Enterprise digital whiteboard software has no universal winner. Choose Miro or Mural for broad visual collaboration, FigJam for Figma-centered product teams, Lucidspark for structured diagrams and processes, Microsoft Whiteboard for basic Microsoft 365 use, and Conceptboard, Stormboard, Bluescape, Collaboard, or iObeya when deployment, sovereignty, or specialized workflows dominate.

The procurement question is not simply which app has the best sticky notes. An enterprise is buying a collaboration operating model: identity and access controls, persistent project knowledge, integrations, facilitation, AI governance, lifecycle management, data residency, support, and an exit path. The right shortlist depends on how teams work and how strictly the organization must govern shared visual content.

Key takeaways

  • Miro is the strongest general-purpose enterprise shortlist candidate when an organization wants a broad visual workspace, mature administration, integrations, and templates.
  • Mural is particularly well suited to facilitated workshops, design thinking, transformation programs, and structured collaboration methods.
  • FigJam fits product, UX, design, and engineering organizations that already use Figma, while Lucidspark fits teams that need ideas to flow into formal diagrams and process documentation.
  • Microsoft Whiteboard is often the lowest-incremental-cost option for Microsoft 365 customers with straightforward meeting whiteboarding needs, but it may not replace a dedicated visual workspace.
  • Security review must cover SSO, SCIM, MFA, sharing controls, encryption, residency, retention, audit logs, eDiscovery, AI processing, and export—not just a vendor’s compliance badges.
  • Enterprise total cost includes editors, guests, viewers, contractors, AI credits, governance add-ons, support, implementation, training, migration, and contract-exit work.

Which enterprise digital whiteboard software should you shortlist?

Most organizations should run a focused pilot of two or three products rather than declare a universal winner. The following fit-based shortlist is a practical starting point, not an independent hands-on ranking.

Product Best fit Main strength Main limitation or risk Pricing and deployment signal
Miro Broad, cross-functional enterprise standardization Visual workspace breadth, templates, integrations, and administration Advanced governance may require add-ons; open canvases can create board sprawl Enterprise custom pricing, listed from 30 members; regional hosting options and Enterprise Guard are plan-dependent
Mural Facilitated workshops and transformation programs Workshop methods, facilitation, templates, guests, and visitors Less obviously optimized for formal engineering diagrams or operational execution Enterprise contact pricing; SCIM, audit logs, reporting APIs, residency, and BYOK are enterprise capabilities
FigJam Figma-centered product, design, UX, and engineering teams Native relationship with Figma workflows Full-seat costs can rise quickly; not a whiteboard-only comparison Supplied pricing snapshot lists annual Enterprise seat prices of $90 Full, $35 Dev, and $5 Collab per month; verify geography and scope
Lucidspark Process mapping, architecture, and structured diagrams Path from visual ideation toward Lucidchart and formal documentation Required Lucid products and current pricing need confirmation Official pricing page exists, but a reliable current price was not exposed in the supplied research
Microsoft Whiteboard Microsoft 365 and Teams organizations with basic needs Existing identity, tenant, meeting, and storage context May lack the facilitation, governance, template, and mixed-stack depth of dedicated platforms Often assessed as part of an existing Microsoft 365 environment; advanced Copilot capabilities may cost extra
Conceptboard European hosting, dedicated deployment, or on-premises requirements Cloud, dedicated-server, and Data Center options May be excessive for smaller teams; compare ecosystem and workshop depth Enterprise sales; vendor positions the offering for organizations from 100 licenses
Stormboard Agile, structured ideation, and operational planning Voting, grouping, assignments, structured exports, and enterprise workflow controls Less natural for purely freeform infinite-canvas work Enterprise quote-based; single tenant, retention, SSO, and priority support are identified as enterprise capabilities

Computerworld’s enterprise buyer coverage identifies Miro, Mural, FigJam, Lucidspark, Microsoft Whiteboard, Stormboard, Conceptboard, Bluescape, Collaboard, iObeya, and Klaxoon as relevant market participants. The market is best understood as several categories rather than a single leaderboard.

What are enterprise buyers actually purchasing?

