These six built-in Excel actions make common work—cleaning text, totaling figures, filling patterns, keeping headings visible and checking values—easier to repeat. They use menus, a keyboard shortcut, a drag handle or the status bar; some change worksheet cells, while others only change how you view or inspect the data.
Which Excel click should you use?

How can Flash Fill clean up repetitive text?
Flash Fill infers a transformation from an example you enter beside your source data. It can, for example, combine first and last names into a full name or separate names into parts. Microsoft describes the feature as one that “automatically fills your data when it senses a pattern.”
- Put the source values in a column and leave the adjacent column for the result.
- In the first result cell, type the output you want for the corresponding source value.
- Start typing the next result. If Excel recognizes the pattern, review the suggested preview.
- Accept the preview, or run it manually with Data > Flash Fill or Ctrl+E.
Check the completed values before using them: pattern recognition can make an unintended transformation if the examples are ambiguous. If Excel does not show a preview, check that automatic Flash Fill is enabled, or use the manual command. Microsoft lists support for Microsoft 365, Excel 2024, 2021, 2019 and 2016; its documentation specifically lists Mac support for Excel 2024, 2021 and 2019. See Microsoft’s Flash Fill instructions.

How do you total a range with AutoSum?
AutoSum creates a normal, editable SUM formula. To total a column, select the blank cell immediately below its numbers; to total a row, select the blank cell immediately to the right.

- Choose Home > AutoSum (AutoSum is also available on the Formulas tab), or press Alt+=.
- Inspect the highlighted range to make sure it includes the intended numbers and excludes unrelated cells.
- Press Enter to accept the formula.
You can select several adjacent blank total cells before invoking AutoSum to create more than one total. Always inspect the proposed range, particularly when blanks or neighboring data could cause Excel to select the wrong cells. Microsoft explains the formula behavior in its AutoSum guide; keyboard references, including Alt+=, are in Microsoft’s Excel shortcuts list.
What can Quick Analysis do with selected data?
Select a data range and press Ctrl+Q to open Quick Analysis where the feature is available. Its options can include Formatting, Charts, Totals, Tables and Sparklines. Choose an option to preview or apply a useful next step without searching through the ribbon.

The available controls vary by Excel version. Treat chart suggestions as a starting point, not proof that a chart is the right way to represent the data: choose a visualization that fits the question and the values. Microsoft outlines the available tasks in its guide to basic Excel tasks and lists Ctrl+Q in its keyboard shortcut reference.
How do you use the fill handle for values and sequences?
The fill handle—the small square at the lower-right corner of a selected cell or range—can repeat a value or extend a recognizable pattern. Select the seed cell or cells, then drag the handle across the destination range. Excel may show Auto Fill Options after the drag so you can adjust how the values were filled.

- Repeat a value: Use one seed cell containing the value to copy.
- Continue a sequence: Give Excel enough examples to establish the increment. For 1, 2, 3, start with cells containing 1 and 2, select both, and drag; one seed containing 1 will typically repeat 1 rather than establish a counting series.
Check the destination before dragging because filling can overwrite existing cells. Keep the overwrite alert enabled where your Excel version offers it. Microsoft says the fill handle is enabled by default in the documented desktop versions; see the instructions for filling worksheet cells and the setting for displaying the handle.
How do Freeze Panes keep headings in view?
Freeze Panes keeps rows above and columns left of a selected cell visible as you scroll. To retain a header row and the first column, select the cell immediately below and to the right of both—for example, B2 if the first row and first column should stay visible.

- Select the cell below the rows and to the right of the columns you want to keep on screen.
- Choose View > Freeze Panes > Freeze Panes.
- To undo the setting, choose View > Freeze Panes > Unfreeze Panes.
For example, selecting C2 keeps row 1 and columns A and B visible. Microsoft documents the selection rule and menu path in its Freeze Panes guide.
How can the status bar check numbers without a formula?
Select numeric cells and look at the bottom of the Excel window for a quick Sum. This is an inspection aid: it does not insert a formula into the worksheet. To choose which summaries appear, right-click the status bar and enable options such as Count, Numerical Count, Minimum or Maximum. Some options depend on Excel version.
