Digital signage software is the platform used to prepare, schedule, publish, and manage content on digital screens. It helps decide what appears, where it appears, and when; a typical setup also needs a playback player and a display, though the player may be built into supported hardware rather than a separate box.
What digital signage software means
The term describes software for managing material shown on digital screens. It is also often called a digital signage content management system (CMS), emphasizing the tools for organizing media, building playlists or layouts, scheduling content, and assigning it to screens. The labels are not used identically by every provider, so the practical functions matter more than the name.
A signage setup can be understood as three parts:
- CMS or management software: The place where content, playlists, layouts, schedules, users, and screen assignments are managed.
- Player: Hardware or software that receives or retrieves content and renders it for playback. It can be a separate device, but that is not always required.
- Display: The screen viewers see, such as a menu board, wayfinding display, or interactive screen.
The software is not the screen itself. Whether an existing display can run the player directly, or needs another playback device, depends on the software and hardware combination. See the descriptions of a signage system from viewneo Docs and Samsung VXT CMS.

What the software does
Features differ by platform, but digital signage software commonly handles several parts of the publishing workflow:
#1 Best Overall
- 【High-Quality Display】This MWE-QIXZOCV digital signage kiosk features an IPS display screen with FHD image and video quality, offering a wide 178° viewing angle. The vibrant and clear visuals ensure that the content is easily visible and appealing from various positions, making it ideal for attracting attention in busy environments.
- 【Versatile Input Options】It supports USB/HDMI input, allowing for easy plug and play via USB disk. After startup, it has an automatic loop playback feature, ensuring continuous display of content without manual intervention. Additionally, it supports HDMI input and WiFi connectivity, providing flexibility in content management and updates.
- 【MWE-QIXZOCV CMS Real-time Update】The Content Management System (CMS) enables real-time update of the displayed content. It supports synchronous remote publishing and management, allowing users to control and change the displayed images or information from a remote location. This feature is highly useful for businesses that need to update their promotions or messages frequently.
- 【Continuous Playback and Timed Settings】The MWE-QIXZOCV digital signage can operate continuously for 7 days and 24 hours, ensuring uninterrupted display of important information or advertisements. Moreover, it has timed power on/off settings, which helps in saving energy and managing the display schedule according to business hours or specific needs.
- 【Portable and Foldable Design】The MWE-QIXZOCV digital signage display is foldable, movable, and portable. It can be easily folded and moved around with the help of built-in wheels, making it convenient for transportation and setup in different locations. This portability makes it suitable for various events, exhibitions, and temporary promotional setups.
- Content management and authoring: Store and organize images, video, text, templates, and other material. Some platforms also provide editing tools.
- Playlists, layouts, and zones: Arrange content into a sequence or define how multiple items appear together on a screen.
- Scheduling and targeting: Set when content runs and which screens, locations, or groups receive it.
- Publishing and delivery: Send approved content to the playback devices or displays that show it.
- Device and user administration: Some systems offer remote player or display management, status monitoring, and access controls.
- Integrations and live information: Some can connect to other business systems or display data that changes over time.
These capabilities are not universal. For example, a platform’s ability to schedule content does not by itself establish that it supports remote device monitoring, a particular integration, or interactive experiences. The SparcSigns CMS overview, Appspace definition, and Netpresenter overview describe examples of these functions; confirm the capabilities of a specific product in its own documentation.
Where digital signage is used
Organizations use managed screens for purposes such as digital menu boards, product recommendations, wayfinding, store notices, branding, advertising visuals, and internal communications. Some deployments are interactive or use connected data, but those uses depend on the system’s supported features and hardware. Adobe’s AEM Screens introduction describes signage applications including menu boards and interactive experiences.

Do you need a separate media player?
Not necessarily. Playback can come from a separate hardware player or from player software running on supported hardware. A compatible smart display may be sufficient for a given setup; another display may require a separate supported device. Check the signage platform’s hardware and operating-system compatibility information before choosing equipment. The player options described in viewneo Docs illustrate why a separate player should not be treated as a universal requirement.