Enterprise digital whiteboard software ranges from a shared canvas to a persistent visual workspace. A basic whiteboard provides sticky notes, drawing, shapes, connectors, and meeting annotation. A visual workspace adds organized teams and spaces, reusable blueprints, embedded files and live data, workflow automation, integrations, APIs, search, reporting, governance, and AI-assisted transformation.

Category Typical capability When it is enough When it is not enough
Embedded meeting whiteboard Annotation, sticky notes, simple diagrams, quick retrospectives One-off or meeting-centered collaboration Persistent knowledge, cross-team governance, advanced facilitation, or deep workflow integration
Dedicated visual-collaboration platform Infinite canvases, templates, voting, timers, permissions, comments, integrations, and board organization Recurring workshops, planning, discovery, design, and cross-functional programs Highly specialized operations or strict self-hosting requirements may need a more focused product
Visual workspace Persistent project spaces, structured content, automation, live data, analytics, AI, and enterprise governance Organization-wide standardization and durable project knowledge Occasional meeting annotation may not justify another vendor or data store
Specialized visual-management system Lean rooms, portfolio governance, operations rooms, or controlled deployment Manufacturing, pharmaceuticals, public sector, or sovereign environments Casual brainstorming across a broad employee population

Before procuring a pure-play platform, compare the cost and capability of the whiteboarding already included in Microsoft 365, Google Workspace, Zoom, or another collaboration suite. Computerworld advises buyers to determine whether existing meeting or office-suite whiteboarding is sufficient before adding another product.

Which use cases should the pilot test?

The right product depends on the organization’s activities. Procurement teams should segment demand before comparing features because a workshop facilitator, systems architect, and learning-and-development manager make different purchasing decisions.

Meetings and workshops

Test retrospective, journey-mapping, brainstorming, prioritization, and strategy templates. Require timers, voting or dot voting, private mode, presenter controls, breakout areas, attention management, comments, and a clear way to export decisions and actions. Confirm whether external participants can join from a browser and whether guests need paid accounts.

Product management and design

Test user journeys, story maps, roadmaps, wireframes, prioritization matrices, research synthesis, and design reviews. Check Figma integration, comment and review workflows, version history, ownership transfer, and whether board content can become a specification or prototype. Figma’s pricing documentation identifies custom team workspaces, SCIM seat management, and design-system-oriented administration for its enterprise offering, making FigJam especially relevant where Figma is already the product system of record.

Engineering and architecture

Test UML, network, system-architecture, process, and dependency diagrams on a large board. Evaluate connectors, alignment, keyboard operation, Jira or Azure DevOps connectivity, documentation links, export quality, and performance with hundreds or thousands of objects. Ask whether an integration is a live two-way synchronization or merely an embed, hyperlink, import, or export.

Agile and portfolio management

Test sprint planning, Kanban, dependency mapping, program-increment planning, retrospectives, ownership of action items, and structured export. Validate whether work items synchronize with Jira or Azure DevOps and whether permissions can separate teams, programs, subsidiaries, and external partners.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Training, education, and facilitation

Test a large-group session, anonymous or private responses, breakout-room workflows, accessibility, moderation, guest onboarding, reusable lesson templates, and export or recording of results. A platform that works for ten internal editors may still fail for a class or workshop with many participants.

Operations and regulated collaboration

Test data residency, retention and deletion, auditability, legal hold, eDiscovery, customer-managed keys or BYOK, administrative separation, vendor access, and data-processing agreements. Treat deployment model and contractual controls as part of product fit rather than as late-stage security paperwork.

How should enterprise buyers evaluate security and identity?

SSO alone is not an enterprise identity strategy. The security review should establish who can create workspaces, how users are provisioned and removed, how external sharing is controlled, and what evidence administrators can retrieve.

Identity and access checklist

  • SAML or OIDC single sign-on, with support for the organization’s identity provider such as Microsoft Entra ID, Okta, or Google Workspace.
  • SCIM provisioning and deprovisioning, including group-based licensing and behavior when an employee leaves.
  • Just-in-time provisioning, enforced MFA or 2FA, session controls, device restrictions, and conditional access.
  • Domain verification, domain capture, approved-domain sharing, and controls over personal workspaces.
  • Role-based administration, delegated departmental administrators, guest restrictions, and external-user reporting.
  • Public-link restrictions, expiration, download and export controls, and discovery of externally shared boards.

