Usually, no. A big-and-tall office chair normally uses the same broad furniture-assembly process as other task chairs: install the casters and gas lift, attach the seat and back, fit the arms, and tighten the hardware. What is different is the importance of following the exact model manual, observing its tested weight and use limits, and inspecting the finished chair before anyone sits in it.
There is no industry-wide “big-and-tall” assembly sequence or maintenance schedule. Manuals for different chairs vary in bolt order, helper requirements, cleaning instructions, capacity and warranty conditions. Treat the instructions supplied with your exact model as the controlling document.
What “special” means for a big-and-tall chair
The term big-and-tall describes a product category, not a single engineering standard. Two chairs sold for larger users can have different frame designs, seat widths, mechanisms, upholstery and tested limits. One manual may require a second adult while another calls for one competent adult. One may tell you to leave bolts loose during alignment; another may use a different order.

In practice, “special” usually means extra attention rather than unusual equipment:

- Use the manual for the exact model and keep its parts diagram beside you.
- Confirm every part is present and undamaged before starting.
- Follow the stated sequence, especially instructions about partially tightened bolts.
- Verify all fasteners, the mechanism and the five-star base before use.
- Use the published capacity and use conditions, not a generic assumption about what “big-and-tall” means.
- Follow the chair’s own cleaning and inspection instructions; do not apply a universal cleaner or maintenance interval.
The manuals reviewed do not establish a universal special assembly kit, lubricant, cleaner or replacement-part requirement.
Prepare before opening the hardware
Identify the model and its documentation
Find the model number on the carton, frame label, manual or seller record. Keep the printed instructions or the manufacturer’s current copy available throughout assembly. Manuals reproduced by third-party archives can be incomplete or out of date, so verify model-specific details against the documentation that came with the chair or the manufacturer’s support channel.
Check parts and damage
Lay out the base, casters, gas lift, seat, back, arms, mechanism, covers and hardware. Compare them with the parts list before discarding packaging. The Costco AIR Big & Tall Executive Chair manual (model 790832) specifically tells buyers to check for missing or damaged pieces. If a structural part, caster, bolt or mechanism is missing or damaged, do not improvise with a similar-looking item; contact the seller or manufacturer.

Set up a safe workspace
Assemble on a clean, level surface that will not scratch the upholstery or finish. A blanket or flattened carton can protect the chair while it is on its side, but keep small hardware where it cannot roll away. Use the supplied tools unless the manual specifies another tool. The Costco and Serta manuals list an Allen key as included hardware.
Decide whether you need a helper
A helper is model-dependent. One La-Z-Boy assembly manual recommends two adults, while the RIF6 manual says a competent adult is required. A second person can steady the back or seat while bolts are started, but do not treat two-person assembly as a universal rule. Follow the actual chair’s instruction and get help if the parts are heavy or awkward to hold safely.
Typical assembly sequence—and where it can change
The outline below describes the parts commonly found on these chairs, not a substitute for the model manual. If your manual gives a different order, use its order.

- Install the casters. Press each caster fully into the star base. Check that every stem is seated to the same depth and that no wheel is cracked or bent.
- Fit the gas lift and cover. Insert the lift into the base and place any telescoping cover over it as shown. Do not force a lift into a damaged socket.
- Attach the mechanism to the seat. Orient the tilt or height mechanism exactly as marked. Start every screw by hand so the threads engage straight.
- Attach the arms. Match left and right arms and use the specified holes. Some models have slotted holes that permit alignment; do not tighten one side fully if the manual tells you to keep hardware loose.
- Attach the back. Support the back while starting its bolts. Keep it aligned with the seat and arm brackets before final tightening.
- Join the seat assembly to the lift. Lower the mechanism onto the lift and confirm it is fully seated. The chair should not wobble at this stage.
- Install covers and caps. Fit plastic covers only after the structural bolts are correctly positioned, unless the manual says otherwise.
- Perform the final tightening and inspection. Tighten every fastener to the manual’s instruction, without forcing or overtightening. Test the casters, height control, tilt lock and arm adjustments while the chair is unoccupied.
Why bolt order matters
Some frames need limited movement while the back, arms and seat are aligned. The COLAMY 5103 instruction manual states: “To prevent misalignments, keep the screws loose and do not tighten them until they are all in their correct positions.” That sentence applies to the COLAMY 5103 procedure; it does not prove that every chair should be assembled the same way. Conversely, if your manual calls for immediate tightening, follow that instruction.
Do not substitute hardware
A bolt that appears to fit can have the wrong length, thread or strength. Do not omit washers, spacers or locking hardware shown in the diagram. If a screw will not start easily by hand, stop and recheck the orientation rather than using force or a power driver.
Final checks before sitting down
Before putting the chair into service, run this checklist with the chair on the floor:
- All listed parts are installed; no structural component is cracked, bent or missing.
- Every bolt is present and tightened as the manual specifies.
- The back and arms are square with the seat and do not shift when gently pulled.
- The base is fully seated on the gas lift and all casters roll and swivel.
- The seat height, tilt, recline lock and other controls operate without sticking.
- There is no rocking, clicking, scraping or unexpected movement when the empty chair is rolled.
- The chair’s capacity and use conditions are understood by everyone who will use it.
Stop using a chair with a loose, damaged or missing structural part until the issue is corrected with the proper part or manufacturer support.
Capacity and use limits are model-specific
Do not infer capacity from the words “big-and-tall,” a wide seat or a heavy-looking base. Published examples show substantial variation:

Capacity can be affected by how the manufacturer defines “user,” “seat,” normal use and maximum load. Read the exact wording, including any restrictions on duration or activity. Never treat a 500 lb maximum load from one manual as evidence that all big-and-tall chairs support 500 lb.

