If Excel changes IDs in a CSV, prevent it by importing the identifier columns as text before loading the data. Use Data > From Text/CSV, open the transformation editor, set each ID column to Text, and check the preview against the original file. Opening a CSV directly lets Excel guess data types, and formatting the result afterward cannot reliably undo lost characters.
Why Excel changes CSV identifiers
A CSV contains values separated by delimiters; it does not tell Excel which columns are labels and which are numbers. When you open one directly, Excel may infer types and treat a digit-only identifier as a number. For example, it can turn 00123 into 123, or display a large value in scientific notation. Microsoft explains that Excel removes leading zeros and converts large numbers to scientific notation to support formulas and mathematical operations (Microsoft Support: Keeping leading zeros and large numbers).
An identifier is a label, not a quantity, when its exact written form matters. Postal codes, product codes, account numbers, phone numbers, and long IDs usually belong in text columns, even when they contain only digits. Use a numeric type when arithmetic on the value is meaningful.
Excel supports a maximum of 15 significant digits for numeric values. If a digit string longer than 15 digits is interpreted as a number, digits may be lost; displaying the value in scientific notation is not just a cosmetic warning. Treat such identifiers as text to preserve the exact string (Microsoft Support).

Automatic conversion can also affect strings that resemble dates or scientific notation, including text with an “E” between digits. The exact conversions available to control vary by Excel version.
Import a CSV with identifier columns set to Text
- In Excel, choose Data > From Text/CSV and select the CSV. Do not assume that a direct-open or import preview proves the IDs have been preserved.
- In the preview, choose Transform Data or Edit to open the transformation editor. Microsoft documents this route for assigning a type to individual columns (Import or export text (.txt or .csv) files).
- Select each identifier column, then choose Data Type > Text. If Excel asks whether to replace the automatically inferred type, choose the option that replaces it. For an import you expect to refresh, verify that the query contains a text-type step for each ID column (Keeping leading zeros and large numbers).
- Compare representative rows in the preview with the source CSV. Check IDs with leading zeros, 16 or more digits, date-like text, and an “E” between digits. When the values match, choose Close & Load.
- If you refresh the imported data later, confirm that the saved type-conversion step is still applied. Microsoft says a refresh reapplies saved transformations.
Labels and exact routes can differ among Excel versions and platforms. Microsoft’s documented workflow applies to the products listed on its support pages; check your version if the labels differ.

Choose the right prevention method

Automatic Data Conversion settings
In newer Excel versions that expose Automatic Data Conversion settings, you can disable individual conversions such as removing leading zeros, limiting long numeric data to 15 digits, interpreting digits around “E” as scientific notation, and converting continuous letter-number strings to dates. Microsoft lists these examples in its Data import and analysis options in Excel guidance. These controls can help prevent mistakes across text entry and loading, but an explicit Text type remains a clear choice for the columns in a particular import.

Legacy Text Import Wizard
To enable the compatibility wizard, go to File > Options > Data and turn on From Text (Legacy). Then choose Data > Get Data > Legacy Wizards > From Text (Legacy). In the wizard’s final step, select the identifier column and choose Text. The wizard is retained for backward compatibility; exact availability and labels can vary by version (Microsoft Support: Text Import Wizard).

Check for changed IDs and recover from the original
Compare representative imported values directly with the original CSV in a text editor or another source that does not reinterpret the values. Look for missing leading zeros, changed final digits in long values, scientific notation, and date-like strings that became dates. Excel’s displayed value may not make it clear whether a long number is intact, so verify the stored value against the source.
If you find a change, return to the untouched CSV and import it again with the affected columns set to Text. Changing an already altered cell to Text does not reconstruct the original characters. Microsoft notes that formatting changes do not alter values already entered; a custom number format can display zeros for a known-width short code, but it cannot recover zeros or digits removed from the source value (Microsoft Support: Format numbers as text).