Miro’s current plan matrix places SAML SSO on Business and Enterprise, while SCIM, audit logs or SIEM integrations, domain control, advanced sharing policies, and centralized integration management are Enterprise features. Miro’s plan and feature matrix should be checked again during procurement because plan boundaries change.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What data-protection questions should security teams ask?

Ask for encryption in transit and at rest, tenant isolation, backup protection, key management, key rotation, subprocessors, vendor-access controls, data export, deletion procedures, and the precise service scope of security certifications.

Miro states that its data is protected with TLS 1.2 or higher in transit and AES-256 at rest. Miro’s security and compliance FAQ contains that vendor statement, but buyers should verify the current documentation and contract terms rather than treating a product webpage as a complete security assessment.

Do not equate SOC 2, ISO 27001, GDPR, HIPAA, or another compliance label with meeting every requirement. Confirm the covered product edition, certification scope and date, geographic coverage, subprocessors, retention behavior, contractual commitments, and the buyer’s actual configuration.

How important are data residency and deployment options?

Data residency matters when laws, customer contracts, public-sector rules, or internal policy restrict where production data, metadata, backups, and support-access data may be stored or processed. Ask whether the service is SaaS-only, dedicated hosted, single-tenant, or genuinely self-hosted; which regions host backups; whether data can move between regions; and whether changing regions incurs migration fees.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Miro lists regional hosting options in the European Union, United States, Australia, and Japan on Enterprise, with availability potentially plan-dependent or paid. Miro’s pricing page and feature matrix should be used together when validating residency.

EXPO Dry Erase Markers, Low Odor Ink, Assorted Colors, Chisel Tip, 12 Count
  • Dry erase markers with the most vibrant ink yet from EXPO
  • Vibrant ink makes it easier to read information from a distance
  • Made for the whiteboard and beyond, writing pops on most non-porous surfaces like glass, acrylic, and more!
  • Easily and cleanly erases with an EXPO eraser or dry cloth

Conceptboard advertises cloud, dedicated-server, and on-premises or Data Center deployment options, European hosting, SAML 2.0 and OAuth 2.0 SSO, AES-256 encryption at rest, GDPR positioning, and ISO/IEC 27001:2022, 27017, and 27018 certifications. Conceptboard’s enterprise information is a vendor source and should be supplemented with certification evidence and contractual review.

How deep are the integrations?

An integration icon does not prove a connected workflow. Classify every critical connection as native, embedded, one-way import, one-way export, API-based, marketplace-based, automated, or genuinely two-way synchronized.

Integration area Questions for the vendor
Identity Does the platform support Entra ID, Okta, Google, LDAP, SAML, OIDC, and SCIM?
Meetings Are Teams, Zoom, Webex, or Meet connections embedded, interactive, and governed by meeting policies?
Messaging Can Slack, Teams, and email notifications carry comments, mentions, approvals, or action items?
Productivity Can users securely attach or edit content from Google Drive, OneDrive, SharePoint, or Dropbox?
Project management Do Jira, Azure DevOps, Asana, Trello, or Monday.com connections synchronize status and ownership both ways?
Documentation Can content flow into Confluence, Notion, SharePoint, or an internal wiki in a searchable form?
Design Does Figma or another design connection preserve useful objects, permissions, and review context?
Automation Are Power Automate, Zapier, Make, webhooks, APIs, or SDKs available, and are they separately charged?
Export Can the organization export PDF, PNG, SVG, CSV, JSON, PowerPoint, Word, or structured diagram formats?

Lucidspark is a strong candidate when brainstorming must connect to formal diagrams and documentation. Computerworld reports Lucidspark integrations involving Salesforce, Slack, Microsoft Teams, Jira, and Google Workspace, as well as its relationship with Lucidchart. Verify the exact connector behavior and licensing during the pilot.

Conceptboard lists Microsoft Teams, Google Drive, Dropbox, OneDrive, Confluence, and Webex integrations on its enterprise page. Mural lists Microsoft Teams, Webex, Zoom, Jira Cloud, Google Workspace, Butter, Slack, Adobe Creative Cloud Library, Azure, and Okta on its pricing page. Connector availability and depth should be tested rather than inferred from the list.

