Short answer: A custodial exchange or hosted wallet may be a broker that reports your digital-asset sales and exchanges on Form 1099-DA. A self-hosted wallet normally does not issue a tax form. Moving coins to a device you control changes who holds the private keys, not your duty to track cost basis, fair market value, transfers and later disposals.

What the custody distinction means for taxes

“Custodial” and “self-hosted” describe who controls the keys and takes possession of the assets. In a custodial arrangement, an exchange or hosted-wallet provider safeguards the keys and executes transactions in your account. In a self-hosted arrangement, you control the keys and authorize transactions directly, often through a software wallet or a hardware signer.

The distinction matters for reporting because the Internal Revenue Service’s final broker regulations focus on brokers that take possession of digital assets. Covered custodial trading platforms and certain hosted-wallet providers are included. The rules require gross-proceeds reporting for transactions effected on or after January 1, 2025, and basis reporting for certain transactions effected on or after January 1, 2026. A self-hosted wallet is not itself a broker and generally will not send you Form 1099-DA, so you must assemble the evidence for your return.

A wallet’s tax role is therefore different from its security role. A provider may produce account statements and a 1099-DA, but you still have to check whether the statement reflects transfers, inherited lots and the identification method you actually used. A hardware wallet can keep signing keys offline, but it does not know what you paid, what a coin was worth when received as income, or which tax lot you later sold.

Custodial and self-hosted wallets compared

Issue Custodial wallet or exchange Self-hosted wallet
Private-key control The provider controls or safeguards keys and takes possession for covered activity. You control the keys and sign transactions directly or through a signer.
Tax statement A covered broker may issue Form 1099-DA for reportable sales and exchanges. The wallet generally does not issue a broker statement; you compile the records.
Basis information A statement may show proceeds and, where applicable, basis. Lots transferred in can require additional information. You preserve acquisition cost, dates, units, fees and the links between wallet transactions and tax lots.
Operational risk You depend on provider access, account history and the provider’s classification as a covered broker. Lost or compromised keys and incomplete local records can make both access and tax reconstruction difficult.
Best record workflow Export statements and transaction history, retain every 1099-DA, and reconcile deposits, withdrawals and internal transfers. Export on-chain history and wallet labels, record U.S.-dollar values at receipt or disposal, and match each transfer to an acquisition lot.

“Self-hosted” does not mean “tax-free” or “unreported.” A transfer between your own accounts is generally a movement of property rather than a sale, but you need records proving that both addresses belong to you and that the same units arrived. A later sale, exchange or other disposition is the event for which basis and proceeds must be calculated.

When a custodial provider sends Form 1099-DA

Who is covered

The final regulations apply to brokers that take possession of digital assets. The IRS describes covered examples as custodial digital-asset trading platforms, certain hosted-wallet providers, kiosks and certain payment processors. The rules do not impose reporting requirements on brokers commonly described as decentralized or non-custodial when they do not take possession of the assets being sold or exchanged.

Your provider’s marketing label is not enough to determine its status. What matters is whether it takes possession in the activity covered by the regulations. Keep the provider’s year-end statement and any notices explaining what it reported, even if you also use a personal wallet.

Reporting dates

  • Transactions on or after January 1, 2025: covered brokers begin reporting gross proceeds.
  • Transactions on or after January 1, 2026: basis reporting applies to certain transactions under the final rules.

These are effective transaction dates, not the date you download a form. A 2025 sale may therefore appear on a form delivered after the end of 2025, while a basis field depends on whether the transaction falls within the basis-reporting requirements and whether the broker has the required information.

What the form can and cannot tell you

Form 1099-DA is an input to your tax records, not a complete history of ownership. The IRS FAQs address acquisition information transferred from another custodial broker and the use of that information for lot ordering. A receiving broker may use reasonably reliable acquisition information supplied by the transferring broker for ordering lots, but that does not automatically make the transferred information reportable basis on the receiving broker’s form.

Compare each form entry with your own transaction ledger. Check asset, quantity, date, proceeds, fees, transferred-in lots and the identification method used when you sold. If the form omits basis or shows an amount you cannot reconcile, retain the form and supporting statements rather than inventing a number. Your purchase confirmations, transfer records and lot-selection instructions are the evidence needed to resolve the difference.

