Fix an e-way bill error by first checking the exact message and bill status—not by repeatedly resubmitting. Submitted bill details generally cannot be edited: incorrect details usually require cancellation within the permitted window and generation of a corrected bill. Transport details have a separate Part B update process, while recipient rejections and GSTIN or vehicle-data errors need their own remedies.
Start with the message, the bill status and the field that failed
Before changing anything, note the complete portal message, the bill number, its current status and the time it was generated. Then compare the invoice and consignment records against the bill. This distinguishes a wrong entry from a stale taxpayer record, a transport update, a permission problem or a deadline restriction. Those error types do not share one fix.
- Record the exact error and status. Note whether the bill is active, expired, cancelled or verified in transit, and whether the failure occurred while generating the bill, updating Part B or responding to a bill.
- Compare the bill with the source documents. Check the invoice or other relevant consignment details and identify whether the error is in submitted bill information (Part A) or transport information (Part B).
- Check GSTIN and taxpayer profile data. Confirm the GSTIN and associated taxpayer record on the GST common portal. A portal error can reflect unavailable or stale source data, not only a mistyped number.
- Validate the vehicle, transporter and user authority. Check the vehicle number against its registration and the portal’s format guidance. Confirm the transporter or TRANSIN assigned to the bill and that the account attempting the change is authorized.
- Choose the remedy that fits the error and status. It may be a Part B update, cancellation and regeneration, a recipient response, or escalation through official support. If a deadline has passed or the bill has been verified in transit, the portal may block the action.
The E-Way Bill System FAQ covers practical entry and update issues; the CBIC E-way Bill Rules set out cancellation, recipient-response and validity provisions; and the E-Way Bill API Error Codes List provides examples of system messages. The API list is explicitly incomplete, so treat any code examples below as illustrations, not a full catalogue.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A useful way to narrow the problem is to ask four questions in order: Is the faulty information in submitted Part A or transport Part B? Are you acting as the generator, the assigned transporter or the recipient? Is the bill active, expired, cancelled or verified in transit? Is the cause a source-record issue, a formatting or entry mistake, a permission mismatch or a deadline/status restriction? The answers point to different actions, and prevent a fix intended for one error family from being applied to another.

Choose between correction, Part B update and recipient response
| Problem | Who normally acts | Likely route | Important restriction |
|---|---|---|---|
| Incorrect submitted bill details | Generator | Cancel the incorrect bill and generate another with the correct information. | CBIC rules allow cancellation within 24 hours of generation, but not after the bill has been verified in transit. |
| Vehicle or other eligible transport-detail change | Eligible generator or transporter currently assigned to the bill | Use the Part B update option, such as “Update vehicle number” for a vehicle change. | The replacement vehicle must be the one actually carrying the goods; the update does not automatically renew the original bill validity. |
| Recipient needs to accept or reject shared consignment details | Recipient | Respond to the bill through the portal and check the resulting status. | CBIC rules provide deemed acceptance if no response is communicated within 72 hours after details are made available. Portal rejection can also be restricted by timing or bill status. |
| Source profile, registration or portal problem | Taxpayer or account holder; official support if unresolved | Correct the source record, refresh the portal’s GSTIN details where appropriate, or use the official helpdesk/grievance route. | Repeated attempts do not bypass a source-data problem, an expired deadline or a status restriction. |
Do not treat a rejection as a generation error. A generation or API validation failure means the system could not accept an operation; a recipient rejection is a response to the consignment details shared through the common portal. Check the bill status and the portal prompt before deciding what action is available.
The comparison also helps when deciding who should take the next step. A generator dealing with incorrect submitted particulars should check whether cancellation is still permitted. A transporter dealing with a vehicle change should check that they are assigned to the bill and use the applicable Part B option. A recipient dealing with shared consignment information should use the response action, not try to change the generator’s submitted details. If the source GSTIN profile or vehicle record is wrong, the correction belongs in that source system rather than in a repeated bill submission.
Fix an incorrect bill without trying to edit submitted details
The E-Way Bill System FAQ says that an incorrect submitted bill cannot generally be edited; it must be cancelled and generated again with correct information. Under the CBIC E-way Bill Rules, cancellation must occur within 24 hours of generation and is unavailable once the bill has been verified in transit. These conditions matter: a user should not assume that a corrected field can be written over the submitted bill or that cancellation remains available indefinitely.