Which platforms are strongest for collaboration and facilitation?

Facilitation determines whether a whiteboard produces decisions or merely accumulates sticky notes. Evaluate voting, timers, private and anonymous participation, breakout areas, presenter mode, follow-me or attention controls, agenda templates, bulk sticky-note creation, automatic grouping, tags, reactions, comments, mentions, navigation, accessibility, guest handling, and performance with large groups.

Mural’s enterprise feature set includes multiple workspaces, SCIM user and group management, audit logs, downloadable reports, reporting APIs, required 2FA, data residency, and BYOK. Mural’s pricing model also distinguishes members, guests, and free visitors, which can materially change the cost of a workshop-heavy deployment. Mural’s current pricing and plan page is the appropriate source for those plan distinctions.

What should enterprise buyers ask about AI?

AI should be evaluated as a governed workflow, not as a checkbox. A useful feature summarizes a board, clusters notes, extracts decisions, creates a diagram, or turns workshop output into an artifact while respecting permissions and producing an auditable result.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

AI evaluation checklist

  • Can AI summarize, cluster, classify, translate, rewrite, generate ideas, create diagrams, and extract decisions and action items?
  • Is AI included, metered, beta, an add-on, or tied to another subscription?
  • Are credits pooled, capped, metered by action, or allowed to roll over?
  • Is customer content used to train models, and which model providers process it?
  • Can administrators disable AI by workspace, department, data classification, or user type?
  • Are prompts, outputs, actions, and credit usage logged?
  • Does AI work on guest-created content and confidential boards?
  • Can generated output be audited, corrected, reproduced, exported, and deleted?

Miro’s pricing documentation describes monthly AI credits, additional credit packages, and Enterprise Guard as an add-on for advanced governance. Miro’s pricing page should be checked for the contracted plan and current credit terms.

Microsoft Whiteboard’s AI-based visualization, categorization, and summarization capabilities are tied to Microsoft Copilot rather than necessarily being included in base Whiteboard functionality. Computerworld’s coverage of Microsoft Whiteboard describes that distinction; confirm the required Microsoft 365 and Copilot licenses with Microsoft.

How should boards be administered through their lifecycle?

A board is an enterprise record, collaboration space, or temporary workshop artifact depending on its purpose. The selected platform must support that distinction instead of leaving every board permanently active and owner-dependent.

  • Define the workspace and team hierarchy before migration.
  • Transfer ownership when an employee changes role or leaves.
  • Discover and manage orphaned boards.
  • Apply bulk permission changes and external-sharing restrictions.
  • Classify, archive, retain, expire, or delete boards according to policy.
  • Search across boards and preserve version history where decisions matter.
  • Measure usage, license utilization, departmental cost, and inactive content.
  • Provide a sandbox or test environment for integrations and governance changes.
  • Export content before contract termination and verify that exports remain usable.

Miro Enterprise includes domain control, centralized user management, audit trails, integration management, sandbox capability, and customer-success support. Miro describes Enterprise Guard as adding advanced data discovery, classification, and governance features. Miro’s domain-control documentation and Miro’s pricing page should be reviewed together because lifecycle and governance features can be plan-gated.

Which accessibility and usability tests matter?

Accessibility must be tested with representative participants, not inferred from a conformance statement. Test keyboard navigation, zoom and magnification, screen-reader behavior, color contrast, color-independent status indicators, reduced motion, stylus input, localization, low-bandwidth performance, offline behavior, guest onboarding, large-board navigation, office-application copy and paste, and export readability.

A platform can meet technical accessibility standards and still be difficult to use in a high-participation workshop. Include both vendor evidence and practical testing by people who rely on assistive technology.

Will the software work in conference rooms?

Conference-room and touchscreen compatibility should be a formal acceptance test because browser support does not guarantee a usable room experience. Test Microsoft Surface Hub, interactive displays, touch and stylus input, room PCs, locked-down browsers, Teams Rooms or Zoom Rooms, display scaling, screen sharing, presenter controls, authentication on shared devices, and whether a native application is required.