What you must record when using a self-hosted wallet

IRS taxpayer guidance says to keep records documenting each purchase, receipt, sale, exchange or other disposition of digital assets. The practical record for every event should contain the following fields:

  • Asset and quantity: the token type and number of units, including the precision shown by the network or provider.
  • Date and time: use the transaction timestamp and retain the time zone or block time used by your records.
  • Source or destination: the exchange account, person, payment, mining or staking activity, contract, or wallet address involved.
  • Transaction identifier: the exchange order or withdrawal ID and, for on-chain activity, the transaction hash when available.
  • Wallet or account: label the sending and receiving accounts so you can distinguish your own transfer from a disposal.
  • Fees: network fees, trading fees and other charges, with the asset and amount in which each fee was paid.
  • U.S.-dollar fair market value: especially when digital assets are received as income or payment, and whenever your tax calculation requires a value at the event time.
  • Basis and lot identity: acquisition cost, acquisition date, units remaining and the specific lots selected for a later disposition.

For a disposition, add the number of units sold or exchanged and the basis assigned to those units. For a receipt, preserve the value and purpose of the receipt so you can explain how its basis was established. Keep the original export files as well as a readable ledger; a spreadsheet that can be edited without retaining the source file is weaker evidence than both together.

How to document a transfer from an exchange to your own wallet

A withdrawal to your own address creates two records that must meet in the middle: the exchange’s withdrawal record and the blockchain’s receipt. Complete the reconciliation before you sell or exchange the asset.

  1. Export the exchange side. Save the account statement or transaction export showing asset, quantity, date and time, withdrawal fee, destination address, transaction ID and any lot-selection or acquisition information the provider supplies.
  2. Capture the destination details. Record the exact wallet address, network, transaction hash and the timestamp at which the transaction was confirmed. If the wallet supports labels, identify it as your own wallet and note the account or device used.
  3. Match quantity after fees. Compare the amount debited by the exchange with the amount credited on-chain. A network fee or provider fee can explain a difference; record which side paid it and in which asset.
  4. Mark the event as an internal transfer. Do not enter it as a sale merely because the exchange calls it a withdrawal. The label should link the sending account and receiving address and state that ownership did not change.
  5. Attach the acquisition lots. Carry forward the original purchase dates, costs, units and identification method. If several lots were withdrawn, list each lot and the quantity assigned to it.
  6. Check the receiving wallet. Confirm that the asset and network are correct and that the transaction appears in an independent block explorer or wallet export. Save the resulting record with the exchange file.
  7. Reconcile before disposition. When you later send the asset to a buyer, decentralized application or another exchange, identify which of the transferred lots were used and preserve the outgoing hash and value.

The same process works in reverse for a deposit into a custodial account. Save the self-hosted wallet’s outgoing record, the receiving broker’s deposit confirmation and the lot information. A custodial broker may receive acquisition data from another custodial broker, but your own transfer from self-custody may not arrive with a complete basis history.

Running both custodial and self-hosted accounts

Use one master ledger

Maintain one chronological ledger covering every exchange account, hosted wallet, self-hosted address and hardware device. Give each account a stable label and record address changes. The ledger should show an asset leaving one location and arriving at another as a linked pair, not as two unrelated transactions.

At the end of each reporting year, export custodial histories before an account closes or an interface changes. Retain Form 1099-DA with the export that supports it. For self-hosted addresses, save transaction-history files and a list of labels. Keep copies of the files in a format that can be opened without the provider’s website.

Reconcile balances and transfers

For each asset, compare the opening balance, acquisitions, receipts, transfers, disposals, fees and closing balance. Investigate any unexplained difference. Common causes include a withdrawal fee deducted in the asset, a network mismatch, a token contract migration, airdrop or staking receipt, and a transaction recorded by a wallet but not by the exchange export.

Do not use a provider’s 1099-DA as a substitute for this control. The form may report proceeds while omitting a transfer that explains why your wallet balance changed, and it may not carry complete basis for assets received from another account.

Preserve lot-selection evidence

If you tell a broker which units to sell, save the instruction and the confirmation. If you use a default ordering method, document that method and keep the records showing which lots remained. When assets move to self-custody, the broker’s internal lot labels may not travel with them, so copy the lot details into your master ledger at the time of transfer.

