Keep document collaboration simple by giving every project one clearly identified live file, matching access to each person’s role, and handling feedback inside the document. Add a clear owner, review deadline, and rule for resolving offline edits, and people can find the current copy without guessing or merging emailed attachments.

Start with one home for the working document

Choose the team’s approved cloud environment and save the working file where its owner and intended collaborators can access it. For team-owned work, use a shared team library or its equivalent; for work owned by one person, use that person’s approved storage. Microsoft distinguishes SharePoint shared libraries from an individual’s OneDrive library, so follow your organization’s ownership and storage policy rather than treating the two locations as interchangeable.

Then share the link to that file instead of sending an attachment that can become a parallel copy. In the invitation or message, identify the document’s purpose and where the current version lives. Give each person only the access they need

Assign permissions according to the work someone needs to do. Core authors generally need edit access; reviewers can use comment or review access when they should give feedback without changing the text directly; readers who only need the finished material need view access. The exact options and labels depend on the platform and organizational settings.

Limit the link audience to the intended people. Depending on the service and configuration, a link may be restricted to named people, members of an organization, or anyone who has the link. Avoid broad, unrestricted links for sensitive material; use authenticated, limited-audience sharing and follow organizational rules for confidential or regulated documents. Microsoft’s deployment guidance emphasizes balancing security with usability and cautions against creating barriers users do not understand: Microsoft Learn: Plan and deploy a file collaboration environment. Set expectations before people edit

A shared link alone does not define how a review will work. Tell collaborators what they are being asked to do, which parts need attention, who will decide between competing suggestions, and when feedback is due. Name one person responsible for consolidating decisions or approving the final version; do not assume that the most recent edit is automatically approved.

Keep feedback close to the relevant text. Use comments for questions and suggestions, and tracked changes or the platform’s review mode when proposed wording needs to be accepted or rejected. Assign a person and due date to feedback that needs follow-up. A mention can draw attention to a comment, but it does not replace clear ownership. Keep discussion available while decisions are in progress. Once a thread is resolved or edits are accepted or rejected, close it according to the team’s practice. Remove comments only when the document is being finalized and the discussion is no longer useful to retain.

Check that the file and apps support co-authoring

Real-time collaboration depends on the document format, storage location, app, permissions, and configuration. Microsoft’s co-authoring guidance identifies modern Office formats such as .docx, .pptx, and .xlsx, compatible Microsoft storage such as OneDrive or SharePoint, and edit permission as prerequisites for its supported co-authoring scenarios. It also states that Microsoft does not support co-authoring files stored on Google Drive. Confirm current compatibility for the exact app, file, and account setup your contributors will use; features can vary by app version, subscription, device, and administrator settings. Decide how offline work will be handled before someone loses connectivity or works away from the network. Offline edits are not visible to other collaborators until the contributor reconnects, and simultaneous changes may need conflict resolution. Agree in advance who will reconcile a conflict and how that person will communicate the chosen version before the deadline.

Use history for recovery and label what is current

Where the service supports it, keep version history available so an earlier state can be recovered if needed. History is a safety net, not a way to tell readers which file is authoritative or who approved it. Keep the live document’s location easy to find, and mark superseded documents clearly with a pointer to the successor rather than leaving old copies to compete with the current one.

Versioning behavior and retention can depend on the service and its configuration. In particular, SharePoint Server versioning has configuration-specific considerations; its behavior should not be assumed to match every Microsoft 365 environment. Choose a platform by the work it must support

Start with the tools your team already uses and verify the requirements that matter for the document and its collaborators. A feature list alone will not reveal whether partners can open the file, whether everyone can review it in context, or what happens when offline edits reconnect.

  • Compatibility: Confirm supported file types, apps, storage locations, and external-partner access. Microsoft’s guidance specifies formats and storage requirements for its co-authoring scenarios.
  • Collaboration behavior: Check whether edits appear in real time, how offline changes sync, and how concurrent conflicts are handled.
  • Review controls: Verify that comments, tracked changes or suggestion modes, mentions, and resolution steps fit your approval process.
  • Permission management: Check whether access can be limited to named people, organization members, or a broader link audience, and whether edit, comment, and view roles are available in your setup.
  • Recovery and governance: Confirm version history, retention settings, sensitivity controls, and external-sharing policy with the relevant administrator.

The U.S. Department of Defense Military Health System Clinical Research Office’s Best Practices for Collaborating on Documents, Version 2.0 (January 19, 2024), describes a shared co-authoring workflow in which contributors work on one document and can see others’ work.
