The app is Grist, an open-source relational spreadsheet that can make linked data easier to manage than a workbook built around IDs and lookup formulas. In a simple example, a Books table points to records in an Authors table; that relationship can then support linked views, author cards, and charts. It is a workflow-specific alternative, not proof that Excel cannot handle relationships—or a reason to abandon Excel for calculations and financial models.
Why switch when workbook data starts behaving like a database?
A flat spreadsheet works well when rows are mostly independent and the main job is calculation. The friction rises when a workbook contains different kinds of records—such as books and authors—and each book row repeats an author name or carries an author ID that must be matched with lookup formulas.
Grist offers a more direct way to represent that structure: keep authors and books in separate tables, then make each book refer to its author record. This is a practical distinction, not a claim that Excel is incapable of relational work. Excel has Data Model features; the benefit described here is that Grist makes this particular linked-record workflow feel more natural.

The demonstration uses a fictional workbook with 40 author records and 180 book records. Each book has an Author ID. In Grist, the Books table can use a reference column to connect each book to a record in the Authors table instead of relying on the text ID as the lasting relationship.

1. Keep each kind of record in its own table
Store author details once in Authors and book details in Books. A book row refers to an author record rather than duplicating that author’s details across every book. If an author’s information changes, linked records can use the updated author record. Lookup fields can also bring selected author information into Books when it is useful to display it there.
2. Use the relationship to create linked views
Once the reference is in place, Grist pages can arrange tables, cards, and charts together. The example describes moving and resizing widgets, linking or filtering one widget through a relationship, and displaying author information in a card. Grist’s official site also advertises flexible layouts, linked data, data cards, charts, pivot tables, and custom widgets; these are vendor-described capabilities, not an independent feature test.

3. Keep familiar ways to inspect the data
The example retains everyday spreadsheet operations such as sorting, filtering, summaries, and grouping or counting records. The value is not that every task becomes different; it is that the links between record types can become part of the data model and the views built on top of it.
When Grist is a better fit—and when Excel still makes sense

Use the data shape as the first decision point: if the challenge is keeping related record types consistent and showing them together, try a relational spreadsheet workflow. If the core work is calculation or a financial model, Excel may remain the better tool. Many people may have both kinds of work rather than one universal spreadsheet problem.

What open source and deployment mean here
Grist’s repository describes the project as a relational spreadsheet. It identifies Grist Desktop as an application for Linux, macOS, and Windows for working with local spreadsheets, and grist-core as a server for hosting spreadsheets. The repository says grist-core, grist-desktop, and grist-static are open source under the Apache License 2.0. These project facts do not, by themselves, establish hosted-service pricing, row limits, or parity between deployments.
Grist’s official homepage advertises self-hosting and a managed service, as well as granular row and column access rules, forms, visualizations, APIs, and integrations. Those are vendor claims about offered capabilities; confirm current availability and requirements against your intended setup before relying on them for production.

What to verify before moving a production workbook
- Import behavior: Confirm that the workbook’s sheets and data types transfer as needed.
- Formulas and macros: Check compatibility for the specific calculations, macros, and spreadsheet behaviors your team relies on.
- Collaboration and access: Decide who needs to edit or view records, and test the access controls required by your workflow.
- Deployment: Choose between browser use, local desktop use, or self-hosting only after checking the current technical requirements and plan details.
- Limits and operations: Verify current hosted plan limits, backup expectations, and any operational requirements that matter for your data.
The sources establish the product’s broad category, open-source components, and described deployment forms, but they do not settle those migration and production details. A small, representative test workbook is a safer way to validate them than switching a critical workbook all at once.
