Document image processing is the workflow of capturing documents as digital images and preparing those images so they can be identified, stored, searched, and retrieved. It includes more than scanning: a complete system also handles text recognition, indexing, storage, and access.
What is document image processing?
AIIM reproduces ISO 12651-1’s definition of document imaging as “The process of capturing, storing, and retrieving documents regardless of original format, using micrographics and/or electronic imaging (scanning, OCR, ICR, etc.).” AIIM also describes electronic imaging as a broader technique for inputting, recording, processing, storing, transferring, and using images. AIIM’s glossary and definition
In practical terms, document image processing turns a paper or other document into a digital image, then organizes and manages that digital record for later use. The image may be improved for legibility, and OCR can make its printed text machine-readable. Indexing and metadata help people locate the record, while storage and retrieval make it available when needed.
How the document image processing workflow works
AIIM identifies input, identification and indexing, storage, and retrieval as basic components of an imaging system. A typical paper-document workflow connects those functions in sequence:
#1 Best Overall
- PORTABLE SCANNER FOR USE ON-THE-GO — The fastest and lightest mobile single-sheet-fed compact document scanner in its class¹
- QUICK DOCUMENT SCANNING ― This Epson ultra-fast scanner scans a single page as quickly as 5.5 seconds²; Windows and Mac compatible
- VERSATILE PAPER HANDLING ― Portable scanner scans documents up to 8.5 x 72 in; Also easily digitizes receipts and ID cards to make accounting, bookkeeping, and organizing simpler
- INTUITIVE, HIGH-SPEED SOFTWARE — Epson ScanSmart Software³ is a smart tool allowing you to easily scan, review, and save; Stay organized easily with the help of this Epson scanner
- EASY SETUP — USB-powered connect to your computer for quick and simple scanning; No batteries or external power supply required to operate portable document scanner; Standard Connectivity: USB 2.0
- Sort and prepare originals. Decide which documents belong in the batch and prepare them for capture. For paper, this can include removing staples and clips. AIIM’s overview of imaging-system components
- Capture the pages. A scanner or other image-input device creates digital images. Depending on the equipment and job, capture may be simplex (one side) or duplex (both sides).
- Improve the image if needed. Enhancement can make a scan easier to read or more suitable for the next step. For records that need to preserve evidentiary or archival integrity, retain an unaltered capture as well. NARA’s transfer rules protect the original bit-mapped image from OCR processes that change visible content or reduce image quality. - Recognize the text. OCR converts text visible in an image into machine-readable text. That text can enable full-text search, but OCR does not replace the image itself. Adobe’s guidance on searchable scanned documents
- Index and store the record. Add descriptive information or metadata, such as identifiers used by the organization, and save the image and related data in an appropriate storage system. Indexing quality affects how readily users can find documents. AIIM’s overview of imaging-system components
- Retrieve and inspect. Users search or browse the system to find records. For permanent scanned records transferred to NARA, agencies must document their quality-control inspection and its results. NARA’s scanned-textual-records guidance
Scanning, image processing, OCR, and indexing are different
- Scanning or capture creates the digital image.
- Image processing adjusts or prepares the image for readability, consistency, or downstream use.
- OCR recognizes text in the image so software can handle it as machine-readable text and, often, make it searchable.
- Indexing and metadata describe or categorize the record so users can retrieve it by relevant fields or terms.
- Storage and retrieval manage the digital record and provide a way to find and access it later.
These functions support one another, but they are not interchangeable. OCR can help with full-text searches, while indexing supplies organization and context that extracted text alone may not provide.
Choosing image quality settings
There is no single resolution setting that suits every document or use. For permanent textual records covered by its transfer guidance, the U.S. National Archives and Records Administration (NARA) sets minimum requirements according to the material’s condition and content:

- FAST SPEEDS - Scans color and black and white documents a blazing speed up to 16ppm (1). Color scanning won’t slow you down as the color scan speed is the same as the black and white scan speed.
- ULTRA COMPACT – At less than 1 foot in length and only about 1. 5lbs in weight you can fit this device virtually anywhere (a bag, a purse, even a pocket).
- READY WHENEVER YOU ARE – The DS-640 mobile scanner is powered via an included micro USB 3. 0 cable allowing you to use it even where there is no outlet available. Plug it into you PC or laptop and you are ready to scan.
- WORKS YOUR WAY – Use the Brother free iPrint&Scan desktop app for scanning to multiple “Scan-to” destinations like PC, Network, cloud services, Email and OCR. (2) Supports Windows, Mac and Linux and TWAIN/WIA for PC/ICA for Mac/SANE drivers. (3)
- OPTIMIZE IMAGES AND TEXT – Automatic color detection/adjustment, image rotation (PC only), bleed through prevention/background removal, text enhancement, color drop to enhance scans. Software suite includes document management and OCR software. (4)
| Record type | Mode and resolution in NARA guidance | NARA recommendation |
|---|---|---|
| Clean, high-contrast printed text | 1-bit bitonal at 300–600 ppi | 600 ppi |
| Poor-legibility text, faded or stained records, annotations, halftones, or photographs | 8-bit grayscale at 300–400 ppi | 400 ppi |
| Text where color information affects interpretation | 24-bit RGB at 300–400 ppi | 400 ppi |
These are NARA requirements for specified federal record transfers, not universal settings for home, office, or commercial scanning. For other projects, choose resolution, bit depth, color mode, file format, and compression based on the source material, intended uses, and applicable retention or transfer rules. When the record’s integrity matters, keep the original bit-mapped capture available and treat OCR text or enhanced copies as derivatives. NARA warns that lossy compression can degrade an image and that OCR must not replace or alter the original bit-mapped image. A preservation workflow should therefore keep transformations from overwriting the source and should use image and compression settings appropriate to the record’s requirements. What to assess in a scanner or software workflow
Choose capabilities around the work the system must perform rather than a headline resolution or a single OCR feature. Compare:
- Expected daily page volume and whether capture needs to be simplex or duplex.
- How the system handles fragile, faded, annotated, stained, or color-bearing originals.
- Available resolution, bit-depth, and color-mode controls.
- OCR languages and output formats required by users and downstream systems.
- Support for indexing, metadata, and the search methods people will use.
- Export formats and compression controls, particularly where originals must be preserved.
- Quality-control features and compatibility with required storage or records systems.
These are workflow criteria, not a product ranking: scanner hardware and OCR accuracy have not been established here through model-specific testing. The appropriate setup depends on document type, volume, intended use, and records obligations.