Recommended Free Tools
- Compare the submitted bill with the invoice or consignment record and identify the wrong field.
- Check the bill status and generation time. Confirm that the bill has not been verified in transit and that the 24-hour cancellation period has not elapsed.
- If cancellation is available, cancel the incorrect bill through the portal and generate a new bill with the corrected information.
- If the portal blocks cancellation, stop retrying and use the official helpdesk or grievance route for an unresolved system issue. If the block follows a legal deadline or transit verification, seek appropriate professional guidance rather than assuming the portal can override it.
This route is for erroneous submitted details, not for every later change in transport. When only eligible transport information changes, use the Part B process instead.
For example, if the invoice particulars were entered incorrectly, first establish whether the bill is still within the cancellation window and has not been verified in transit. If it qualifies, cancellation and a corrected bill are the route described by the FAQ and rules. If only the vehicle carrying the goods changed after a breakdown or trans-shipment, that is a transport-detail change: check assignment and validity, then use the Part B update route where available. Neither scenario is fixed by indiscriminately editing a submitted record.
Correct GSTIN and taxpayer-profile errors
An “Invalid GSTIN” or unavailable-details message can mean the number was entered incorrectly, or that the GSTIN details are unavailable in the GST common portal. Verify both the digits and the taxpayer record there. If the underlying record is wrong, fix it at the GST common portal rather than repeatedly changing the e-way bill entry.
When the e-way bill system shows old business details
If the GST profile has recently changed but the E-Way Bill System still shows an old address, mobile number or business name, use “Update My GSTIN” or “Update from Common Portal” to refresh the details. If the profile itself is inaccurate, amend it at the GST common portal first. Refreshing the e-way bill system cannot correct incorrect source data.

When a party is unregistered
The FAQ directs users to enter “URP” in the corresponding GSTIN field for an unregistered consignor or consignee. Use it only for the applicable unregistered party; do not substitute it for a registered taxpayer whose GSTIN is unavailable or mistyped.
When checking a GSTIN error, separate the value typed into the bill from the taxpayer data returned by the common portal. If the number does not match the party’s record, correct the entry. If the number is correct but the system cannot retrieve details, confirm the GST portal record and its status. If the returned business name, address or mobile number is merely old, refresh the E-Way Bill System’s data using its update action. If the source profile itself is wrong, the fix must happen there first. This distinction matters because a refresh copies source information; it does not amend it.
Resolve vehicle-number and Part B errors
A vehicle error can be a formatting problem, a missing number, a vehicle-registration data issue or an attempted update by an unauthorized account. Check these separately. The portal’s format guidance and the vehicle registration certificate are the references for the number’s entry; a number that looks plausible is not necessarily in the expected portal format.
“Invalid Format” or vehicle number required
Compare the entry character by character with the vehicle registration certificate and the portal’s vehicle-number field guidance. Correct the format or supply the missing vehicle number. The official FAQ gives examples of accepted formats, but the exact examples are not reproduced here; follow the current portal guidance rather than relying on a remembered pattern.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →These messages identify distinct problems. A “vehicle number is required” message means the operation lacks a required number; an “Invalid Format” message means a value was entered but did not meet the expected format. Code 303 is the API example for the first situation, and code 304 for the second. Supplying a number will not resolve a format error if the entry still fails the portal’s format checks.
Vehicle record is missing or linked to more than one RTO
The FAQ describes alerts when a vehicle is absent from Vahan data or appears under more than one RTO. If the number is correct but the portal flags the registration record, contact the relevant RTO to resolve the vehicle data. Changing the bill entry will not repair a registration record that is missing or inconsistent in the underlying vehicle system.
Vehicle changed because of breakdown or trans-shipment
For a vehicle change caused by breakdown or trans-shipment, an eligible generator or transporter can use “Update vehicle number” in Part B. Enter the vehicle actually carrying the goods. The FAQ says the journey must continue within the original bill validity; updating the vehicle does not, by itself, restart or extend that validity.

Before submitting a Part B change, confirm the replacement vehicle is the one actually carrying the consignment and that the bill is still within its applicable validity. Also check that the user making the change is eligible. A correct vehicle value can still be rejected if the account is not the generator or the transporter assigned to the bill, or if the validity period has lapsed. Updating Part B is a limited transport-detail remedy, not a general way to revise the submitted bill.

