The right alternative depends on what you mean by “files.” To find files and folders already on a Windows PC by name, use a filename search tool such as Everything. To organize information about items, documents, locations, or owners in a structured, searchable catalog, consider a database such as Microsoft Access or LibreOffice Base. Keep Excel for small, flat lists and calculation-heavy analysis; changing tools will not by itself fix confusing or inconsistent data.
First decide: find files on disk, or catalog information about them?
These are different jobs, and one application is not a universal replacement for another. If you know a file exists somewhere on the PC and want to locate it by its filename, you need file discovery. If you want to track details such as an item’s owner, location, status, or related documents, you need a catalog of records. A catalog can store a file path or other descriptive information, but that does not make it the same thing as a tool that searches the disk for filenames.
- Find existing files and folders by name: choose a filename search utility. Everything is a Windows option focused on locating names.
- Track related information: choose a database if your list has multiple connected kinds of records, such as items and locations, and you need structured entry, queries, or reports.
- Keep a simple list or analyze numbers: Excel remains a reasonable fit when one flat table and spreadsheet calculations are enough.
Microsoft describes Excel as optimized for data analysis and calculation, while distinguishing it from a database management system such as Access. Its guidance uses a simple customer list as a spreadsheet example and a customer list with multiple addresses or contacts as a case where related tables can help. Microsoft Support explains how to choose between Access and Excel.
That distinction is easy to miss because spreadsheets and databases can both show rows and columns. The appearance is similar; the job each tool is designed to do is not. A worksheet is convenient for entering a compact list, calculating with its values, and analyzing them with formulas, pivots, or charts. A database becomes more useful when several kinds of records need to relate to one another and you want to retrieve selected details consistently.

Which alternative fits your job?
| What you need to do | Best-fit option | Why it fits | Important limitation |
|---|---|---|---|
| Keep a short, mostly self-contained list or calculate and analyze values | Excel | Worksheets, formulas, pivots, and charts suit flat lists and analysis. | It does not enforce relational integrity between related tables. |
| Track connected records, such as items, locations, and owners | Microsoft Access | Supports linked tables, identifiers, queries, forms, and reports. | It is Windows desktop software, and Microsoft says it is included only in certain Microsoft 365 plans. |
| Build a database using a no-cost office-suite component | LibreOffice Base | Provides database tools for tables, forms, queries, and reports. | Spreadsheet and text sources are read-only within Base; it is not an in-place editor for those source files. |
| Locate files and folders on a Windows PC by filename | Everything | Indexes filenames and folders, updates results as changes occur, and can search mapped network locations when configured. | Its index is for names, not file contents; content searches are possible but slow. It is not a structured item catalog. |
Compare the options on more than the number of rows in a workbook. Ask whether your information is one flat list or several related lists; whether you are searching filenames or cataloging information; how much validation and relational integrity you need; and whether queries, forms, and reports would make routine work easier. Also check whether the application suits your Windows setup, whether information must be available to others, and whether its cost or subscription availability fits your situation. The options here do not all solve the same kind of sharing or deployment problem: Access is a Windows desktop database, while Everything is a Windows filename-search utility, and Base’s behavior depends in part on the kind of data source you connect to.
When a database is better than a spreadsheet
A spreadsheet and a database can both display rows and columns. The practical difference is how they handle relationships, entry, and retrieval. A single flat table can work well for a simple list. But when one real-world thing has several associated records—for example, one customer with several addresses, or one asset associated with an owner and a location—putting everything into repeated columns or duplicated rows can make information harder to maintain.
A relational database separates different kinds of information into tables and connects records with identifiers. In Microsoft’s example, an order can be associated with a customer through a unique identifier; referential integrity can prevent an order from being recorded without a corresponding customer. Excel permits flexible entry, but it does not provide that same relational integrity across linked tables. Microsoft’s Access-versus-Excel guidance discusses these distinctions.

