidays, tentative demand, and the reporting managers need. Keep the questions and inputs consistent so that differences you observe come from the tool rather than from changing the test.

  1. Define a real planning scenario. Choose a representative mix of projects, roles, deadlines, and staff availability. Include at least one person with a nonstandard work pattern if that is common in your team.
  2. Model availability inputs. Add work patterns, holidays, approved leave, and existing assignments. Check whether the tool’s capacity view reflects those constraints.
  3. Reschedule work. Move an assignment or change its allocation. Note how quickly a manager can make the change and whether workload conflicts or overbooking are visible.
  4. Add future demand. Represent tentative work separately from confirmed assignments if the tool allows it. Check whether future workload and potential staffing gaps are understandable.
  5. Inspect utilization reporting. Determine what the reports show, which time horizon they cover, and whether managers can distinguish planned work from actual time where that distinction matters.
  6. Check commercial visibility. If staffing decisions depend on project economics, confirm whether planned work connects to budgets, rates, costs, actuals, or margin in a useful way.
  7. Verify integrations and plan limits. Confirm the required integrations, reporting, team size, and features against current product documentation and the specific plan being considered.
  8. Record cost for your actual team. Compare the total cost for the agency’s users and required plan rather than relying on an entry-level price or a feature list.

Score the candidates against the criteria that matter to your workflow. A tool that is easier to operate may be a better fit than one with more features if your central need is fast, reliable rescheduling. Conversely, a polished schedule is not enough if leadership needs dependable forecasts or project-cost visibility.

When is it worth replacing a spreadsheet?

A spreadsheet can be adequate when a small team has few concurrent projects, straightforward availability, and someone consistently maintains the plan. The case for a dedicated tool strengthens when managers need one dependable view across multiple projects, leave and working patterns materially affect staffing, or future demand must be compared with available capacity.

The key question is not whether a software tool has more features than a spreadsheet. It is whether the agency can keep its availability inputs accurate and use the resulting schedule to make staffing decisions. If the team will not maintain assignments, leave, and work patterns in the new system, more sophisticated reporting can still produce misleading capacity signals.