A valid vehicle number does not grant every user permission to update the bill. Confirm that the transporter or Transporter ID (TRANSIN) assigned to the bill is correct and that the account making the request is the generator or the currently assigned transporter, as applicable. If the bill is assigned to a different transporter, a GSTIN/transporter mismatch may be an assignment or authorization issue rather than a vehicle-entry problem.
The FAQ says that a transporter without GST registration can enroll in the system to receive a 15-digit TRANSIN. Confirm the assigned ID and requester’s role before retrying an operation. An account that is not entitled to make the change cannot fix the problem by submitting the same request again.
Code 278 illustrates this distinction: its message says the user GSTIN does not match with the Transporter ID. Check which transporter or TRANSIN is assigned and whether the requesting account corresponds to the authority for that bill. Do not assume that this message means the vehicle registration number itself is wrong. If a transporter is not GST-registered, the FAQ describes enrollment for a 15-digit TRANSIN; that provides a system identifier, but the bill assignment and the user’s authorization still need to be appropriate for the requested action.
What common e-way bill error codes mean
The E-Way Bill API Error Codes List is incomplete and advises users to use GetErrorList for all codes. The examples below help identify the error family; the remedy still depends on the bill status and the user’s role.
Free tools Windows power users keep installed
One-click scans. No signup required.
| Code | Message or meaning | What to check |
|---|---|---|
| 303 | Vehicle number is required. | Provide the vehicle number required for the operation and check that the relevant transport details are complete. |
| 304 | Invalid vehicle format. | Compare the number with the registration certificate and the portal’s format guidance. |
| 278 | User GSTIN does not match with Transporter ID. | Confirm the transporter or TRANSIN assigned to the bill and that the requesting account is authorized for the operation. |
| 311 | Validity period lapsed; vehicle details cannot be updated. | Check the bill’s validity and status. The portal may refuse the update after validity has lapsed. |
| 346 | Rejection is allowed only within 72 hours. | Check when the details were made available and whether the recipient-response window has closed. |
| 348 | Part B has not been generated, so rejection is not allowed. | Check the bill’s Part B status and follow the portal’s available action; this is a status restriction, not a general data-entry correction. |
Other codes may apply. For an API integration or a code not listed here, consult GetErrorList and the current official system guidance rather than inferring a remedy from a similar message.
Codes 311, 346 and 348 are especially useful reminders to check status before trying again. Code 311 points to a lapsed validity period blocking a vehicle update. Code 346 indicates the rejection window is closed. Code 348 indicates rejection is unavailable because Part B has not been generated. These are not equivalent to a typo or formatting error: changing the characters in a field will not remove a deadline or status restriction. For a code not shown, use the complete current error list rather than assuming that a similar-looking message has the same remedy.

Handle rejection and the 72-hour response window carefully
The recipient’s acceptance or rejection concerns the consignment details shared through the common portal. CBIC rules say the recipient is deemed to have accepted the details if no acceptance or rejection is communicated within 72 hours after they are made available. The API list separately shows rejection blocked after the 72-hour window and when Part B has not been generated.
The E-Way Bill System FAQ describes the response timing using the earlier of 72 hours or delivery. Because the FAQ wording, the CBIC rules page and API status errors address timing in different ways, check the current bill status and the portal prompt rather than assuming every rejection attempt has the same cause. If the portal refuses a response, note the message and bill status; do not treat a recipient response as a way to edit incorrect submitted bill data.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →In practical terms, a recipient should establish when the details became available, whether delivery has occurred, what the current bill status shows and whether Part B has been generated. The 72-hour point is not an invitation to wait if the details are wrong: use the portal’s available response action within the applicable period and retain the exact message if the action is refused. CBIC rules state deemed acceptance if no response is communicated within 72 hours; the FAQ’s wording also refers to the earlier of 72 hours or delivery. Since the system can enforce status-specific restrictions, use the bill’s actual status and portal prompt rather than assuming the same explanation applies to every rejected response.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Check validity before planning a vehicle update or journey
Official guidance is inconsistent about distance-based validity. The E-Way Bill System FAQ describes one additional day for each 100 km or part of 100 km. The CBIC E-way Bill Rules page displays a different set of bands: under 100 km, 1 day; 100 to under 300 km, 3 days; 300 to under 500 km, 5 days; 500 to under 1,000 km, 10 days; and 1,000 km or more, 15 days.