Computerworld warns that conference-room hardware and touchscreen compatibility is not consistently addressed by vendors. Require each shortlisted vendor to demonstrate the actual hardware and room configuration used by the organization.

What does each major platform fit best?

Miro: broad visual-workspace standardization

Best for: Large, cross-functional organizations that want one broad platform for workshops, brainstorming, planning, product work, and visual project collaboration.

Miro’s strengths are its visual-workspace model, templates, integrations, enterprise identity controls, audit trails, domain controls, regional hosting, sandbox capability, and customer-success options. The trade-off is complexity: advanced governance, encryption-key management, automated classification, content lifecycle management, and eDiscovery may require Enterprise Guard or other add-ons. An open canvas also needs naming, ownership, archiving, and template standards to prevent sprawl.

The supplied pricing snapshot lists Miro Enterprise as custom-priced from 30 members, with Enterprise Guard and premium support as add-ons. Check Miro’s official pricing page before requesting a quote, and do not extrapolate a small-team price to an enterprise contract.

Mural: workshop and transformation programs

Best for: Design thinking, innovation, strategy, transformation, facilitation, and structured workshop programs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mural emphasizes facilitation, templates, workspaces, rooms, external guests, and free visitors. Enterprise controls include SCIM, audit logs, reporting APIs, 2FA, data residency, BYOK, and premier support. Buyers should test whether the board-to-execution workflow is sufficient for engineering and operations teams rather than assuming workshop strength covers formal process management.

Mural uses enterprise contact pricing. Mural’s pricing page should be used to model members, guests, and visitors separately.

FigJam: Figma-centered product organizations

Best for: Product discovery, UX, research, design critique, roadmapping, and engineering collaboration where Figma is already central.

FigJam benefits from its relationship with Figma and supports workshops, diagramming, product collaboration, and design workflows. Enterprise administration includes custom team workspaces, SCIM seat management, and design-system-oriented controls. FigJam may be less compelling as an organization-wide whiteboard for departments that do not use Figma and need broad workshop governance.

The supplied pricing snapshot lists Figma Enterprise annual prices of $90 per month for a Full seat, $35 per month for a Dev seat, and $5 per month for a Collab seat. Those prices must be verified for geography, billing arrangement, product scope, taxes, and current availability on Figma’s official pricing page.

Lucidspark: structured ideation and diagrams

Best for: Engineering, architecture, process mapping, technical documentation, and organizations that want a clear path from brainstorming to formal diagrams.

Lucidspark’s main differentiator is its connection to Lucidchart and structured visual work. Its integrations and templates suit research, planning, Kanban, sprints, and strategic work. Verify whether the required Lucidspark and Lucidchart capabilities are bundled or separately licensed, and test whether workshop facilitation is sufficient for the organization’s largest sessions.

The supplied research did not reliably expose current official Lucidspark pricing. Do not reuse an older third-party or historical per-user figure. Request a current quote from Lucid’s official Lucidspark pricing page.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft Whiteboard: Microsoft-first basic collaboration

Best for: Organizations already standardized on Microsoft 365 and Teams whose requirements are meeting annotation, sticky notes, basic diagrams, and straightforward visual planning.

Microsoft Whiteboard benefits from Microsoft identity, tenant controls, Teams meeting policies, Microsoft 365 storage context, and Entra conditional-access support. Microsoft says Whiteboard on OneDrive for Business is enabled by default for applicable Microsoft 365 tenants, can be controlled across the tenant, and conforms to standards including SOC 1, SOC 2, ISO 27001, HIPAA, and EU Model Clauses. Microsoft’s Whiteboard administration documentation should be checked against the organization’s tenant and licensing configuration.

Microsoft Whiteboard may not match dedicated platforms for complex facilitation, template breadth, durable board governance, cross-platform guests, or specialized integrations. “Included with Microsoft 365” also does not mean zero total cost: administration, training, Copilot, migration, support, and a possible second platform remain relevant.

Conceptboard advertises European hosting, SAML and OAuth SSO, encryption at rest, GDPR positioning, ISO/IEC 27001:2022, 27017, and 27018 certifications, and integrations with Teams, Google Drive, Dropbox, OneDrive, Confluence, and Webex. On-premises deployment can improve control but increases operational responsibility, upgrade planning, infrastructure, and support complexity.

