Electronic data interchange (EDI) is the computer-to-computer exchange of structured business data using an agreed message standard, with minimal human intervention. Unlike sending an arbitrary digital file, EDI relies on shared data definitions, syntax, and message formats so the receiving system can interpret a transaction consistently.
What electronic data interchange means
The United Nations Economic Commission for Europe (UNECE) defines EDI as “computer to computer interchange of data according to a message standard with a minimum of human intervention.” The definition describes a system-to-system business exchange, rather than a person simply emailing a document. EDI messages are structured around a business purpose. For example, an order message carries defined information about a purchase order; it is not just a file whose contents happen to mention an order.
What makes an exchange EDI

- Common data elements: The trading partners use compatible definitions for the information being exchanged.
- Syntax: The message follows an agreed structure that systems can parse.
- Standard messages: The structure groups data into a recognized transaction for a business task.
Partners may also need to follow implementation requirements specific to their relationship. A standard defines a transaction’s general content and structure; an implementation guide explains how that transaction applies to a particular business purpose. How an EDI transaction moves between businesses
- A business application creates a structured transaction, such as a purchase order, or receives one from a partner.
- The transaction is formatted according to the selected EDI standard and any partner-specific implementation rules.
- The message is exchanged between the organizations’ systems.
- The receiving system interprets the standardized fields and routes the transaction into its business process.
Standards make the message’s structure recognizable, while implementation rules help ensure that the partners use that structure in a compatible way. EDI does not mean every business uses an identical set of rules for every transaction.

EDI standards: UN/EDIFACT and ASC X12
UN/EDIFACT
UN/EDIFACT is the global Electronic Data Interchange standard developed and maintained by the United Nations Centre for Trade Facilitation and Electronic Business (UN/CEFACT). UNECE’s Executive Guide reported 209 business messages in 2023 and says updated versions are published twice a year. The relevant standard and implementation requirements depend on the organizations, transaction types, and business context involved; the names of the standards alone do not determine every partner’s requirements.

There is no single operating model that suits every organization. Start with the requirements of the transactions and trading partners, then decide how to operate the exchange.

- Standards and transactions: Identify which standards, transaction types, and partner-specific implementation guides must be supported.
- Application integration: Determine how EDI messages will connect to the business applications and processes that create or use the data.
- Operations: Decide who will translate, exchange, monitor, and maintain the messages and connections.
- Operating model: Compare in-house EDI operations with a hosted approach. ANSI’s summary of an X12 primer identifies this as a business decision. ANSI article on the X12 primer
The choice between in-house and hosted EDI is an operating decision, not a different definition of EDI. The standards and partner requirements still determine what the messages must contain and how they must be structured.
EDI compared with sending a digital document
A digital document can be exchanged electronically without being EDI. EDI is distinguished by structured data, an agreed syntax, and standard business messages that systems can process with little human intervention. A document sent for a person to read may still require manual interpretation or re-entry; that alone does not make it an EDI transaction.