That structure matters when people need to enter consistent information, retrieve a specific subset, or produce different views from the same records. Microsoft describes queries as a way to select rows and columns from one or more tables, and forms as interfaces for data entry and editing. Reports can present a formatted summary. Its database basics guide also explains how redundancy and inconsistency can make a growing list harder to understand and search.
For example, imagine a list of equipment that includes a location name and contact details on every equipment row. If one location’s contact changes, repeated entries create several chances to miss an update or type a different version. A related-table design can keep the location details together and connect each equipment record to the appropriate location. The value is not simply a different screen: it is a way to represent the relationship once and retrieve the connected details when needed. Microsoft’s customer-and-address example follows the same logic.
Queries also change how you work with a growing collection. Instead of scanning a broad list every time, you can retrieve selected rows and fields, including information from more than one table. Forms can provide a more structured interface for entering or editing records, and reports can format a summary for a particular purpose. Those features matter most when the same kinds of information are updated repeatedly or when you need several views of the same underlying records.
Signs your Excel list may have outgrown a flat table
- The same details, such as a location name or person’s contact information, are repeated in many rows and are easy to enter inconsistently.
- One item can have multiple related details, but the worksheet keeps accumulating extra columns or duplicated rows to accommodate them.
- You regularly need to select specific fields across related kinds of records rather than inspect or filter one table.
- Several people need a controlled way to enter or update records, or you need recurring reports with different layouts.
These signs point to a possible database need, not an automatic requirement to switch. If the information still fits cleanly in a single flat list and the main work is calculation or analysis, Excel may remain simpler. A new application cannot correct an unclear definition of what each row represents or inconsistent values already in the data.

Before changing tools, describe what each record represents in plain language. Then identify which details belong to that record and which describe a separate entity that may be linked to many records. This helps determine whether the apparent problem is genuinely relational or simply a need to clean up a flat list. It also gives you a practical test: can the proposed structure answer the questions you actually ask, without relying on repeated, ambiguous entries?
Microsoft Access: a Windows desktop option for related records
Access is a candidate when your job is structured tracking rather than just keeping a list. You can organize information in related tables, connect records using identifiers, query selected information, and create forms and reports. Microsoft specifically identifies inventory and asset tracking among possible database uses. The useful question is not whether Access can replace Excel generally, but whether your records need relationships and controlled retrieval that a flat worksheet does not provide.
Access is desktop software for Windows. Microsoft says it is included only with certain Microsoft 365 plans, so check the exact plan you have before assuming it is available at no additional cost. Microsoft’s comparison of Access and Excel gives the current general availability qualification.
Think of Access as a local desktop database choice, not a shortcut to a new web database. Microsoft’s page about desktop databases versus Access web apps includes historical product context and says not to create new Access web apps; it points readers toward Power Apps for that legacy web-app path. The page is useful for the distinction between desktop and web approaches, but its old setup details should not be treated as current instructions. Read Microsoft’s desktop-database and Access-web-app guidance if deployment model is part of your decision.
That deployment distinction is worth checking before you build around a database. If the need is local desktop tracking, Access may fit; if the real requirement is a web-based application, its legacy web-app guidance is not an invitation to start a new one. The available choices and plan inclusion should be verified for your own situation, rather than inferred from a general comparison article or an old setup page.
LibreOffice Base: a no-cost database component, with a migration caveat
LibreOffice Base is the database application in the LibreOffice suite. Its documented functions include creating tables, forms, queries, and reports; the suite is available at no cost. Base can also access some flat-file database formats and connect to external relational databases, including MySQL and Oracle. The official product and help pages describe those capabilities: LibreOffice and LibreOffice Database Help.
There is an important distinction between using a spreadsheet as a source and turning its information into editable database records. LibreOffice Help lists spreadsheet files, text files, and address-book data as read-only sources within Base: Base users cannot edit those records or the source structure from there. If your goal is to build a database from an existing spreadsheet, plan for a deliberate database setup or conversion rather than assuming Base will act as an in-place spreadsheet editor.

