A document library is an organized online collection where people can browse, search, filter, and download files. The right software depends on whether you are publishing documents for the public, sharing files with a team, managing controlled records, or preserving an archive.
What is a document library?
A document library presents files with useful titles or metadata and tools to help people find what they need. It can be public-facing or restricted to employees. Unlike a flat folder listing, a well-organized library gives its audience ways to search and filter instead of requiring them to open folders one by one.
A library is not necessarily a particular type of software: it can be the front end through which people find documents, while the files themselves are stored in a cloud service or managed by a broader system.
Document library vs. cloud folder, DMS, and repository
| Type | Main purpose | Typical use |
|---|---|---|
| Cloud storage and file sharing | Store, sync, and share files with selected people. | A team collaborates in a shared folder or sends an access-controlled link. |
| Document library software | Present files as a searchable, filterable collection for an audience that needs to find and download them. | A public or internal catalog of policies, forms, manuals, or other resources. |
| Document management system (DMS) | Manage a document’s internal lifecycle and controls. | Versioning, approvals, retention, permissions, and governance for business records. |
| Repository | Emphasize metadata and long-term preservation. | An academic or institutional archive intended for ongoing stewardship. |
These categories can overlap. A cloud service may provide a place to store files, while a library interface makes them easier to discover; a DMS may also offer library-like views. Choose based on the job and audience, not the product label alone.

How to choose the right kind of software
Publishing documents on your website
Prioritize a branded presentation, useful search and filters, descriptive metadata, a straightforward download experience, appropriate access rules, and compatibility with your site platform. A shared folder can distribute files, but it may not provide the public-facing discovery experience visitors expect.
Sharing files with a small team
Start with cloud storage if the need is mainly syncing, collaboration, and sharing with invited people. Check link and account permissions, collaboration features, and whether a shared folder is sufficient before introducing a separate library product.

Managing controlled internal records
Look for version history, approval and retention workflows, granular permissions, activity records or auditability, governance controls, and deployment options that meet your organization’s requirements. A searchable front end alone does not establish that a product can handle records management.

What a SharePoint document library can do
Microsoft describes a SharePoint document library as a place to list files and folders along with details such as who created or last modified an item. Microsoft documents capabilities including adding, editing, deleting, downloading, coauthoring, sharing, controlling access at library, folder, or file level, tracking activity, and using custom views. See Microsoft’s document library overview.

Microsoft’s guidance covers versioning and restoration, coauthoring or checkout, and policies for records management and retention periods. Details and available controls depend on the SharePoint configuration and the organization’s policies; consult Microsoft’s versioning guidance and document-management guidance.
In Microsoft 365, shared SharePoint libraries serve team collaboration, while OneDrive libraries are associated with individual users. Teams channel files use the SharePoint site associated with the Microsoft 365 group; in the configuration documented by Microsoft, private and shared channels have separate sites. See Microsoft Learn’s guidance on Teams-connected SharePoint sites.
Is there free document library software?
A shared cloud folder may be a practical low-cost starting point for a small group, but that is different from a public searchable library. The options in the comparison article include OpenKM and Mayan EDMS, which it characterizes as open-source DMS products; open source does not by itself establish the total cost of hosting, setup, maintenance, or support. Check each project’s current terms and requirements, and compare costs against the features and operational work you actually need.
Quick Recap
Before choosing, check these requirements
- Audience: Is the library for the public, invited collaborators, employees, or researchers?
- Discovery: Do users need full-text search, metadata filters, custom views, or simply a shared folder?
- Access: Which files are public, and what controls are needed at library, folder, or item level?
- Lifecycle: Are version history, approvals, retention, activity tracking, or governance required?
- Hosting and stewardship: Can your organization operate the deployment and preserve the collection for as long as needed?
- Cost basis: Compare current vendor pricing for the same number of users, service tier, hosting model, and required controls.
