If a flight is delayed, cancelled, rerouted, or you are denied boarding, save the evidence as the disruption unfolds and identify which rules apply to your itinerary. A ticket refund, rerouting, assistance, statutory compensation, and repayment of expenses are separate remedies; qualifying for one does not automatically qualify you for the others.
Start a paper trail while the disruption is happening
Build one record of what you booked, what changed, when it changed, and what you spent. Keep copies of supporting documents and retain originals of receipts and travel documents. The U.S. Department of Transportation (DOT) recommends keeping travel records, receipts, incident notes, and the names of airline employees you speak with.
- Booking and travel documents: save the booking confirmation, ticket or itinerary, boarding pass, and any rebooking details.
- Notices: save airline emails, texts, app messages, and screenshots of cancellation, delay, rerouting, or refund information. Preserve the time each notice arrived if possible.
- Disruption log: note the scheduled and actual times, airport and city, flight number, what happened, what assistance you requested or were offered, and what staff told you. Record employee names when available.
- Expenses: keep receipts and proof of payment for costs incurred because of the disruption. Note why each expense was necessary.
- Claim correspondence: keep a copy of your first complaint and every response.
- Baggage records: if the issue involves checked luggage, keep the baggage claim stub and any related reports or airline notices.
For records that may need to be submitted with a complaint, use copies rather than sending irreplaceable originals. Keep the original documents and receipts yourself.

There is no single set of flight-disruption rights for every itinerary. Check the route, the operating carrier, what kind of disruption occurred, and its timeline. A ticket refund rule, for example, may answer a different question from a compensation rule or a right to assistance. The summary below covers the U.S. DOT guidance and the European Commission’s current Your Europe passenger-rights guidance; it is not a complete guide to every country’s laws.

If your trip falls under EU passenger-rights guidance
The European Commission’s Your Europe page describes conditional rights for events including cancellation, delay, denied boarding, missed connections, and baggage problems. For covered cases, its current guidance gives illustrative compensation bands of €250 for flights of 1,500 km or less; €400 for flights over 1,500 km within the EU and for other flights between 1,500 km and 3,500 km; and €600 for flights over 3,500 km. These amounts are not automatic payouts: eligibility, possible reductions, and exceptions depend on the case.
The page says extraordinary circumstances can include air-traffic-management decisions, political instability, adverse weather, and security risks. It lists most technical problems arising during maintenance and internal airline staff strikes as not extraordinary. The carrier must establish the required causal link and that reasonable measures could not have avoided the disruption. Whether an event qualifies is fact-specific.

A departure delay of at least five hours may allow ticket reimbursement and, where applicable, a return flight. That refund possibility is distinct from the arrival-delay compensation bands. Keep the departure and final-arrival times in your log so you can assess each question separately.

If your trip falls under U.S. DOT refund guidance
DOT says you are entitled to a refund when an airline cancels your flight or significantly changes or delays it and you choose not to travel or accept travel credits or other compensation. The DOT’s Refunds guidance defines significant changes and related situations; check its current definition against your specific disruption rather than assuming that every delay qualifies.

If you choose to fly on the significantly changed or delayed flight, or on an alternative flight, DOT says you generally are not entitled to a ticket-price refund under these rules. Other amenities or compensation may still be available depending on the circumstances and the airline’s commitments.
Check the effective date of the EU amendment
Regulation (EU) 2026/2202 was published in the Official Journal on 2 October 2026. It enters into force on 22 October 2026 but applies from 23 October 2027. As of 11 October 2026, its new provisions are not yet applicable. For a claim concerning a flight before the application date, do not treat those future provisions as if they already govern the process. The regulation’s application date—not the Council’s earlier 15 June 2026 agreement announcement—controls this timing.

Keep assistance, refunds, compensation, and expenses separate
When you ask the airline to resolve a disruption, identify each remedy you are seeking instead of using “compensation” to mean everything. The frameworks summarized here distinguish among different outcomes:

- Rerouting or rebooking: a way to continue the trip after certain cancellations or denied boarding under EU guidance.
- Ticket refund: repayment of the fare under the relevant rules. Under the DOT guidance described above, the choice not to travel or accept credit matters.
- Statutory compensation: a separate payment that may be available for a qualifying covered EU case, subject to the applicable conditions and exceptions.
- Expense reimbursement: repayment of disruption-related costs is a separate claim to support with receipts. The sources summarized here do not establish a universal right to repayment of every expense.
For a U.S. refund claim, preserve evidence of what the airline offered and whether you accepted a credit or traveled. For any expense request, keep the receipt and record why the cost arose from the disruption; do not assume that a receipt alone establishes eligibility.

Write a focused complaint and escalate if needed
Complain to the airline first. DOT advises giving the airline a chance to resolve the issue and writing to its consumer office. A concise complaint makes it easier to connect your requested remedy to the event and the evidence.
- Identify the trip: include the passenger name, booking details, flight number, travel date, and relevant cities.
- Describe the timeline: state what was scheduled, what changed, when you learned of it, and the actual arrival or departure times if known.
- State the remedy you want: specify whether you are requesting a ticket refund, rerouting, assistance, compensation, or reimbursement for listed expenses. Explain each request separately.
- Attach copies: include the itinerary, notices, relevant boarding or baggage documents, receipts, and any other supporting records. Keep your originals.
- Retain the exchange: save the complaint, confirmation of submission, and every reply, including the date received.
- Escalate where appropriate: if the airline or ticket agent does not resolve a U.S. refund issue, DOT accepts complaints. DOT says it directs the airline or ticket agent to respond, but does not investigate every complaint.
For EU-related claims, check the current European Commission / Your Europe guidance and the applicable claim route for your itinerary. Do not assume the same deadline or escalation process applies to every right or jurisdiction. The official guidance summarized here does not establish one universal filing deadline.
Make the record usable later
Keep the material together digitally or on paper, with files named by date and flight. A simple timeline can prevent confusion when you file:

Use the airline’s written explanation and notices as part of that record, not as a substitute for your own dated notes. Having both lets you state what happened, what the carrier said, and what outcome you are asking for without relying on memory.