In practical terms, decide whether you only need Base to access information from an existing source or whether you need to maintain records and structure as database data. The documented read-only behavior applies to spreadsheet, text, and address-book sources; it does not mean those source files become editable database tables just because they are visible in Base. Make that distinction early if ongoing updates are part of the reason you are considering a database.
Base is also not limited to a single kind of connection: its help describes access to some flat-file database formats and connections to external relational databases such as MySQL or Oracle. That may be relevant if your work already involves one of those sources. It does not remove the need to check how a particular source can be used, especially where you expect to edit records or change the underlying structure.
Everything: search filenames already on a Windows PC
Everything is a Windows search utility for locating files and folders by name. Voidtools says it indexes names, provides live result updates, and uses low resources. That makes it relevant when the problem is “Where did I save this file?” rather than “How should I model and maintain information about my collection?” The program is described by its publisher as freeware and lists Windows XP through Windows 11 as supported. Voidtools’ Everything page and its Frequently Asked Questions describe the product and supported Windows versions.
By default, filename indexing does not mean that the contents of documents are indexed for fast searching. Voidtools says Everything can search file contents with a content operator, but content is not indexed and those searches are slow. If you need to locate a phrase inside a document, do not assume Everything’s fast filename results provide a fast full-text search.
Voidtools says NTFS indexing requires either its service or running the application as administrator. Its FAQ also says mapped network drives or shares can be added in settings, so a default local search setup should not be assumed to include every network location. The specific configuration can matter when expected files are missing.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Voidtools publishes example indexing and memory figures in its FAQ for fresh Windows installations: about 250,000 files indexed in about 5 seconds and 1,000,000 files in about 1 minute; it gives example memory use of about 35 MB for 250,000 files and about 100 MB for 1,000,000 files. These are undated vendor examples, not independent comparative tests or guaranteed results for another PC, file system, or collection.
Those figures are useful as publisher examples, not as a promise about your own machine. Your search scope matters too: if you expect to find something on a mapped share, confirm that the location has been added; if you expect an NTFS index, note the service-or-administrator requirement. Missing results may therefore reflect what is configured or indexed, not necessarily that a file-search utility has cataloged the document’s contents.

Everything’s role remains narrow and useful: it helps locate a filename or folder name among the places it searches. It does not track an item’s owner, status, category, or links to other records as a database catalog would. If you need both filename discovery and a maintained inventory, treat them as separate needs rather than assuming either tool covers both.
How to choose and move forward
- Write down the actual task. If you need to find a filename on disk, look at a filename search tool. If you need to maintain details about things and their relationships, look at a database. If the work is a straightforward list with formulas and analysis, keep the spreadsheet approach.
- Check the shape of the information. Identify what one row currently represents, which details repeat, and whether one record can have several associated records. A database is more valuable when distinct entities need to be linked, rather than merely because a worksheet has grown long.
- List the retrieval and entry requirements. Decide whether you need only filters, or targeted queries across tables; whether people need forms for consistent entry; and whether recurring reports matter. Those are database features Microsoft identifies as reasons to choose Access over a flat spreadsheet.
- Check platform and availability before committing. Access is a Windows desktop option and is only included with certain Microsoft 365 plans. Base is a no-cost suite component, but its read-only treatment of spreadsheet and text sources affects how you plan a transition. Everything is for Windows filename discovery.
- Test the model on a small, representative set. Before reorganizing a large collection, define the fields and relationships you actually need, then check that the resulting records answer real queries and reports. For filename search, verify that the folders and any network locations you care about are included in the search configuration.
A useful test is to write down a few real questions before choosing. For a catalog, they might ask for selected fields across linked records or a recurring formatted summary; then check whether your proposed tables, identifiers, forms, and reports support those needs. For file discovery, list the folders and mapped network locations where the names might be, then verify that those locations are part of the search setup. This keeps the decision tied to what you need to retrieve rather than to a feature list alone.
Also separate the initial setup question from the ongoing-work question. A tool may be able to access an existing source without making that source editable in the way you expect. Base’s read-only treatment of spreadsheet and text sources is one example. Access plan availability is another practical constraint. Confirm these details before committing time to building a new catalog or changing how you maintain records.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common mistakes and how to avoid them
- Choosing a database just because a workbook has many rows. Size alone does not establish that the data is relational. If it remains one flat list and the main task is analysis, Excel may still be the more suitable tool.
- Expecting Access to be included in every Microsoft 365 subscription. Plan inclusion varies. Confirm your subscription’s actual entitlement rather than treating the product name as proof of access.
- Assuming Base edits a spreadsheet in place. Its help documents spreadsheet and text sources as read-only within Base. Distinguish connecting to a source from maintaining editable database records.
- Expecting Everything to search document text as quickly as filenames. File-content searches are not indexed and are slow according to Voidtools. Use it for filename discovery, not as a substitute for a full-text content index.
- Expecting a file search tool to create an organized catalog. Finding paths and names is different from tracking ownership, status, categories, or relationships. Pick the tool for the information you need to manage.
- Treating a vendor example as a performance guarantee. Voidtools’ published indexing and memory figures are examples for fresh Windows installations, not independent tests of every PC or collection.
- Assuming a local default search includes every location. Mapped network drives or shares can be added in Everything’s settings. Check the configured scope if a file on a network location does not appear.
- Switching applications before clarifying the records. Redundancy and inconsistent values can make a list harder to understand and search. First decide what each row means and which details are repeated or related.