Do not silently combine these descriptions into a universal calculation. Check the validity shown for the bill in the current portal and the rule applicable to the consignment. For a disputed or exceptional case, obtain official or professional clarification. This is especially important before relying on a Part B vehicle update, because the FAQ says the updated journey must remain within the bill’s original validity.
The two official descriptions should not be turned into a single worked example without confirming which provision applies. If a displayed validity seems inconsistent with a distance-based calculation, first check the portal’s current bill details and the applicable rule for the consignment. For an unusual route or a disputed result, ask an official source or a GST practitioner/tax adviser to clarify the applicable treatment. Do not assume that changing a vehicle renews the validity: the FAQ says the journey must stay within the original validity after the vehicle update.
When to stop retrying and escalate
- The action is blocked by time or status: examples include a lapsed bill that cannot accept a vehicle update, a cancellation outside its permitted window, a bill verified in transit, or a rejection after the response window. Repeated submission does not bypass these restrictions.
- The source record is wrong: correct the taxpayer profile on the GST common portal or resolve flagged vehicle registration data through the relevant RTO, as appropriate.
- The account may lack permission: verify the generator/transporter role and the transporter assignment before making another attempt.
- The system message does not explain the cause: preserve the exact message, bill status and relevant timing, then use the official helpdesk or grievance route. For uncertainty about a rule or a disputed compliance position, consult a GST practitioner or tax adviser.
Match the remedy to the failed field and current bill status. A correct Part B update cannot repair incorrect submitted Part A details; cancellation cannot fix stale GST profile data; and a recipient response cannot overcome a closed response window.

When escalating, include the exact error text or code, bill number, bill status, time of the attempted action, the field or operation involved and the role of the account that tried it. This gives the helpdesk or adviser the context needed to distinguish a technical issue from a blocked action. For API users, check the complete error list and the current official guidance for that code. For a compliance question—such as the applicable validity where official displays differ—seek clarification rather than relying on repeated portal attempts.
The E-Way Bill System FAQ, the CBIC E-way Bill Rules page and the E-Way Bill API Error Codes List were consulted in 2026. Their roles differ: the FAQ supplies practical portal guidance, the CBIC page states rule provisions and displays validity bands, and the API page supplies sample system errors while noting that its list is incomplete. Use the current portal and official guidance for the specific bill and action.
Frequently Asked Questions
If there is a mistake or wrong entry in the e-way bill, what has to be done?
Submitted bill details generally cannot be edited. Check the bill’s status and generation time; if it is within the 24-hour cancellation window and has not been verified in transit, cancel it and generate a corrected bill. If the error is only an eligible transport-detail change, check whether a Part B update is available instead.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhy does the portal show “Invalid Format” when entering a vehicle number?
The entered number does not follow the portal’s expected vehicle-number format. Compare it character by character with the vehicle registration certificate and follow the current portal field guidance. If the number is flagged because the vehicle record is absent from Vahan data or appears under more than one RTO, contact the relevant RTO to resolve the registration data.
Can I update the vehicle number after the vehicle breaks down or goods are trans-shipped?
An eligible generator or transporter can use “Update vehicle number” in Part B. Enter the vehicle actually carrying the goods and confirm that the user is authorized and the bill remains within its original validity. A vehicle update does not automatically extend or restart validity.
What does error code 278 mean?
Code 278 means the user GSTIN does not match with the Transporter ID. Check the transporter or TRANSIN assigned to the bill and confirm that the requesting account has authority to make the change. It is not necessarily a vehicle-number problem.
Why can’t the recipient reject an e-way bill?
Check the time the details were made available, the bill status and whether Part B has been generated. Rejection may be blocked after the 72-hour window (code 346) or where Part B has not been generated (code 348). CBIC rules provide deemed acceptance if no response is communicated within 72 hours; the FAQ also describes the earlier of 72 hours or delivery, so check the current portal prompt.
What should I do if e-way bill validity appears inconsistent with the distance?
The FAQ describes one additional day for each 100 km or part thereof, while the CBIC rules page displays different distance bands. Check the validity shown in the current portal and the applicable rule for the consignment. For a disputed or exceptional case, seek official or professional clarification rather than assuming one universal calculation.
The Bottom Line
First identify the failed field, current bill status and user role. Correct GSTIN or vehicle source data at its source; cancel and regenerate incorrect submitted details only when cancellation is permitted; use Part B for eligible transport changes; and handle recipient responses within the applicable window. If timing, status or a system error blocks the action, record the exact message and escalate instead of repeatedly retrying.