Maintenance: follow the chair’s instructions, not a generic schedule
Fastener and component checks
There is no universal inspection interval in the manuals reviewed. A La-Z-Boy manual says to check bolts and screws every 90 days. The RIF6 manual says to check components and fasteners regularly. Those are model-specific instructions, so use the interval in your own manual when one is provided. If no interval is stated, inspect the chair whenever it develops wobble, noise, looseness or a change in control operation, and periodically as part of normal workplace safety checks.
Cleaning upholstery and plastic parts
The RIF6 manual recommends regular vacuuming and wiping with a moist soft cloth. It warns against corrosive detergents, wire brushes, abrasives and sharp objects, and advises keeping the chair away from direct sunlight. These instructions belong to that model. Upholstery, mesh, leather-like coverings and painted parts can react differently, so check the chair’s cleaning label and manual before applying water, solvent, disinfectant or conditioner. Test any permitted product on an inconspicuous area first if the manufacturer allows testing.
What not to do
- Do not spray lubricant or cleaner into the gas lift, tilt mechanism or electrical components unless the manual explicitly permits it.
- Do not use a wire brush, abrasive pad or sharp tool to remove marks from upholstery or plastic.
- Do not leave the chair in direct sunlight when the manual warns that exposure can damage materials.
- Do not continue using the chair while waiting for a missing bolt or replacement caster.
Warranty terms make the manual important after assembly
Following the manual is not only a safety practice; it can affect warranty eligibility. The COLAMY 5103 manual excludes issues related to failure to follow installation, use or maintenance instructions. Serta 4-Series terms for models 45394, 48077 and 51442 describe a ten-year limited product warranty, subject to stated exclusions and scope, including certain misuse, improper cleaning and use outside the instructions. That ten-year term is a warranty period, not a promise that every component will last ten years or that every problem is covered.
Keep the model number, purchase record and manual. If a part fails, describe the exact component and provide photos or measurements requested by the manufacturer or seller. Do not modify the frame, drill new holes or install an unapproved mechanism before asking whether the change affects coverage.

The chair rocks or wobbles
Remove the chair from service and check that every caster is fully inserted, the gas lift is seated in the base, and all structural bolts are installed and tightened. Recheck the manual’s orientation diagram. A bent base, cracked socket or stripped thread requires a replacement part or professional support, not extra force.
A bolt will not align
Support the parts, loosen adjacent bolts only if the manual permits it, and bring the holes into alignment before starting the fastener by hand. The COLAMY alignment instruction is an example of this technique, not a blanket rule. If the threads still do not engage, stop; forcing the bolt can damage the frame.

The tilt or height control does not work
Confirm that the mechanism is mounted in the correct direction and that the lift is fully seated. Check for packaging material blocking a lever. Do not disassemble the gas lift or attempt to repair a sealed mechanism unless the manufacturer’s instructions specifically authorize it.

There is a crack, missing part or sudden movement
Stop using the chair immediately. Record the model and affected part, retain the packaging if available, and contact the seller or manufacturer for the approved replacement. A generic bolt, caster or mechanism may not have the required dimensions or load rating.
How to compare chairs before buying
If you are choosing among big-and-tall models, compare the evidence in their manuals and product specifications rather than relying on category labels. A useful comparison includes:
- Capacity and conditions: maximum user or seat load, any time-based work qualification, and whether the figure applies to normal or exceptional use.
- Dimensions: seat width and depth, back height, arm spacing and height range; these determine fit more directly than the category name.
- Assembly details: number of major steps, whether alignment requires loose bolts, the stated helper requirement and included tools.
- Serviceability: availability of a model-specific manual, replacement casters or mechanism and a clear support contact.
- Cleaning instructions: permitted products, prohibited tools and any sunlight or moisture warnings.
- Warranty: duration, exclusions for misuse or improper cleaning, covered components and geographic limits.
A chair with a higher advertised capacity is not automatically the best fit. The usable seat dimensions, control range, stability and support policy may matter more for your actual workstation.
Bottom line for safe ownership
Big-and-tall office chairs do not normally require a special class of tools or a universal maintenance program. They do require disciplined, model-specific assembly and inspection. Read the exact manual, verify parts, keep alignment hardware in the prescribed state until the correct step, tighten and check every fastener before use, and observe the stated capacity and use conditions. For maintenance, use only the cleaning and inspection guidance for that chair, and remove it from service when a structural part is loose, damaged or missing.
