They can, but neither effect is guaranteed by the label “workflow memory app.” Performance depends on the specific program’s CPU, memory, disk and network activity, your workload, and the resources available on the PC. Privacy depends on what the app records, where it stores that information, what it synchronizes, and which permissions you grant.
There are no category-wide benchmarks showing how often these apps slow computers, and no single privacy rule covers every product. Measure the particular app on your machine and read its current policy and in-app controls before trusting it with sensitive material.
What a workflow-memory app does on a PC
These applications typically watch, index or save information about work so it can be recalled later. Depending on the product, that may involve a local database, a search index, a browser or file connector, background synchronization, a cloud account, or an assistant that builds links between conversations and documents.
Each component has a different cost. A local index can consume storage and memory. A synchronizer can wake periodically, use CPU and disk, and send data over the network. A browser or folder connector can remain active while you work. A cloud-based assistant may do most processing remotely but still keep a desktop process running for capture, authentication and synchronization.

The app’s purpose therefore cannot predict its impact. Two products with similar features can have entirely different idle behavior, storage designs and permission scopes.
When can it make a PC feel slower?
Memory pressure and paging
Microsoft explains that an application’s memory use affects runtime performance and system responsiveness. When available memory becomes scarce, Windows may page other content to disk. Returning to a minimized program, document or browser tab can then take longer because data has to be read back into memory.
Look at the app’s working-set and commit behavior while it is idle, indexing, importing files or answering a query. A large number by itself does not prove a problem: Windows also uses file-backed memory for cached data. The important question is whether the app creates pressure that affects the rest of your workload.

Capturing activity, updating an index, embedding documents, syncing a database or checking for changes can create bursts of CPU and disk use. Network synchronization may not slow the computer directly, but it can compete with video calls, large downloads or a metered connection. A process that is quiet during a short test may become busy when a folder changes or a browser session is imported.

Memory growth over time
Microsoft distinguishes dynamic memory from file-backed memory and notes that memory use that continually grows can be a clue to a leak. It is only a diagnostic clue, not proof that a particular workflow-memory product has a leak. Reproduce the behavior, note the app version and workload, and check whether usage falls after the operation finishes or the app is restarted.
How to measure the exact app on your Windows PC
Do not infer performance from the app’s marketing name. Record what happens on the computer where the complaint occurs.
- Record the baseline. Note the Windows edition and build, processor, installed RAM, storage type, free disk space, app version and the other programs normally open. Record CPU, memory, disk and network use for several minutes before starting the app’s capture or search features.
- Observe idle behavior. Open Task Manager with Ctrl+Shift+Esc, select the Processes tab and watch the app and its child processes while no import or search is running. Use the Details tab when you need the individual process names.
- Test a realistic workload. Perform the action that seems to cause the slowdown: open a large project, import a folder, search the memory archive, or switch between a browser and an office application. Record peak and sustained CPU, memory, disk and network activity rather than a single snapshot.
- Check system-wide effects. In Task Manager’s Performance view, see whether total memory is near capacity, disk active time is saturated, or CPU remains high. If the whole system is busy, close unrelated programs and repeat the same workload to separate the app’s contribution from normal multitasking.
- Test after waiting. Leave the app idle long enough for indexing or synchronization to finish, then repeat the task. A temporary import spike is different from a process that keeps growing or stays busy indefinitely.
- Trace difficult cases. Microsoft names Windows Performance Analyzer and Visual Studio diagnostics as tools for tracing memory behavior. Use a trace when Task Manager cannot show whether allocations are released, whether file-backed cache is involved, or which child process is responsible.
Keep the observations with their conditions: app version, Windows version, workload, duration and whether you were online. Without those details, “it uses a lot of memory” is not a reproducible diagnosis.