Conceptboard positions its enterprise offering for organizations from 100 licenses and uses contact sales. Review Conceptboard’s enterprise deployment and licensing information alongside a formal security questionnaire.

Stormboard: structured agile and operational workflows

Best for: Agile planning, structured ideation, operational planning, and buyers that value assignments, grouping, voting, and exportable structured data.

Stormboard is relevant to Jira, Rally, and Azure DevOps workflows and offers exports including CSV, JSON, XML, and OPML according to the supplied research. Enterprise capabilities identified on its official comparison include SAML SSO, security and compliance features, single-tenant hosting, data retention, purchase-order invoicing, priority support, and training.

What’s actually slowing this PC down?

Stormboard’s structured “storm” model may be less natural than an open infinite canvas for freeform visual work. Enterprise pricing appears to require a sales conversation, and setup or configuration fees may apply. Use Stormboard’s official pricing page to confirm the current commercial model.

Specialized alternatives: Bluescape, Collaboard, iObeya, and Klaxoon

Bluescape is worth a longlist position for security-focused, government, or highly controlled deployments; the supplied research reports cloud and on-premises options and API support, but no public pricing.

Collaboard is worth evaluating for European hosting, on-premises deployment, Active Directory, audit logs, and structured collaboration.

iObeya is a specialist candidate for lean manufacturing, agile, pharmaceutical, and operations-room workflows, especially where single-tenant or on-premises deployment matters.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Klaxoon is relevant to training, HR, sales, agile, project management, and structured facilitation. These products should be treated as fit-based alternatives rather than presumed equivalents to Miro or Mural.

How should you score the shortlist?

Use a weighted scorecard instead of a flat feature checklist. Score each vendor using evidence from the same scripted pilot, and record whether each capability is included, add-on, custom, partially supported, or unavailable.

Criterion Suggested weight What to measure
Use-case fit 20% Workshop, design, engineering, planning, training, and operations workflows
Security and compliance 20% SSO, SCIM, MFA, encryption, audit, retention, eDiscovery, certifications, and contractual controls
Administration 15% Workspaces, domain control, lifecycle, analytics, permissions, ownership transfer, and board discovery
Integration depth 15% Native, two-way, API, meeting, project, documentation, design, and export connections
Collaboration UX 10% Facilitation, guests, navigation, performance, accessibility, and participant friction
Deployment and residency 10% SaaS, dedicated, on-premises, region, backup location, and support access
Total cost 10% Editors, guests, viewers, AI, add-ons, support, migration, and training

Adjust the weights for the buyer’s actual risk. A design organization should increase Figma and design-system criteria. A government or regulated buyer should increase residency, deployment, audit, retention, and contractual controls. A workshop consultancy should increase guests, visitors, templates, facilitation, and client separation. An engineering organization should increase structured diagrams, Jira or Azure DevOps integration, export, and documentation. A Microsoft-first organization should increase Teams, Entra, SharePoint, licensing overlap, and tenant administration.

What is the total cost of enterprise digital whiteboard software?

Enterprise whiteboard cost is the sum of licensing and operating effort, not the advertised editor price. Calculate paid editor seats, viewers, guests, contractors, partners, minimum commitments, billing term, AI credits, governance add-ons, premium support, customer-success services, implementation, migration, training, on-premises infrastructure, residency migration, API charges, archiving, export, taxes, price increases, and the cost of retaining a second tool for specialized teams.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Cost component Procurement question
Editors Who creates or changes boards, and which seat type is required?
Viewers and visitors Can large audiences view or participate without paid seats?
Guests and contractors Can guests edit, revisit, export, invite others, or see other workspace content?
Minimums Is there a minimum number of members, licenses, workspaces, or annual commitment?
AI Are credits included, pooled, metered, capped, or sold as overage packages?
Governance Are audit logs, eDiscovery, classification, BYOK, retention, and residency included or add-ons?
Support Is support standard, premium, premier, or tied to a guaranteed SLA?
Implementation and exit What do migration, training, bulk export, deletion confirmation, and termination assistance cost?