Hardware wallets: stronger key security, no tax statement

A hardware wallet is a signing device, not a tax-record service. For example, the Ledger Nano S Plus product documentation says the device keeps private keys offline and requires the user to approve transactions. That design can reduce exposure of keys to an internet-connected computer, but the device does not issue Form 1099-DA, store your purchase price, or determine the U.S.-dollar value of a receipt.

When setting up any hardware wallet, record the public addresses you use, the network for each address and the date the address first received assets. Keep the recovery phrase offline and separate from the tax ledger; the phrase grants control of the assets and should not be uploaded to a recordkeeping service. Your tax file needs transaction hashes and lot data, not the secret phrase.

Use the wallet’s export or a reliable blockchain record to capture incoming and outgoing transactions. If a single device controls several addresses, label each address in your ledger. A device replacement, account reset or new address does not erase your reporting duty; it makes accurate labels and archived histories more important.

Common recordkeeping failures and how to fix them

“The 1099-DA has proceeds, so I am done.”

Why it fails: proceeds are only one input. Basis may be missing, transferred-in information may not be reportable by the receiving broker, and the form cannot show activity in a self-hosted wallet.

Fix: reconcile the form to exchange exports, transfer records and lot instructions. Keep an explanation for every difference.

“A withdrawal is a taxable sale.”

Why it fails: a movement between accounts you own is not automatically a disposal, but an unlabeled withdrawal can look like one when you reconstruct the year.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: link the exchange debit, destination address, transaction hash and wallet credit, and mark the event as an internal transfer.

“The wallet app knows my basis.”

Why it fails: a self-hosted wallet sees blockchain movements, not the price you paid on a different platform or the purpose of a receipt.

Fix: import or enter acquisition cost, date, fees and lot identity from the original purchase record.

“I will reconstruct everything at year end.”

Why it fails: providers change export formats, accounts can be closed, and addresses or transaction purposes become difficult to identify months later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: export after significant activity and add a transfer note while the purpose is still clear.

“A lost device means the records are gone.”

Why it fails: the device protects keys but is not the only source of transaction history. Losing the device can still make signing difficult, while an unarchived ledger makes tax reconstruction difficult.

Fix: maintain independent copies of exchange exports, public addresses, hashes and lot records. Never place a recovery phrase in those copies.

A practical annual checklist

  • Download every custodial account statement and transaction export for the year.
  • Save each Form 1099-DA and note whether it reports proceeds, basis or both.
  • Export activity for every self-hosted address and label addresses by owner and purpose.
  • List all purchases, receipts, sales, exchanges and other dispositions with date, time, quantity, fees and U.S.-dollar value where required.
  • Match every exchange withdrawal to a receiving address and blockchain transaction hash.
  • Carry acquisition lots and basis across internal transfers; do not create a sale entry for a transfer that did not change ownership.
  • Document the lot-selection instruction or ordering method used for each disposition.
  • Investigate unexplained balance differences before preparing the return.
  • Keep original source files, readable copies and a change log for corrected entries.

Choosing a custody workflow

Custody-first workflow

Keeping assets with a covered custodial provider can simplify access to statements and may produce a 1099-DA, but you still need to verify proceeds, basis and transferred-in lots. This approach is most manageable when you export activity regularly and avoid treating the statement as a complete history.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Self-hosted workflow

Self-hosting gives you direct control of keys and removes reliance on a provider to issue a tax statement. In exchange, you must preserve public-address histories, values at receipt and disposal, fees and lot assignments. It is workable when you maintain disciplined labels, redundant records and a transfer-matching process.

Hybrid workflow

Many people use both. The hybrid method requires the strongest reconciliation: custodial forms and exports on one side, blockchain histories and wallet labels on the other. A single master ledger, linked transfer entries and preserved lot data prevent the same asset from being counted twice or disappearing between accounts.

Bottom line

Custodial providers may report your transactions because they take possession as brokers; self-hosted wallets generally do not. The January 1, 2025 gross-proceeds start date and January 1, 2026 basis-reporting start date explain when broker statements may appear, not when your own recordkeeping begins. Keep complete acquisition, receipt, transfer, disposition, value, fee and lot records in every custody model, and treat Form 1099-DA as a document to reconcile rather than a replacement for your ledger.
