Design a WhatsApp chatbot around the task a customer wants to finish—not around making automation sound human. Make the bot’s purpose clear, use concise language that fits your business, offer choices only when they help, and provide an easy route to a person when the bot cannot help. For WhatsApp Business Platform flows, that human-support route is also a policy requirement when automation is used during the customer service window.
Start with the customer’s task
Before writing messages, define what the customer is trying to do: check an order, change an appointment, find a product, or get help with a problem. Then design the shortest clear path to that outcome. A bot feels mechanical when it makes people navigate its menu structure instead of helping them complete their own task.
Give the opening message a specific purpose and make the next step obvious. For example: “I can help you check an order or change a delivery. What would you like to do?” Avoid long introductions, repeated greetings, and canned pleasantries that delay the task.
Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallCrashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteUse a consistent, honest voice
Write in language customers can understand on a phone screen. Keep messages focused, use familiar terms, and make each prompt clear about what information or action is needed. The voice should match the business; a friendly tone is not a requirement to imitate a person.
#1 Best Overall
If it would otherwise be unclear, say that the customer is interacting with an automated assistant. Never imply that the bot is a human agent, claim it understands something it does not, or use fake empathy to cover a limitation. WhatsApp’s design principles emphasize keeping the service simple, reliable, and private. Meta design leader Idit Yaniv described them as “keeping WhatsApp simple, reliable and private” in Meta’s May 9, 2024 design article.
Choose between buttons and free text based on the task
Guided choices can reduce typing and clarify common routes. Free text is more useful when people need to explain a problem in their own words. WhatsApp’s Platform documentation describes interactive reply buttons and lists, among other message formats, but these are options—not a reason to put every exchange behind a menu.
Rank #2
Use a button or list when the available choices are limited and predictable, such as selecting a delivery issue. Keep an open-text route available when the customer’s situation may not fit those choices. For any guided flow, make it possible to correct a selection, go back, restart, or ask for a person.
Design recovery before the bot gets stuck
Decide what the bot should do when a message is unclear, a task fails, or the customer asks for something outside the flow. A useful fallback names the problem plainly, explains what can happen next, and offers a practical route forward. Do not repeat the same clarification indefinitely, force the customer into an irrelevant menu, or present a guess as certainty.
Rank #3
For customer-facing automation on the WhatsApp Business Platform, provide prompt, clear, direct escalation paths. The platform policy gives examples including an in-chat transfer to an agent, phone, email, web support, an in-store visit, or a support form. See the current WhatsApp Business Messaging Policy for the applicable requirements.
Keep context useful and protect personal information
Use information the customer has already shared when it helps complete the task, and avoid asking for it again without a reason. Collect only what is needed for the exchange. WhatsApp’s policy makes businesses responsible for required notices, permissions, consent, a published privacy policy, and compliance with applicable law. It also restricts requesting or sharing sensitive identifiers, including full payment-card numbers, financial account numbers, and personal ID numbers.
Follow WhatsApp’s messaging rules
The WhatsApp Business Messaging Policy, last updated September 23, 2026, applies to WhatsApp Business products, including the Business App and Business Platform. For Platform messaging, these requirements shape what a bot can send and when:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Obtain opt-in permission before contacting someone with subsequent messages or calls, and honor requests to block, discontinue, or opt out.
- Use an approved Message Template to initiate a conversation.
- During the 24-hour customer service window, which opens and resets with each user message, a business may reply without a template. Outside that window, only approved templates may be sent.
- Automation is permitted in replies during the window, but clear, direct escalation paths must be available.
These are platform rules, not a substitute for checking laws that apply to the business and customer’s location. Policy and product details can change; consult the linked policy and current technical documentation when implementing a flow.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Measure whether the flow helps—not whether it sounds human
Assess a bot against the work it does for customers. Useful measures include task completion, clarity, effort, recovery from unexpected input, successful handoff, and whether the response felt relevant. Review conversations and ask for user feedback alongside operational metrics.
Meta said in its April 3, 2025 announcement about managing business chats that people can block or report businesses and provide message feedback; it also described basic read-rate information for businesses. Read rates can help assess whether message frequency is appropriate, but they do not establish that a chatbot was helpful or natural.
Design research offers useful principles, not a guaranteed formula for WhatsApp outcomes. A 2022 systematic review by Silva and Canedo examined 40 selected studies of linguistic, visual, and interactive chatbot design practices; survey respondents agreed that the resulting guidelines could support satisfaction and engagement. Chaves and Gerosa’s survey analyzed 56 papers on text-based chatbot interaction and argued that social characteristics should fit user expectations to help avoid frustration and dissatisfaction. Neither establishes a universal best tone or a WhatsApp-specific performance result. See the systematic review and the interaction-design survey.