Mural distinguishes members, guests, and visitors, while Figma distinguishes Full, Dev, and Collab seats. Those different definitions can materially alter an enterprise comparison. Mural’s pricing page and Figma’s pricing page should be used to model the organization’s actual participation patterns.

How should an enterprise run a whiteboard software pilot?

A credible pilot gives every vendor the same users, data, identity model, room hardware, security questions, and exercises. Include an IT administrator, security and privacy reviewer, procurement, facilitators, product or design users, engineering users, an external guest, an accessibility tester, an executive sponsor, and records-management or legal representatives where relevant.

  1. Run a 50-person retrospective using the proposed guest and visitor model.
  2. Invite an external guest and document account creation, permissions, exports, revisit rights, and revocation.
  3. Create a product-discovery board with research notes, clustering, comments, and decisions.
  4. Import a presentation, PDF, image set, and spreadsheet.
  5. Connect Jira or Azure DevOps and identify whether the connection is one-way or two-way.
  6. Create a process or architecture diagram and export it in the formats the organization needs.
  7. Use AI to summarize and classify content, then inspect data handling, accuracy, logging, and credit consumption.
  8. Export decisions and action items into the organization’s project or documentation system.
  9. Transfer ownership after the original owner is removed or simulated as departed.
  10. Find and revoke a public link and confirm the revocation in audit evidence.
  11. Apply a retention or deletion policy and verify the result.
  12. Retrieve audit-log data and determine whether the data is downloadable or API-accessible.
  13. Test a conference-room touchscreen, room PC, stylus, screen sharing, and locked-down browser.
  14. Test keyboard navigation, screen-reader access, zoom, contrast, and export readability.
  15. Load a large board with hundreds or thousands of objects and measure navigation and interaction.
  16. Disable or restrict AI for a sensitive workspace.
  17. Export all organizational content and document the termination procedure.

What should pilot success look like?

Measure time to create a board, time for a guest to join, time to find an old board, administrator steps to provision and revoke a user, time to export, usefulness and accuracy of AI output, percentage of critical integrations that are native or two-way, board performance, accessibility blockers, training required, and projected annual cost under realistic seat and guest assumptions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What procurement and contract questions should be mandatory?

  • Can the vendor provide a current security questionnaire, data-processing agreement, subprocessor list, certifications, and independent assurance reports?
  • Which product edition and regions are covered by each certification or compliance statement?
  • Where are production data, metadata, backups, and support-access records stored?
  • Can the vendor access customer boards, under what controls, and how is access logged?
  • Are SSO, SCIM, MFA enforcement, audit logs, retention, eDiscovery, legal hold, BYOK, and residency included in the quoted plan?
  • Can administrators prevent personal workspaces, public links, unapproved integrations, downloads, and external sharing?
  • What happens to boards when an employee leaves or a department is reorganized?
  • Can the organization bulk-export content through the user interface and API in open or structured formats?
  • What are the AI model providers, training terms, retention behavior, administrator controls, regional restrictions, and usage reports?
  • What are support response times, uptime commitments, service credits, escalation paths, and premium-support boundaries?

Common failure modes to test before signing

“Included with Microsoft 365” is treated as “free”

Microsoft Whiteboard may have low incremental licensing cost for an eligible Microsoft 365 tenant, but administration, support, training, Copilot, integration limitations, and later migration remain costs. Microsoft’s Whiteboard management documentation describes tenant settings, Entra configuration, Teams policies, and SharePoint Online PowerShell considerations that administrators may need to manage.

Public links become an unmonitored data-leak path

Test whether public links can be disabled or expired, whether guest access is audited, whether external users can copy or export, whether sharing outside approved domains is blocked, and whether administrators can discover externally shared boards. Miro documents trusted-domain sharing policies, link-access controls, and domain control; other vendors should demonstrate equivalent controls rather than relying on a generic security claim.

AI is enabled without a data and cost policy

AI can process confidential content, produce inaccurate summaries, consume metered credits, create retention complications, and require another subscription. Require a documented model-training policy, processor list, administrator controls, usage reporting, output auditability, and deletion behavior.

Infinite canvases become unusable archives

Test search, navigation, zoom, load time, export size, printing, mobile access, accessibility, and performance after content accumulates. Infinite canvas is useful only when users can find, understand, govern, and reuse the information on it.

