If Find and Replace in Word or Excel misses text, changes the wrong items, or finds fewer matches than expected, check the search criteria and scope first. In Excel, verify whether the search covers a selection, sheet, or workbook and what content type it searches. In Word, inspect advanced options for formatting, case, special characters, and wildcard mode.

Fix Find and Replace in Excel

Excel can search only part of a workbook, and its search criteria can exclude cells that look like they should match. Open Replace with Ctrl+H, or go to Home > Editing > Find & Select > Replace. Select Options if the additional controls are hidden.

Set the search scope

Use Within to choose the intended area: Selection, Sheet, or Workbook. If the target is outside the selected cells or current sheet, a narrower scope will not find it. Microsoft documents these scope choices in its Excel instructions for finding or replacing text and numbers.

Check what Excel is searching

The Look in setting determines the content type searched. On the Find tab, Excel offers formulas, values, notes, and comments; on the Replace tab, the documented choice is formulas only. If a displayed result comes from a formula, for example, searching values may behave differently than searching formulas.

Remove unintended match restrictions

  • Clear Match case unless capitalization must match exactly.
  • Clear Match entire cell contents if the target may be part of a longer cell entry.
  • Inspect Format. A format filter can restrict results to cells with particular formatting.

Check wildcard characters

In Excel, ? matches one character and * matches a sequence of characters. To search for a literal question mark, asterisk, or tilde, prefix it with a tilde: ~?, ~*, or ~~. These characters can make a query broader or narrower than it appears if you intended them as ordinary text.

Test before replacing

Choose Find Next or Find All to check what matches before using Replace All. Find All displays the matching occurrences and lets you select their cells. If the list is unexpected, revise the scope or criteria before making changes.

Fix Find and Replace in Word

Open Replace with Ctrl+H, or go to Home > Editing > Replace. Expand the dialog’s additional options if the controls you need are not visible.

Review advanced search criteria

  • Check whether Match case is enabled.
  • Look for formatting criteria that may limit matches to text with a particular format.
  • Check whether Use wildcards is on. When enabled, search characters are interpreted as a pattern rather than plain text.

Word’s wildcard mode uses a broader pattern system than Excel’s, including characters such as ? and *, ranges, repetition counts, and word-boundary markers. Do not assume that a pattern has the same meaning in both applications. Microsoft’s Word Find and Replace guidance explains the available options.

Use Special for nonstandard characters

If you are searching for a paragraph mark, page break, or another special character, choose the appropriate item from the Special menu in advanced Find and Replace. Typing what looks like the character into the search box may not be equivalent to selecting its search code.

Account for Word for the web

Word for the web has fewer search options than desktop Word. Microsoft documents basic text finding, case matching, and whole-word matching for the web edition, and directs users to desktop Word for more varied search behavior. If a needed advanced control is missing in the browser, open the document in desktop Word.

Verify individual matches first

Use Replace to inspect and change matches one at a time while checking that the query is correct. Microsoft specifically recommends reviewing each occurrence this way before using Replace All.

If the settings do not explain the result

These checks address common search mismatches, but they cannot identify one cause for every case. The result can depend on the application edition and platform, the exact query, and the document or workbook. Microsoft notes that Microsoft 365 features may roll out gradually, so interface availability can differ among subscribers; see its Microsoft 365 feature availability guidance.

If the issue persists, note which app and edition you are using, what text or value you searched for, and whether the result was missing matches, unexpected matches, or an incorrect replacement. Those details help distinguish a scope or criteria issue from behavior specific to the file or app.