How to interpret the measurements
- High memory with normal responsiveness: the app may be using cache or file-backed data without creating harmful pressure. Check total available memory and whether other programs are being paged.
- Rising memory after each operation: repeat the same operation and watch whether usage returns toward its earlier level. Persistent growth is worth reporting to the developer as a possible leak, but it is not conclusive on its own.
- Short CPU or disk spikes: these may correspond to indexing, import or synchronization. They matter most when they coincide with the user-visible lag.
- High use only while a connector is enabled: pause that connector or reduce the folders and services it watches, then retest.
- Slow return to other apps: check whether Windows is under memory pressure and paging. The app may be one contributor rather than the sole cause.
Does it run in the background?
Many workflow-memory tools need some background component to capture changes, maintain an index, refresh a session or synchronize data. The exact behavior is product-specific. Check Task Manager for processes that remain after the main window closes, the app’s startup settings, scheduled tasks and any “pause,” “capture,” “sync” or “watch folders” controls.

Background operation is not automatically harmful. A process that uses little CPU and memory while idle may be preferable to one that repeatedly scans a large directory. Conversely, an app can feel fine during a short session and still create periodic load when a watched folder or browser profile changes.
What private data might be collected?
Read beyond a short privacy summary. Check whether the policy discusses:
- the text, conversations, notes, screenshots, files or browser activity captured;
- account identifiers, connected services, device information and IP addresses;
- analytics events and crash or diagnostic logs;
- attachments and the folders or applications you authorize;
- processing by service providers and retention or deletion controls; and
- whether data is stored locally, synchronized to a cloud account, or hosted entirely in the cloud.
“Stored locally” does not necessarily mean “never transmitted.” A local database may be synchronized when you sign in and have an internet connection. Conversely, an app may keep configuration or authentication material locally while storing your actual conversations in a cloud account.

Why Windows privacy settings may not protect you
Microsoft’s guidance for Windows 10 and Windows 11 says: “Desktop apps access data differently than Microsoft Store apps. They don’t use Windows privacy permission prompts and don’t appear on privacy settings pages where you manage app access to data.”

That means an app can be absent from a Windows privacy-permission list and still have access granted through its own installer, sign-in flow, browser integration, folder picker or connector settings. Review the product’s privacy policy and its own controls. Use the narrowest folder and service permissions that support your workflow, and revoke access when you no longer need it.

Product documentation illustrates why a category-wide answer is unsafe. The following examples describe their published arrangements; they do not establish how every workflow-memory app behaves.

A privacy and performance checklist before you enable capture
- Identify the exact product, edition, version and operating-system requirement.
- List the folders, browsers, accounts and services it can access.
- Determine whether captured content is local, cloud-synced or cloud-hosted.
- Read the policy sections covering content, metadata, analytics, diagnostics, providers and retention.
- Find controls for pausing capture, excluding applications or private browsing, revoking folders and deleting stored data.
- Measure idle and active CPU, memory, disk and network use on the target PC.
- Repeat the test with sensitive folders or connectors disabled before granting broader access.
- Keep the app updated, but recheck permissions and policy changes after major updates.
What to do if the PC becomes slow
Isolate the trigger
Pause synchronization, indexing or browser and folder connectors one at a time. Repeat the same workload after each change. This identifies whether the slowdown comes from capture, search, synchronization or another process rather than from the visible window alone.

Remove unnecessary watched folders, exclude private or very large directories, and disable integrations you do not use. If the app supports an idle schedule or manual synchronization, use it during periods when the computer is otherwise inactive.

Check for persistent growth
Record memory at startup, after a normal task and after an extended session. If it continually rises and does not fall after the task completes, save the measurements and report the app version, Windows build and reproduction steps to the developer.
Protect your data while troubleshooting
Do not upload confidential examples merely to reproduce a bug. Use test files without personal or regulated information, revoke connectors that are not needed, and follow the product’s documented deletion process if you decide to remove the app.
How to make a trustworthy comparison between apps
Compare products using the same PC, Windows build, workload, network condition and observation period. Record:

- controls for pausing, excluding sensitive activity and deleting data.
Report measurements as observations tied to those conditions, not as universal properties of the product category. Documentation can explain what an app is designed to collect or store, while only a controlled test on the target computer can show its performance effect there.