Guest access is misunderstood

Clarify whether a guest needs an account, can edit, comment, export, revisit, invite others, access other boards, or consume a paid license. Large workshops can be affordable when visitors are free and expensive when every participant requires an editor seat.

Enterprise controls are assumed to exist on every plan

Never write that a vendor “supports SSO” without specifying the plan, protocol, enforcement behavior, SCIM availability, audit-log tier, residency cost, BYOK availability, and eDiscovery or governance add-ons.

Final recommendations by enterprise scenario

Scenario Recommended starting point Why Validate before standardizing
Microsoft-first enterprise with basic needs Microsoft Whiteboard Uses existing Microsoft identity, meetings, storage, and tenant controls Guest access, feature prerequisites, Copilot cost, complex facilitation, and cross-tenant use
Global cross-functional standard Miro and Mural pilot Both address broad visual collaboration, templates, facilitation, and enterprise administration Residency, governance add-ons, cost by seat type, lifecycle controls, and engineering workflows
Figma-centered product organization FigJam Connects naturally to Figma product, design, research, and engineering workflows Non-design department fit, Full-seat demand, AI terms, and broader enterprise governance
Process- and architecture-heavy engineering organization Lucidspark Connects visual ideation with structured diagrams and Lucidchart documentation Lucidspark/Lucidchart licensing, two-way integrations, export, and workshop controls
European or sovereign-data requirement Conceptboard plus Collaboard or specialized alternatives Deployment and regional-hosting options deserve priority Actual backup and metadata locations, certification scope, support access, and operational burden
Agile and structured operational workflows Stormboard or iObeya Structured ideation, assignments, planning, lean, and operations use cases Freeform collaboration, ecosystem breadth, configuration fees, and user adoption
High-compliance or government environment Bluescape, Conceptboard, Collaboard, or another deployment-sensitive candidate Dedicated, on-premises, regional, or controlled deployment may outweigh market share Formal security review, contract terms, support model, certifications, and export rights

Frequently Asked Questions

Is Miro better than Mural for an enterprise?

Neither Miro nor Mural is universally better for an enterprise. Miro is the stronger starting point for broad visual-workspace standardization and mature administration, while Mural is particularly strong for facilitated workshops, transformation programs, and structured collaboration methods; a matched pilot should decide the result.

Is Microsoft Whiteboard enough for enterprise use?

Microsoft Whiteboard can be enough for Microsoft 365 organizations that need meeting annotation, sticky notes, simple diagrams, and basic visual planning. Microsoft Whiteboard may not be enough when the organization needs advanced facilitation, durable board governance, deep integrations, complex guest workflows, or cross-platform collaboration.

What is the difference between a digital whiteboard and a visual workspace?

A digital whiteboard is primarily a shared canvas for drawing, sticky notes, shapes, and annotation. A visual workspace adds persistent project organization, reusable templates, structured content, integrations, automation, analytics, governance, and often AI-assisted synthesis.

What security features should enterprise whiteboard software have?

Enterprise whiteboard software should be evaluated for SSO, SCIM, MFA enforcement, domain and external-sharing controls, encryption, audit logs, retention, eDiscovery, legal hold, data residency, vendor access, subprocessors, AI governance, and bulk export. The required plan and product edition must be recorded for every control.

How can an enterprise compare whiteboard software costs accurately?

An enterprise should calculate editor, viewer, guest, visitor, contractor, and partner access separately, then add minimum commitments, annual billing, AI credits, governance add-ons, premium support, implementation, training, migration, residency, API, archiving, taxes, and exit costs. Advertised per-user prices are not directly comparable when vendors define seats differently.

The Bottom Line

Bottom line: Start with the organization’s work, risk model, and participation pattern—not a feature-count ranking. Pilot Miro or Mural for broad collaboration, FigJam for Figma-centered teams, Lucidspark for structured diagrams, Microsoft Whiteboard for basic Microsoft 365 use, and Conceptboard, Stormboard, Bluescape, Collaboard, or iObeya when deployment control or specialized workflows are decisive. Do not approve a platform until identity, guest access, AI, lifecycle, hardware, export, and total cost have passed the same practical test.
